Introduction What’s New in this Release?

The 2012.01 release contains compliance updates for the 2012–2013 payroll year.

This release not only contains new features and tax changes, it also includes the PAYG tax scales you need for the 2012–2013 payroll year. You will need to upgrade to this release before you record pays in the 2012–2013 payroll year.

This release also introduces changes to supported operating systems—see “Changes to Supported Platforms” on page 12 for details.

The purpose of this document is to provide essential information on the installation and use of this release:

• The Installation section provides an overview of the installation process, including pre-installation requirements and post installation steps.

• The New Features section describes all new features introduced in this release. • The Known Issues section details any issues in this release that have been

identified as requiring attention. • The Summary of Changes section provides a quick overview of the major

changes in this release, and the actions that must be taken to implement them.

Installation Pre-Install Requirements System Requirements

Minimum system requirements for PCs running MYOB EXO Employer Services components are detailed below. The performance of the MYOB EXO Employer Services system is not assured if these requirements are not met. Similarly, performance cannot be assured if the EXO Employer Services system is installed on a PC that is already under load from other processes.

Note: See the Minimum System Requirements document, available on the MYOB website, for full details on requirements and supported operating systems.

Workstation requirements Any PC running the MYOB EXO Employer Services application modules should meet the following minimum requirements:

• Windows® Server 2008, Windows Vista or Windows 7 • Intel Pentium® 4 1.3GHz processor (or equivalent) • 1GB RAM • At least 2GB of available hard disk space • DVD-ROM drive • 16-bit colour, 1024×768 screen resolution

Note: MYOB EXO Employer Services supports 32-bit and 64-bit editions of Windows 7. On 64-bit systems, EXO Employer Services uses the WOW64 emulator, which allows 32-bit Windows-based applications to run seamlessly on 64-bit Windows systems. See Microsoft’s website for details.

Other Requirements Certain features of MYOB EXO Employer Services require one or more of the following:

• Internet access • TCP/IP networking • Serial port (required for some features in EXO Time and Attendance) • Microsoft Internet Explorer 7.0 or later • Adobe® Acrobat Reader 7.0 or later

Supported Web Browsers for MyStaffInfo The MYOB MyStaffInfo website supports the following web browsers:

• Microsoft Windows Internet Explorer 8 and above • Mozilla Firefox 3.0 and above • Safari 3.0 and above • Google Chrome 1.0 and above • Opera 9.0 or above

Installing MYOB EXO Employer Services Before Upgrading

Before installing this upgrade:

• Ensure that there are no open pays within the system (either Current Pays or One Off Pays).

• Ensure that all users have closed their MYOB EXO Employer Services applications.

• Ensure that you are running the upgrade under a Windows account that has administrative privileges.

If you have multiple PCs set up to run MYOB EXO Employer Services across a network, see “Network Setup“ (page 9) for networking upgrade considerations.

Upgrading MYOB EXO Employer Services Online Follow these steps to upgrade an existing installation of MYOB EXO Employer Services from within the application using the Upgrade Software Online function.

Before installing this upgrade, ensure that all users have closed their MYOB EXO Employer Services applications.

To perform the installation: 1. Close all programs running on the computer on which you are installing this

upgrade. Open your MYOB EXO Employer Services application. Log into any one of your payroll companies.

2. Go to the Help menu and select Upgrade Software Online.

3. The Employer Services Update wizard checks for updates, and displays the

Update Available window for this release. Click Next.

4. Follow through the steps in the upgrade wizard, clicking Next when prompted to move to the next window. Note that while the upgrade process only downloads the changed and new files required for this upgrade, the download may still take several minutes to install.

5. When the upgrade is complete, click Finish. MYOB EXO Employer Services is launched, and the Upgrade Software window is displayed.

6. Use the arrow buttons to move companies between the “WILL be backed up”

and “will NOT be backed up” lists. During the upgrade, a backup will be made for each of the companies listed on the right of the screen.

Note: If you did not take a backup before starting the upgrade process, we strongly recommend that you select all payroll companies for backup.

7. Click Upgrade Now. If you chose to back up your companies, the backup will be performed before that company’s data is upgraded. As each company is upgraded, you will see the names of the files being upgraded in the top right hand corner of your screen. Do not interrupt this process. It may take several minutes.

8. You may be prompted to “Convert 3.0 resource file to 6.0 format”. Click Yes.

9. Once the upgrade process has finished, you will be returned to the company selection window. You can now continue using the software in the normal way.

Upgrading MYOB EXO Employer Services Manually If you are unable to download the update using the Upgrade Software Online function, visit the MYOB Enterprise Knowledgebase to download the installer executable, Austupgrades.exe, manually. Contact MYOB Support if you require further assistance.

Once you have downloaded this file:

1. Close all programs running on the computer on which you are installing this upgrade.

2. Start the upgrade wizard. To do this, either:

• Double-click on the Upgrades.exe file, or

• Open MYOB EXO Employer Services and select Upgrade Software from the Help menu. Browse to the location of the Upgrades.exe file and click OK.

3. The upgrade wizard opens. Click Next on the Welcome screen.

4. Select the location of your MYOB EXO Employer Services install, then click Next.

Note: When upgrading, make sure to install the upgrade into the existing install location. This location is displayed on the About window in MYOB EXO Employer Services—check the Installed in field. Alternatively, right-click on the MYOB EXO Employer Services icon on your desktop, select Properties and check the Target field to see where the application is installed.

5. Select the MYOB EXO Employer Services components you are licensed for, then click Next.

6. Specify where the MYOB EXO Employer Services shortcuts should be located in the Windows Start menu, then click Next.

7. The installation is ready to begin. Review the details and click Next to proceed.

If you need to change any details, click Back to return to the previous screen and change your selections.

8. The installation progress is displayed.

9. Once the installation is complete, click Finish to close the installation wizard.

10. Open MYOB EXO Employer Services. The Upgrade Software window is displayed.

Network Setup If you have other workstations set up to run MYOB EXO Employer Services across a network, the system will check to see if the necessary support files are in place and if the version number is up to date. If the system needs these files to be updated then the install program will run automatically. You no longer need to run the Network.exe program manually to install the support files.

If you are installing to a network location, either onto a Windows 2008/Vista/ Windows 7 server or onto a Terminal Services/Citrix server, you must be logged in to the network or computer as a user with administrator rights. If you are unsure, contact your IT administrator.

You will also need to know the location of your current installation on your network. If you are unsure, go to the Help menu and choose About. The location of your installation is displayed near the bottom of the About window.

Terminal Servers When installing MYOB EXO Employer Services on Terminal Services/Citrix Server, you must run the installer from the Add or Remove Programs window, as follows:

1. Insert the MYOB CD. (If you are not using a CD, copy the installer/upgrader executable to the Terminal Server.)

2. From the Windows Start Menu, select Control Panel > Add or Remove Programs.

3. Click Add New Programs.

4. Click CD or Floppy.

5. The Install Program From Floppy Disk or CD-ROM wizard starts. Click Next.

6. Click Browse to locate the installer/upgrade executable, which will be called Setup.exe, Upgrades.exe or Austupgrades.exe. If installing from a CD, it should automatically locate it. When clicking Browse, you may need to change the Files of type from “Setup Programs” to “Programs”.

7. Once the installation is complete, click Finish to close the wizard.

Note: When upgrading a Terminal Services/Citrix server, it is possible to use the Upgrade Software Online function to upgrade the installation. However, after the upgrade is complete, Network.exe must be run from the Add or Remove Programs window to complete the upgrade.

New Features Changes to Supported Platforms

As part of our ongoing program of keeping the MYOB Enterprise Solutions Compatible Environment Roadmap up to date, MYOB has identified several products that Microsoft has ceased Mainstream Support for. As of this release, MYOB is discontinuing support for these products.

MYOB recommends that clients who are using any of the products discussed below should upgrade to platforms that are supported by MYOB.

Operating System Support The following changes to operating system support come into effect as of the release of MYOB EXO Employer Services 2012.01:

• Windows XP is no longer supported as an EXO Employer Services operating system.

• Windows Server 2003 is no longer supported as an EXO Employer Services operating system.

Changes to Tax Scales This release includes the PAYG tax scales for the 2012–2013 payroll year. MYOB EXO Payroll automatically applies the new PAYG rates and thresholds.

Horticultural and Shearer Tax Scales From 1 July 2012, the Horticultural and Shearer tax scales are being merged. This has no effect on employees’ tax scales in MYOB EXO Payroll—the Horticultural and Shearer scales are still listed separately on the Employee Maintenance screen (although in practice they have the same tax rates).

Changes to HELP and SFSS The following Higher Education Loan Programme (HELP) income thresholds and repayment rates are automatically applied for the 2012–2013 payroll year:

Removal of Flood and Reconstruction Levy The Australian Federal government introduced a flood levy to assist affected communities recover from the recent floods and rebuild essential infrastructure. This levy applied to the 2011–2012 financial year only. MYOB EXO Payroll does not withhold the Flood Levy from pays with a physical pay date for 1 July 2012 or later.

The Flood Levy setting is still available in the Employee Maintenance screen, so that it can be used if 2011–2012 pays need to be generated; the calculations will be ignored for all pays where the physical pay date is on or after 1 July 2012.

The Flood Levy Applied option on the Employee defaults section of the Setup Payroll window is also highlighted as applying to the 2011–2012 year only:

As in previous versions, the Flood Levy option on the PAYG Calculator is only available when the Calculate As At date is within the 2011–2012 financial year; therefore the field will not be available after 1 July 2012. Similarly, the ETP Flood Levy field on the Termination Wizard does not appear when the date of payment is on or after 1 July 2012.

Changes to Leave Loading

Overview of Changes There will no longer be a separate withholding tax scale for employees who are entitled to leave loading. Those employees will no longer have higher withholding from every pay during their time at work; instead they will now be taxed more accurately when the leave loading is paid.

Where payments of leave loading are undertaken when leave is being taken, then the leave loading payment is added to the rest of the employee’s earnings for the period and the amount to withhold is calculated at the employee’s tax scale.

Where employers and employees agree to cash-out annual leave, and as such a lump sum leave loading payment will be provided, the amount to withhold will be based on the new Tax table for back payments, commissions, bonuses and similar payments (NAT 3348)—see “Changes to Withholding Calculation on Allowances” on page 18 for more information on this tax calculation.

Impact on the System These changes have resulted in a number of changes to Leave Loading settings in EXO Payroll, which are detailed below.

Note: For employees who had Leave Loading settings enabled for the 2011–2012 financial year, the system will automatically use the applicable tax scale for the 2012–2013 tax year.

Prior to this release, the Leave Loading property on the Employee Details tab of the Employee Maintenance window performed two functions:

• It affected the tax scale that applied to the employee. • It indicated whether or not the employee was eligible for Leave Loading.

As of EXO Employer Services 2012.01, this property only performs these functions for pays in the 2011—2012 financial year, i.e. for pays where the physical pay date is 30 June 2012 or earlier. From 1 July 2012, this setting does not apply:

• As leave loading is no longer included in tax scales, the setting does not affect the employee’s tax scale.

• Whether or not the employee is eligible for Leave Loading is determined by the new Entitled to Leave Loading at property on the Leave Entitlements tab:

This property specifies whether or not the employee is eligible for Leave Loading, and allows you to specify the Leave Loading percentage.

Note: As Leave Loading is no longer part of tax scales, the leave loading tax free threshold no longer applies. The Claim leave loading tax free threshold property on this tab does not apply for pays where the physical pay date is on or after 1 July 2012.

The Leave Loading employee defaults on the Setup Payroll window have been updated accordingly. The Leave Loading property has been removed and replaced with an Entitled to Leave Loading at property:

As the tax free threshold for leave loading no longer applies, the Leave loading tax-free threshold property on the Leave management setup section is now valid for pays prior to the 2012–2013 financial year; from 1 July 2012, it is not used.

In addition to these changes, the Leave Loading option on the PAYG Calculator is now only available when the Calculate As At date is prior to 1 July 2012.

The Annual Leave section of the Leave Management screen has been redesigned to show Leave Loading amounts more clearly when paying Annual Leave:

Changes to Withholding Calculation on Allowances A new calculation method for calculating withholding on back payments, lump sum arrears, bonus and similar payments, commissions and other additional payments has been released. MYOB EXO Payroll has been updated to support this new requirement.

Note: The ATO specified two calculation methods, either of which may be used to calculate the withholding amount on these payments. MYOB EXO Payroll uses Method B, as it makes it easier to reconcile manual and system calculations, reducing any confusion that users may have when determining the correct withholding amount. Method B calculates withholding by apportioning additional payments made in the current pay period over the number of pay periods in a year, and applying that average amount to the gross earnings in the current pay period. See the ATO document “Tax table for back payments, commissions, bonuses and similar payments (NAT 3348)” for more information.

Changes have been made to the Allowance Maintenance window:

Some of the Type options have been renamed to match the ATO’s terminology:

• The “Bonus” option is now “Bonus & commissions & similar payments”. A bonus is usually made to an employee in recognition of performance or services and may be calculated as a percentage of the proceeds from a particular business transaction. These payments may not necessarily be related to a particular period of work.

Commissions are typically payments made as recognition of performance or service, and may be calculated as a percentage of the proceeds from a particular transaction or series of transactions.

A payment will be treated as similar to a bonus if it is an amount of a one-off nature which does not relate to work performed in a particular period. Examples include a once only payment made to an employee as compensation for a changed work location, an amount paid as a sign-on bonus to a worker entering a workplace agreement or a one-off allowance.

• The “Back Pay” type is now “Back payment and lump sum arrears”. A back payment or lump sum arrears is a retrospective payment made to an employee, which is determined on the difference between what an employee

was paid and the amount he or she should have been paid. Payments could be related if the employee was not paid in full for hours work or for overtime, and could also include the applying of a pay rise to previous periods.

• The “One Off/Irregular Bonus” type is now “Other additional payments”. These are one-off payments that are unlikely to occur again or do not specifically relate to a particular pay period.

New fields appear in the bottom section of the window for the “Back payment and lump sum arrears”, “Bonus & commissions & similar payments” and “Other additional payments” options:

The Additional payment relates to property specifies whether the payment relates to a single pay period or a number of pay periods.

The Determine gross earnings from property is available when the Additional payment relates to property is set to “a number of pay periods”. It specifies how the gross earnings should be calculated for taxation. Choose from:

• this pay – gross earnings are determined from the gross earnings (salary/wages, taxable allowances, additional payments) in the Current or One Off Pay.

• average gross taxable YTD – gross earnings are determined by averaging the gross taxable earning for the financial year to date over the number of pays received.

Note: These properties default to “a number of pay periods” and “this pay” for new Allowances and for existing Allowances following an upgrade to EXO Employer Services 2012.01. After upgrading, review your existing Allowances to ensure that these properties are set appropriately for each Allowance.

When entering Allowances in a Standard, Current or One Off pay, new fields are available:

The new fields are available for Current and One Off Pays where the physical pay date is 1 July 2012 or later. They appear in the Standard Pay when your computer’s system date is 1 July 2012 or later.

Note: Prior to this release, the Date From and Date To fields on the Allowances window (which are available for “Back payment and lump sum arrears” Allowances only) had effects on the PAYG calculation for the Allowance and on how it was reported on Payment Summaries. This has changed; for pays where the physical pay date is 1 July 2012 or later, these fields affect reporting only. The new calculation method does not use these fields.

Changes to Child Support Deductions From 1 January 2012, the Child Support Protected Earnings Amount (PEA) changed as follows:

MYOB EXO Payroll does not update these amounts automatically; you must configure them on the Deductions Maintenance window for each Child Support Deduction (if you have not done so already):

The PEA amounts must be updated as shown for the first pay after 1 January 2012.

Superannuation Guarantee Changes Maximum Super Contribution Base

For employers who enforce the maximum earnings base for super guarantee contributions, the maximum super base quarterly amount has increased to $45,750 for the 2012–13 financial year. Update the Maximum Earnings Base property to this amount on the Superannuation Maintenance window for all superannuation types.

Payslip Reporting This release gives employers the ability to report an “expected payment on or before” date for Superannuation Guarantee (SG) contributions on employees’ payslips.

MYOB EXO Payroll now requires entry of an SG Expected Payment Date when creating Current and One-Off pays:

This date cannot be earlier than the Physical Payment Date, and cannot be later than the Superannuation Guarantee cut-off date for the current quarter. The cut-off dates for each quarter are:

The default value for the SG Expected Payment Date field is set in the Superannuation section of the Setup Payroll window:

Two options are available:

• The expected payment date defaults to the cut-off date for the current period (see the table above for cut-off dates).

• The expected payment date defaults to a set number of days after the Physical Payment Date.

Note: In an upgrade to MYOB EXO Employer Services 2012.01, any open pays will be updated with the default expected payment date.

For each pay, the specified expected payment date is displayed on all employees’ payslips:

Fold Lines on Payment Summaries Small changes have been made to the format of the Business and Personal Services, Employment Termination Payment and Individual Non-Business payment summaries to make them better suited for sending by mail. Small fold lines show where the printed summaries should be folded to fit into an envelope, and the address details have been positioned so that they will be visible when the report is posted inside a windowed envelope.

These changes affect both the “Window Facing” and “Z-Fold” versions of these payment summaries.

Note: While all affected payment summaries display the top pair of fold marks, some do not have the second pair, as their formatting means that there isn’t enough room to display them.

Improved Document Management This release includes updated to the document management features of EXO Employee Information, making them more flexible and easier to use. The document management features have also been extended to candidates (where previously they were only available for employees).

Updated Documents Tab The Documents tab on the Employee Maintenance window has been reworked:

1. Documents are now listed in a grid. The grid can be sorted by clicking on the

column headers, and rows and columns can be resized. 2. Documents can now be classified into categories. A document’s category is

specified when creating the document (see page 27). 3. For external documents that have been attached to the employee or candidate,

the document’s file name is now displayed on the Documents tab. 4. The date when each document was last modified is now displayed on the

Documents tab. 5. It is now possible to right-click on a document and select the Edit document

properties option to edit the document’s Name, Category or Description (see page 28).

6. The Add button is now a dropdown, providing easier access to the various options for adding new documents (see page 27).

Adding Documents The Add button on the Documents tab is now a dropdown, where all options for adding documents can be accessed:

Selecting Create Document opens a window where the document’s properties can be entered:

Only a name is required; the other fields are optional.

Note: The Category property is an edit field where a new category can be entered; once entered, the category is available from the dropdown at the end of the field, so it can be reused for other documents.

Once the properties have been entered, clicking Continue opens EXO Employee Information’s built-in word processing interface, where the new document can be edited and saved.

Selecting Attach File opens a browse window where the new document is selected. Once the document is selected, the properties window appears, so the newly attached document can be given a name, category and description.

Selecting Create from Template opens a window displaying all Document Templates that have been set up in the EXO Employee Information system:

After selecting a template, the properties window appears, as with the other methods of adding documents, so the new document can be given a name, category and description. Once the properties have been entered, clicking Continue opens EXO Employee Information’s built-in word processing interface, where the new document can be edited and saved.

Editing Documents As in previous versions, double-clicking on a document on the Documents tab opens the document for editing. If the document is an attached file, it will open in the default editor for the type of file; if it is a document created in EXO Employee Information, it will open in the word processing interface.

Right-clicking on any document on the Documents tab and selecting Edit document properties opens a window where the documents properties can be altered:

This window is the same as the window used to enter the properties when adding documents, but it also shows the date when the document was last modified, and for attached documents, the file name is also displayed.

Changes to Candidates All changes to documentation management apply to candidates as well as employees. The Documents tab on the Candidate Maintenance window has been updated to match the Documents tab on the Employee Maintenance window:

It is now possible to create a candidate document from a template, functionality that was previously only available for employees.

The ability to attach files has also been added for candidates; files attached to candidates are copied to the Database\candidatefiles folder (sub-folders are created for each candidate, named after the candidate’s ID number).

Note: The Include Employee Document option on the Backup Options window now applies to candidate documents as well as employee documents—all files will be backed up if this option is ticked.

When converting a candidate to an employee, all documents associated with the candidate are copied across to the new employee record.

Known Issues The following Known Issues have been identified in this release.

Administrator profile and mapped network drives Message: “Program Error - UNC Path Network Sharing” or the upgrade process stalling on installation, falling to find the mapped network path.

Program: Setup.exe and Austupgrades.exe

Operating System: Windows Vista

Problem description: When upgrading MYOB EXO Employer Services within a network situation, from a client machine, using a mapped network drive to a source server, the install process will not proceed unless the mapped drive exists under the Administrator profile.

Workaround: As this issue is due to Vista’s need for mapped drives to exist in both the Administrator profile and the standard user profile, the mapped drive that is set for the standard user of MYOB EXO Employer Services must be replicated under the Administrator profile. To do this:

1. From the client machine, within the standard user profile, check and note the mapped drive settings that EXO Payroll is using (including location and drive letter used).

2. Log off as a standard user and log on as an Administrator.

3. Ensure that a mapped drive exists with the same settings as in the standard profile. If this does not exist create this mapped drive, as per the same settings as the Standard User.

4. Install the product as per the instructions in the “Installing MYOB EXO Employer Services” section on page 3.

5. After installation complete, make sure to log off as the administrator (for security purposes only). The upgrade is now complete.

Security settings reset in MyStaffInfo In an upgrade to EXO Employer Services 2009.02 or later, the security settings that control the ability to change and view user-defined information, and the ability to make leave requests have changed—the existing settings have been removed and replaced with new ones. As new settings are always disabled by default, users may no longer have access to these abilities following an upgrade. You must go to the Common Tasks > Security section of the MyStaffInfo Management Console and re-configure the settings for user-defined information and leave requests as necessary.

Printing MyStaffInfo reports from Internet Explorer 6 When MyStaffInfo reports are printed from Internet Explorer 6, they will appear truncated, with the sides and/or bottom of the reports cut off. This is a known issue that affects Internet Explorer 6 only. Upgrading to Internet Explorer 7 or later will fix this issue.

Microsoft XPS Document Writer not supported for reports The system does not support printing reports to the “Microsoft XPS Document Writer” printer.

Summary of Changes Below is a quick overview of the changes addressed by this release and what actions are needed to implement them.

Rates and Threshold Changes

• The new tax rates and thresholds for PAYG, HELP and SFSS will be applied automatically by MYOB EXO Payroll for pay periods that end on or after 1 July 2012.

• The Horticultural and Shearer tax scales are merged after 1 July 2012. No changes are necessary to account for this.

Removal of Flood Levy

• The Flood Levy is not applied to pays with a physical pay date of 1 July 2012 or later; no changes are required.

Leave Loading Changes

• The Leave Loading Tax Classification is being abolished from 1 July 2012.

• Set the new Entitled to Leave Loading at property on the Leave Entitlements tab for all existing employees.

• Set the default Entitled to Leave Loading at property for new employees on the Employee defaults setup > Tax classification section of the Setup Payroll window.

Child Support Changes

• All Deductions that have the Type set to “Child Support” must be updated with the new Protected Earnings Amounts for the first pay after 1 January 2012.

Superannuation Guarantee Changes

• Open the Superannuation Maintenance window and update the Maximum Earnings Base property to $45,750 for all superannuation types.

• Set up the default SG expected payment on the Setup Payroll > Superannuation screen. This date will be displayed on payslips from 1 July 2012.
