As of April 2015 new regulations were brought in regarding the new CDM/HSE Regulations. It is important that you are aware of these regulations and how they affect you and your company with regards to the

build-up and breakdown of an exhibition being seen as a construction site:

What do Exhibitors and Contractors need to do?

• Be aware of their duties, roles and responsibilities under the regulations • Provide sufficient Pre-construction info to all designers, contractors and sub-contractors • Prepare and document a Construction Plan for all involved in the construction of the stand • Document & communicate the site rules & information to all those working on the stand

Under no circumstances must any stand fittings, machinery, equipment or displays etc. be left in the hall after 22.00hrs on Saturday 20

th May 2017. Any items left in the hall after this time will be disposed of and the removal charge

invoiced direct to the Exhibitor. Removal of exhibits can start once the show closes, after 17.00hrs on Saturday 20

th May 2017. All graphics or

display materials attached to booth walls must be removed by the exhibitor as Shell Scheme stand structures will be dismantled from 18:00hrs. Any working in the hall outside of these hours may be subject to a fee. All personal property and exhibits must be cleared from shell scheme stands prior to dismantling. Exhibitors are reminded that they must not dismantle their stands or remove exhibits before the official close of the show. Security staff will be under strict instruction to stop Exhibitors taking exhibits out of the halls before this time.

ADMISSION | BADGES TO THE EXHIBITION

For general admission times for exhibitors, see the timetable at the front of this manual. Exhibitors wanting to gain access outside these times require the permission of the organisers. Passes/badges are required for entry into the halls at all times. Exhibitor Badges - The badges are prepared by the registration company and can be collected on the last build-up day from registration desks on-site. Please order your badges as soon as possible so your badges will be ready for you to collect onsite.

The badges must be carried by the holders at all times when entry into the halls is required and shall be shown on the request of the Security Officers on duty in the halls. Additional badges and amendments can be made at the Registration desks on-site on the last day of build-up.

CONTRACTORS PASSES – FOR SPACE ONLY STAND CONSTRUCTION: Anyone not a member of the Exhibitor’s staff requiring access to the exhibition during the build-up and breakdown period (e.g. contractors/van and lorry drivers) MUST wear a contractor’s badge and will be required to show it to security staff to gain access to the building.

If you need any additional contractor badges during build-up contractor badges will be available onsite from the registration desk.

AUDIO VISUAL

SS Exhibitions have been appointed audio visual contractor. They offer exhibitors a variety of audio visual equipment including sound, light, video, systems and stage. Please complete the form and return by 14

CATERING The Bombay Convention and Exhibition Centre is the sole concessionaire for food and beverage services within the Convention Centre. No outside food and beverages (including tea/coffee) will be allowed inside The Bombay Convention and Exhibition Centre. CHANGE OF EXHIBITS DURING EXHIBITION OPENING HOURS Regulations do not permit the change of exhibits during the open hours of the Exhibition. Any exhibitor wishing to bring in, or remove, equipment during the run of the Exhibition must apply to the Organisers for permission to do so.

CHILDREN

The Organisers shall not issue passes for the build-up and breakdown period to children under the age of 18 as the venue is classed as a building site during these periods. As this is a trade event children under the age of 18 are not allowed entry into the exhibition halls.

CLEANING General hall cleaning will be carried out each day. However, it is the responsibility of the exhibitor to maintain their own stand and keep it in a tidy condition at all times. If you require stand cleaning services, please use the Cleaning Order Form and return it before the 14

DELIVERIES

All deliveries made to the Bombay Convention and Exhibition Centre must be received by the exhibitor. Deliveries can only be made within the event dates and deliveries cannot be made to your stand during the show open hours. Outside these dates deliveries may be refused entry.

Exhibits should only be sent to the exhibition hall when the stand is sufficiently prepared to receive them. The Exhibitor and/or his representative must be present at their stand to accept delivery of the exhibits. The Organiser will not accept any delivery on behalf of any exhibitor or for any failure in delivery, neither will the Organiser be responsible for the subsequent safekeeping of such items.

DILAPIDATIONS

Exhibitors are reminded that their contractors using adhesive tape to fix carpets or other materials to the Hall floor will be held responsible for removing the same at the end of the Exhibition. A dilapidation charge will be made against the exhibitor should the tape still be in position at the end of breakdown or if any damage has been made to the floor.

DISTRIBUTION OF ADVERTISING MATERIAL Only advertising material and goods from companies authorised to be at the exhibition may be distributed. Advertising material may only be distributed at one’s own stand. It is prohibited to distribute advertising material at the entrances, in the aisles and in the areas outside the exhibition halls. Distribution to other stands requires written authorisation from the Organisers.

EMPLOYMENT OF LABOUR

All personnel directly or indirectly employed or authorised by Exhibitors, their agents or contractors in the construction of all stand fitting and display work, should be undertaken by suitable trained operatives working in accordance with legislation.

The Organiser is not able to supply labour for the handling of goods and other items. Exhibitors should arrange with the lifting contractor, shipping and forwarding agent or stand fitting contractor for these services and should not employ any casual labour offered in the hall.

The exhibitor should not make payments to labour staff to secure preferential treatment and is asked to report immediately to the Organiser’s any employee soliciting money for services rendered.

In the interest of the exhibition as a whole, which must be the primary concern at all times, the Organisers decision on any dispute concerning labour being employed must be taken as final.

EXHIBITOR CATALOGUE | ADVERTISING Research shows that advertising in an exhibition catalogue provides a valuable supplement to other show-time activities. If you wish to advertise, please let us know as soon as possible.

FLOOR LOADING

The maximum load is up to 10 tons per m2. Exhibitors with heavy equipment should consult the official on-site handler in case of doubt. Working machinery must be adequately guarded against any possibility of accidents to visitors.

FLORAL DECORATIONS

There is no official florist for the show. Please make your own arrangements if you require floral decorations.

FREIGHT FORWARDING

If you intend to ship freight without using the appointed show freight agent (CEVA Show Freight) Quartz Business Media and CEVA Show Freight will not be held responsible for getting your freight through customs. To avoid this situation occurring it is essential that you use the official contractor

Please contact Andrew direct with your freight requirements as soon as possible, all shipments must arrive in India at least 2 weeks before delivery to stand date.

Please be aware that NO food items can be sent in the shipments, as they will not clear customs.

CEVA will co-ordinate the movement of all international freight from country of origin through to customs clearance and delivery to the venue. CEVA will contact each exhibitor to discuss their individual freight requirements and advise shipping dates for air and sea consignments. They are able to offer world-wide transportation services through a network of their own appointed agents.

International Freight Forwarding - All exhibitors or their appointed representatives are advised to make early contact with CEVA ShowFreight to co-ordinate their shipping arrangements.

Exhibitors will be issued with complete shipping instructions by CEVA ShowFreight. However, for early planning purposes exhibitors should contact CEVA ShowFreight to get cargo deadline dates.

Failure to comply with the latest arrival dates above could result in non-arrival or late delivery of exhibits to the show.

Shipping Insurance - It is the Exhibitor’s responsibility to ensure that their exhibits are covered by adequate insurance for the shipment to, duration of, re-packing and re-exportation from the exhibition to their premises or buyer.

Storage - The organisers and CEVA ShowFreight are unable to provide facilities onsite for packing cases, surplus materials or any other property of exhibitors. Prior arrangements for safe keeping of such items must be made with CEVA ShowFreight or the exhibitor’s established local agent.

During the move in of exhibits or displays, the construction of stands and removal of exhibits, the passageways in the exhibition hall must not be obstructed with packing materials, construction materials or debris.

The organisers wish to reiterate that the aisles MUST be kept clean and clear of cartons, crates or bulky exhibits AT ALL TIMES. This is the responsibility of every exhibitor and their contractors. A penalty may be levied on the exhibitor if this rule is not complied with.

INSURANCE

Whilst every reasonable precaution is taken, the Organisers expressly decline responsibility for any loss or damage which may befall the person or property of the Exhibitor or his agent from any cause whatsoever. The Exhibitor must have suitable liability insurance. Providing cover not only against personal injury, damage to property or financial losses but also against damage to the venue and any hired goods/items.

IMPORTANT NOTICE TO ALL EXHIBITORS

Please note that our Exhibitors’ Contract requires you to have Public Liability Insurance. You should note that this is not the same as Employers’ Liability Insurance, which is mandatory in the UK. You may already have Public Liability cover, however it is important to note that not all business policies offer cover for organised events taking place outside your business premises.

Please bring to the exhibition a copy of your public liability insurance.

If you intend to bring a machine in as part of your exhibit, please can you advise us of the following details:

PROMOTIONAL MATERIAL

Each exhibitor will automatically receive 100 visitor admission tickets to send out to all your clients inviting them to the show. Your allocation of printed tickets will be posted direct to the contracted exhibiting company prior to the show. If you would also like a PDF version of the visitor ticket to email out to your clients or any further information, please email [email protected] as soon as possible.

REMOVAL OF EXHIBITS The exhibitor must arrange for the removal of exhibits after 71 0. 0 hrs on Saturday 20

th May 2017. Allgraphics or display materials attached to stand walls must be removed by the exhibitor as Shell Scheme stand structures will be dismantled from 19:30hrs.

RISK ASSESSMENT

Risk Assessments are a legal requirement within the workplace. A risk assessment must be carried out for your stand. This must include build-up, open days and breakdown and you should consult and include information from your appointed contractors. Once you have completed your risk assessment you must highlight to the organisers any risks you have identified as either medium or high risk together with the measures you intend to take to minimise the risks. These must be included on your Risk Assessment and returned to the organisers. A step-by-step guide to Risk Assessments is listed below. Please complete the Health & Safety declaration once you have completed your risk assessment and return the form to the organisers IMMEDIATELY.

Listed below are four easy steps to use as a guide when completing your Risk Assessment.

Step 1 HAZARDS

SAFETY | SITE RULES Please note that we take Health and Safety very seriously and require you to be aware and adhere to the site rules during build up and break down. It is your responsibility as an exhibitor to make your staff and any contractors you hire aware of these site rules. Anyone seen on-site breaking these rules may be requested to leave the hall. Please print these Site Rules and make all staff and your contractors aware of them. Click here to view and print the Site Rules.

SECURITY

A security service will operate within the exhibition halls throughout the tenancy, however, the organisers will not be held responsible for any loss or damage to exhibitor’s property. As well as taking out adequate insurance, exhibitors should instruct their personnel not to leave their stands with exhibits unattended at any time when the halls are open, whether during the installation, open or dismantling periods. Briefcases, laptops and mobile telephones are particularly vulnerable – safeguard them at all times. Portable items should be secured overnight and removed immediately when the exhibition closes, when the risk of loss or damage is at its greatest. In the event of loss or damage, exhibitors should report immediately to the organiser with details of the loss or damage sustained timings and description of articles etc. General security arrangements for the exhibition will be controlled by the Organisers in conjunction with the venue. It is recommended that a member of staff man the stand at least half an hour before the

When planning the interior of the stand, the exhibitors should take into account the following stand building regulations:

1) No additional fitting of display material may be attached, nailed, screwed or drilled to the Shell Scheme

stand. If this instruction is ignored, Quartz Business Media Limited may charge the exhibitor and/or contractor concerned for damage to the material. If you require assistance in hanging or displaying your exhibits, please consult the official contractor.

2) No painting or wallpapering on panels is allowed. Exhibitors who wish to have panels painted must inform the official contractor, who will provide a quotation and carry out the work.

3) No free-standing fitting should exceed a height of 2.5m at borders. This includes towers and logos/names etc.

4) The fascia board may include a company logo by arrangement with the official contractor at an additional cost.

5) No suspensions or attachments may be made from beams or rafters of the exhibition hall, or any fixing be made on the floor, columns, walls or any other part of the building.

6) An exhibitor occupying a corner stand (open to two or three sides) must get the Organisers approval before closing any side.

7) Contractors, other than the officially appointed contractor, carrying out shell scheme stand interior are responsible for removing their waste material daily during build-up period and all their material at the end of the exhibition.

8) The Organiser will be responsible for the official identification and numbering of stand. Please complete the SS Exhibitions Fascia Name board order form.

9) Alterations on site to the standard shell scheme package may be subject to a charge being made. Please notify any changes required direct to the stand builder prior to build-up.

Please Note: Any Electrical, Furniture or Extras orders received after the deadline date (see the Form Checklist) may carry a surcharge. If the fascia name form is not received by the deadline date the company name given on the original exhibition contract will be printed on your fascia board. Any changes made to the fascia name after it has been printed will be subject to an additional charge which the exhibitor will be responsible to pay direct to the contractor.

Smoking is NOT allowed inside at any time.

SPACE ONLY STAND FITTING REGULATIONS Please note: No work is to commence in the halls until approval of the plans has been given in writing. If you have any questions regarding building regulations please contact [email protected]. If you are a Space Only exhibitor you have purchased an area of empty space, therefore no lights and electrics are included. You will need to complete and return the Space Only forms from the Forms Checklist on page 3 of this manual. Please complete the space only form, risk assessment, method statement, Construction Phase Plan and upload images including the dimensions of your stand via the upload buttons on the ‘Space Only’ form.

All space only stand plans will need to be approved by the venue before build can commence onsite. When you have submitted the forms they will be forwarded to the venue for approval and an email of approval will be sent if approval is given. If your stand is deemed a complex structure and a structural engineer is required to assess your plan there maybe additional charge for this service. No work is to commence in the halls until approval of the plans and correct Health & Safety paper work has been given in writing.

The design of the stand must be such that the stand can be erected and dismantled within the time given. No additional hours will be available for late working. The level of complexity needs to be reviewed to make sure the stand can be put up safely in the time set. See the Event Timetable (page 4) in this manual. Max Build Height: 3.5m Please note that as an exhibitor or a stand contractor you have a responsibility to:

• Be aware of their duties, roles and responsibilities • Provide sufficient Pre-construction information to all designers, contractors and sub-contractors • Prepare and document a Construction Plan for all involved in the construction of the stand • Document and communicate the Site Rules and information to all those working on the stand • Exhibitors have a legal responsibility to comply with the CDM Regulations 2015.

SINGLE STOREY STANDS UNDER 3.5M IN HEIGHT

Technical plans, a risk assessment, method statement and a construction phase plan must be submitted

with the Space Only form. They should include the following details:

A plan showing location within the exhibition

A plan view with external dimensions, indicating which sides are open onto gangways, plus the

location of any hall column and its dimension to the nearest stand edge.

Elevation views, indicating clearly the heights of all stand fittings.

Details of all walling, platforms, demonstration areas, exhibits, graphics, etc.

Details of materials and fire protection.

SOLID WALLS: Solid walls along gangway edges are not permitted. Solid walling should either have natural

breaks, see-through glazed panels at least 1m wide or other such features at regular intervals. Stands must

be suitably open so as not to cause offence to neighbouring exhibitors or breech fire regulations.

As a guide at least 60% of your stand should remain open.

Each stand will be assessed individually upon receipt of drawings by QBM & the Venue

TRAVEL DISTANCE: Adequate means of escape must be provided from all stands. The travel distances

from any part of the stand to the gangway must not exceed 15m.

MEANS OF ESCAPE - ENCLOSED AREAS: Alternative means of escape and adequately maintained general

and safety lighting with exit notices illuminated by both primary and secondary lighting systems must be

provided to any enclosed area.

SPACE ONLY STAND NUMBERING: All space only exhibitors must display their company name and stand

number prominently on their stand so that they can be viewed from each approaching gangway. This will

assist visitors in locating their position within the hall and finding the stands they wish to visit.

OBSTRUCTING GANGWAYS: No part of any stand or exhibit, including fascia, signs, banners, rigging,

lighting, corner posts, etc., shall project into or over the gangway or obscure any fire or exit signs.

Organisers reserve the right to remove any such item.

MAINS SUPPLY: Appointed Contractor (see exhibitors manual) is solely responsible for the supply and

connection of natural gas, compressed air, water and waste services. Services will be supplied via under

floor service ducts and must be controlled by mains stop-cock fitted in rigid metal piping and in an

accessible position on your stand.

PLATFORMS: Platforms are not essential but where they are incorporated into the stand design the

following regulations apply.

The general height may not exceed 100mm but areas may be super-elevated for display purposes.

Details of super platforms, above the height of 600mm (24") to which persons have access are

deemed as complex and must be submitted to the Organiser for approval by the Authorities.

Corners should be rounded off and platforms over 38mm should incorporate a ramp into their

design for disabled access to meet the requirements introduced under the Disability Discrimination

Act.

Please see the general information section regarding your responsibilities under the Disability

Discrimination Act.

The flooring must not be less than a nominal 25mm (1") thick and be laid with close joints. Wood,

chipboard or blockboard used for a floor shall be of a minimum thickness of 18mm.

Platforms must be of a strength and stability sufficient to carry and distribute the weight of the

stand fitting, stand personnel, visitors and exhibits having regard to the loading limits of floors.

When laying platforms on your floor space, please pay special attention to the area marked out for your

stand. Failure to build to the marked out area will result in delays to the laying of the gangway carpet, and

any additional costs incurred by the Organiser will be passed back to the relevant exhibitor. Please ensure

your stand contractors are aware of this.

DOORS AND WINDOWS: To avoid accidents, all doors and windows along gangway edges must open

inwards, for meeting room doors these should open in the direction of travel when escaping from an

enclosed space, therefore would need to open outwards. Doors and windows which open outwards should

not exceed beyond the site boundaries and therefore be set back. All doors should be fitted with a vision

panel of clear glazing at sight level (including for wheelchairs) giving a zone of visibility between 500mm

and 1500mm above floor level. Enclosed rooms within stands must be provided with a means of alerting

occupants in the inner room to a fire having started in the access room. Rooms may contain no more than

50 persons at any time and no staircase shall end in an enclosed room. Stands must be lined throughout

with non-combustible fire resisting materials.

COLUMNS: Where columns fall wholly or partially within the area of allocated space, they should be

encased by the exhibitor on all four sides to a minimum height of 2.5m. The casing must be self-supporting

and may not be fastened to the column.

Any Columns which have services or emergency equipment on them will need to be left clear or accessible

by a door or curtain. Approval for enclosing columns with services on will need prior approval from the

venue.

When laying platforms on your floor space, please pay special attention to the area marked out for your

stand. Failure to build to the marked out area will result in delays to the laying of the gangway carpet, and

any additional costs incurred by the Organiser will be passed back to the relevant exhibitor. Please ensure

Construction Phase Plan (CDM 2015)What you need to know as a busy builder

Health and Safety Executive

Under the Construction (Design and Management) Regulations 2015 (CDM 2015) a construction phase plan is required for every construction project. This does not need to be complicated. If you are working for a domestic client, you will be in control of the project if you are the only contractor or the principal contractor. You will be responsible for:n preparing a plan;n organising the work; andn working together with others to ensure health and safety.

You could be a builder, plumber or other tradesman, doing small-scale routine work such as:n installing a kitchen or bathroom;n structural alterations, eg chimney breast removal;n roofing work, including dormer windows;n extension or loft conversion. A simple plan before the work starts is usually enough to show that you have thought about health and safety. If the job will last longer than 500 person days or 30 working days (with more than 20 people working at the same time) it will need to be notified to HSE and it is likely to be too complex for this simple plan format.

The list of essential points below will help you to plan and organise the job, and work together with others involved to make sure that the work is carried out without risks to health and safety. It will also help you to comply with CDM 2015. You can use the blank template on page 2 to record your plan.

PlanMake a note of the key dates, eg:n when you’ll start and finish;n when services will be connected/disconnected;n build stages, such as groundwork or fitout. You will need to find out information from the client about the property, eg: n where the services and isolation points are; n access restriction to the property;n if there is any asbestos present.

Working togetherIt may be useful to record the details of anybody else working on the job, including specialist companies and labourers. Explain how you will communicate with others (eg via a daily update), provide information about the job, coordinate your work with theirs and keep them updated of any changes, eg:n to site rules;n to health and safety information;n what you will do if the plan or materials change or

if there are any delays;n who will be making the key decisions about how

the work is to be done.

n Identify the main dangers on site and how you will control them, eg:

- the need for scaffolding if working at height;- how structures and excavations will be supported

to prevent collapse;- how you will prevent exposure to asbestos and

building dust;

- how you will keep the site safe and secure for your client, their family and members of the public.

n Make sure that there are toilet, washing and rest facilities.

n Name the person responsible for ensuring the job runs safely.

n Explain how supervision will be provided.

Site Rule – Build up and Break Down

It is a condition of entry into the exhibition that EVERY Exhibitor, Contractor, Sub-contractor, Supplier (regardless of country of origin, incorporation or residence) and their agents working for you have read and acknowledged the site rules listed below. By entering the event hall, you are accepting that it is your legal and moral responsibility to ensure the site rules are adhered to by your team, contractors, sub-contractors and suppliers during the event. SITE RULES • EVERYONE must consider the safety of themselves and others at ALL TIMES • Be aware of moving traffic and forklifts – in the loading areas inside and outside the halls • PPE – appropriate PPE (Personal Protective Equipment) must be worn
