Please note that for the issuance of badges a photograph clearly showing the face (e.g. passport type) is required. 5. Participants can obtain the meeting badges at the Diamond-1 Room (Indonesia Secretariat Office), 3rd floor, Fairmont Jakarta, on Sunday 18 October 2015 between 1300-1800 hours; and at the Registration Counter, in front of the Grand Ballroom, Fairmont Jakarta, on Monday 19 October 2015 between 0800-0850 hours. Only the names of participants duly registered will be included in the list of participants. For identification, all participants are requested to wear the meeting badges at all times during the meeting and at social functions. Immigration requirements 6. Participants should obtain appropriate entry visas to Indonesia from Indonesian diplomatic or consular mission at their point of origin or en route to Indonesia (see table of visa). Passport must be valid for at least 6 months from the date of arrival and have a valid return or an onwards journey ticket at the time of arrival. The immigration officer at the port of entry may ask the passenger to produce any necessary documents (such as hotel reservation and proof of finance).

Notes:

1 Visa facilitation through Indonesian Embassy/Consulate in each country or Visa on Arrival (VoA) processed upon arrival at the Soekarno-Hatta International Airport or at any Indonesia’s International Airport.

2 Visa facilitation through the accredited Indonesian Embassy/Consulate or conditional Visa on Arrival application to the Government of the Republic of Indonesia. Should the participants wish to apply conditional Visa on Arrival, Delegation Contact Point (DCP) representing the countries must submit an official note to the APUF Secretariat ([email protected]). The official note has to include detailed and complete information on individual delegate’s full name, nationality, passport number and passport’s date of validity, in order to be eligible of this conditional arrangement. A Letter of Guarantee (LOG) will subsequently be provided confirming this conditional Visa on Arrival arrangement. For this conditional arrangement, DCPs are advised to submit application as early as possible at least 3 weeks prior to the intended date of entry.

3 Visa facilitation through conditional Visa on Arrival to the Government of the Republic of Indonesia (please refer the explanation above) and Calling Visa for the regular passport holders.

The information provided is accurate as of the date of issuance of this note. All participants are advised to consult with the accredited Indonesian Embassy/Consulate in their respective country regarding the latest applicable immigration requirement prior to their departure.

Weather 7. The weather in Jakarta is warm and humid during the October month. Light tropical clothing will be appropriate. The conference room where the meeting is to be held is air-conditioned and the temperature is maintained in the range of 23-24 degrees Celsius (72-73 degrees Fahrenheit). Currency export and foreign exchange 8. Any person who brings or takes an aggregate amount of foreign currency exceeding IDR 100,000,000.- (USD 7,152) or its equivalent into or out of Indonesia shall declare the amount of foreign currency to a Customs Official. 9. Currency exchange facilities are available at the Front Desk/ Cashier Counter of Fairmont Jakarta. It is open everyday from 0830 to 1700 hours, with no lunch break. There are also some bank counters at Plaza Senayan, next to Fairmont Jakarta, which open from 1000 to 2000 hours. According to current exchange rates, USD 1.00 is approximately equivalent to IDR 13,983 (as of September 2015). Secretariat contact details 10. Arrival at the airport 12. Participants should make their own transportation arrangements from Jakarta International Airport (Soekarno-Hatta) to their respective hotels. Limousine and taxi are readily available at the airport. Detailed information about Jakarta International Airport (Soekarno-Hatta) can be found at http://www.jakartaairportonline.com/. There are shuttle bus from Soekarno Hatta International Airport to Block M (the closet terminal from the Senayan area), named DAMRI. It costs IDR. 40.000. From Block M area, it will take about 10 minutes to the venue by taxi. Local transportation 13. Participants staying at the Century Park Hotel as well as Harris Hotel FX can walk about 10 minutes to Fairmont Jakarta, while participants staying elsewhere must make their own transport arrangements in order to attend the meeting. Working Language of the Meeting 14. The meeting will be conducted in English and all documentation will be in English. Interpretation into Bahasa Indonesia will be available for plenary sessions. Internet services 15. Free wireless Internet access is available in the meeting rooms and public areas of the convention center (1st, 2nd, and 3rd floor) Catering services 16. The Government of Indonesia will provide lunch and coffee breaks for all participants during the event, to be served in front of the meeting rooms. Daily subsistence allowance (only if applicable) 17. Participants whose travel is sponsored by ESCAP will be provided with a daily subsistence allowance (DSA) at prevailing United Nations. In order to facilitate the payment of subsistence allowance, eligible participants are requested to submit copies of tickets and boarding pass to the secretariat staff in Business Centre Room I (ESCAP Secretariat Office). The current DSA rate for Jakarta, Indonesia, is USD 160 per day. 18. Any participants who are unable to stay for the duration of the meeting are requested to inform the Secretariat as soon as possible after arrival, so that the subsistence allowance can be adjusted accordingly. Travel and administrative arrangements (only if applicable) 19. In those cases where the participation costs are borne by the ESCAP secretariat, the secretariat will provide only travel and DSA as expressed and will not assume responsibility for any other expenditures, including the following:

(i) All expenses in the home country incidental to travel abroad, including expenditure for visa, medical examination, inoculations and other such miscellaneous items and internal travel to and from the airport of arrival and departure in the home country;

(ii) Salary and related allowances for the participants during the period of the

meeting;

(iii) Costs incurred by participants in respect of travel insurance, accident insurance, medical bills or hospitalization fees in connection with attending the meeting;

(iv) Compensation in the event of death or disability of participants in connection

with attending the meeting;

(v) Any loss of or damage to personal property of participants while attending the meeting or losses or damages claimed by third parties as a result of any negligence on the part of the participants;

(vi) Any other expenses of a personal nature, not directly related to the purpose of the

meeting. 20. For participants whose travel is sponsored by ESCAP, our travel agent will be authorized to issue the least cost economy round-trip air ticket (home country/Jakarta/home country) to arrive in Jakarta as far as possible on 18 October and depart on 22 October 2015, as far as possible. Local time 21. Standard time of Jakarta is GMT/UTC plus 7 hours.
