. . Quotations in sealed cover are hereby invited from the owners or their authorized agents forprovrdtng 1 (one) no. Scorpio(Mahindra) for use of the Chairman,TRERA, Tripura, Agartala.

Quotation in sealed cover addressed to the Director, Directorate of Urban Development,Govt. of Tripura, P.N.Complex, Gurkhabasti, Agartala should reach to the above address by Speedpost/courier/registered post or may be dropped in tender box on or before 3.00 PM. of 31/07/2020 onall working days. Quotation received after stipulated date & time will be rejected.

On the top of envelop, “Quotation for hiring vehicle for Chairman, TRERA” andQuotationer's full name and address with phone number are to be mentioned. Quotations will beopened on 03/08/2020 at 3.00 PM. Quotationers or their authorized representative may remain presentduring opening of quotations.

The detailed terms and conditions along with prescribed format may be seen atwww.rerg,trigura.gov.in. The interested bidders will quote their rates in the prescribed format. Ratequoted in other format will not be entertained and will be rejected.

Terms and Conditions:-1. The vehicle should be in good plying condition and the year of manufacturing of the vehicle shall

have to be mentioned. it should not be before 2016.

The rate should be quoted for “Per day detention charge and road mileage as per kilometer”both in figures and words. The rate of detention charge & per kilometer run within ceiling limitsas per Finance Department memo No.F.9(5)-FIN(EXPENDITURE-l)-2019 dated 29/11/2017.

3. The rate of over time per hour should be mentioned separately.

The acceptance of the quotation will be at the discretion of the authority based on the lowestrate quoted.

No insurance charge or any other charges including maintenance cost is admissible.

The contract period shall be of 1 (one) year subject to satisfactory services. In case ofsatisfactory service the contract period may be extended further on mutual consent. If theselected bidder during the pendency of the contract period become unable to provide vehicle inexceptional circumstance he/she will have to give at least 15(fifteen) days written notice

intimating his/her inability. If the authority decides to terminate the agreement, a 7(seven) days

The vehicle should have valid Commercial Registration or Commercial Registration to 'be

submitted within 2(two) months from the order, Copies of Tax Clearance Certificate, RGQ'StratiO"Number & valid Insurance and pollution certificate are to be submitted along With the QUOtatIO"othenrvise quotation will be rejected.

Vehicle should be placed for duty within 7(seven) days from the date of issue of the order.

Copy of the “Power of Attorney” in respect of the vehicle should be submitted, if the vehicle isnot owned by the quotatidner himself/herself.

The successful quotationer should make the vehicle available with a driver from 9.00 am to9.00pm. for office duty. Beyond this period overtime may be entertained as per the acceptedquoted rate. In case of emergency the vehicle may be used on holiday(s) also.

The driver should have valid driving license and the concerned driver should maintain a LogBook in respect of the journey undertaken.

The Successful Quotationer will be liable for any kind of loss, damage, breakage etc. of thevehicle and keep the vehicle playable in all occasions and in case the vehicle will be requiredto be withdrawn from service temporarily ,a vehicle of same type should be placed to avoidinterruption of services, failing which the department will hire vehicle and the hiring cost will bededucted from his/her bill.

Payment will be made through Online after submission of GSTlN Bill in duplicate along withrelevant up-to date log book duly signed by the concerned official or Officer.

No enhancement of rates within the validity period of the contract shall be entertained.

An amount of Rs.5,000.00 (Rupees five thousand) only as Earnest Money Deposit (EMD) is tobe submitted in favour of “Nodal Officer,TRERA, Tripura, Agartala in the shape ofDemand Draft (DD) from any Nationalized Bank along with the Quotation, otherwise thequotation will be rejected. If the successful quotationer fails to provide the vehicle within thestipulated period, the earnest money deposited along with the quotation will be forfeited. In theevent of withdrawn of vehicle by the successful bidder within 1(one) year the earnest money willalso be forfeited. However, the amount of earnest money of the successful bidder will bereleased on successful completion of contract period. The earnest money of unsuccessfulbidders will be released after 1((one) month from the date of finalization of quotation.

The Log book should be signed on the day of duty mentioning date, kilometer reading andreporting and departure time. Journey should be certified by the officer who availing of thevehicle for journey mentioning kilometer reading and time of Commencement 8. end of journey.Bill claimed against the journey not duly certified by the concerned official will not be paid.

lnlno circumstances, the vehicle and the driver should be out of Office premises for other thanoffice works without the permission of the authority.

The successful Quotationer shall have to enter into an agreement based on the terms andconditions.

The undersigned reserves the right to cancel or accept any tender without assigning any reason.The successful Quotationer shall have no right to claim any compensation for such cancellation.

(a) The rate quoted by the bidder shall be deemed to be inclusive of the salestax(GST) andother levies, duties, royalties, cess, toll taxes of Central and State Government local bodies andauthorities etc. that the bidder will have to pay for the performance of the contract .The office willperform such duties in regard to the deduction of such taxes at source as per applicable law.

(b) In addition to deduction of income Tax & other such levies, duties, royalties, cess, toll tax andother taxes as would be required to be deducted at source will be deducted from the bills of thebidder (s) at the rates as notified by the Government, from time to time. Any revision oramendment in the tax pattern either State / Central Government or local bodies shall also beapplicable.

. The quotation is for providing 1(one) no. Scorpio(Mahindra)(which may be increased as pernecessity).

22. The duty area of vehicle will be generally within Agartala, But as per requirement it shall berequired to perform its duty in other parts of the state involving night stay ( no additionalcharge for night stay will be permissible).

23. Any change in vehicle or driver will be only allowed in exceptional circumstances that with theprior information of the authority.
