The Director of Facilities or Environmental Services is responsible for developing a Pre-Pandemic Plan that should include procedures for a full pandemic scenario. It is the responsibility of Facility Management Services to ensure that buildings are maintained in a clean and hygienic condition. Maintenance Care is built to become your fail-safe procedural tool in case of a break-out, natural catastrophe, or other emergency situation, and helps you develop strategies for disaster preparedness, mitigation, and recovery.

The features of Maintenance Care can support the following actions: • Develop, implement, and evaluate infection control programs • Train staff with enhanced infection control procedures • Audit infection control programs • Establish and evaluate post-closure and pre-opening procedures • Assist community agencies • Provide enhanced security as warranted

Effective Internal CommunicationsWith our CMMS communication feature, employees can easily communicate across departments. For example, if someone from the janitorial team needs to file a large repair ticket, your maintenance team will know immediately.

EFFECTIVE MAINTENANCEYou’ve created an emergency Plan and are all set, but what’s next? In case of emergency, CMMS can activate certain protocol reminders automatically. Here’s how:

Pre-Pandemic Planning• Document and review building maintenance activities and prioritize maintenance functions by the length of recovery time (1 day, 1 week, 2 weeks, 1 month).

• Identify essential services to be continued in the event of closure (e.g. heat, water systems, security).

• Suggest changes to maintenance/housekeeping during a pandemic (e.g. cleaning, sanitizing protocols).

• Cross-train maintenance staff with regard to specialized or technical activities, including cross-training staff from different departments.

• Prepare written instructions to train employees or volunteers.

• Document the locations of critical equipment, building systems (service panels), and means of accessing them (e.g. credentials, keys).

• In consultation with internal Health and Safety Department or Governmental Institutions, implement and comply with any additional cleaning or sanitizing regimes to ensure health and safety of residents, staff, and public.

• Ensure an adequate stockpile of cleaning and sanitizing supplies is maintained to prevent shortages in the event of disruption to the supply chain. The stockpile should be stored in a dedicated, secured space.

• Plan for potential staffing shortages that might result from an increased demand for maintenance and cleaning services and/or potential absences due to illness or injury.

During a Pandemic• Services should be maintained as long as possible, provided there are adequate supplies and staffing levels. Cleaning of washrooms and public areas should be a priority.• In the event of a shutdown, only essential services should be maintained. Buildings should be monitored accordingly.• Seal off or eliminate non-essential areas and services. Sealed areas should have remotely controlled A/C and ventilation. • Install and maintain bulk hand sanitizer units and hand-washing stations. • Provide utility maps, floor plans, and systems schematics to emergency responders. • Put backup equipment in place, perform regular checkups, and repair parts as necessary.• Prepare a backup power system. Critical community services (food supply, sanitation, water, power) may need to be curtailed, consolidated, or suspended. (applicable to pandemic situation)• Ensure continued communication access (internet, phone, walkie talkie, etc.)• Promote building hygiene and give access to information about adequate measures throughout the building (entrances, elevators, common areas, etc.)
