1 About this manual

Please read through this operating manual carefully. Keep the operating manual in a safe place. If you pass on the product to somebody else, please make sure that you hand them the operating manual as well.

1.1 Introduction

The scanners of the “Audiology” product family are 3D scanners for digitizing auditory canal impressions, matched to your individual volume requirements:

The classic duo Scan is designed for everyday use in the shop. The duo Scan Touch offers an even better workflow due to its touchscreen operation.

The free Stage is the only scanner open at the front and on one side, so without a lid, and equipped with a touch sensor allowing operation on the device itself.

The high-end model ds Production is particularly suited for permanent use under production conditions.

The mono Scan is the only scanner limited to single auditory canal impressions per scan. This low-priced model is therefore ideal for low production volumes.

All audiology scanners work with the aural Scan software and use the open data formats STL, MSH or ASCII as output.

All Audiology scanners from smart optics are equipped with an interface to Noah, the “standard for integrated hearing care software” from HIMSA (Hearing Instrument Manufacturers' Software Association). This interface allows the integration of aural Scan into the Noah client.

2 For your safety

2.1 Intended use

The intended use of the smart optics Audiology scanners is the optical three-dimensional measurement of human auditory canal impressions.

Material properties

Audiology scanners scan molding materials with a dry, opaque surface. Reflective or dark surfaces can be scanned if they are previously treated with 3D Scan Spray.

Non-intended use

Audiology scanners are not intended to scan other objects, impressions made of transparent materials or living organisms.

Audiology scanners are not suitable for use in an environment heavily burdened by emissions (e.g. dust or paint).

smart optics strongly recommends not to use the scanner for any unintended use. smart optics assumes no liability for damages due to an improper use of the scanner and/or non-observance of the safety instructions indicated in these operating instructions

2.2 General safety instructions

User qualification

Users who set up, commission or operate a smart optics scanner require special knowledge for the safe operation of the scanner. This knowledge can be acquired by means of the following measures:

Read and follow these operating instructions, in particular the instructions concerning setup, commissioning and cleaning of the scanner.

2.

If possible, take part in a training course (offered optionally by the vendor).

3.

Comply with local laws, regulations, occupational safety and accident prevention rules concerning your scanner’s workplace.

4.

Make sure that all devices and cables pass the periodic safety checks for electrical appliances. Replace damaged devices and cables immediately. Make sure that the technical specifications of power cables are adequate.

Constructive protective measures

The scanner has been developed and manufactured in compliance with the applicable safety standards and with the greatest possible care to ensure safe operation and to protect the user against injuries. In particular, constructive measures include:

The scanner switches off the power supply to the interior of the scanner automatically after brief inactivity or when the lid is opened. Power is only switched on again after the user has restarted activity.

2.

An ongoing scanning process is interrupted automatically when the lid is opened. Moving parts in the scanner's interior are stopped to prevent injuries when placing hands inside the scanner. Automatic power switch off prevents accidental restarting or continued running of the motors.

3.

A fuse to protect the device from overvoltage is integrated into the device.

Protection against injuries

Despite the protective measures included in the design, some residual risks that might lead to injuries cannot be excluded. In this section you will learn what measures you can take to protect yourself and other people.

WARNING

Risk of injury due to electric shock Fire hazard due to short circuit

A technical defect of the cable or of individual components of the scanner can cause an electric shock or a short circuit. This can result in a fire.

Make sure that the scanner and the cables do not come into contact with water/moisture. Should this however happen at some time, disconnect the power plug immediately. Then dry the affected parts with a soft microfibre cloth.

Do not work with defective devices or cables under any circumstances.

Operate electrical equipment only at the recommended operating temperatures.

Only use the supplied cable or the corresponding spare parts.

If electrical devices are not used over a longer period, such as overnight, turn them off and disconnect the power plug from the socket.

WARNING

Health hazard due to magnetic fields

The scanner and its accessories include magnetic components. Magnetic fields can be health-damaging.

Persons with implants, in particular heart pacemakers, may only operate the scanner and its accessories with express medical permission.

WARNING

Health hazard due to structured light (only applicable to scanners without a lid)

The scanner works with structured light. Constant visual contact with structured light can trigger epileptic seizures, migraine or similar conditions.

Individuals suffering from such conditions should cover the scanner during operation.

CAUTION

Risk of falling due to packaging materials

The scanner is extensively packaged for protection against transport damages. The packaging can be an obstacle during setup and can cause falls.

Do not leave packaging materials lying on the ground.

Before transporting, move all obstacles out of the way.

CAUTION

Risk of hand injuries due to the lid or the mechanical parts of the scanner

Your hands can get crushed by the lid or the mechanical parts of the scanner.

Always hold the lid (if present) by its handle to open or close it.

Only open the lid (if present) slowly. Otherwise it will fall down again, because there is no resistance in the closing mechanism.

Always open the lid (if present) up to the stop.

Only put your hands inside the scanner when the axes have stopped. Should the axes not stop with the lid open or at the end of a scanning process, turn off the scanner and disconnect the power plug.

CAUTION

Hand injuries due to sharp needles

The object holders for mounting the auditory canal impressions are fitted with sharp needles. You can easily prick yourself with these needles.

Hold the object holders only from the side.

Do not press on the needles from above.

CAUTION

Health hazard due to LED light with high blue content (only applies to scanners without lid)

Recent studies show that light with a high blue content can lead to permanent retinal damage or contribute to it. White LED light also has a high blue content. Users should therefore avoid prolonged visual contact with white or blue LED light.

The scanner emits white light or blue light with each measurement. You can protect your eyes by covering the scanner during operation.

Wearers of glasses can protect their eyes with glasses with a blue light filter.

CAUTION

Injury due to entanglement of clothing, jewellery or hair (only applies to scanners without lid)

Loose clothing, jewellery or long hair can get entangled in the lid or the mechanical parts of the scanner. Due to motion, objects and hair can get entangled inside the scanner. This can lead to injury.

Do not wear any loose garments such as shawls and ties, or jewellery like long necklaces, at the scanner’s workplace.

Comb your hair into a firm pigtail, for example.

However, should a piece of clothing, hair or jewellery get entangled among the moving parts of the device, turn the scanner off immediately. Disconnect the power plug before removing the entangled part.

Protection against material damages

Despite the protective measures included in the design, some residual risks that might lead to material damages (loss of data or damage to devices) cannot be excluded. In this section you will learn what measures can be taken against material damages.

NOTICE

Damage to optical and electronic components due to touching, humidity, dirt and cleaning

The optical and electronic components in the interior of the scanner are highly sensitive. Any touch, as well as dirt, moisture and cleaning agents can damage them.

Do not touch any optical and electronic components.

Protect the optical and electronic components against soiling by closing the lid or covering the scanner.

Never use the 3D scan spray inside the scanner.

If the optical or electronic components have to be cleaned, do not do it yourself. Please contact your reseller or smart optics.

NOTICE

Data loss due to a too long USB cable

The transfer of data between the scanner and the PC is affected by the length of the USB cable.

Only use the supplied USB cable or a spare part with the corresponding length (Max. 2 meters).

NOTICE

Measuring errors due to vibrations

The base (table, workbench, etc.) on which the scanner stands must not vibrate. Vibration will cause inaccurate measurement results.

Place the scanner on a sturdy, stable base able to support at least twice the weight of the scanner.

Measuring errors due to reflections on the measured object (only applies to scanners without lid)

Strong ambient light leads to unwanted reflections on the measured object. This affects the accuracy of the measurements.

Select a workplace away from a window or not affected by high levels of artificial lighting.

If no other work place is available, cover the opening during the scanning process, e.g. with light-tight foil.

NOTICE

Measuring errors due to unsuitable climatic conditions

The scanner is designed solely for use inside dry, closed rooms. Precise measurement results are only achieved by the scanner under suitable climatic conditions. Too much heat causes measurement errors and overheating of the scanner. Overheating can permanently damage the scanner.

Only operate the scanner at temperatures of 15°C - 30°C.

Only operate the scanner in low humidity conditions.

Avoid direct sun exposure at the workplace.

Reduce cold, heat and high humidity, e.g. through the use of air conditioners or sun protection.

NOTICE

Material damages due to moisture

Constant contact with moisture can damage sensitive materials.

Only operate the scanner at a dry workplace.

Avoid any contact with water/moisture. Should this however happen at some time, disconnect the power plug. Immediately wipe off any water/moisture using a soft microfibre cloth.

NOTICE

Data loss due to magnetic fields

The scanner and its accessories include magnetic components. Metal-containing technical devices and data carriers, e.g. credit cards, can be impaired in their function or even permanently damaged through contact with magnets.

Make sure there is an adequate distance between metal-containing technical devices/data carriers and the magnet.

2.3 Symbols on the device

Warning - Risk of cuts

This symbol indicates the object holders used to attach the auditory canal impressions. Due to the nature of their design, these are very pointed and sharp. Always proceed with great care when handling the object holders.

Do not touch

This symbol refers to the calibrated optical system. This must never be touched or cleaned as it could be damaged in the process.

CE label

The CE label on the type plate documents that the European directives that are applicable to the device were complied with at the time of issue of the CE certificate.

Fuse

This symbol on the type plate documents an integrated overvoltage device.

USB

This is the symbol for a USB connection; also for a camera connection as well as for a USB plug.

4.3 Object holders and accessories

The top of the object holders is fitted with needles. Intended use: Mounting of the auditory canal impressions.

5 Setup and commissioning of the scanner

5.1 Choosing a workstation

Before connecting the scanner to a PC, you will have to choose a work table of sufficient size and stability for the weight and floor space of the scanner. Scanners with lid require space above to open the lid.

For a scanner without lid (free Stage), select a workplace away from a window or not affected by high levels of artificial lighting.

Ensure that you can reach the power switch at any time.

Ensure that there are enough and sufficiently fused mains sockets for all the devices. After consultation with an electrician, you can use an approved extension cable, a multiple power socket and a socket adapter (additional electrical devices not included in the scope of delivery).

5.2 Unpacking the scanner

The scanner is delivered in a sturdy outer carton.

Check the outer packaging for visible damage immediately upon receiving the scanner.

If damage is evident on the packaging, please inform the delivery company and your vendor (reseller or smart optics). Follow the instructions provided by the delivery company and the vendor (reseller or smart optics) before continuing to unpack the device.

To remove the scanner from the packaging, grasp the scanner with both hands from below and lift the device out of the carton.

Remove the transport protection and the protective foil.

CAUTION

Risk of falling due to packaging materials

The scanner is extensively packaged for protection against transport damages. The packaging can be an obstacle during setup and can cause falls.

Do not leave packaging materials lying on the ground.

Before transporting, move all obstacles out of the way.

Remove the accessories from the packaging.

Immediately check the scanner and the accessories for completeness and any visible damage.

If the scope of delivery is not complete or if one of the supplied parts shows visible damage, inform your vendor (reseller or smart optics) immediately. Follow their instructions before continuing with the setup.

Removal of the needle protection from the object holders

The object holders in the interior of the scanner are fitted with a needle protection during transport. Remove the needle protection before commissioning the scanner.

CAUTION

Hand injuries due to sharp needles

The object holders for mounting the auditory canal impressions are fitted with sharp needles. You can easily prick yourself with these needles.

Hold the object holders only from the side.

Do not press on the needles from above.

Pull the needle protection upwards, separating it from the object holders.

Keep the needle protection in case you need to transport the scanner at a later time.

5.3 Connecting the scanner

To commission the scanner, you will need a mains connection for the power supply and a PC connection. The scanner is designed as a peripheral device; it cannot work without a PC connection.

The mains connection and the USB port are located on the rear of the scanner.

Connect the device plug of the power cable to the corresponding mains socket on the scanner.

Connect the mains plug of the power cable to a socket. It is not necessary to use an adapter to adjust the voltage as an AC-DC device is integrated in the scanner.

Connect the type B plug of the USB cable to the USB port of the scanner.

Connect the type A plug of the USB cable to the USB port of the PC.

Press the power switch or place the flip switch in position I.

The power switch is illuminated or is in position I.

Devices with an illuminated switch allow you to see immediately if the power cable has been connected correctly. Should the switch not be illuminated, check the cables to see if they are connected correctly and securely. Then switch on the scanner again.

6 Installation of aural Scan

You only need to install aural Scan if you purchased your scanner without a computer. If you purchased your scanner together with a computer, then aural Scan is already completely pre-installed so that you can start scanning immediately.

In this case please continue with “Positioning of the auditory canal impression”.

If you already had aural Scan or an earlier version of smart optics Audiology installed, please follow the instructions to update the installation.

The installation of aural Scan consists of two stages: the installation of the software and the loading of the calibration data when the software is run for the first time.

After the installation, follow the instructions in “Axis calibration”.

6.1 Setup execution

Only install aural Scan on a computer matching the technical requirements for operating system, memory and graphics card.

Place the installation data carrier in the appropriate computer drive.

After a short waiting period the content of the installation data carrier will be displayed automatically. If the content of the installation data carrier is not displayed automatically, open the corresponding drive in Windows Explorer and then the installation folder.

Double-click the executable file ending in “exe”.

Setup will display a dialogue that allows you to choose the installation language. The suggested language is the one selected in the operating system.

To choose a different language, simply select it from the dropdown list. The following are available: German, English, Spanish, French, Italian, Portuguese, Romanian, Turkish, Russian, Chinese (simplified and traditional).

TIP

The language in which the software controls are displayed within aural Scan can be changed in the software settings after installation.

Click OK. Please note that you cannot revert back to the choice of language

during setup.

Setup will ask you to choose a destination folder for the installation.

Accept the suggested target folder or click on Browse to select a different folder.

If you are using a Noah system from the Hearing Instrument Manufacturers' Software Association (HIMSA), you must accept the suggested target folder for the interface to work.

Click on Next.

Setup will ask you to choose a start menu folder.

Accept the suggested Start menu folder.

You can change the name or click on Browse… to select a different folder.

Click on Next.

Setup will ask you whether you wish to create a desktop shortcut to start the software.

Activate the checkbox Create a desktop shortcut to create the shortcut for aural Scan on the Desktop.

Click on Next.

The Ready to Install window pops up. All the settings selected by you in the previous steps will be displayed.

Check the settings (destination folder, Start menu folder and desktop shortcut).

To correct any of the displayed settings, click on Back.

To start the installation with the displayed settings, click on Install.

The installation process will start and the progress is displayed on the screen.

The final window for finishing the setup is displayed. You will be asked to decide whether the computer should be restarted immediately or later. smart optics recommends activating the option for immediate restart.

Click Finish.

Setup is completed. Depending on your choice, the computer will restart. A new short cut will be available on the desktop:

In addition, auxiliary software is installed for the camera built into the scanner. This can be found in the paths C:\Program Files (x86)\ or C:\Program

Files. Please do not change anything in this installation.

6.2 Loading of calibration data

Start aural Scan double-clicking the desktop shortcut or by selecting the Start menu item.

When starting the software for the first time, you will receive a message stating that the calibration data is missing in the folder the software is installed in.

Click OK.

The data is loaded automatically into aural Scan.

If the calibration data is not found automatically, you can also select the folder

manually. Click on Browse.

The Windows dialogue Browse for Folder will open.

Select the calibration folder on the installation data carrier \SO-202… .

NOTICE

Malfunction due to incorrect calibration data

The calibration data are saved individually for each device on the installation data carrier. aural Scan only works optimally with your scanner using the appropriate calibration data.

Check whether the name of the calibration data folder on the data carrier corresponds to the serial number of the 3D sensor on the type plate of the scanner.

You must not use calibration data if the numbers do not match. In this case, cancel the process.

Contact your vendor (reseller or smart optics) to obtain the appropriate calibration data for your scanner.

Click OK.

Click on Next in the dialogue to enter the calibration data.

The calibration data will be copied. Subsequently, a final message will be displayed.

Click OK.

Installation and copying of the calibration data are now complete. aural Scan will close automatically.

Make sure that the scanner is switched on. The power switch is illuminated in this case or is in position I. If your scanner has a status bar, it will light up green.

Start aural Scan.

The scanner is operational.

7 Positioning of the auditory canal impression

The object holders in the interior of the scanner are used for the accurate positioning of an auditory canal impression. The object holders are attached magnetically to the base. Other fastening materials are not required.

All scanners have two bases, except for mono Scan, which has only one.

CAUTION

Risk of injury due to closing lid (if present)

If the lid is open, it can fall down and, for example, injure your hand.

Only open the lid if it is necessary to reach inside the scanner, and afterwards close the lid again immediately.

Leave the lid closed while the device is working. If you open the lid while a scan is running the process will be suspended. To resume the process, you will be asked to close the lid.

CAUTION

Hand injuries due to sharp needles

The object holders for mounting the auditory canal impressions are fitted with sharp needles. You can easily prick yourself with these needles.

Hold the object holders only from the side.

7.1 Removing and inserting object holders

You can remove the object holders from the scanner, for example, to clean the interior of the scanner. To position the auditory canal impressions it is usually not necessary to remove the object holders, unless you want to matte the auditory canal impressions with 3D scan spray. In this case, it is absolutely necessary to remove the object holders beforehand.

NOTICE

Defect of the 3D sensor due to 3D scan spray

If you use 3D scan spray in the interior of the scanner, the spray mist will contaminate the lens so that precise measurements are no longer possible.

Only use the 3D scan spray outside the scanner.

Close the lid before spraying to keep the scanner clean.

Removal

Open the lid up to the stop.

Hold the object holder from both sides.

Pull the object holder upwards exerting slight force.

The object holder will be released from the base.

Insertion

During insertion, use the guiding marks for orientation, e.g. the engraved horizontal line on the swivel axis inside the scanner and the two notches on the outer side of the object holders.

Place the object holder straight and from above onto the base, so that both notches are parallel to the line on the swivel axis.

The object holder adheres magnetically to the base.

7.2 Mounting of the auditory canal impression

Place the bottom of the auditory canal impression onto both needles of the object holder.

Matte reflective or dark material using 3D scan spray, but always outside the scanner. When doing this, hold only the object holder, not the impressions.

Align the impression with the (marked or imagined) horizontal line along the guiding line on the swivel axis inside the scanner.

TIP

The color of the auditory canal impressions influences the measurements

In aural Scan, adjust the setting color of the scan object accordingly.

Position the impression of the left auditory canal on the left side and the impression of the right auditory canal on the right side (the side indication is always from the patient's view, not mirrored).

ds Production is fitted with colour-coded object holders. The left object holder is blue, the right one is red, as are the bases. If your scanner has colour-coded object holders, the colours of the

object holders correspond to the display of the scans (left blue, right red, viewed from the front). In the case of the open free Stage scanner, the object holders are placed in a vertical position to the front side. The impression of the left auditory canal must be placed on the front place, the impression of the right canal on the back place.

Check that the impressions are mounted correctly.

The impression is mounted correctly when it fits on both needles and there is no gap between the impression and the base of the object holder.

TIP

8 The basics of scanning

8.1 Working with STL files

Your 3D scanner creates STL files (optionally also other formats). These files are open to all common CAD/CAM systems. The data are further processed during digital production, so that your scan turns into an earmold, step by step.

8.2 Operating principle of the scanner

The most important components of the scanner are the 3D sensor and a positioning mechanism.

The positioning mechanism in the interior of the scanner consist of a swivel axis driven by an electric motor (B) and one or two rotating bases (C). The bases are used to attach magnetic object holders with the mounted objects to be measured.

The freely rotating bases (3) position the objects to be measured with regard to the 3D sensor (A), which is located above the swivel axis.

During a measurement, the 3D sensor projects a striped pattern onto the object being scanned. At the same time, the striped pattern is recorded by a camera.

With the aid of several camera images taken from different angles, aural Scan calculates a 3-dimensional image of the object.

8.3 The 3D viewer

The 3d viewer is the central work space of aural Scan. The 3D viewer allows you to view the scan from all sides, move it and change the size of the display (zoom in or out). You can use the mouse for this purpose. The toolbar at the bottom of the 3D viewer contains functions that can be used to accurately control the display.

The display area is split in the middle so that you can see the left and the right side at the same time. You can move, zoom in and out and edit the scans independently of each other.

Mouse functions

TIP

By default, the mouse buttons are assigned as follows in aural Scan: You can change the assignment of the mouse buttons in the settings.

If you want to reduce the display of the 3D objects when moving them to pixels, for a better computer performance, you can also change this in the settings.

Rotating the scan

Left-click with the mouse on the scan or anywhere in the background of the viewer. Keep the left mouse button pressed.

The side is selected. The other side is not rotated.

The distance of the clicked point to the scan determines the radius.

Move the mouse.

The selected object rotates around the activated axis.

Release the mouse button when the desired position is reached.

TIP

You can also press the space bar to rotate the scan 360° around its own axis.

Moving the scan

Right-click with the mouse on the left or right scan or anywhere in the background of the viewer. Keep the right mouse button pressed.

The side is selected. The other side is not moved.

Move the mouse.

The selected scan follows the motion of the mouse.

Release the mouse button when the desired position is reached.

TIP

If you move a scan out of the visible area, you will not be able to retrieve it with the mouse.

In this case click on an alignment icon, for example, “Center” , so as to align the scan in the centre again.

Zooming in/out of the scan

Click with the mouse on the left or right scan.

The side is selected.

To enlarge the view, move the scrolling wheel towards you.

To reduce the view, move the scrolling wheel away from you.

The selected scan is displayed in a larger or smaller size.

The other side is not zoomed.

Release the scrolling wheel once the desired size is reached.

Functions of the icons

The icons to control the view are located at the bottom of the 3D viewer.

Click on the icon with the desired function.

The function will be activated.

The view will be adjusted on both sides. The icons of the “Axes” group have no direct effect on the display.

Axes (XYZ)

With these icons you determine the axis along which the scan will be rotated as of now. For a rotation along all the axes, click on the last icon, “All axes”.

If now you rotate a scan using the mouse, the selected axis will be taken into account.

TIP

The view always refers to the Cartesian coordinate system. It is independent of a change of the assignment in the settings.

Alignment (cube)

After scanning, the top of a scan is always displayed. These icons allow you to change the orientation, i.e. they bring the side highlighted on the cube to the foreground.

To display the scan isometrically, click on the icon with the two highlighted sides. To centre the scan and view a 100% zoom, click on the last icon “Center”.

These icons allow you to determine how the STL is to be displayed. You can choose between points, triangles, areas and “Gouraud shaded”. Gouraud shaded is activated by default, as it is particularly vivid and realistic.

aural Scan allows you to quickly and easily control frequent actions in the 3D viewer.

Below you will find a complete overview of all shortcuts.

Select side (TAB or SHIFT + TAB)

You must place the cursor once inside the desired area of the 3D viewer using the mouse, either in the naming field or in the scanning area.

Select the side with TAB or SHIFT + TAB.

Each time the key is pressed, the cursor jumps to the other side.

The side is selected.

Now you can change the name or edit the selected scan.

Rotate the scan (Space bar)

The space bar allows you to rotate the current view around the centre. The 360° rotation is ideal for a quick visual inspection.

The current view determines the pivot point. The default view is from above.

If necessary, select the starting side, e.g. with the cube icons.

Select the desired side.

Press the space bar.

The selected scan is rotated once around its centre so that you can see it briefly from all sides.

9 Scanning auditory canal impressions

Scanning is very flexible with aural Scan. You can start the scanning process with the mouse, the keyboard or a USB barcode scanner. Names are assigned automatically. You can also enter your own names at any time: before, during or after scanning.

If you have not done so yet, switch on the scanner using the power switch.

Launch aural Scan by double-clicking the desktop icon or from the App menu.

aural Scan starts.

Position one or two auditory canal impressions. If your scanner has coloured object holders, the colour of the scan will match the colour of the object holder (blue on the left, red on the right, viewed from the front). For free Stage, the left side corresponds to the position in front.

If you position only one side, only one side will be scanned. The other side will be discarded.

Define once, how your scans shall be named.

With mono Scan, you can only insert one auditory canal impression. You will be asked to insert the left and right impressions one after the other.

9.1 Naming scans

Actually, there is no need of you to take care of names. aural Scan names all scans automatically and uniquely.

However, you can also name scans manually to keep your own naming system. For example, you can use patient names or procedure numbers. If you combine these with the automatically assigned time stamp, you can enter several measurements for a patient or procedure.

Name the scans with a method of your choice. Always observe the naming rules.

To edit a naming field, you have the following options:

Naming rules

Scan name and file name

Scan names are part of file names and are therefore subject to restrictions. However, the naming field in aural Scan does not display the full file name. The name suffix and

the file extension (.stl, .msh, .asc) are suppressed.

File name: Mayer_201057.STL or Mayer_201057_L.STL

Auto naming

When a scan is started, a name is generated automatically, unless you have assigned a name previously. The default names are day and time stamps.

File name ending

By default, the file name has an addition that indicates the anatomical position:

_L is used for left (sinister)

_R for right (dexter).

These endings are always added if the left and right scan have the same name, so that the file names are different.

By default, each side can be named differently from the other. You can force both sides to always have the same name. In this case, entries into one naming field are automatically copied to the other field, making different entries impossible.

Characters

Names consist of a minimum of 1 and a maximum of 246 characters. The ending (2 characters) is included in the calculation. The naming fields only display 25 characters.

Certain special characters are not allowed:

< > : " / \ | ? *

Thus you should avoid using the asterisk * to indicate a date of birth.

You may not use a single space, but names can start with a space.

Saving location (export)

By default, measurements are saved in the folder C:\Scans. You can change this saving location.

aural Scan checks when naming if there is already a scan file with the same name in

C:\Scans. If this is the case, the naming field is highlighted in red:

When finishing your work, you will also be asked if you wish to overwrite the existing files (“names”).

9.2 Starting a scan

To start a new scan, the 3D viewer must be empty. Start the process using one of the following methods:

Click on the top left icon in the title bar.

Press RETURN or ENTER on the keyboard.

Scan a barcode.

If you are using a duo Scan Touch or a free Stage, you can also start the scan with the touchscreen or the touch sensor.

Touch the green icon or the sensor.

The scanning process starts.

In the case of duo Scan, the status bar is illuminated during the scanning process. In the case of duo Scan Touch, the touchscreen displays the current process as an animated button.

The scanning result is displayed in the 3D viewer.

By default, the left side is blue, the right side is red.

If you inserted only one auditory canal impression, only one scan will be displayed when the scan is completed. The other side, including the name, will be deleted.

TIP

If you are working with settings other than the default settings, the result may look different than shown here.

By default, all matching processes are performed at the end. The data is automatically trimmed, smoothed, and reduced to the information actually needed (“thinning”).

9.3 Checking and saving the scan

A scan is OK when the desired area of the auditory canal impression has been captured completely.

By default, the scans rotate 360° once in the 3D viewer after the matching process. Check from all sides whether there are no unmeasured areas (holes) or superfluous parts (e.g. parts of the auricle, remainders of the tamponage).

You can rotate scans manually using the mouse, the keyboard or the icons in the 3D viewer. The fastest method is a 360° rotation per side by pressing the space bar.

All procedures are described in detail in the chapter on the 3D Viewer.

If the result is good, click on the “Finish work” icon.

The files will be saved (Saving location C:\Scans, file format STL (default values)).

The 3D view will be closed. You can continue scanning immediately.

NOTICE

Data loss due to missing settings

No files will be saved if no file format is specified in the settings.

Open the settings and switch to the Matching tab.

Make sure that at least one checkbox (STL, MSH or ASCII) Export is activated. You can also select multiple file formats at the same time.

If the result is bad, proceed as follows:

Exclude the possibility of a viewing error.

Make sure that the scanning settings have been selected correctly (object colour, scanning strategy).

Make sure that the matching settings have been selected correctly (cutting filter, thinning, smoothing; if necessary also the coordinate adjustments for your CAD software).

If you have changed any of the settings, you should repeat the scan now.

If you have not changed any settings, you can use the correction functions.

Repeating a scan

You can repeat a scan if you do not wish to correct the first result but would like to replace it with a new attempt.

If necessary, change the settings if they have led to the poor result.

Check the position of the auditory canal impressions inside the scanner.

Click on the icon “Scan again”.

The scanning process will start.

The current settings will be applied and the new result displayed in the 3D viewer.

Check the new result.

If the result is good now, save it.

9.4 Cancelling a scan

You can cancel a scan prematurely without waiting for the result of the measurement, e.g. if you notice that one of the auditory canal impressions is not correctly positioned on the object holder.

Click on the “Cancel” icon or press the ESC key.

aural Scan will ask you what to wish to do.

Activate the desired option.

Click OK.

Depending on the selected option, the scanning process will be repeated, aborted or resumed. If you abort the complete scan procedure, all images and names will be discarded.

9.5 Scanning a barcode

You can benefit from a USB barcode scanner to start new scans or rename existing ones.

mono Scan does not support the barcode function.

For barcode scanning, you need a commercially available USB device. Please note that a USB barcode scanner is not included or available as an accessory.

Connect the USB barcode scanner to your PC.

USB barcode scanners are usually recognized automatically by Windows and can be used immediately to insert a decrypted barcode into any application.

Settings adjustment

Before starting, you should adjust the naming convention.

Open the menu.

Select Settings.

On the General tab, activate the Option Use the same name for the left and right ear impressions.

Click OK.

The right and left side are always named in the same way.

Starting a new scan

If applicable, finish the previous scan.

The 3D viewer will be empty.

The cursor will flash in the left naming field.

Scan the barcode for the left side.

The scanning process will start.

The scanned name will be displayed in both naming fields.

If you have not changed the settings, the default name (time stamp) will be displayed in the field on the right:

Switch to the right naming field.

To replace the time stamp, select the character string. If you switch to the field with the TAB key, the time stamp will be already selected.

Scan the barcode for the right side.

The scanned name will be displayed in the right naming field.

You can now edit the scan or finish your work.

Renaming scans

Select the name you want to change.

Scan the barcode.

aural Scan will ask you if you wish to discard the current scan.

Click on No.

The scan will be kept and the name changed.

9.6 Correcting the result of a scan

“Holes” can occur in a scan when the 3D sensor was not able to capture some areas of the auditory canal impression. For example, this is the case in so-called “undercut areas” (narrow passages). Light reflections on the surface may also be a reason for this. You should always remove holes, in particular when further processing the data in a CAD system.

To fill the holes in the areas not captured, the 3D viewer offers several corrective functions:

Automatically fill areas

Cut the 3D image

Rescanning of areas that have not been captured

The rescanning function measures not captured areas individually and thus achieves highly accurate results. The additional measurements must then be consolidated with the first measurement (“matched”).

This function is not available for mono Scan.

In the 3D viewer, click on the side to be rescanned.

Click on the icon “Start rescan mode”.

The rescan mode will be activated.

The coordinates X, Y and Z appear on the chosen side.

You can still switch the side by double-clicking on it.

Green crosshairs are displayed on the selected scan.

If you changed the side after activating, white crosshairs are displayed on the other scan.

Position the crosshairs on the scan by rotating the 3D image with the left mouse button, moving it with the right mouse button or zooming with the scroll wheel.

Rotate Move Zoom

Do not position the crosshairs outside the scan, as in this case the scanner would start with a wrong rescan position and add unnecessary images. If the crosshairs turn red, the rescan position is not permissible. This is the case if a position is selected which is not accessible for the 3D sensor, e.g. the bottom.

Click on the icon “Rescan”.

The area surrounding the cross hairs will be rescanned.

The rescanned areas are represented as a coloured spot pattern.

If the measurement is poor, click on the “Undo” icon.

This function can only be used directly after the last action.

The last rescan will be removed and the original measurement is displayed again.

Repeat this process until all desired areas have been rescanned.

If necessary, switch to the other side and proceed with rescanning there.

Check the result.

Repeat the scan if the result is bad. Start the matching process if the result is good.

TIP

It can happen that areas lying outside the normal measuring range may also be displayed, e.g. parts of the object holder. These areas are removed during subsequent matching.

You can change the colour for rescan markings in the settings.

Matching a rescan

The “Matching” function combines the main measurement and all the individual measurements from the rescan into an overall measurement. Matching should always be performed after the end of a rescan, even if you have activated automatic matching in the settings.

NOTICE

Loss of data when finishing without matching

If a rescan is finished without matching, all changes will be discarded and cannot be restored.

It is essential to follow the instructions in this section.

Click on the icon “Matching”.

aural Scan will combine the rescanned images of both sides with the initial measurement.

The coloured areas are displayed in the normal object colour.

The representation is automatically smoothed, cut and displayed from the original perspective.

By default, the scans on both sides of the 3D viewer turn 360° to allow a quick visual inspection.

Automatic filling of not captured areas

If the areas not captured are very small, you can fill them automatically. The automatic process saves time compared to rescanning, but it is less precise and only appropriate for small, smooth surfaces.

You should use the rescan function for all scans intended for construction.

Click on the icon “Fill holes”.

All small holes up to a size of 10mm2 will be closed.

Larger holes remain open.

Check the result.

If you are not satisfied, click on the “Undo” icon.

Try if rescanning works better.

Cutting the 3D image

Parts of the auditory canal impression which are not required for the earmold, e.g. Excessive length of the auditory canal, parts of the auricle, sutures or tamponage residues, will be captured by the 3D sensor and need to be removed from the 3D representation after scanning.

Click on a scissors icon to activate the cutting tool.

Cut away all data outside the selection.

All data inside the cutting line will be kept.

Cut away all data within the selection.

All data outside the cutting line will be kept.

Left-click with the mouse around the desired area.

A marking line will be displayed.

The more often you click, the thinner the marking line becomes.

If you have inadvertently clicked on a wrong place, you can undo the mark by pressing the ESC key.

Rough Fine

Right-click at the last marking position.

The 3D image will be cut.

If the result is poor, click on the “Undo” icon.

The previous condition, before cutting, will be restored.

You can only undo the most recent cutting process. It is not possible to undo multiple cuts.

When finished, click on the “Save” icon.

The data will be saved.

Now you can finish your work.

10 Data transfer via the “FTP Upload” module

The “FTP Upload” module allows you to automatically upload your STL files from aural Scan to an FTP server. You only have to enter the connection information once into the settings for this purpose.

The “FTP Upload” module is a chargeable module. It will only become available in aural Scan after using an activation code. You can receive the activation code from your vendor (reseller or smart optics) after purchasing it.

10.1 “FTP Upload” settings

Start by entering the connection information for the FTP upload into the settings. You can also indicate how often the dialogue for uploading the data shall be opened.

Open the menu.

Select Settings.

Click on the FTP-Upload tab.

The tab will open

The checkbox Show FTP upload dialogue after measurements is activated by default.

The dialogue for uploading will be displayed every time after you finish your work.

If the checkbox is not activated, the dialogue will not be displayed. The data will only be saved in C:\Scans when you finish your work.

Enter a name for the new FTP connection into the field Connection.

The password by default is “smartoptics”. If you wish to change the password,

click on Change ftp password.

In the dialogue to change the password, enter the old password once and the new password twice.

Click OK.

The password for editing the FTP connection has been changed.

Enter the current password into the dialogue box Password.

Click OK.

The Add connection dialogue box will open.

The previously assigned name is displayed for information purposes in the ID field. The ID can no longer be changed.

In the field Server , overwrite the sample value 127.0.0.1 with the IP address or the domain of the FTP server.

Enter the full name of the path on the FTP server into the field Path. Make sure that the target computer exists.

Enter the user name to log into the FTP server into the field User. The placeholder anonymous is given by default.

Enter the password on the server for your user name into the field Password.

The field Port is set to 21 by default. If you need to connect to the server via a different port, choose the number from the list.

Click OK.

The connection information will be checked and saved. In case of invalid data, you will be prompted to correct your entries.

If necessary, repeat the steps to add further FTP connections.

10.2 Changing the FTP connection information

You can change the settings if there are issues when uploading data or if the connection information of an FTP server has changed.

Open the menu.

Select Settings.

Click on the FTP-Upload tab.

Select the FTP connection you wish to change from the dropdown list Connection.

Click on Edit....

The Enter password dialogue box will open.

Enter your user password for editing FTP data.

Click OK.

The Edit connection dialogue box will open.

10.3 Uploading data to an FTP server

If you have saved the FTP connection information in the settings, you can upload the data to an FTP server after every measurement.

If you have fully set up the FTP module, the FTP Upload dialogue box opens automatically when the work is completed, i.e. after every scan.

If you have deactivated the checkbox Show FTP upload dialogue after measurements in the settings, the dialogue will not be displayed.

The dialogue box FTP-Upload will open automatically after a scan.

The ZIP file containing all files to be transmitted will be displayed in the field File. This ZIP file is named according to the files it contains and the current date.

If the connection ID is not to be transmitted, deactivate the checkbox Add connection ID to Zip file.

If you have entered several connections, select the desired FTP connection from the dropdown list Connection.

TIP

You can upload the scan files to other FTP servers at a later time.

To upload the files, click on Start upload.

The data listed will be uploaded to the FTP server. This can take a moment depending on the volume of the file list. You will receive a message when the upload is completed.

The files are also saved in the file path for export, by default C:\Scans.

If you do not want to upload the files, click on Cancel.

The files will not be uploaded but saved in the file path established for export.

Adding or removing files in the “FTP Upload” dialogue

The individual files to be transferred are displayed in the field File list. It can include up to six files if you have set up multiple file formats.

To add any files (e.g. images or PDF files), click on Add file(s) and select the

desired files from the folder structure.

To remove several files, select them within the list by left-clicking with the

mouse. Once selected, click on Remove file(s).

Uploading scan files at a later time

You can also upload scan files to other FTP servers at a later time. Use this option, for example, if you have several connections. It can also happen that the upload fails. In this case you will receive this message:

Make sure that the FTP server is available. Free tools for an FTP check are available on the Internet.

Make sure that the connection information is correctly stored in the settings.

11 Changing software settings

aural Scan works with a certain number of factory settings. These have been selected to deliver a satisfactory scanning result in most cases. However, you can change these settings if required.

Open the menu.

Select Settings.

The dialogue box Settings will open.

Click on the title of the desired tab.

The tab will open (General, 3D viewer, Scanning, Matching, FTP upload).

Make the desired changes.

If necessary, open another tab.

Click OK.

Your changes will be saved and in most cases applied instantly, but certainly no later than the next start of the software.

11.1 “General” settings

General settings controls the display language of the application, the saving location for scan files (STL, MSH, or ASCII) and logs, as well as the rules for naming scans.

Since the files (STL) are named after the scan names, a distinguishing feature is added when the same names are used. Using the same names is therefore only possible with the setting Always add side description to scan names.

If you use a barcode scanner to name the scans, smart optics recommends to activate this setting.

Default value: deactivated. Names for the right and the left scan may be different.

Images of the edge areas with the strip light pattern are used by the technical support as an aid in determining the cause of possible measurement errors.

Colours are used in the 3D viewer to distinguish the background, scans, rescanned areas and separators.

The usual colours in audiology for the left and the right side of the body (sinister/dexter), are blue and red. The object colour rescan highlights rescanned, unmatched areas and has therefore a strong contrasting colour.

The two colour options “top” and “bottom” create a colour gradient for the background. The “separator” is the centre line that separates the right and left side of the viewer. Thus, you can, for example, set aural Scan to your company colours.

To change a colour, click on the coloured box.

Select the desired colour from the Windows colour

scheme. You can also click on Define custom

colours and define your own hue.

The box will be displayed in the new colour.

Extra smoothing Determines the surface smoothing of the scan in the 3D viewer. The slider allows you to set a value between 0 (without extra smoothing) and 100 (highest extra smoothing).

This setting has no influence on the 3D-measurement. It is only used to smooth scans of impressions with bubbles and edges in the 3D viewer. You can smooth the 3D data with the Smoothing parameter.

11.4 “Matching” settings

The settings for matching influence the quality and size of the STL data set. If necessary, you can change the file format here.

TIP This setting only applies to normal scanning. In the case of rescans, the areas that have not been captured always require manual matching.

12 Module activation

In order to unlock additional software functions, the following steps must be carried out once after purchasing the corresponding module.

Open the menu.

Select Add activation code.

A dialogue window for entering the code will open.

Enter your activation code.

Click OK.

The validity of the code will be checked. You will be asked to restart aural Scan.

Click OK.

Finish your work and restart aural Scan.

Now you will be able to use the functions of the module.

13.2 Menu

You can find rarely used aural Scan in the menu. Click on the top left icon to open the menu. Please note that this is not possible while a scan is running or a dialogue/message is open.

14 Device maintenance

The scanner is a delicate and sensitive optical device. To ensure trouble-free operation of the scanner, it is necessary to regularly follow the correct care measures.

Further maintenance measures by the user are not required.

14.1 Axis calibration

You can calibrate the axes of the scanner with the aid of aural Scan. Perform the following steps for the initial setup, after installing an update, every time the scanner is transported or at least once a month, to ensure that the axes are perfectly aligned.

For physical reasons, there are always minimal deviations, e.g. due to movements of the material in the event of temperature fluctuations, requiring the scanner to be recalibrated.

NOTICE

Measuring errors due to scanning without calibrated axes

If calibration is unsuccessful although you have followed all the described measures, the scanner will be unable to perform correct measurements.

Only scan for test purposes. Do not create real data.

Contact your vendor (reseller or smart optics) to find the cause of the problem.

Open the menu.

Select Axis calibration.

aural Scan will ask you to place auditory canal impressions inside the scanner.

Follow this instruction. The axes cannot be calibrated without inserting an impression.

Click OK.

The axes will be calibrated. After completion, the message Axis calibration successfully completed will be displayed.

Click OK.

Calibration of the axes has been completed.

Procedure in case of a faulty axis calibration

If an error message instead of a success confirmation is displayed, please proceed as follows:

Check the correct insertion of the auditory canal impressions.

Repeat the axis calibration.

If an error message appears even though the auditory canal impressions have been correctly inserted, close aural Scan.

Check whether the serial number of the sensor matches the name of the calibration folder:

C:\Program Files (x86)\3D-Scanner\[Name of the scanner]\data\SO-202NN.NN-NN-NNN

You will find the serial number on the rear of the scanner.

If you have loaded incorrect calibration data replace the folder. You will find the calibration data for the scanner on the installation data carrier.

If necessary, request your reseller or smart optics to send you the matching calibration data again.

Restart aural Scan.

Repeat the axis calibration.

If the error message persists, please contact your vendor or smart optics and request a technical inspection.

14.2 3D calibration

Your scanner will work with sufficient measurement accuracy if you use the standard axis calibration feature of aural Scan as prescribed.

To meet the highest demands concerning measuring accuracy, e.g. in production, you can calibrate your scanner using an industrially manufactured 3D calibration object. Optionally, you can document the measuring accuracy of the scanner in a log.

You can only perform the 3D calibration with a 3D calibration object (optional accessory). The 3D calibration object can be purchased from your reseller or from smart optics.

For the 3D calibration, aural Scan compares the current measured values with the documented values of the 3D calibration object. The difference shows the correction values that the scanner will have to take into account for every measurement as of now, so that the results are accurate.

If you complete the 3D calibration with a validation, a log of the results will be created. The correction values will be measured again in this case. All values will be recorded in a log along with the sensor number of the scanner and the creation time. You can use the log as proof of accuracy for this individual scanner.

Performing the 3D calibration

Please note that the entire 3D calibration can take several minutes. You can cancel the process at any time. In this case, the results will not be saved and the scanner's 3D calibration will be reset.

Perform the following steps for the initial setup, after installing an update, every time the scanner is transported or at least once a month. In case of increased production volume, strong temperature fluctuations or generally high ambient temperatures, you should perform the 3D calibration daily.

The 3D calibration dialogue box will open. The first time, the approximation value 22 is displayed in the fields #1 and #2. The last entered values will be displayed for each further calibration.

Enter the values on the label of the 3D calibration object used into #1 and #2.

NOTICE

Inaccurate measurements due to 3D calibration with wrong values

If you perform 3D calibration with values that do not match the values on the 3D calibration object, you will get inaccurate measurement results.

Fully copy the values of the 3D calibration object. Leave out no decimal places and add nothing.

Use a comma as separator. Do not enter any other separators or extra characters.

The default procedure is to position the 3D calibration object on the left base (viewed from the front) and an auditory canal impression on the right base. In the case of free Stage, position the 3D calibration object on the front base.

Align the 3D calibration object with the label facing forward; in the case of free Stage facing sideways.

In the case of mono Scan, you will be repeatedly asked to position the 3D calibration object or the auditory canal impression during the 3D calibration process. Start with the 3D calibration object.

The dialogue will show the steps Sensor calibration, Axis calibration and Mesh calibration sequentially and display the remaining time at the bottom.

The dialogue will report the successful completion of all steps.

If you do not need a log, click OK.

The process will be completed without further testing and without a log.

The scanner has been calibrated. All subsequent measurements will take into account the determined correction values.

To create a log, click on Validate results.

The dialogue will report the validation. A further test measurement will be carried out.

The dialogue will finally report the determined deviation after the 3D calibration. Ideally, the deviation should be 0 μm.

The log is saved in HTML format in the folder C:\Scans\Calibration. The

files are named according to the creation time [YYYY]-[MM]-[DD]-[HH]-

[MM]-[SS]-Calibrationresults.html. You can view the file with any HTML editor or web browser.

If there are deviations above or below the scanner accuracy of > 14 μm, the values in the log are red. In this case, contact your vendor (reseller or smart optics) for technical support.

Possible causes for the failure of the 3D calibration

The failure of the 3D calibration can have different causes. You will be able to fix most of the causes yourself. In case of failure, aural Scan displays this message:

Click on Abort.

The 3D calibration will be cancelled. The axes remain in their last position.

Open the menu and select Move to service position to return the axes to the basic position.

Check and correct the following causes:

Is the 3D calibration object inside the scanner?

Is the 3D calibration object on the left side?

Is there an auditory canal impression on the right side?

Are the entered values correct?

TIP

aural Scan recognizes values > 23.1 or < 21.3 as inadmissible. Values in between are accepted but can still be wrong.

If none of these solutions correct the problem or if your 3D calibration object is damaged, contact your vendor (reseller or smart optics).

14.3 Cleaning the scanner

The scanner should be cleaned regularly during operation.

NOTICE

Damage to optical and electronic components due to touching, humidity, dirt and cleaning

The optical and electronic components in the interior of the scanner are highly sensitive. Any touch, as well as dirt, moisture and cleaning agents can damage them.

Do not touch any optical and electronic components.

Protect the optical and electronic components against soiling by closing the lid or covering the scanner.

Never use the 3D scan spray inside the scanner.

If the optical or electronic components have to be cleaned, do not do it yourself. Please contact your reseller or smart optics.

NOTICE

Damage to surfaces due to unsuitable cleaning agents

Paper towels, coarse cotton cloth, detergents, polishing paste, etc. leave scratches on the sensitive surfaces.

Only use the recommended materials for cleaning.

Before cleaning

Switch off the scanner for safety reasons.

Remove the cable connections.

Remove the object holders.

Materials

Use microfibre cloths which are expressly suitable for high-gloss surfaces. The material must be soft, smooth, lint-free and anti-static.

Always dampen the cleaning cloth with a glass cleaner. Clean the surfaces as well as the object holder and the axes with the moistened cleaning cloth.

Never clean sensitive surfaces with abrasives, polishing pastes or rough cloths.

Cleaning

Coarse dirt and debris can be removed from the scanner floor with a vacuum cleaner. To do this, set a vacuum cleaner to the lowest suction level and put on a crevice nozzle.

Clean the touchscreen and touch sensor (if present) without applying pressure.

15 Installing software updates

Updates contain improvements and corrections to your software version. aural Scan is factory programmed so that updates can be installed free of charge for 12 months after the date of activation. It is possible to continue using the version of aural Scan provided with your scanner without limitation if software updates are not installed.

TIP

smart optics recommends the installation of updates to allow an optimal use of your scanner at all times.

Information concerning the version is included in the Release Notes to be also found on the download page.

To prepare an individual quote for you, your vendor (reseller or smart optics) will need the serial numbers of the scanner and of the 3D sensor. You will find these numbers on the on the rear of the scanner.

15.1 Uninstalling the previous version

In principle it is possible to have a previous software version (older than 3.0 or previous to „aural Scan“ ) and the current version of aural Scan installed simultaneously. Thus, you can, for example, install a trial version and simultaneously continue working with your old version. However, smart optics recommends to uninstall the previous version before installing a productive update, to avoid possible failures caused by old data.

Before installing a trial version, you should make sure that you have available the installation file of the old version, your personal settings and the calibration data of the scanner. This is important to be able to load the calibration data into the new version or, if necessary, restore your old version.

If you no longer require the software, you can remove it completely from your computer.

To uninstall aural Scan, you must use an uninstall tool that is part of aural Scan. It is not possible to uninstall aural Scan via the Windows Control Panel.

NOTICE

Loss of data or software functionality due to file deletion

To fully uninstall aural Scan, it is necessary to delete data from protected folders. If other files are deleted by accident, it might happen that some other software installed on your computer no longer works.

Only execute the following steps if you have understood them fully.

If you are not sure, please ask an experienced Window user or your reseller for support.

Create a backup of your computer data before executing the following steps.

Open the installation folder.

Double-click the file unins000.exe.

Follow the instructions on the screen.

The software will be uninstalled. The folder with the calibration data and a LOG file will be kept. These will only be deleted when an update is installed. You can now install an update.

For a full uninstall, delete the folder C:\Program Files (x86)\3D-

Scanner\aural Scan.

The calibration data and the LOG file will have been deleted.

Open View in Windows Explorer and activate the checkbox Hidden Elements.

Protected folders and files will be displayed.

Delete the folder C:\Users\[User]\AppData\Roaming\3D-

Scanner\aural Scan.

Personal settings and temporary files will be deleted.

aural Scan is fully uninstalled.

Loss of personal settings and calibration data due to an update

Your personal settings and all calibration data folders in the installation folder are lost when installing an update.

“Data” folder:

C:\Program Files (x86)\3D-Scanner\aural Scan\data

Personal settings:

C:\Users\[User]\AppData\Roaming\3D-Scanner\aural Scan\config\Settings.xml

FTP connections from the previous version are kept (only for users of the FTP module).

Before installing the update, copy the above folder and your personal settings file. Save them in a different folder.

Alternatively, make a note of your personal settings. For example, save screenshots of all tabs in the dialogue Settings.

Proceed as follows upon receipt of an update from your vendor (reseller or smart optics):

Download the installation file or save it locally on the computer on which aural Scan is installed.

If necessary, decompress the update file with an appropriate decompression tool (not included in the scope of delivery).

You will obtain an executable EXE file.

If necessary, quit aural Scan.

Double-click the EXE file.

The update will start automatically. The installation steps are the same as for the normal software installation.

After the installation, follow the instructions in “Axis calibration”.

Important settings when updating

Select the existing target folder for the update, by default C:\Program Files

(x86)\3D-Scanner\aural Scan.

Setup will inform you that the folder already exists.

Click Yes.

Select the existing start menu folder and activate the checkbox Desktop shortcut, if applicable.

After successful completion, you will be able to start aural Scan.

Reload the calibration data. The previously existing folder was deleted with the update.

If you had personal software settings in the old version, enter your personal settings now.

Activation code renewal

You can continue to use aural Scan without limitation if chargeable software updates are not installed. Should you wish to install an update after 12 months, you will need an activation code which will be delivered to you by your vendor (reseller or smart optics).

TIP

Please note that an activation code might only become available on the following business day, as every code is generated individually by the manufacturer for a specific scanner.

Install the update as described.

Switch on the scanner.

Start aural Scan.

You will receive the following message:

Enter the activation code provided by your vendor (reseller or smart optics) into the Activation Code field. The dongle characteristics already exist and needs not be entered again for an update.

Click OK.

The activation code is saved, and the software will start.

16 The Noah interface

If you are using a Noah system from the Hearing Instrument Manufacturers' Software Association (HIMSA) you can integrate your scanner into Noah. This way, you have the opportunity to start scanning directly from the Noah Patient Browser. Your scan results will thus be assigned to the patient in Noah and available with other actions.

16.1 Noah interface setup

Below are described the setup steps which can be followed by the users themselves at their workplace.

However, depending on how the Noah system is configured at your company, additional setup steps, which can only be undertaken by your administrator or a user with administrative privileges, may be required.

TIP

If necessary, you can request setup instructions for various Noah server and client configurations from smart optics [email protected]

Install the latest version of Noah. For detailed installation instructions, refer to the Noah Knowledge Base on the Internet www.himsa.com. Select the type of installation as directed by your administrator or appropriate for the system configuration of your company.

Install aural Scan in the default installation folder C:\Program Files

(x86)\3D-Scanner. If you wish to work with Noah, you will not be able to install in a different folder.

Start Noah and aural Scan, one after the other.

You or your administrator should now perform the additional setup steps, if required.

In the settings of aural Scan, select as saving location either the data folder C:\Scans or a network path to a Noah server. If you are not sure which saving location is the correct one, ask your vendor’s (reseller or smart optics) technical support service.

If your saving folder is a path to a Noah server (network path or local shared path), other Noah users will also be able to see your STL files. STL files stored locally on a Noah client can only be opened in the same workstation.

Close aural Scan and Noah again.

Noah will have recognized aural Scan automatically.

Restart Noah and select the configured Noah server.

16.2 Scanning with Noah

If you are working with Noah, start aural Scan only from Noah. You should no longer use the desktop icon or the app list.

Switch on the scanner.

In the patient browser (in the mixed view on the left), click on a patient. You cannot scan without performing the assignment.

Click on the smart optics button.

aural Scan starts.

You can now work with the software as usual.

A new scan is automatically assigned to the patient.

Name the measurement and start scanning.

Complete the scan.

Quit aural Scan. This is important, because you cannot start a new scan when the software is active. In this case, a message will prompt you to quit aural Scan.

Your scan results are saved to the Noah patient.

In the export data path, a subfolder will be automatically created, by default

C:\Scans\Noah.

A new subfolder is automatically created for the patient and named numerically. If, at a later time, you create further scans for this patient, they will be saved in the same subfolder.

For the next scan, select a Noah patient as described and click on the smart optics button again.

16.3 Viewing scans from inside Noah

aural Scan can also act as a simple viewer for already existing scans.

TIP

No scanner needs to be connected or switched on for this feature.

In the Noah patient browser (in the mixed view on the left), click on a patient for whom STL data already exist on your Noah server.

In the Sessions section (in the mixed view at top right), a dated entry is displayed.

To view a scan (left or right side), click on the desired row.

aural Scan opens in view mode and displays the selected scan on the left or right side.

You can use the functions of the 3D viewer, the cutting tools and the function “Fill holes”.

The menu and the rescan function are not available in this mode.

To exit the view, close the software.

TIP

If you hover with the mouse pointer for a prolonged period of time over an entry in the Sessions section, the complete storage path is displayed in a pop-up.

If you click on an entry with the right mouse button, a context menu opens in which, among other items, the feature Delete action is included. If you execute this function, only the entry in the Sessions section will be deleted, but not the file itself.

If you delete scan actions, you will no longer be able to view scans from inside Noah.

17 Faults and Repairs

A fault can be remedied in many cases by the measures described here.

If the fault persists or if you require support or repairs, please contact your vendor (reseller or smart optics).

NOTICE

Damage to the device due to improper repairs

Improper repairs can cause the scanner to stop working perfectly. smart optics accepts no liability for damages caused by improper repairs. Please note that in this case your warranty claim will also become void.

Repairs must only be carried out by your reseller or smart optics.

Please note that smart optics assumes warranty responsibility for equipment damages, but not for damages caused as a result equipment damage, e.g. financial losses due to business interruptions. This does not include claims corresponding to legal warranty provisions.

17.1 Troubleshooting

Response in case of a defect

You must not work with a defective system. Damage to the scanner, its accessories or a faulty function have occurred with high probability if:

parts have been visibly damaged

axes do not rotate or do make loud noises

axis calibration or 3D calibration fails repeatedly

measuring errors occur despite performing all work steps

the software displays an error message.

Always follow the instruction in an error message.

Checking connections

Are all connections made and fixed? If applicable, replace the USB slots.

Check if the USB port is overloaded.

USB hubs may cause transfer faults. Plug the scanner directly into a USB port on the rear of the PC.

Checking installation

End aural Scan, switch off the scanner and the PC.

Restart the system.

Ensure that the installation of aural Scan is correct and that the calibration data are loaded correctly.

Checking the PC

Ensure that all important Windows updates have been installed.

Ensure that your system has the latest BIOS version and drivers for the installed hardware components.

Ensure that your computer is free of viruses and malware.

Allow the execution of aural Scan in your virus protection software.

If necessary, check the scanner and aural Scan on another PC to rule out a computer fault.

Solving connection problems

Problems with the USB connection and camera control can be solved via the Windows Control Panel.

The following operations should be performed by an experienced Windows user or administrator.

In Windows, open the Control Panel.

Open Power Options and enable High Performance.

Open the Device Manager and select View | Devices by Connection from the menu.

The display is sorted by connections.

Open the USB root hub properties.

Deactivate the setting Allow the computer to turn off this device to save energy.

Open Programs and Features.

Uninstall the Point Grey Research camera driver.

Download and install PointGrey FlyCap2Viewer v2.11.3.121 (x64): http://downloads.smartoptics.de/Support/Tools/PointGrey/x64/FlyCap2Viewer_2.11.3.425_x64.msi.

After installation, turn off the scanner and remove the USB cable.

Restart the PC and reconnect the USB cables.

If connection problems persist, please contact the smart optics support.

Solving calibration problems (holes/overlappings)

Problems with the calibration can be solved by manually deleting and loading the calibration data.

Open path C:\Users\[User]\AppData\Roaming\3D-Scanner\aural Scan

Delete the \Service folder.

Reload the calibration data by using the scanner installation tool.

The calibration data must be current and match the sensor number (SO number) of the scanner.

Perform the axis calibration and, if possible, the 3D calibration.

If calibration problems persist, please contact the smart optics support.

18 Environmentally-friendly disposal

The information in this chapter refers to EU directives and German law.

In non-European countries you must follow the corresponding national legislation for the disposal of packaging and electronic scrap.

You can prevent negative consequences for people and avoid harming the environment by the proper disposal of the device.

18.1 Disposal of the packaging

In accordance with the German packaging ordinance (VerpackV), you can return the packaging to your reseller for disposal in Germany. However, smart optics recommends that you keep the packaging in case you need it to transport the scanner or to send it back in the event of warranty claims.
