Company Number: 07506829 Wednesday 13 th November 2019 NOTICE IS HEREBY GIVEN to all members of Broadwater Sports Club Limited (Guildford Rugby Club), that in accordance with the Articles of Association: 1. The Annual General Meeting has been called by the Board and will be held for the following purposes: a. to receive from the Board a report of the activities of the Club since the previous annual general meeting; b. to receive from the Board the Club's accounts; c. to appoint the Club's accountants for the coming year; d. to announce the election (as appropriate) of the Chairman, Secretary, President, and the Elected Directors to be appointed in accordance with the Articles; and e. to transact such other business as may be brought before it (including without limitation the appointment of Life Members (in recognition of outstanding contribution or long service to the Club)) 2. This meeting will be held on Monday 9th December 2019 at 8pm at the Clubhouse 3. Please note that you are entitled to appoint a proxy to exercise all or any of your rights to attend, speak and vote at the AGM and a proxy form will be distributed as per the timetable below. A proxy does not need to be a member of the Club but must attend the meeting to represent you. You can only appoint a proxy using the procedures set out in the notes that will be sent out with the proxy form. 4. The principal timescales are as follows; Directors Nomination Forms Available Wednesday 13th November 2019 Financial Reports for YE 2019 will be circulated Date tbd - pending sign off Director Nominations and AOB to be submitted to Club Secretary by Thursday 21st November 2019 5pm Proxy Notices will be issued Friday 22nd November 2019 Completed Proxy notices to be received by Club Secretary by
