ONLINE MEETINGS WITH TEAMVIEWER

GENERAL INFORMATIONOnly the person initiating the meeting (Organizer) needs to download and install the full program.
Can organize an instant meeting or schedule a meeting in advance.
The Organizer will need email address of participants to send meeting invitation.
Link in email directs participants to TeamViewer website. Depending on browser and browser settings, it may automatically connect to the session, download a file that the participant has to run, or have option to “Join using the browser version”. Nothing is permanently installed on the computer.
Participants who have tablets/phones can download TeamViewer Meeting app and participate in a meeting but don’t have ability to share their webcam feed nor can they schedule a meeting or present from their tablet.

• If presentation includes music – click in box to left of Share computer sounds and music. Normally you would not want this checked so participants aren’t hearing you typing or other sounds from your computer.

To review/change settings click Extras click Options
After Template, click down pointing arrow to select Meeting Invitation• For example, to add start time and end time, position cursor where you want those items in body of
message.• Click E-mail placeholder and select field to be added – repeat for additional fields• Add additional text as neededClick OK
To revise text of invitation message:
Only add/change text that you want on every message. Additional text can be added to individual messages before sending.

Be careful to not remove placeholders, that identify the meeting, e.g., Meeting ID:

SPECIAL NOTE REGARDING MICROSOFT OUTLOOK:If Outlook is on your computer, even if you don’t use it, and even if you have another email client installed and set as default, e.g., Thunderbird, when you click Save, TeamViewer may attempt to launch Outlook. In some instances, it may also attempt to launch Outlook when you click Open as e-mail or Send as email
If TeamViewer attempts to launch Outlook, click the options presented to cancel setting up Outlook.
If you have another email client installed on your computer and it is set as the default email client, clicking Open as e-mail should launch your email client and open a new message with the invitation information.
If you don’t have an email client installed on your computer, or use webmail, or want to manually create a new message: click Copy to clipboard. You can then open your preferred email program and paste the invitation into a new message.

If you have an email client configured on your computer, TeamViewer can automatically create a message in default email program• click: Send e-mail • Default email client will launch with the meeting information in a new message• Add addresses and sendIf you use webmail or want to manually create the message in your email client:• Click Copy to clipboard• Open your email program• Create new message• Add email address(es) of people to invite• Enter Subject• Click in body of message and click Paste or hold down Ctrl key and tap letter v

Launch TeamViewer and log into your account. If you don’t have an account will be prompted to create one.
Under Meeting tab, click Schedule a meeting.

Participant Information
Participant using a tablet/phone will launch TeamViewer meeting app, type the meeting ID, then tap Join Meeting
What participant sees when they receive invitation email, and how they join the session depends on the program they use to read email.
Participant using a computer will generally click a link in the email and their default browser will open. • Depending on browser and browser settings, it may automatically connect to the
session, download a file that the participant has to run, or have option to “Join using the browser version”.

If connected from a computer, Team Viewer Panel will be displayed. Several options are available and you may want to check these settings, especially Audio to mute/unmute and adjust volume for your microphone and speakers. Some additional options are Participants, Chat and Video. The Presenter also has a Screen Sharing option and can activate Whiteboard.
If connected through a phone/tablet or via web browser there will be a small panel at the top of the screen. May not see TeamViewer logo and icons will vary depending on how connected.
Tap on an icon to see what its function is.
May be option to change the name that is displayed for your connection, adjust audio, chat with other participants, adjust volume for your microphone and speakers, and end your session.
