As Corporate Governance rules and requirements become ever

more stringent, with particular reference to acceptance of emails

as official documentation, the demand for corporate and SMME fax

solutions is increasing. An electronic faxing solution is far more cost

efficient, less time consuming, and significantly more secure than

traditional faxing methods. A user now has the ability to

seamlessly communicate with both email and fax clients

simultaneously, and through the desktop email platform using

normal Internet e-mail on SMTP, attached files are delivered to

traditional fax machines and vice versa.

Specially designed with ISP’s, Corporate, SMME and Customer Care

Centres in mind, this solution can accommodate huge volumes of

incoming faxes to a specific email address and separate individual

outgoing email to fax facilities for any user.

This scalable outsourced electronic faxing solution makes provision

for unlimited users. To achieve this, the necessary hardware

components are deployed and monitored. This implementation

and seamless integration remains at NO COST to Fax2Email users

Easy Implementation and Usage No paperwork, hardware or software is required, resulting in a fast and

hassle-free activation. Faxes can be managed as emails. Store and archive faxes electronically, without the scanning

process.

Efficient and Effective A Fax2Email line is never engaged as we manage and monitor

capacity. If a client’s email server is down, faxes will queue. Faxes remain confidential as they are delivered directly to the

intended recipient.

Anywhere, Anytime Fax2Email numbers are not area code specific. A Fax2Email number will remain the same, even if a user’s

physical address or email address charges. Faxes can be retrieved from any location worldwide where users

have the ability to access their email account.

NGN has revolutionized faxing by providing clients with a simpler, more cost-effective manner to send and receive faxes in a secure environment.

NGN prides itself in providing corporate clients with a Fax Solution that puts the control back where it belongs – in the client’s hands.

In the Telco environment where standard fax machines are utilised the client has minimal control over the faxing process since this is all managed by the local Telco. The only control that clients have is with regards to the actual fax machines that are placed at the client’s offices. The Telco is responsible for maintenance and upgrades of the fax lines and the actual fax delivery process. The only direct control that the client possesses is the ability to manage the actual hardware (i.e. fax machines).

SELF-MANAGEMENT ADMIN TOOL

When utilising Fax2Email, clients are provided with the following rights to manage the fax process:

Clients have the ability to view live fax reports that give detailed information on all fax traffic.

Clients have the ability to resend faxes.

Clients have the ability to assign unique fax numbers to any employee without having to install a new fax line.

Clients have the ability to reassign Fax2Email numbers as deemed necessary.

Clients have the ability to attach more than one recipient to any given Fax2Email number without having to purchase any additional hardware.

Clients automatically receive delivery notifications when sending faxes.

STEP-BY-STEP RECEIVING A FAX

A fax is sent to a Fax2Email number.

The fax is received on the Fax Platform and automatically converted to an email and sent to the recipient’s email address.

The recipient receives the fax in their email inbox as an email attachment.

The digital fax can now be saved, printed or forwarded.

WHAT IS EMAIL2FAX?

Users can register to send faxes via their computer. Email2Fax allows users to send faxes as an email attachment to a fax number anywhere in the world. Per Minute Rates apply when sending faxes. No additional hardware or software installation is required.

STEP-BY-STEP SENDING A FAX

A fax is sent via email by addressing the email to a recipient’s fax number @ domain.

The document to be faxed needs to be attached to the email.

The email is received on the Fax Platform and automatically converted to a standard fax and sent to the recipient’s fax machine.

The fax arrives at the recipient’s fax machine.

CHARGES

The costs pertained to the NGN services only Apply to Outbound faxing which can only be approved and agreed between NGN and the customer.

Inbound faxes are received by Customer free of any cost to Customer.

Outbound faxes are least cost routed and charged as per the rate sheet herein.

SECURITY AND REDUNDANCY OF THE FAX PLATFORM

Security for fax transmissions is of the highest priority for fax users as faxes often contain confidential and sensitive information. With this in mind, our Company developed the fax system with the highest level of security possible.

All faxes are sent to our system over a phone/fax line in the same way that a standard fax is received via a phone line. All faxes are encrypted with a standard fax encryption. Once a fax arrives at the fax server it is protected from outside hackers by a high-end firewall blocking intruders and hackers from accessing the system. This firewall also prevents potential viruses from entering the system. Our fax servers also employ Network Address Translation adding an extra level of security.

The security level is of such a nature that the administrators of the Fax2Email system cannot even view the content of these faxes. The fax system is backed up daily with a structured “fallback” and “rollback” plan for recovery. Special considerations have been made on system fault resolution to ensure that completed successful fax receptions are delivered to its appropriate destination. Servers are stored in a controlled environment with respect to temperature, humidity, power fluctuations and outages, etc.

The Fax2Email servers are all connected with a shared database infrastructure. This means if one server goes down, the others keep on going where the previous server left off, thus having a guarantee of no faxes getting lost.

All Internet fax transmissions from fax server to fax server on the fax network are encrypted with 128 bit Secure Socket Layer (SSL) across the globe. Additionally, our Company utilizes a proprietary protocol for the passing of faxes across the network. SSL, in combination with proprietary protocol, ensures an unmatched secure transmission of faxes over the Internet. Users of our system can rightfully feel that their faxes are secure over the fax network.

The WANFax solution has been specially designed with Corporate, SMME and Customer Care Centres in mind, this facility can accommodate huge volumes of incoming faxes to a specific address and separate individual outgoing email to fax facilities for any user. Enterprises can now consolidate their voice, data applications and fax traffic on a single network resulting in a cost savings and a productivity benefit.

THE WANFAX SOLUTION

A unique Fax2Email number is linked to every user’s email address and the fax is delivered to the users email address as a TIFF or PDF attachment.

No setup is required on the user side and the administrator will have full control of adding and administration of users as well as detailed granular reporting functionality by means of a web front end.

Users are allocated a personal fax number via our web-based system and automatically sent an email informing them of their new 086 number. Once loaded, numbers are immediately active for receiving.

Routing of your internal faxes over your IP network in real time The ability to link all Multi-Functional Printers (MFP’s) to the fax

solution The opportunity to connect all standalone fax devices to the fax

solution Complete fail over solution. Should the corporate mail network be off

line for any reason, the servers will queue the faxes and deliver them once the mail network is up. Should an entire network be offline, all fax traffic can be redirected to an alternate office reducing the risk of losing faxes.

THE OPTIONS

Option 1:

A single NGNFax server is installed at the head office. Inter-branch faxing occurs over the Company WAN

(Wide Area Network). Each user and Multi-function printer on the network

will utilise the fax server to send and receive faxes. Faxes to or from an external source (users on the local

telco) to the organisation will be routed via PRI or a SIP channel directly to the fax server.

Option 2:

NGNFax servers are installed at all branches including head office.

Inter-branch faxing occurs over the company WAN (Wide Area Network).

Each user and Multi-function printer on the network will utilise the fax server to send and receive faxes.

Faxes To or From an external source (users on the local telco) to the organisation will be routed via PRI or a SIP channel to respective fax server.

Option 3:

NGNFax servers are installed at all branches including head office. These servers are linked to the NGN Core via a secure channel over the internet.

Inter-branch faxing occurs over the company WAN (Wide Area Network).

Each user and Multi-function printer on the network will utilise the fax server to send and receive faxes.

Faxes To or From an external source (users on the local telco) to the organisation will be routed via secure to the NGN core network. The NGN core network will route the fax to the end user.

A unique Fax2Email number is linked to every user’s e-mail address and all users can be loaded simultaneous in a single batch. Users can be added and their profiles edited at anytime from anywhere via a web login.

handle large volumes of incoming calls.

ADVANTAGES OF USING IVR

The IVR solution can be used in conjunction with all telephone networks and PABX switches.

Our IVR Solution will also assist you in your service delivery to your clients, i.e.:

Your services become available 24 hours a day, 7 days a week Screening customers’ needs, and routing them to the

appropriate channel, i.e. either to an automated voice response or to an operator.

Reducing queues of calls, by dealing with simpler queries via pre-recorded voice and freeing up your operators to deal with more complicated queries.

SERVICES

Using our IVR Platform, NGN Telecoms has deployed IVR applications specifically designed for Radio and Television Promotions.

These include:

Live Call ManagementThis allows for 480 calls to be accepted simultaneously, however, only a predetermined amount of calls will be diverted to the studio at one time. This prevents congestion and allows for callers to be offered other services and functionality while holding for the studio.

Text-to-speechEnables the IVR to synthesize and “read” text to the caller.

Dynamic Menu’sThis allows you, the client, to change menu options on the IVR Application without additional programming changes.

Automatic Sound Clip UploadsSound clips can be automatically uploaded and/or changed on scheduled or ad hoc basis by you, the client.

Sound RecordingsOur system uses advanced algorithms and compression techniques which allows you to play voice recordings from the IVR application on air or on television without the need for time consuming manipulation.

Database IntegrationOur IVR infrastructure encompasses an Internet Service Provider, which allows for callers’ information to be stored to databases. This also supports easy reporting.

We have customized our IVR applications to support other exciting promotions, these include:

VotingThis system can use either multiple phone-in lines (e.g. TrafficNet) or one line with multiple menu options (e.g. Highveld Stereo’s Momentum 94.7 Cycle Challenge, 702 Brain Competition and 702 Walk the Talk), which allows the caller to cast their vote.

Dedications and RequestsCallers leave their dedications and/or requests on the IVR line, these recordings can also be further categorized using menu options, i.e. Anniversary wishes, Christmas wishes, etc.

Transactional MessagesThis is typically used to collect information from the caller. The caller will be prompted to leave information such as, name and address and/or ID number, i.e. as if completing an entry form.

Caller Filtering SystemsCallers are prompted to enter information, using their telephone keypads, by an interactive menu. Callers are then filtered according to their key presses.

Information ApplicationsThis application allows callers to listen to information that has been pre-recorded, i.e. news/information/competition rules/company information/services/products.

Auction ApplicationsCallers use the IVR line to bid for the selected item/s, by entering their bid using the telephone keypad. This application can be adapted for either traditional auctions or reverse auction. The application is able to verify to the caller whether they have the highest/lowest bid.

DIRECT CONNECT (DICON)

WHAT IS DICON?

A dicon is when we convert your Telkom issued

number into a revenue generating number by

issuing you with an 086 number without any

hardware changes. The new number can be

used instantly, and there will be no need to

change this number should the nomal Telkom

number change; we can simply re-route the

number at any given time.

Typical applications which NGN Telecoms would like to implement include:

Fax-to-email Call centres

DICON - (derived from the term “direct connect”) - is a revenue sharing telephone number (086, 082 or 083) that can be directed to an existing (non-revenue sharing) Telkom telephone number.

For example, many call centres still use normal Telkom telephone numbers e.g. the 20Twenty call centre in Cape Town is normally reached on 021 481 8200.

A dicon could be assigned so that a caller could dial either the revenue sharing dicon number (086,082 or 083) or the Telkom (021) number.

Both calls will be answered by the call centre in exactly the same manner, nothing extra is needed for this operation.

In essence, we are just calling the call centre by a different “name” (in this case either 021 or 086).

The call centre will answer calls to 021 or the new 086 dicon number.

From a revenue perspective, both NGN Telecoms and the client (where the dicon is routed to) will benefit if this client advertises the revenue share number AND callers phone the revenue share number.

CALL CHARGES

For the 086 72 77 ### range callers are charged at R1.36

per minute or part thereof inclusive of VAT.

The following with a pre recorded Telkom message

stating the charge.

For the 086 75 77 ### range callers are charged at R1.90

per minute or part thereof inclusive of VAT.

For the 086 74 77 ### range callers are charged at R3.67

per minute or part thereof inclusive of VAT.

For the 086 73 77 ### range callers are charged at R2.90

per minute or part thereof inclusive of VAT.

No revenue is generated if the call originates in the

Cellular Networks.

We can also offer Vodacom numbers starting with 082

239 4### and MTN numbers starting with 083 916 0###

charged at cellular rates, with peak and off-peak.

Telkom numbers can be setup immediately.

Mobile numbers will take 7 - 14 working days from

request to route.

On mobile numbers we do receIve revenue from

international calls.

These numbers will only change the manner of billing to

the caller and will not affect any current setup.

From this charge, revenue is generated which in turn can

be shared with you the business partner.

There will be no set up fee for a DICON line.

SMS SHORT CODE

WHAT ARE SMS SHORT CODES?

Short codes (also known as short numbers) are

special telephone numbers, significantly

shorter than full telephone numbers, that can

be used to address SMS and MMS messages

from certain service providers’ mobile phones

or fixed phones. There are two types of short

codes: dialing and messaging. The equivalent

for voice calls is known as abbreviated dialing.

Short codes are designed to be easier to read and remember than normal telephone numbers. Like telephone numbers, short codes are unique to each operator at the technological level. Even so, providers generally have agreements to avoid overlaps.

Short codes are widely used for value-added services such as television program voting, ordering ringtones, charity donations and mobile services. Messages sent to a short code can be billed at a higher rate than a standard SMS and may even subscribe a customer to a recurring monthly service that will be added to the customer's mobile phone bill until the user texts, for example, the word "STOP" to terminate the service.

WHY CHOOSE SMS SHORT CODES?

payment per annum (inclusive of VAT), which

includes:

you go pre-paid structure, comprehensive

A Dedicated Number, which includes all of

the above, PLUS R 570 per month (inclusive
