What Does NGP Do?

NGP is an online fundraising, compliance, and contact record management database that stores your contacts and allows you to export, search, and report that data. To log into NGP, refer to the link provided in your account welcome email.

Quick Concept NGP as a Filesystem

NGP is designed as a data repository system where you can create contact records

and actions associated with them. Through this linking of information, you can find the answers to complex questions in minutes with searches and reports.

Your NGP database has been customized to fit the needs of your organization by our sales team.

Getting Started

NGP currently supports the following browsers:

✦Internet Explorer 9.0+

If you are using an older version, we recommend that you upgrade your browser to maximize your experience in NGP. You can download any of these browsers by clicking on the above links.

Logging into NGP - Support Center

In order to log into NGP, you must have an NGP VAN ID. The NGP VAN ID is a unique login that can work across multiple NGP VAN products and organizations using the NGP database.

When your organization gains access to NGP, you will receive an email that contains links to create a new NGP VAN ID or to grant access to your existing NGP VAN ID.

You can also create a new NGP VAN ID from the user login page by clicking the large button below the email address and password fields.

Managing Users - Support Center

To add a user, go to the “Manage Users” section under the Admin menu.

Click the “Add Users” link in the upper right hand corner next to the green plus sign.

Enter in your user’s email address, their access expiration date, and their user role. User Roles allow for varying user capabilities. The list of User Roles and the capabilities of each can be found on the next page.

How to Navigate NGP

NGP is divided into sections through the menu bar: Contacts, Fundraising, Engagement, Events, Compliance, and Disbursements. Most of your tasks can be accomplished by accessing one of these top level menu items.

Contact Management is the core feature of NGP. All other features of NGP interface directly to Contact Records

Designations - Support Center

NGP uses the concept of Designations to differentiate between financial entities embodied within your NGP database.

Quick Concept How to think of Designations

Designations are important to differentiate between transactions when multiple committees are represented in your database. For instance, a campaign can have a candidate committee and a PAC; each would have their own designation in NGP.

The Contact Record

Creating a Contact - Support Center

There are three ways to create a Contact Record in NGP.

To create a contact in NGP, in the main menu, hover over “Contacts” and select “Create a Contact” from the dropdown menu. The following page will allow for you to enter an individual or organizational contact.

Individual contacts can be hand entered through the “Create with Quick Entry” form. Quick Entry is designed for quick, repetitive, and limited manual data entry.

Contacts can be imported in bulk through the “Import Contacts” function.

Searching for Contacts - Support Center

There are three ways to search for contacts in NGP.

The “Find a Contact” bar found at the bottom of the screen is a way to quickly access a specific contact.

Quick Find is an abbreviated version of the search.

The most advanced form of search is the “Create Search” function from the dropdown menu. The search page is a powerful tool that allows for searching for contacts that meet a specific criteria.

Viewing the Contact Record - Support Center

Once you are viewing a Contact Record, a variety of data is visible. The General Information section displays information collected on the Contact Record itself while the sidebar on the right displays information about data associated with the Contact Record. The General Information section can be edited by clicking the “Edit” link next to the pencil. You can easily add data, such as Contributions, Pledges, and Disbursements about this Contact Record from this page by clicking on the green plus buttons in the sidebar.

Viewing Individual Sections of the Contact Record

By clicking any of the sections in the right sidebar, you can see the additional data associated with the Contact Record.

Creating Contributions

By clicking on “Contributions” in the right sidebar, you will see the “List of Contributions” (shown on the bottom of the previous page). From this screen, simply click the “Add” link next to the green plus sign.

When entering a Contribution, make sure to enter the appropriate designation, the date received, the amount, the batch (if applicable), and any additional information required by your organization.

Bulk Actions - Support Center

Once you have run a search for a group of contacts with the “Create Search” function under the Contacts menu item, you can apply Bulk Actions to the Contact Records revealed in your search. Bulk Actions allow for Contact Records to be exported or updated as a group. These tools are a fast way to assemble or edit your contacts in preparation for tasks such as mailings, emails, and calltime.

Running Reports - Support Center

Reports allow for you to easily analyze large amounts of data. Simply go to the Reports dropdown in the top right-hand corner of the page.

Most Reports can operate off a set of search results, so you are able to generate a report on a subset of your data. Reports allow for your organization to quickly find out things like how much money has been generated from supporters or if any of your contributors have exceeded the contribution limit.

Reports tend to display more information than regular searches, which only show Contact Records, and can be downloaded and saved outside of your database.

There are eight different types of reports that can be generated.

Activity Reports analyze data from mailings, emails, and calltime.

Call Sheets pull contact information for use during calltime.

Contact Reports pull contact information, as well as contribution totals and notes.

Contribution Reports group individual transactions to analyze contributions.

Data Integrity Reports find contacts with missing employer/occupation information, as well as contacts who may have exceeded the contribution limit for a period and/or cycle.

Disbursement Reports group individual transactions to analyze disbursements.

Pledge Reports display individual pledge records.

Event Reports analyze event data, such as attendance and contributions/ticket sales.

Creating Codes - Support Center

Codes are the primary tracking mechanism used to track the source or origination of the Contact Records or transactions in your NGP database. They are an integral part of searches and reports. Codes allow for your organization to effectively segment Contact Records based on certain criteria.

Quick Concept An Overview of Codes

There are several types of Codes that can be found in the different areas of the Contact Record.

Contact Codes are used to tag Contact Records to display their origination. Contacts can be segmented through the application of specific codes to their Contact Records.

Source Codes are used to tag the origination of specific activities that are related to a Contact Record. Source codes can be applied to both financial transactions and activities.

Codes can be created by going to the Admin menu and then the “Manage Codes” section.

New codes can be created by clicking on the “Create a Contact Code” or the “Create a Source Code” link.
