I Vol. 1 Introduction This manual provides all needed information about OMS-100 for people who want to get an overview of the

software. It guides through the installation process, gives all information about how to configure the print output of files and how to operate the software in daily business. In addition it provides a reference manual with error / exception handling and a glossary.

1 Foreword This volume gives a high level overview of OMS-100, its features and modules. In addition it describes how

to use this manual, including the typographical conventions and the symbols used herein.

1.1 Typographical Conventions

Before you start using this guide, it is important to understand the terms and typographical conventions used in the documentation. For more information on specific terms used please refer to the glossary at the end of this document.

The following kinds of formatting in the text identify special information:

1.3 How to Use This Manual

This manual provides a part with general information about the product and the manual, a part with more detailed information about operating OMS-100 and a part with references, detailed information on a widespread scope and the error handling.

If the manual is in PDF or printed form, it comes with an index and a table of figures. The page numbers are indicated and if the manual is not printed out, a hyperlink to the referred topic is provided. An additional glossary explains the common expressions used in and around OMS-100. The glossary has no page reference.

The manual is divided into four volumes:

Volume 1

Introduction An introduction to OMS-100, its architecture, features and modules.

This volume is written for readers who want to get an overview, but not necessarily install, configure or operate OMS-100.

Volume 2

Installation (p. 15) Description of the procedures to install successfully OMS-100 and its components.

This chapter gives also an overview about the requirements to run OMS-100.

Volume 3

Operation (p. 29) Describes in detail the configuration of OMS-100 and its operation.

Volume 4

Reference Manual (p. 93) Gives additional detailed information about specific topics related to OMS-100.

In this manual the Reference chapter provides information about Optical Mark settings, the OMR implementation in OMS-100and detailed information about specific concepts of OMS-100.

OMS-100 Built-in Help System

Inside OMS-100 the Help Icons in the settings area provide mouseover-tooltips. Click on the help icon or hit the <F1> key to open the help topic of the current context. You can also access the entire manual in CHM-format by clicking on the Help Menu located inside the Main Menu next to the Tools Menu.

Here you also find a link to the Quick Start Guide.

Navigation Inside OMS-100 Manual

The very first topic of the built-in manual gives a short overview of OMS-100 with hyperlinks to important topics of the manual:

At the top of the window a toolbar with icons provides the following functions: • Hide / Show the navigation tab located on the left

side of the window; • Go Back to the last visited topic; • Select if you want to Print the current topic or all

topics; • Configure some Options and also have some

additional navigation functions.

The left side of the window contains the Navigation Tab with two further tabs.

The Contents tab provides an overview of the help topics where you can navigate directly to them.

A click on a Book icon displays the chapter in the main area and provides a list of Topics (question mark icon) inside the navigation tab.

A click on the Topic icon displays the subchapter in the main area.

The Index tab provides a list of all chapters in an alphabetic order. Type in the topic-name as a keyword to search for specific topic.

The Search tab provides a search functionality with several options.

After typing in the search text you get a list with all topics of the manual containing the search string.

If you click on the small arrow next to the search form, which is pointing to the right, you have some advanced search options: • AND (search only for topics which contains all

items) • OR (search for topics which contains at least one

item) • NEAR (search with spelling tolerance) • NOT (search for topics that does not contain the

item)

You can also enter these operators directly in the text field.

A double click on a topic in the list will display the topic in the main area.

At the bottom there are check boxes with more search options.

With the up button you get to the parent chapter of the current topic.

With the back button you reach the topic which is situated before the current topic in the navigation tree.

2 Overview OMS-100 Purpose OMS-100 is an easy to install, easy to use application which allows to print optical marks on a document

or series of documents in order to control an inserter where the documents are inserted into envelopes.

Several criteria allow to control the data input and the desired way of processing, and with the possibility to set the Optical Mark settings accordingly the documents will be prepared to be processed with the selected inserter.

OMS-100 • works with several document types; • adds optical marks such as bar codes or OMR codes; • handles multi-size, multi-page jobs with varying page count; • provides full mail piece integrity; • allows to store and reuse job templates.

Architecture

OMS-100 can be run local on a computer or server. It is designed to configure a template for the print output of single or multiple input files. This template may be designed for printing purpose only or may in addition be designed to add some information for the print output to be processed in an inserter.

Every printer which is installed on the computer or server is suitable as an output device, so you can use local printers, network printers or virtual printers (e.g. to create PDF-files).

2.1 Features of OMS-100 OMS-100 Provides the Following Configuration Features: For More Information Please Go To:

2.2 Modules of OMS-100

Some advanced options are only available if a specific module is activated. It depends on the license, which modules are activated on a system.

The following modules are available:

Module Description

DataMatrix This module enables the DataMatrix (2D) code, an optical mark type in addition to the standard barcode. The advantages of DataMatrix is that it needs less space than the barcode and can contain more data.

For further information about DataMatrix please refer to Step 7 - Optical Marks (p. 64).

Multi-Envelope Print Batches

The Multi-Envelope Print Batches module allows to use print batches. Print batches provide a sophisticated optional feature that allows to categorize and group documents. Depending on the number of sheets in a document or other criteria defined by the user, the document is allocated to a specific print batch.

A typical use of print batches is to collect all documents which fit into a specified envelope size or where a special envelope is needed.

Each print batch is printed in a separate print job, thus enabling the operator to change the settings of the inserter. If printed to a PDF-file, each print batch creates a new document.

II Vol. 2 Installation This chapter covers all topics concerning installation, repair and removal of OMS-100. It is designed for

people used to work in an IT environment.

It is very helpful to have a good understanding of Windows operating systems. To know about the permissions system and user accounts will be useful to successfully install and operate OMS-100.

The chapter gives also an overview about the requirements to run OMS-100.

1 System Requirements These are the minimum system requirements:

Item Description

Operating system: OMS-100 can be used with the following operating systems: • Windows XP 32-bit (x86) with SP3 • Windows 7 32-bit/64-bit (x64) (on a 64-bit system OMS-100 will run in

32-bit mode)

Processor: A 2 GHz or faster 32-bit or 64-bit processor is recommended.

Memory: 2 GB RAM (32-bit) or 4 GB RAM (64-bit) are recommended.

Disk storage: 16 GB available hard disk space (32 bit) or 20 GB (64-bit) are recommended.

Graphics: DirectX 9 graphics device with WDDM 1.0 or higher driver needs to be installed

Printer: At least one printer / Windows printer driver has to be installed.

For the Advanced Options in Step 5 - Print Batches (p. 57) Print the Print Batch in Reverse Order, the printer / Windows printer driver needs to support a Face-Up Straight-Through Output Bin.

Connectivity: Internet Access

SSL communication enabled (TCP/IP Port 443)

Please note that the processing of large documents may require more powerful hardware than defined by the minimum system requirements herein.

2 Installing OMS-100 Follow the instructions provided in this chapter to successfully install OMS-100.

The user account used to install the OMS-100 needs to be part of the local "Administrators" group. The software (after installation) will work fine with an account which is part of the "Users" group.

Navigation

The following navigation buttons are used during the installation:

Go to the Next screen.

Go back to the Previous screen.

Cancel the installation.

Change the folder where OMS-100 shall be installed.

Start the installation.

Close the Setup Wizard.

2.1 Installation Procedure The DVD or the downloaded package

includes a setup.exe file to start the installation:

After executing the setup.exe, the User Account Control dialog may be displayed, providing information about the software and the Publisher.

Click on Yes to confirm the installation.

The User Account Control dialog appears only if User Account Control settings are configured accordingly on your system. Otherwise, the InstallShield Wizard will start the installation immediately.

The following screen is displayed:

Select the language OMS-100 will be installed.

If the .NET Framework 4.0 is not yet installed on your system, the installation of the framework will start first. If it is already installed, the setup will continue directly with the installation of OMS-100.

OMS-100 requires the Microsoft .NET Framework 4.0 Client. If not yet installed, it will be installed on the system prior to the start of the OMS-100 setup. • Click on the Install button to

continue.

Please note that the .NET Framework installation may take several minutes to complete.

Please use Windows Update to check for any critical updates to the .NET Framework.

When setup is started, the InstallShield Wizard pops up with the welcome screen.

Click on Next > to continue with the setup procedure.

Read the terms in the license agreement and accept them before continuing with the installation.

If necessary it is possible to print-out the license agreement by clicking on the Print button.

When the license agreement is accepted click on Next > to continue.

Fill in the Customer Information form. Enter a User Name and the Organization you are working for.

Click on Next > to continue.

The folder where to install OMS-100 is displayed.

Change installation folder as follows: • Click on the Change... button and

follow the instruction in the opening screen.

The InstallShield Wizard is now ready to install OMS-100. Select Anyone who uses this computer (all users) or Only for me (OMS User) to continue.

The InstallShield Wizard will now install the software on the computer. The state of the installation process is displayed in a progress bar.

At the end of the installation the following screen is displayed:

Options: • Check the Launch OMS-100 box to

start the software immediately.

Please use Windows Update to check for any critical updates to the .NET Framework.

2.2 Removing OMS-100

Start setup to remove OMS-100.

The setup wizard will detect that OMS-100 is already installed and will display the following screen:

Click on Next > to proceed with the removing procedure.

In the following screen select Remove and Click on Next > to continue.

The InstallShield Wizard prompt if you really want to remove OMS-100.

Click on Remove to continue with the removal process.

InstallShield Wizard will now remove OMS-100 from the computer. The state of the process is displayed in a progress bar.

When the wizard is completed, the following screen is displayed.

Click on Finish to terminate setup and exit the wizard.

If setup is not available use the uninstall function provided with Windows.

2.3 Repairing OMS-100

If OMS-100 is not working properly, you have the possibility to repair it by starting the setup.

The setup wizard will detect that OMS-100 is already installed and will display the following screen:

Click on Next > to proceed with the repairing procedure.

In the following screen select Repair and Click on Next > to continue.

The InstallShield Wizard prompt if you really want to repair OMS-100.

Click on Install to continue with the repairing process.

InstallShield Wizard will now repair the OMS-100 installation. The state of the process is displayed in a progress bar.

When the wizard is completed, the following screen is displayed.

Click on Finish to terminate the setup and exit the wizard.

If the repair procedure ends up with an error message then it is recommended to remove OMS-100 and install it again.

2.4 Upgrade OMS-100

When upgrading OMS-100 previously created templates will remain as they are. For more information about template compatibility, please consult chapter Templates (p. 44).

To upgrade OMS-100 run the setup of the new version.

The User Account Control dialog is popping up, providing information about the software and the Publisher.

Click on Yes to confirm the upgrade.

The User Account Control dialog appears only if User Account Control settings are configured accordingly on your system. Otherwise, the InstallShield Wizard will start the confirmation screen to upgrade.

Confirm to upgrade by clicking on Yes:

The InstallShield Wizard pops up with the Resume screen.

Click on Next > to continue with the upgrade procedure.

The InstallShield Wizard will now upgrade the software on the computer. The state of the upgrade process is displayed in a progress bar.

At the end of the upgrade the following screen is displayed:

Click on the Finish button to terminate the setup and exit the wizard.

2.5 Cancel the Installation

The installation of OMS-100 is completely guided. Nevertheless there may be some reason to cancel the installation.

While files are written to the hard drive, the installation procedure itself cannot be interrupted. This will avoid the risk of resulting in a corrupted file system and in illegible files on the hard drive.

Click on the Cancel button to cancel the installation. The following dialog box will be opened:

Click on the Yes button to cancel the installation.

Click on the No button to disregard the cancel command and continue the setup program.

III Vol. 3 Operating This part of the manual covers all topics concerning configuration and operating of OMS-100. It is

designed for operators of OMS-100.

1 Theory of Operation Operation of OMS-100 is divided into the following phases:

Step 1: Input

As a first step select one or several input files to be processed by OMS-100. The file format is defined to be either a PDF, PCL5/6 or XPS file.

Select also the Optical Mark profile to be used with this template. The Optical Mark Profile includes the definitions for the optical marks according to the functions configured in the inserter.

Step 2: Identify Documents

The input file(s) may contain one or more documents with each one or more pages. Define criteria to divide the input file(s) into documents and their pages in order to have them prepared for processing through the inserter.

Step 3: Page Settings

The optical mark requires some space on the page. This step allows to define whether and how the pages need to be scaled and whether and what kind of an offset needs to be defined.

Step 4: Enclosures

Define in this step whether a feeder of the inserter shall be activated and which one of them, in order to add enclosures to the envelopes.

Step 5: Print Batches

Use different envelopes with a (limited) number of sheets per envelope in order to get mail pieces with the most favorable mailing costs. Define the possible print batches and assign document sets to the print batches. Have the batches printed separately and adjust the inserter to make sure the mail is processed correctly.

Step 6: Inserter Control

Define criteria which trigger special inserter functions. Add multiple criteria for multiple functions. The availability of the various functions may differ depending on the inserter used.

Step 7: Optical Marks

Define the properties of the optical marks to be applied to the documents. Adjust position and dimension, include customer ID to the optical marks and show the stored information as text if required.

Step 8: Print

Define the output indication for the printer to be used, the print options and the paper source and set to print the output to a PDF file or by a physical printing device.

2 Handling of the Application This chapter describes the various elements and shows how to operate successfully OMS-100.

2.1 Start OMS-100

Select one of the following options to start OMS-100: • Double-click on the OMS-100 desktop item; • Browse to the program folder of OMS-100 in the start menu of Windows and click on the OMS

OMS-100 entry.

2.2 Appearance

OMS-100 is a wizard based application. Each step provides the necessary control elements to the user to select the settings as needed for the specific task.

The application window is divided into the following main parts:

The Title Bar contains the Menu (Tools Menu, Help Menu), the Main and Configuration tabs and the Step-Tabs which indicate the current step of the configuration wizard. Depending on where in the configuration process the user is, it is also possible to use the Step Tabs to navigate directly to a specific step.

In the Preview Pane the current page is displayed. in this preview the user may draw areas which determine the location to extract data from the input file(s). In some steps this data is used to set user defined criteria.

The Toolbar on top of the preview pane allows to navigate through the imported file(s) and its documents and provides tools for zooming in and out the current page.

The Settings Area provides the elements needed to configure the current step. The elements in the settings area are grouped by topics. Hover over the Help Icon (?) to open a tooltip with additional information about the specific topic and its elements. Click on the help icon to open the manual with the topic of the current context.

The Navigation Bar is located at the bottom of the window with the buttons to navigate to the Next or Previous step or to Run the template.

Navigation (Steps)

The buttons of the navigation bar allow to navigate to specific steps:

Go back to the Previous step of the configuration wizard.

Proceed to the Next step of the configuration wizard.

Proceed directly to Step 8 - Print (p. 72) of the configuration wizard to Run the configuration and print out the processed documents (whether or not the button is active depends on where the user is, in the process of the configuration wizard).

2.3 Document and Page Handling

Navigation (Preview Pane)

The toolbar provides the following tools:

An input file contains one or several Documents, where a document is an amount of pages with a common attribute (e.g. a recipient).

In order to allow document navigation and scrolling through Pages separate control elements have been provided.

Next to the text-field to enter a document / page number, the total amount is displayed.

The print batch tool is explained in Step 5 - Print Batches (p. 57).

If multiple print batches are activated, the total amount displays the total amount of documents / pages inside the current print batch. Print batches are only available if the Multi-Envelope Print Batches module has been activated.

Navigation per document will display the first page within the document, which is then e.g. the third page in the file. Documents and pages have been identified in Step 2 - Identify Documents (p. 48).

Document: Jump to the first page of the next document

Page: Jump to the next page in the file

Document: Jump to the first page of the previous document

Page: Jump to the previous page in the file

Type the desired page / document number directly into the corresponding text field to jump to.

Note that navigating through the file will adjust the document number accordingly.

Sheet Side

If duplex print was selected in Step 3 - Page Settings (p. 52) the side of the currently displayed page (Front / Back) is indicated here:

Zoom

Adjust the display of the current page inside the preview pane according to the needs.

Enter a zoom factor or select one of the predefined factors out of the drop-down list:

In addition the preview may be zoomed when using the mouse wheel while pressing the <CTRL> key.

Increase or decrease the zoom factor as follows:

Zoom-in: the zoom factor will be increased by a value of 10% (e.g. from 85% to 95%)

Zoom-in: the zoom factor will be decreased by a value of 10% (e.g. from 85% to 75%)

The following additional zooming tools are provided:

Zoom to fit the page size into the preview pane

Zoom to fit the page width into the preview pane

Hand Tool

When the hand tool is activated you can move the page inside the display pane by pressing the left mouse button. Use the mouse wheel to zoom in and out simultaneously.

Processing Status Menu

When running a test or going to another step the data is calculated according the new configuration. During this process a pop-up menu is displayed which provides the following items: • Dynamic status of calculating the according step • Step name • Forward button • Stop button

The forward and stop buttons can be useful if you have templates with a huge amount of data to make changes on this templates without calculating (all) steps.

When a template is edited and the input file(s) contain a huge amount of data, it may be reasonable to cancel the calculation and continue editing. Use the cancel option inside the calculation menu if needed.

2.4 OMR Code Information Sometime it is useful to see what function is

allocated to a specific mark (line) in the OMR code. To see the functions click on the OMR information button.

The following window is displayed, with the function name and the according mark.

The OMR information button is active from Step 7 - Optical Marks (p. 64) and only in case OMR is used.

2.5 Tabs There are two Tabs in OMS-100. The Main tab

contains the welcome screen and the template section.

The Configuration tab contains the configuration wizard.

Additionally there are are two command buttons to close and to save the current configuration.

The Save button provides the possibility to save the current configuration as a template.

If the configuration was never saved before, a pop-up window is opened. Define a Template Name for the configuration to be saved. If the name entered already exists, the text field is colored red and the OK button is disabled.

If an existing template was edited the changes are saved directly.

2.6 Menu

The Menu of OMS-100 in the top right corner is always accessible. The following menu items are provided:

2.6.2 Manage License

At first start of OMS-100, a green textbox is displayed in the upper right corner of the window.

Per default the demo version of OMS-100 is active. The status message indicates that the software can be used for 90 days and a volume package of 3000 pages is provided.

In the upper right corner, a green textbox shows the new license status: • License expiry date • Remaining volume

If the expiry date is near or if the remaining pages reach a certain low level, the message box changes the color to red.

The license has to be renewed every year. Please make sure to order a new license key when it is indicated in the status message.

OMS-100 is then connecting to the license server over the internet. When the license update was successful, the following message is displayed.

By clicking on the radio button for Volume Blocks, a list of the purchased volume blocks is displayed.

The Core volume Block contains 1000 pages and does never expire. Other blocks depend on the license which was purchased.

By clicking on the radio button for History, a log is displayed with entries of all license relevant actions. The log entries are grouped by date. The log entries of a specific date can be displayed by clicking on the circled button next to the date.

2.7 Settings Area Overview

Configuration is mainly done in the Settings area, located on the right side of the application window:

This topic explains how the settings area is built and its general handling. The settings depend on the step where the configuration currently is and gives examples of how to make best use of the elements provided in the various steps.

Groupings

Inside the settings area the control elements are grouped by topics. The topic / group name is displayed as subtitle. The groupings are surrounded by a shaped box.

For each grouping a small help button is provided. By hovering the help button a tooltip with useful information about the current topic and its control elements is displayed. By clicking on the help button, the main manual is opened directly at the content of the current topic.

Test Document Recognition / Print Batches

In Step 2 - Identify Documents (p. 48) and Step 5 - Print Batches (p. 57), a test feature allows to test the current settings before going to the next step.

For some settings Advanced Options can be configured.

By clicking on the circled arrow button the settings appear as a roll-out menu underneath the button.

The settings are saved and remain valid until they are changed again when the menu is collapsed. Please note that the menu does not expand automatically if a setting is checked.

3 Configuration Wizard The configuration wizard guides you through the configuration of OMS-100. In 8 steps you are able to

configure the output data in a user-friendly way. The steps are ordered reasonable but it is not necessary to go through all steps. Skip some of them by clicking on the Next button or go directly to Step 8 – Print (p. 72) by clicking on the Run button, when enough information is entered.

3.1 Welcome Screen

The welcome screen provides links to the Quick Start Guide and is the starting point for the Configuration Wizard and the Optical Mark Settings. If there are saved Templates, the user interface for managing the templates is also displayed.

3.1.1 Initial Start

At initial start of OMS-100 the welcome screen is presented providing the possibility to open the Quick Start Guide or to Start Wizard:

The Quick Start Guide provides the installation guide and an example of a typical configuration for OMS-100;

In the Optical Mark Settings OMS-100 can be adjusted to work smoothly with the inserter. Optical Mark settings should only be adjusted by a technician with knowledge about the inserter configuration;

The Start Wizard button will create a new template and start with Step 1 - Input (p. 45) of the configuration.

3.1.2 Templates

If templates have already been created, an additional part is added to the right of the welcome screen with the list of the templates, their description and the control elements.

The following buttons are provided:

Opens the template with the explorer dialog to select the input file(s). After this selection the process starts and ends in Step 8 Print where you can print your documents.

Add a new template. The wizard starts with the first step of the configuration.

Opens the selected template. You can access the settings you want to edit via the step tabs. A double click on the template will have the same effect.

Copy a specific template and edit the new one if you want to create a new template with similar settings..

Rename a specific template.

Delete a template which is not longer needed.

Notes When Opening a Template

The functions defined in a template are related to settings such as input file, Optical Mark settings etc. If some of the settings are changed, the template may have to be adapted.

If a template is opened which has defined an input file that does no longer exist, the configuration wizard is opened with Step 1 - Input (p. 45) and all other steps remain inactive until a new input file is defined.

If a template is opened with a feature which is not available in the current license the following error message will be displayed: Please make sure to update your license accordingly.

3.2 Step 1 - Input

First select and open the input file(s) to be processed and select the Optical Mark profile to be used within the template.

3.2.1 Input File or Folder

The wizard will start with an empty screen with no input file displayed yet:

The right side contains the area to define the input file or input folder and the area to select the inserter features profile.

If no input file or folder is selected, the text fields are red.

Click on Choose File... to open a browser window where a single input file can be selected.

Click on Choose Folder... to select a folder that contains multiple files to be processed. The files will be imported in alphabetical order and merged to one file.

If a template is loaded and the selected input file is not accessible in the specified folder, the field is red as well and the other steps are not available.

Supported Input File Formats

The following file formats are supported by OMS-100:

• PDF (Portable Document Format) • PCL5/6 (Printer Command Language) • XPS (XML Paper Specification)

If an input file cannot be opened or is password-protected, the process is stopped and an error message is displayed, indicating which file has caused the problem and what the problem is.

Preview

OMS-100 will calculate the total number of pages in the file and then display the first page in the preview pane:

For browsing through the documents / pages and for preview options please refer to Document and Page Handling (p. 31).

Pages in landscape format are rotated 90° counter-clockwise and displayed in portrait format, the feed direction of the inserter. This way it is easier to position the optical marks. All interactive functions inside the preview pane work correctly also in landscape mode.

Click on Next to proceed to Step 2 - Identify Documents (p. 48).

3.2.2 Select Profile

As default the first profile in the list is selected. • Open the list and click on the desired

profile to select it:

The Profile is selected now and the inserter settings defined in the profile will apply.

3.3 Step 2 - Identify Documents

The input file(s) may contain one or more documents with each one or several pages. Define criteria to identify the documents within the input file(s) in order to be prepared for processing through the inserter.

The Identify Documents tab displays as follows:

• The left side displays the preview of the loaded document; • The right (configuration) side displays the document recognition area.

3.3.1 Document Recognition

In the settings area you have to add at least one Identification Criterion to identify documents in the input file(s).

By clicking on Add, a pop-up menu is opened to define Identification Criteria.

You can add criteria and link them with the relational operators AND and OR.

Once the pop-up-window is opened, draw the area in the preview pane where the identification criterion is placed. Use the mouse to draw the area.

The content of the selection is extracted and shall be processed according the identification criterion. It is then displayed in the preview area of the pop-up window.

When page settings are adjusted (scaled / moved), this graphical element will also be adjusted accordingly.

In the dialog box first enter a Name for the criterion.

Secondly select the Type of the criterion to be Text or Image (usually set automatically).

In the drop-down field select the logical comparator for the criterion, where the following options are available: • changes: compares to the previous contents; • contains: compares to a given editable text

(does not apply to images); • is equal to: compares to be equal with a given

content; • is not equal to: compares to be unequal to a

given content.

Finally, if text type is chosen above, the text value that is extracted from the document can be edited in the text area.

For a detailed description how to define criteria please consult the chapter User Defined Criteria (p. 100).

The selection area represents the position where the text or the image for a specific criterion is located in the documents. It is necessary for a correct identification that the text is located in all documents inside this area.

After clicking on OK the pop-up window is closed and a new entry is added to the Identification Criteria list.

By selecting an entry, it can be deleted or edited with the buttons on the right.

Multiple criteria can be defined.

Multiple Identification Criteria are logically combined with AND or OR conjunction in the And/Or column via the drop-down menu on the left.

If several criteria are listed, they are compared top-down.

For each page always two criteria are compared, the result of each comparison is stored and reused for the comparison with the next criterion below.

For each page this process goes on until all criteria are evaluated.

The Run button is now active. If no more adjustments have to be made, from now on the configuration can be run with this button (goes directly to Step 8 - Print (p. 72)).

3.3.2 Test Document Recognition

By clicking on Test the input file(s) will be analyzed and information about the identified documents are displayed below.

The number of identified documents is provided in the text directly following the button.

There is also displayed a table below with additional information about the split made:

3.4 Step 3 - Page Settings

Scaling a document may be necessary if the original content does not provide the needed space to add an optical mark. This step provides the possibility to scale and place the original content. In addition settings for printing on one or both sides of the sheets and special settings for the first and last page can be configured.

The Page Settings tab displays as follows:

3.4.1 Scale & Move

By checking the Scale / move the original content check box in the settings area the following options are displayed:

Scale: enter a value in percentage of the original size

Vertical Offset: enter a value the shrunken content is moved from the top border

Horizontal Offset: enter a value the shrunken content is moved from the left border

After removing legacy optical marks (Step 7 - Optical Marks (p. 64)), or drawing a selection area for a criterion, and adjustments are made for scaling / moving, these graphical elements are scaled / moved accordingly.

A newly added optical mark is not scaled accordingly as it has it's own limitation in size and format. Please adjust this settings manually if necessary.

3.4.2 Double-Sided Print

By checking the Print pages on both sides of the sheets check box in the settings area the output is printed on both sides of the sheets.

If this option is selected, it may be reasonable to use a separate sheet and not to apply this setting to the first or the last page.

If so, click on the Advanced Options arrow to set this options.

If Print Pages on Both Sides of the Sheets is selected long-edge binding is used for all pages.

3.5 Step 4 - Enclosures

You may want the inserter to add enclosures to documents. In this step you can configure OMS-100 to add enclosures either to all documents or to documents which match user defined criteria.

The Enclosures tab displays as follows:

• The right (configuration) side displays the Enclosures definition area. The number of feeders is defined according to the settings in the profile.

The settings made in this step will be stored in the optical marks which can be configured in Step 7 - Optical Marks (p. 64).

3.5.1 General Enclosures

In the upper part of the settings area up to 8 feeder stations can be selected, to add enclosures to the document.

If you select a station here, the enclosures will be added to all documents.

3.5.2 Criterion Specific Enclosures

In the lower part there is an option where you can add enclosures more precisely.

If you want to add enclosures depending on user-defined criteria (e.g. language dependent) check the Add an enclosure to certain documents based on a specific criterion check box.

In the display which appears you can Add, Edit or Delete enclosure criteria with the buttons on the right.

For a detailed description on how to define criteria please consult the Specific Criteria (p. 100) chapter.

Add a criterion as follows:

In the dialog box first enter a Name for the criterion.

In the second step, select the feeder used for this criterion;

In the third step, select the Type of the criterion to be Text or Image (usually set automatically).

Then in the drop-down field select the trigger position for the criterion, where the following options are available: • every page; • first page; • last page; • middle page (any page but not first nor last

page); • all except first page; • all except last page.

Now add the logical comparator, where the following are available: • contains: compares to a given editable text

(does not apply to images); • is equal to: compares to be equal with a given

content; • is not equal to: compares to be unequal to a

given content.

Finally, if text type is chosen above, the text value that is extracted from the document can be edited in the text area.

3.6 Step 5 - Print Batches

Print batches are only available if the Multi-Envelope Print Batches module has been activated. If you have not purchased the Multi-Envelope Print Batches module however the Advanced Print Order Options are still available.

The use of print batches is a sophisticated way to separate mail pieces according to various criteria, i.e., the number of sheets per envelope, where document sets with less than a specific amount of sheets will be inserted into small envelopes and document sets with a higher amount of sheets will be inserted into large envelopes.

Of course the separation may be defined according to print batch criteria which can be defined as necessary.

In the work flow the printing of each print batch will be done in a separate print job, thus enabling the operator to change the settings of the inserter. If printed to a PDF-file, each print batch creates a new document.

This step offers the possibility to edit the print batches and to add print batch criteria for each print batch.

The Print Batches tab displays as follows:

3.6.1 Print Batch Options

When you check the Create multiple print batches check box, the list of preconfigured print batches is displayed, separated by the number of sheets per document:

When multiple print batches are defined, a new drop-down menu Print Batch is provided to switch between the print batches.

The drop-down list shows all print batches containing at least one document. They are ordered by sheet limit in ascending order.

In addition to the print batches there are the following entries:

All - input order This is a virtual print batch that contains all documents, in the same order as in the input file(s);

All - print order This virtual print batch contains also all documents, but in the same order as they will be printed.

You can Edit the print batch settings with the button on the right.

If needed you may Add print batches and Delete the print batches you don't need any more:

The number of print batches is limited to 20.

Advanced Print Order Options (No Multiple Print Batches)

If no multiple print batches are selected, you can expand the Advanced Print Order Options to select the print order: • Normal Print Order • Reverse Print Order

By setting the reverse order option, the print batch is prepared for inserters which support a reverse order feed.

Advanced Print Order Options are available globally if Create multiple print batches is not selected in the main settings area. If multiple print batches are defined, the print order is defined for each print batch separately.

3.6.2 Criterion Specific Print Batches

If you check the Assign Documents to a print batch based on a specific criterion check box you can add a print batch criterion for assigning documents to print batches based on specific data in the document (e.g. a country code).

Manage your own print batches by adding, editing or deleting print batches. Please note that the default print batch cannot be deleted but edited only.

Add a print batch as follows:

Click on the Add button. The following dialog box will be displayed: • Enter the name of the print batch; • Select or enter the sheet limit per envelope;

Open the Advanced Print Order Options to define the print order (normal or reverse).

Click on the OK button to save and close the dialog box.

Select a print batch and click on the Edit button to change the settings of the print batch.

By clicking on the Test button OMS-100 analyzes the document and displays a summary in a table below with all needed information about what documents were identified in Step 2 - Identify Documents (p. 48) and how they are assigned to print batches.

Sometimes it is necessary to stop the inserter at a specific document or to perform other inserter functions. In this step you can configure which of these functions are performed at which occasion.

Optical marks contain information about a document in a machine readable format, in order to process documents automatically according to the desired workflow with an inserter.

As an example you can add information about the position of a sheet inside a print batch and the inserter will recognize if the documents are not in the correct order.

The OMR type optical mark is built with lines where either presence or absence of one or several lines on a certain position defines the function of the inserter to be addressed.

Available Area

Inside the preview pane there is a gray shaded border.

The position of the optical marks is limited in OMS-100 to the remaining white area.

The reason for this border is, that inserters have limitations for the area wherein the optical marks can be read by the camera.

OMS-100 does not allow to position optical marks inside this shaded area.

This limitation of the area where optical marks can be added in OMS-100 is a reasonable value which fits most inserter models. However it does not fit all models. To make sure you do not place the optical marks outside this limitations please consult the inserter User Guide.

Define Integrity Level of Optical Mark

Select the integrity functions from the list:

Please note that Accumulate / Insert is active if no other integrity function is selected. So first enable another integrity function before disabling Accumulate / Insert.

Include Customer ID

You may include the Customer ID to the optical mark:

By checking the Include Customer ID check box, a pop-up menu is opened and a selection area can be drawn with the mouse directly inside the preview pane. The value displayed in the text area is added to the optical mark of the current sheet.

As customer ID numbers (0-9) or normal text (A-Z, a-z) can be added.

Special characters are limited to the following:

"-" "." "$" "%" "/" "+"

The length of the customer ID can be manually changed. The maximum size is limited to 16 characters for BCR and 25 characters for 2D-Datamatrix.

3.8.3 Remove Area

This option is available for any type of optical mark.

It may be necessary to remove optical marks which already existed in the original content. Proceed as follows to remove the optical mark:

• Check the Remove legacy optical marks box in the lower part of the settings area.

• Mark the position of the existing optical mark with the mouse directly in the preview pane.

The new optical marks can be placed over this area.

Only one area for removing legacy optical marks can be defined.

After setting the selection area for removing legacy optical marks, and the page settings are adjusted (scaled / moved), this selection area is also adjusted accordingly.

In this step you can enter the settings concerning the printing of the documents.

At the top of the settings area you can Select the printer for printing the configured documents.

If the user does not change anything here, the default printer of the system will be used.

The list of the drop-down menu is generated dynamically from the driver of the selected printer.

If the user does not change anything here, the default paper source of the selected printer will be used.

Advanced Paper Source Options

By clicking on the Advanced Paper Source Options button some more options are displayed. For the first and / or the last sheet a separate paper source can be selected (e.g. the first sheet is printed on a different sort of paper).

3.9.2 Print Range

Select if you want to print All print batches or just One print batch.

If One print batch is selected, please Select the print batch to be printed from the drop-down list, too.

If the user does not change anything here, the Default print batch will be used for print.

There is also the possibility to choose just one document to be printed. Select All Documents to print the hole print batch or select Document and enter the document number.

To make a selection easier for the user, the amount of documents and sheets is displayed for the various print batches.

When Open or Run a template, please note, that the print range is not saved in the template, but is per default set to print All print batches. Adjust the settings if another print range is needed.

3.9.3 Print Additional Sheets

Barcode Configuration Sheet

Some inserter models are able to read a barcode sheet that contains information about how the optical marks of the following job should be interpreted. If this function is not supported, the inserter has to be configured manually. Even then the barcode sheet provides information to make this configuration as easy as possible.

Check the Barcode configuration sheet check box to add this sheet to the print job.

OMR Info Sheet

For OMR it is not possible to configure the inserter automatically. But it is possible to print out an info sheet, which makes it easier to configure the inserter.

Banner Sheet

The banner sheet provides the name of the print batch and separates the different print batches.

Check the Banner sheet for each print batch check-box to add a banner sheet on top of every print batch.

Print batches are only available if the Multi-Envelope Print Batches module has been activated.

3.9.4 Start Printing

Click on Print to start the printing process.

After a moment the printer dialog appears including

a progress bar and information about which print batch is momentarily printed.

Click on the x sign in the configuration tab to return to the Welcome Screen (p. 42).

If the template has not been saved until now, a dialog box is displayed asking the user whether or not to save the template.

4 Optical Mark Settings Scope

The Optical Marks can be configured according to the needs within the production. All the setting options available are explained in this chapter. Please note that some know-how about Optical Marks is very useful in order to select the correct settings.

The settings are stored in Profiles which include all needed options. For BCR 1D / 2D some default profiles are loaded when OMS-100 is starting up the first time. The settings in the default profiles can be adjusted herein to adjust the OMS-100 functions to the available inserter functions.

For OMR, there are no default profiles available. If OMR is used, it is mandatory to create a new profile and to configure the Optical Mark settings manually by a technician.

Open Optical MarkSettings • start OMS-100 and open the Main Tab:

4.1 Optical Mark Profiles

Optical Mark Profiles are used to include all necessary definitions of the optical marks for usage in a given configuration (template). This chapter explains the profiles and how to create a new one.

When opening the Optical Mark Settings, the screen with the profiles is displayed:

The following procedures are available: • Select a profile from the list and open it by

clicking on the Next button or double-click on the profile to open.

• Create a new profile by clicking on the New button. The New Profile dialog box will open.

If a new profile is to be created enter a unique name for the profile and click on OK to continue:

Import profiles from an existing package file. Select the location and file and click on the Open button to import the profiles:

4.3 Unlock OMR Editing

Per default the OMR - Line marks button is locked in the Optical Mark Technology screen. Only the Expert Mode allows to change these settings.

The Expert mode is available as soon as OMR editing is unlocked. • On the bottom of the screen a lock sign indicates

if the Expert Mode is locked or not. Click on the lock sign to unlock and activate the expert mode:

The Expert Mode is now unlocked and the Optical Mark settings for OMR are now accessible. For more information about how to configure the Optical Mark settings please consult chapter Optical Mark Settings (p. 77).

Some features can be activated by clicking on the checkbox, other features have options which can be configured by using the drop-down list.

If a feature with a specific quantity is selected, it can be defined in more details in the next step. As an example if 3 feeders are defined, in the next step it is even possible to activate only feeder 1 and 3 in OMS-100.

With this two-step configuration it is possible to configure OMR on a very detailed level.

Description

If you want to set criteria in OMS-100, depending on data from the input file(s), it might happen that the text which is displayed properly inside the selection area of the preview pane is not properly displayed in the text area of the specific criteria pop-up window.

There are two possible mismatches:

Symptom of the Mismatch Possible Reason for the Mismatch

The text is not displayed at all in the pop-up window.

• The text marked in the preview pane was primarily scanned as image or was converted to a raster image by an application or printer driver. Therefore it is not possible for OMS-100 to display the originally used character.

• The primarily used font is a bitmapped font. If the font is embedded to the PCL-file the character can be displayed, but not recognized as the specific character because in bitmapped fonts the character is translated into a graphical element. Only with an OCR software (Optical Character Recognition) it is possible to find out which character is displayed. OMS-100 does not provide OCR.

The text displayed in the pop-up-window is garbled.

• The printer driver which was used to create the PCL-file used non-standard encoding (ASCII / ANSI / UNICODE standard) therefore it is not possible for OMS-100 to display the primarily used character.

Possible Work Around

In some cases it is however possible to work around this issue by setting the Type-field inside the pop-up-window from Text to Image to use the text as a graphical reference.

If it is not possible to specify a criterion by an image you can do as follows:

Avoid font embedding • Use printer resident fonts for creating input files • If the printer driver has a TrueType Font option set it to Substitute with

Device Font. • Install the embedded font on the system where OMS-100 is running,

and don't embed it anymore.

Use PDF instead of PCL • In general, the PDF format is better suited for the use of embedded fonts and for text extraction.

If the text is displayed garbled because of a font which uses a non-standard code, it does not solve the problem to install the font locally, because only the code is used for text extraction.

1.2 Data Base Log File and Config File Location

If you have to report an error to the support service you may be asked to provides some additional files. The following files can be found in the following directories:

2 Additional / Detailed Information As the place for detailed explanations is limited when describing a specific feature, this section gives

additional detailed information which might be useful to the operator or technician.

The topics herein are referenced in the user manual where needed.

2.1 Optical Marks BCR

BCR stands for BarCode Reading. The barcode is a set of bars in a row (horizontal) or in a column (vertical).

DataMatrix (2D)

An alternative way is the DataMatrix (2D) code. The information is here encoded in a pattern of small squares. The advantage of the DataMatrix is that it needs less space and can store more data than the barcode.

DataMatrix (2D) is only available if the DataMatrix module has been activated.

BCR Code

This is an example of BCR-coded information for a sheet with high integrity level, included customer ID and information about added enclosures and preconfigured inserter functions. Depending on the configuration more or less information is stored in the optical mark.

Sheet N/M, Sheet Sequence, Group Sequence and Insert Code are explained in Integrity Level.

The Enclosure code is a 2-digit hex code which carries information about how enclosures should be added.

The Inserter Function is a 2-digit hex code which carries information about when criteria specific inserter functions should be executed.

Customer ID is explained below.

Not all inserter models support all inserter functions. Also the number of feeder stations depends on the type of the inserter. Please ensure the configuration is compatible to the used inserter model.

Customer ID (BCR)

It is possible to store a customer ID in the optical mark. This is useful, for example if a document is returned after shipping, to quickly identify the customer.

Some types of inserter models also store a log file with the information stored in the optical marks. Like that it can be used as a tool to reconstruct the way of documents sent to one specific customer.

As customer ID numbers (0-9) or normal text (A-Z, a-z) can be added.

Special characters are limited to the following characters:

The customer ID should not be used as a criterion for integrity. For more information about Integrity please consult Integrity Level.

OMR

OMR stands for Optical Mark Reading. This is the less complex code available in OMS-100. As OMR is simpler, as the other optical marks, it is easier to read for some inserters and it is also readable for humans with according knowledge of the code.

Disadvantages of OMR are the missing integrity features and there is also no possiblity to configure the inserter automatically with a configuration sheet.

Not all inserter models support all inserter functions. Also the number of feeder stations depends on the type of the inserter. Please ensure the configuration is compatible to the used inserter model.

Enclosures

In Step 4 - Enclosures (p. 54) enclosures can be added to documents. As soon as a criterion is defined for a specific feeder station, the function for adding an enclosure to this station is created.

This function has also access to positions in the optical mark code to store information for the inserter.

When after that moment the Add an enclosure to certain documents based on a specific criterion check box is unchecked the function is not deleted, but disabled. The positions in the optical mark code do remain as well but with the 'disabled'-value stored at that position.

2.3 User Defined Criteria

In Step 2 - Identify Documents (p. 48), Step 4 - Enclosures (p. 54), Step 5 - Print Batches (p. 57) and Step 6 - Inserter Control (p. 62), there can be set user defined criteria for different functions. Read this topic for a detailed description about how these criteria can be defined and how they will be processed:

When adding a new criterion, a pop-up menu will open where you have to fill in a form with different entries.

With the mouse there can be drawn a selection area directly inside the preview pane to select the position, where text or an image will be extracted for the logical comparison.

The pop-up windows differs depending on the current step and function. The following Items should be available for all user defined criteria.

Menu Item Description

Name Name of the criterion, can be selected.

Type Choose between Text or Image type for the extraction of the data.

The default type is Text. The text selected inside the preview pane with the mouse is displayed inside the text area at the bottom of the pop-up menu.

By choosing Image a preview of the part which is inside the selection area is displayed. This type can be used to identify documents on graphical criteria (e.g. a logo which is displayed only on the first page of a document).

If no text could be recognized inside the selection area, the type is changed automatically to Image type.

If the type is Image, the image has to be on exactly the same place on every page, otherwise document separation may be erroneous.

Logical Comparator In the drop-down list a logical comparator can be selected. Depending on the current step and the type selected above, some of the following logical comparators can be selected:

Preview area At the bottom of the pop-up menu there is a preview area, where either the text or the image inside the selection area is displayed. If the extracted value is text, it is possible to adjust the value inside the preview area.

There are two kind of comparators: • Absolute comparators • Relative comparators

The only relative comparator is changes. The other comparators (contains, is equal to, is not equal to) are absolute comparators.

Relative Comparator (Changes)

If a relative comparator is selected, the value (text / image) at the position of the selection area of the current page is compared to the value at the same position on the previous page. If the value changes, the logical comparison results positive.

This comparator can be used only to identify documents. When the logical comparison is positive, OMS-100 identifies a new document beginning with the current page.

Absolute Comparator (Contains, is Equal To, is Not Equal To)

If an absolute comparator is selected, the value (text / image) at the position of the selection area of the current page is compared to the value inside the preview area at the bottom of the pop-up window. Like this the extracted values from the different pages are compared always with a fix value.

When the selection area is drawn, as default for this value is entered the value inside the selection area on the current page. If Text type is selected, this default value can be adjusted by clicking inside the text area.

In some cases it might be possible that the text extracted from the document is not displayed properly in the text area. More information about this issue are provided in Text Extraction Exception (p. 93).

If you find no way to extract the text, in some cases it is however possible to work around this issue by setting the type inside the pop-up-window from "Text" to "Image".

If multiple criteria are defined the criteria are logically OR connected. Exception: for multiple identification criteria the user can choose the logical comparator himself (OR/AND).

2.4 Multiple Print Batches and Criteria Rules

If multiple print batch criteria are defined, it may be difficult to see how they are handled and prioritized by OMS-100. Read this topic to get a detailed description about that rules.

Documents are assigned to a print batch following this rules: • A document must not have more sheets than the sheet limit defined in the print batch. • Sheet limit "0" or "-" means: No limitation. • Documents are assigned to the print batch with the smallest possible sheet limit. • If a user defined criterion matches, the document is assigned to the selected print batch. Exception: if

the document exceeds the sheet limit of the selected print batch, it is assigned to the print batch with the smallest possible sheet limit.

• Multiple criteria specific print batches are OR-linked. • If one document matches several criteria which allocates it to different print batches, the print batches

are prioritized in alphabetical order. • The Default print batch has always the lowest priority.

2.5 Reverse Print

In Step 5 - Print Batches (p. 57) the following advanced options are provided: • Prepare the Print Batch for Normal Print Order • Prepare the Print Batch for Reverse Print Order

Different inserter have different requirements for the print order of the batches in the input feeder.

The following pictures visualize how the print output is generated for Normal Print Order and Reverse Print Order:

Normal print order means that the documents are dropped into the printer output bin with the back side upwards, by selecting reverse print, with the front side upwards. So in normal print order the first page is printed first, in reverse print order the last page is printed first.

To use the reverse print order option the printer must have a Face-up Straight-through Output Bin in order to process the output correctly.

The American National Standards Institute has defined the 8-bit character set which is the standard character set used in Windows computers.

A character set contains all possible characters such as symbols, numerals etc. which are recognized and processed by the computer.

The American Standard Code for Information Interchange is a character-encoding scheme based on the ordering of the English alphabet. ASCII includes definitions for 128 characters: 33 are non-printing control characters (now mostly obsolete) that affect how text and space is processed; 94 are printable characters, and the space is considered an invisible graphic.

An additional sheet, that can be added to the print output. It is added before a new print batch begins to separate print batches and to provide the name of the following print batch.

Barcode is a type of optical marks, where data is represented in the widths (lines) and the spacings of parallel lines. Barcode is also used as an umbrella term for OMR, 1d barcodes and 2d barcodes. 2d barcodes are barcodes where the patterns are arranged in two dimensions. DataMatrix, which is used in OMS-100, also is a barcode in this context.

An additional sheet, that can be added to the print output which can be used for some inserter models to prepare the inserter for the following print batch(es) and configures it with the settings of the optical marks used in the print batch(es).

Bitmap (also Raster Image) is a type of file format used to store digital images, usually named with the file extension of .BMP.

If DataMatrix (2D) is selected, the cell size of the DataMatrix can be ajusted. The DataMatrix has a virtual grid. Inside the cells of this grid the little squares are drawn. By increasing the cell size, also the size of the little squares and the hole DataMatrix is increased.

In Step 4 - Enclosures (p. 54) there can be added enclosures dependent on user defined criteria.

During the configuration process there can be set several times user defined criteria to influence the output dependent on data that are extracted out of the input file(s).

In Step 7 - Optical Marks (p. 64) there can be added a customer ID to the data that is stored in the optical marks. The customer ID is user defined and is extracted out of the input file(s).

DataMatrix is a type of optical mark where the data is encoded in a pattern of small black and white squares which are situated inside a bigger square. DataMatrix belongs to the family of 2d barcodes. The patterns are arranged in two dimensions.

Default is one of the preconfigured print batches. The others are: Standard envelope and Large envelope. The default print batch is used, if the document could not be allocated to any other print batch.

Some inserter models have the possibility to exit a document without inserting it in an envelope (divert it). The information to do so can be added to the optical mark.

A document in OMS-100 is a number of pages which are recognized by user defined criteria to belong together. One document together with optional enclosures are one document set which is to be inserted in one envelope.

In Step 2 - Identify Documents (p. 48) there has to be set user defined criteria to identify the begin of a new document, depending on data extracted out of the input file(s). This process is named document recognition.

A document set in OMS-100 is a set of one document and optional a number of enclosures.

Print the output on both sides of the sheets.

Duplex is a commonly used expression for double sided print.

In some document types fonts may be embedded in the file to make sure the characters are displayed correctly on every computer even if the font is not installed locally.

Enclosures can be added depending on user defined criteria.

Enclosures are additional sheets (e.g. with advertisement) that can be added to a document set by the inserter.

General enclosures are add to all documents. They don't depend on on user defined criteria.

When setting user defined criteria, the data will be extracted from of the input file(s). The user can select one of the following two types:

• Text • Image

If Image is selected, the content inside the selection area is extracted as an image. Therefore, this is a graphical criterion in contrast to a text criterion.

In Step 7 - Optical Marks (p. 64) some integrity features can be added to the optical marks, where Group sequence is one of these integrity features.

In Step 3 - Page Settings (p. 52) the original content of the input file(s) can be sized and moved. When the original content is sized, it can be moved horizontally to the right.

The input file(s) may contain one or more documents with each one or more pages. In Step 2 - Identify Documents (p. 48), criteria can be added to define where a new document starts. Depending on the structure and the data of the input file(s) many different ways to identify documents are possible.

When creating user defined criteria, the data is extracted out of the input file(s). The user can select one of the following two types:

If Image is selected, the content inside the selection area is extracted as an image which is displayed in the preview area at the bottom of the pop-up window and is also the data that will be logically compared.

In Step 1 - Input (p. 45) the input file(s) are defined.

An input file is a raw-data source file that is used as input for OMS-100. The data from the input file are processed by OMS-100 and printed out.

As input files the following document types are supported by OMS-100:

• PDF (Portable Document Format) • PCL5/6 (Printer Command Language) • XPS (XML Paper Specification)

Alternatively to a single input file also a folder can be set as raw-data source. If an input folder is selected, all compatible files are merged and handled as one big input file.

In Step 6 - Inserter Control (p. 62) some inserter control functions can be configured. For the configured functions OMS-100 adds control codes for the inserter to the optical marks.

The optical marks can be used as an integrity feature to ensure, the documents are inserted correctly. There can be configured different integrity levels from none up to high. For detailed information please consult the Integrity Level chapter.

OMR (Optical Mark Recognition) is a dedicated optical mark which may be used e.g. for inserters which are equipped with a barcode reader. In contrast to BCR (Barcodes) OMR provides single sized marks which are read and evaluated by the inserters' scanner.

Output Management Software.

The person who operates OMS-100 in daily business.

There are three types of optical marks in OMS-100:

• OMR • Barcode • DataMatrix (2D)

An optical mark is an optical, machine-readable representation of data. Originally, optical marks represented data in the widths (lines) and the spacings of parallel lines and may be referred to as linear or as 1D barcodes.

But they also come in patterns of squares, dots, hexagons and other geometric patterns within images termed 2D barcodes. DataMatrix is a specific type of these barcodes.

In OMS-100 optical marks are printed on each sheet and carry information for the inserter, which reads them with a camera. There are different inserter related functions in OMS-100 that store information for the inserter in the optical marks.

Barcodes can be used with all types of licenses. For using DataMatrix (2D), an additional module is necessary.

The content of the input file(s) before altered by OMS-100.

A printer / Windows printer driver which is used for the output of the configured input file(s). It can be a physical printer device or a virtual (e.g. PDF printer driver).

P

A page is the content which can be printed on one side of a sheet.

Page Settings can be configured in Step 3 - Page Settings (p. 52). Scaling, moving and single- or double-sided print are possible.

Printer Command Language, more commonly referred to as PCL, is a Page Description Language (PDL) developed by HP as a printer protocol.

Portable Document Format (PDF) is a file format created by Adobe Systems in 1993 for document exchange. PDF is used for representing two-dimensional documents in a manner independent of the application software, hardware, and operating system.

Preview area is not the same as the preview pane. In different steps there can be configured user defined criteria. By adding one, a pop-up window is opened and with the mouse there can be drawn a selection area inside the preview pane to extract data from that position on the page. The result of that extraction is displayed in a small preview area at the bottom of the pop-up window.

Preview pane is not the same as preview area. The preview pane is a sub-frame of the configuration wizard window. It displays a preview of one page of the input file(s) including the configured changes.

Step 8 - Print (p. 72) allows to configure the print-out of the content processed by OMS-100. Set the options concerning the printer, the print range and additional sheets.

In Step 4, print batches can be defined. Per default one print batch contains all documents. If Create multiple print batches is selected, a print batch is a partition of documents that contain a pre-defined range of sheets.

For example, one print batch contains all documents between 1 to 8 sheets which is the range of sheets that fits into a specific envelope type, another print batch contains all other documents, which needs a bigger envelope type.

Alternatively to the sheet range a user-defined criterion can be used to allocate a document to a print batch.

Print batches are printed each one in a separate print job.

The physical output created by the printer or one or more files which are created by a virtual printer device (e.g. PDF file).

In Step 8 - Print (p. 72) the print range can be configured. Either all print batches at the same time, only a single print batch or even one specific document can be printed.

The wizard which guides the user through the setup process.

One piece of paper. One or two pages can be printed on one sheet.

Print batches have defined sheet limits, which is the maximum number of sheets that can be inserted in the envelope type, the print batch is configured for (except enclosures).

The sheet sequence is one feature of the integrity. For thsi reason every sheet has its own number regardless of the document or print batch it is part of. The inserter will stop if one sheet is missing or the order of the sequence is mixed up.

Simplex is a commonly used expression for the printing mode, when each page is printed on one single sheet.

Standard envelope is one of the preconfigured print batches. The others are: Large envelope and Default.

The configuration wizard of OMS-100 is divided into 8 steps. Each one of them is dedicated to a specific topic.

At the top of the window, right below the main menu, there is a bar with the steps of the configuration wizard displayed as an interactive flow diagram. Depending on step the user is in, it may be possible to jump to a specific step by clicking on the according step arrow.

In several steps it is possible to set criteria depending on data extracted out of the input file(s). When text is used as type for a criterion, OMS-100 is capable to use the content of the extracted text for the processing of the criteria.

The title bar is situated at the top of the window and contains the Main Menu and the Step-Tabs.

• Switching the preview between pages, documents and print batches • Several tools for zoom in / out the preview of the current page • Navigation through the document.

In the Main Menu at the upper right corner, there is a menu item displayed by a cog wheel which is named Tools Menu. The Tools Menu provides Options... and Manage License....

Unicode is a computing industry standard for the consistent encoding, representation and handling of text expressed in most of the world's writing systems. Developed in conjunction with the Universal Character Set standard and published in book form as The Unicode Standard.
