OnLine Registration with Custom Forms
*Forms – collecting and compiling the forms to be used for online registration is the
most important and 1st
step. Consolidate; make forms universal between campuses if possible. Do not make year specific if not necessary. Translate to any other languages if necessary.
*Custom Forms Setup – Student/Product Setup/ConFiguration
This is the step where you add your forms
Health Record setup using Custom HTML Form, the html id labels need to be end user friendly, unique, and group together on large documents
*Convert forms to html – if using Custom HTML Forms. When naming id labels
make sure they are end user friendly, unique, and for large documents, name them so that items will group together. ** When creating html documents use note pad or an html editor.

Add all of the forms that will be used by the district for Online Registration.

Setup/ ConFiguration
Uncheck the Disable Application to turn on Online Registration
**If testing Online Registration, make sure your end date has expired. Then you can create test students and use the Keep Online Registration Open past the End Date for Individual Students Option. (Highly recommend that you do testing)

Once you have determined the order in which the parents will complete the forms in Online Registration, you will now enter those steps. It is very important to be consistent with the setup for all entities.
Free From Messages – will be seen by parents on the Online Registration page in Family Access. Each Free Form Message you enter will appear before each step.

Emergency Contact Settings
We only give parents the permission to add or delete emergency contacts. We do not allow our parents to edit emergency contacts because if the emergency contact has a child in the district it will be changing the information on the student’s parent record.

If you use the Health Information settings you may want to set your school nurse as the approver. Once you change the settings to Auto-Approve it will open a drop down window to allow you to select the school nurse. He or she will be the only one who can edit/delete the notes.
Click Save when you have completed the Online Registration Setup.

Online Registration
*What we did right -
1. Communicated with parents that the district was moving to Online Registration for the 2011-12 school year by notifications sent home: June 2010-11 end of school year with final report cards, midsummer, one week before registration opened, when registration was opened, and a reminder half way through the registration window.
2. Communicated to all staff how to responsible to parent’s questions by showing them exactly what parents’ would experience.
3. Did not collect data from outside groups, i.e. PTA, Athletics, etc. Decided to keep all Online Registration to district demographics only.
*What we learned the hard way –
1. We collected extraneous information. As a school district we are not sending home printed report cards. We are posting them to the portfolio for parents to view in Family Access. We added a form that allowed parents the option of hard copy report card in our Online Registration. The form explained that the district was “Going Green” and would save money. Many parents interpreted the form as requiring a report card. This form has now been removed and will not be used in Online Registration next year. 2. Failure of staff to follow directions in requesting duplicate information. We had a nurse print the health forms that parents filled out during Online Registration and had the parents complete the form again during the “Meet the Teacher Night”. Needless to say this upset the parents.
*Skyward Enhancements in process –
1. The ability to rename Online Registration. Parents are confused between Online Course Request and Online Registration. 2. Force action in Online Registration before completion complete. Parents were allowed to mark Online Registration complete even if all steps had not been completed. With this enhancement parents will not be able to check the final complete button until all steps have been completed. 3. The capability to edit the Online Registration Splash page.
