2. AbsencesandadoptionoftheagendaIntheabsenceofobjections,theagendaforthemeetingisunanimouslyadopted.

AnaPaulaPAISapologises for theabsenceofHermanSIEBENSandofRemcoKOERTS, firstonebeingcurrentlyonasickleaveandsecondonetakingcareofthesmoothrunningofthecompetitions.

3. Minutesofthepreviousmeeting(Cervia,October8th2015)In the absence of any comments, theminutes of the previousmeeting held on October 8th 2015 inCervia(Italy)areacceptedasatruerecordofthatmeeting.

4. ReportfromthePresident(AnaPaulaPAIS)AnaPaulaPAIStheninformstheassemblyofsomeessentialactivitiesscheduledfor2017:

• SupportoftheLuxembourggovernment

AnaPaulaPAISexplainsthat, thoughscheduledontheagenda, theconveningofanextraordinaryGeneral Assembly for the amendments of the status is no longer needed, as the government ofLuxembourgmaintains,evenincreasesitssupportfortheAEHT.

• HigherEducationactivitiesAnaPaulaPAISunderlinestheimportanceofextendingouractivitiesregardingHigherEducationtoattractnewschools in that field.Thenext seminarof theHEGwill takeplace inPortugalandsheurges the audience to encourage member schools in Higher Education in their country toparticipate.

• ElectionsforNationalRepresentativesandPresidiummembersMid-February, theAEHTHeadOfficewill sendout informationontheelectionprocedureandwillinviteDirectorsofHoteland/orTourismschoolsorofrelateddepartmentstostandasacandidatefortheNationalRepresentativeselectionbymeansofanelectronicform.

Onceallthecandidaciesarecollected,theHeadOfficewillsubmitthelistofcandidatesbycountryaswellastheelectronicballotpapertodirectorsofnationalmemberschools.

During the summer period, the newly elected National Representatives will be informed of theofficers’ posts to be filled in the Presidium and theymay send in their candidacy till the end ofSeptember.

Inordertoorganizeeffectiveandfairelections,itisessentialthatallschoolschecktheirdataintheAEHTdatabase(https://www.aeht.eu/db)beforetheprocessislaunched.Itisabsolutelynecessarythateachdirector’spersonalemailaddressappears inthedatabase,ashe/she is theonlyeligibleelectorfortheschoolhe/sherepresents.

• NewfinancialpartnersfortheAEHT

Two new Privileged Professional Partners have recently joined the AEHT; the first one, GruppoSpaggiariParma, isan Italianproviderof servicesandmultimedia toolsdedicated to theworldofeducation, and the second one, Butler SearchGroup, is an American organizer of internships for

European Hospitality Management students at premium-level resorts, hotels and private clubsalongtheeastcoastoftheUS.All efforts by National Representatives to get financial support from new private professionalpartners,regionalauthoritiesorgovernmentswillbehighlyappreciated.

5. ReportfromtheVice-PresidentresponsibleforfixedeventsandforthecompetitionsattheAnnualConference(KlausENENGL)

• 2016AnnualConferencecompetitionsKlausENENGLthanksthemanagementoftheDocklandsAcademyLondon(DAL)fortheorganizationofthisyear’sAnnualConferenceandcompetitions.Thesystemsetupbyformerpresidentandvice-president Louis Robert still works out fairly well and the AEHT continues to work closely with itspanelofHeadJudges.However,ascurrentlysomecountriesareoverrepresented(2PT,2BE,2AT),thePresidiumwishestoendupwithapanelmadeupofmaximumoneHeadJudgepercountry.Rollup if you wish to be part of this Competition Committee! Candidates for future changes are stillneeded.

WorkingwithapanelofHeadJudgesallowstheAEHTtokeepthestandardsveryhighandtoavoidanyinformationleakingbeforethebeginningofthecompetitions.RemcoKOERTSishighlyinvolvedinthepreparationofthecompetitionsandhasalreadystartedaworkshoptoensureabetterflowofinformationfornextyear’scontest.

• Balancesheetandprofitandlossaccountfor2015TheAEHTTreasurerKlausENENGLpresents theAEHTbalancesheets for2015.Asummaryof theprofitandlossaccountsisprojectedontothescreenofthemeetingroomandKlausENENGLgivessomebriefcommentaryonthevariousheadingsofthisdocument.

8. 2015reportfromtheAuditorsandappointmentofAuditorsfor2016AEHT’sbooksarekeptby‘AMS-AlphaManagementServices’,anaccountingcompanyinLuxembourg.Theexternalauditors,DanielleSNAUWAERTandJürgenCLAUSEN,metonJune9th,2016withGeneralSecretaryNadineSCHINTGENandtheaccountantStéphanieMARION-CORTEStocheckAEHT’saccountsforthe2015financialyear.

The auditors reported that Nadine SCHINTGEN and Stéphanie MARION-CORTES had been able toprovideallrequestedclarifications,enablingtheauditorstoconfirmthattheaccountbookswerewellkept.

In the light of these considerations, the Assembly unanimously approves the 2015 accounts. Themandateofthetwoauditorsisrenewedfor2016.

9. DischargeformembersofthePresidiumThedischargeformembersof thePresidiumforthefinancialyear2015 isagreedbyunanimousvote.ThePresidentthanksthemeetingfortheconfidenceplacedinherteam.

10. ReportfromtheVice-Presidentresponsibleforoccasionaleventsaswellasforteachers’placements(BogusławaPIENKOWSKA)

• ProfessionalplacementsforteachersBoguslawaPIENKOWSKAinformstheaudiencethatAEHTwillgoonwiththePestanaHotels&Resortsgroupwith itscooperation in theareaof teachers’observationperiods,whichstartedtwo years ago.Onemonth ago, she first came into contactwith the LouvreHotelGroup andnegotiated the same conditions for participants as for the former ACCOR placements (freeaccommodation and meals if taken with the staff). She is preparing an agreement with thePestanagroup,thatshouldcomeintoforcenextyear.

• 2016eventscalendarBoguslawa PIENKOWSKA points out that the number of participants increased compared toprevious years. During the academic year 2014/2015, 856 persons attended 10 AEHT events,whereas 889 persons participated in 9 events organized betweenOctober 2015 and October2016.

Vice-President Neeme RAND presented the IT services used by AEHT, the statistics and otherinformationonthevisitsofAEHTwebsiteandFacebookpageusingaPowerPointpresentation.

• ITservicesusedbyAEHT:

1. AEHT management database is a database designed especially for AEHT to manageonline membership data (AEHT code, status, post address, e-mails, url, names ofdirector and contact person, aso.). It was created in 2014 andmembersmay updatethemselves their data. The data of any teacher that would like to receive AEHT’sinformationmailingsmaybeadded.

2. ThenextorganizersofAnnualConferenceswillusetheplatformforregistrations,asthedatabase provides personalized registration forms. User support for setting up theregistrationformwillbeprovidedbyNeemeRAND’steam.

3. NextelectionsofNationalRepresentatives inspring2017willalsoberunviatheAEHTplatform.

• NewAEHTwebsitesinceMarch2016Anewwebsitewasneededfortworeasons;theoldplatformwasno longersupportedbythewebserver service provider and the new platform will be more secure and compatible withmobile devices (phones and tablets). The template of the new website was chosen incooperationwiththePresidium.Anewsitewillprovidetheopportunitytocreatesub-sitesforeventssuchasAnnualConferences.

The totalnumberofvisits to theAEHTwebsite for theacademicyear2015/16 is47472.Thevisitshaveconsiderably increasedcomparedto2014/15(32513visits).However,astherehasbeenapeakinJuly,thismightbetheworkof‘robots’.

A high number of "likes"will draw attention ofnon-affiliatedschoolsandpotentialprofessionalpartnerstoAEHTanditsactivities.

As over 20% of AEHT Facebook page followers are youngsters between 18 and 24 years old,AEHTconsiderscommunicatingwithstudentsviaFacebook.

AnnualConference2017inOstend(BE)The30thAEHTAnnualConference-ajubileeedition-willtakeplacefromNovember13thto18th,2017ontheBelgiancoastinOstend(BE).SanneHUYGENS,directorofGO!TACampusWemmel,oneoftheleading schools of the network of AEHT schools in Flanders in charge of the organization of the nextAnnual Conference and competitions, presents the main highlights of the city of Ostend and itssurroundings,theCasinoKursaal-thevenueofthereception,thecompetitionsandthemeetings,theaccommodation facilitiesmainly for students at Hotel Vayamundo, a 5min ridewith the coast tramfromtheCasinoandthoseforteachersanddirectorsatHotelAndromeda,moreluxurious,nexttotheCasino,beforedescribingindetailthedraftprogrammeoftheconferenceandthemeansoftransporttoreachOstend.

Competitionswillbeorganizedforfollowingsubjects:

AntunPerusina,directoroftheHotelschoolinDubrovnik,regretsthatthepriceskeeponrising.Hewarnsthat more and more Croatian schools will withdraw from the AEHT as they can no longer pay theirregistrationfeesfortheAnnualConferences,oneofthemostpopularactivitiesformembers.Currentlythepricesforstudentswentupby30%comparedtotheconferencesbefore2016,ase.g.theoneheorganizedin Dubrovnik in 2009. It is important to give everybody the opportunity to participate and to build uprelationswithintheAEHT.

ThePresidiummembersagreewiththisobjectionandrequesttheorganizerstolookforadditionalfinancialsupporttolowertheregistrationfeesfor2017.ThepurposeoftheAnnualConferencesisnottoenjoythehotel,buttogivestudentstheopportunitytocompetetogether.SanneHUYGENSpromisestomakeeveryefforttolowerthepackageprices.

Aysegul YESILDAGLAR points out that there are possibilities to get Erasmus Plus grants to participate inAnnualConferences.TheGeneralAssemblywillbefollowedbyaworkshoponthattopic.

AnyotherbusinessLouis ROBERT, former President and Vice-President of AEHT, points out that the General Assembly’sagendaforeseesadiscussionontheconvocationofanextraordinaryGeneralAssemblytoanalyzeandvotesomechangesintheAEHTStatutes,onwhichtheassemblyhasnotbeeninvitedsofartoapproveon.Moreover,therehasbeennoinformationonthistopicinthereportofthePresident.LouisROBERTpresumesthatitwasrelatedtofinancialmatters,thoughtheAEHThasstillagoodfinancialsituation.Heunderlines that it is not an extraordinary General Assembly that is needed by AEHT, but thedevelopmentof strategies to collect thenecessary financialmeans, and in that regard, to stop losingmembers.ThisphenomenonisgrowingwiththeincreaseinAnnualConferenceregistrationfees.Furthermore,wemust ensure a stablemanagement aswell as the control of financial expenses. Theday-to-daymanagementoftheAEHTwasfirstensurebySybilleSchoch,ateacheratthe IllkirchHotelSchool,afterwardsbyChristineHurinvilleateacheroftheHotelSchoolinLaRochelle,beforeJohnRees-Smith,HeadofLanguageCentreoftheMiddlesexUniversityLondon,tookoverin2000andworkedatHotelschoolinDiekirch.Hepassedthetorchin2004toNadineSchintgen.TheLuxembourggovernmentsupported themove of the HeadOffice from France to Luxembourg in 2000with a grant of initially30000 EUR/year, which was, years later, due to some budgetary restrictions reduced to 20.800EUR/year.

According to the agreement with Luxembourg ministry of education, the AEHT managing boardemployed a secretarywith thatmoney tomake everythingmore professional. Unfortunately, not allknowtheamountofworkAEHTGeneralNadineSchintgenisaccomplishingeveryday.Longreportsaska lot of time to write, and so on. Some difficulties with the former director of the Hotel school inDiekirch,where theAEHTHeadOffice is registered, had also to be faced,which did notmake thingseasier. However, the situation has highly improved with current acting director,Mia Aouadi, who isextremelymotivatedinbuildingandenhancingastrongrelationshipwithAEHT.

AEHT benefits also from a strong support from Luxembourg government.Michel Lanner, first seniorgovernment advisor for Luxembourg’s education minister, managed to raise the subvention for theAEHTto26.800EURfor2017andto30000EURfor2018.HehasmoreideasonhowtofurtherincreasethesupportfromLuxembourgforAEHT.

Everybody knowsNadine Schintgen, but not everybody is awareof howour associationwas growing(morelanguages/countries)andhowtheactivitieswereexpandingandthuswasherwork.

AnaPaulaPAISappreciatesthehistoricalevidencefromLouisROBERTandexplainsthatgoingthroughhard times from time to time is normal. She explains “it seemed that we needed to discuss somechanges,butthisisnolongerthecaseasthesituationhaschanged.However,westillseeksupportinallcountriesofEurope.Feelfreetohelpus.”.

NadineSchintgenaddsthattheAEHThasalsoreceivedagrantof3000EURbyLuxembourgMinistryofTourism for the Christmas event in 2015 in Diekirch and that shemet with former President of theEuropean Commission (1995-1999) and previously PrimeMinister of Luxembourg Jacques Santer, toexplorenewpathsforgettingadditionalsupportinLuxembourgi.e.bytheHouseofEurope.

Helena Cvikl would like to have more details about the reason of putting the setting up of anextraordinary General Assembly on the agenda. Ana Paula PAIS explains that this point should havebeendiscussedbeforewithin the ExecutiveBoard, but that there is noneed for this anymore as thesituationhaschanged.
