Starting PowerPoint 2000

Saving your work
GNow would be a good time to save your work for the first time. Point toand click-on File in the Menubar. Next, click-on Save in the DropDown Menu that appears. You will nowsee a Menu Screen like theone on the next page. In the upper left corner of the Menu Screenthat appears, you will see a Save in:. Click-on the small triangle onthe right and it will show you the various disk drives available onwhich you can save. Point to the one you want, and click-on it. Ifyou choose the 3 Floppy(A:), make sure you have a formatteddisk in the A drive. If you choose the C:, choose the folder in whichyou want to save by double clicking on the folder.

GYou probablynoticed, as soon as you saw the PowerPoint view screen,the area running down the left side of the screen, whichcontained littleviews of your slides as you were creating them. Thisfirst default view that you see is calledNormal View.
G In the lower left corner of the screen you will see some buttons thelook like this:
G Slowly point (move) your cursor arrow over each box and
pause a moment (dontclick-on any of the boxs yet). Note what theText Help boxes indicate. The first box (which looks depressed)indicates:Normal View. The next: Outline View. Then Slide
Viewand Slide Sorter View. And, finally, Slide Show.

G TheNormal Viewgives you a view of the entire slide as well as the
mini-previews of each slide in the area on the left. This is the one wehave been using so far. Youll also notice a Click to add notessection at thebottom of the Normal Viewscreen. In this area youcan type speaker notes for each slide in the lower portion of thescreen. When we get to printing you will see that there is a printselection so that you can print your notes for each slide so that you canrefer to them later while you are making your presentation.

Other Slide Views
G The Outline viewshows you an outline of your slides. You may editeach slide, just as you did in Slide View. Since you can see somuch inthis view,many people use this view to create their initial slide showand then go back to Slide View to put in Clip Art and other effects(sound, transitions, etc.). You will also see a small preview of your slidein the upper right corner. As you edit your text and make changes youwill see them reflected in the small slide. This view is great for addingand editing text, but youll need to go to either the Normal View or SlideView to enter graphics, etc.
G In Slide Viewyou see the whole slide just like you did in Normalview. However, the mini-preview area to the left is much smaller sothat you can see more of your slide.

G In Slide SorterView you can see small versions of your slides. In thisview you can left click-on a slide and, holding down the left mousebutton, drag your slide to any position in your show that you desire.This view assists you in arranging your slides in the order that youdesire for your presentation. This view is sort of like the old round35mm slide show trays where you pulled out and stuck in slides in theorder you desired.

The Undo Button
GOne of the really handy things about most Microsoft programs is theUndo Button (it looks like the image on the bottom). If you make amistake no need to panic click the Undo button and this willremove your mistake. Then you can try again. The Undo Button isfound in the middle of the Button Bar on the top of the screen. Eachtime you click-on the button PowerPoint will go back one change. Ifyou want to try it out go ahead its really neat.

G Everyone knows that lions love peanut butter (even thoughit sticks to the top of their mouths), so well choose a lionas our picture. Click-on the lion. When you click on thelion, a button menu will appear similar to the one on theleft. Slowly point (move) your cursor arrow overeach box and pause a moment (dontclick-on any ofthe boxs yet). Note what the Text Help boxes indicate. Thetopbox indicates InsertClip, the onebelowPreviewClip, thenAdd clips to Favorites or other category,and finallyFind similar clips. Click again on the clipart image you selected and then click on the top InsertClip button. The Clip Art now appears in your third slide.If you dont like that choice, double-clickon the picture inPage 3 again and select another image.

G Just for the heck of it lets say we want abetter image that hasmore to do with our peanut butter sandwich. So, logically, wed ratherlike to have something other than a lion, or whatever you chose. Ifyouve closed your Clip Art, open it again by double-clicking on theimage in your PowerPoint slide. Notice at the top of the Clip Artscreen an area similar to the onebelow.

will fill the area where you double-clicked. Most of the time,

G The images you see on your screen are really animated;you just cant see the movement until you dosomething neat. Lightly clickthe left mouse button onone of the images. Were going to choose thedinosaur. When we click on the dinosaur well see the
button menu appear (just like it did when we worked
with clip art a little while ago). Except that there is abigdifference in the second button. Youll notice thesecond button down indicates - PlayClip. If youclickon this buttonyou will see a small screenappear in which you can see the dinosaur chewing itspeanut butter sandwich and a lump, as it swallows thesandwich, going down its long neck. This is an
animation. If you desire to insert this imageyousimplyclickon the top button as you did before. You
wont see this animation when you insert thisimage into your slide. You will only see theanimation when you run your slide show. Wellbe running the slide show in a little while.

GYou may or may not desire to alter the appearance of your graph. Yourgraph may need some adjusting so that all of the words showcompletely. You may want to change the size of the box the graph is in,so click-on the graph. Click-on the side, using the grabber boxes onthe side like you did previously, and drag the side until the graph gets
larger. If you make the graph wider, the word Best will move to oneline. Click-on the legend (the box with the grape, honey, etc. inside)and move that whole box to the top right hand part of the graph figureto make it more legible. Work with the various parts of the graph untilit looks OK. If you make any changes, click-away from the
graph to turn off the box around the graph so you cansee the new slide button.

When we complete all of the enhancements, to all of the slides,you can do one of several things to automate your slide show. Run the show
GAsmall, rehearse timings box will appear like theone on the left. It will show a running clockon the rightside of the menu that indicates the time for the entireshow. In the centeryou will see another time for eachclick transition, build, etc. When you click through yourshow, as indicated above, the timings will be recorded. When youthen run the showitwill run at the recorded pace.Youcan do this as often as you like.
