Letter from the President 2016 Dear TOCA members,

As professional communicators, much of what we do on a daily basis is driven by a desire to

deliver value to our clients, customers or readers. If we are unable to demonstrate that the

decisions we make result in measurable value to those constituents, then it’s highly unlikely

that those decisions are the right ones. If what we do isn’t delivering true value, it’s probably

not worth doing.

That’s one reason I remain so enthused about the work of the Turf and Ornamental

Communicators Association, and our members’ continued investment in the organization. If

TOCA wasn’t delivering value to communicators in the green industry, if it wasn’t providing

products and services that resonate with members, it would be impossible for TOCA to enjoy

the success that we have in recent years.

Our membership numbers remain robust, with nearly 250 professionals on our rolls. The

2016 TOCA Annual Meeting in Omaha, Neb., attracted 65 attendees for two days of

networking and education. And our annual communications contest continues to set the

standard in the green industry, with over 400 entries spread out over the marketing

communications, publishing and international divisions.

Certainly, each one of us should take great pride in these accomplishments, but the work of

ensuring that TOCA remains on this upward trajectory continues. I urge each of you to

rededicate yourself to the organization, to find ways that you can participate and volunteer

your time on one of TOCA’s standing committees or in the planning of upcoming

educational opportunities. And, as always, I remain open to your feedback about the

organization and its direction, so feel free to reach out to me at (785) 832-4456 or

[email protected] with your questions or comments.

Thank you again for your membership in TOCA, and I hope this year’s membership

directory can be an important tool in your day-to-day work and a small reminder of the value

that your organization delivers to you on a regular basis.

Scott Hollister

TOCA President

TOCA News Release Guidelines for Marketers

I will inform my company/clients that I follow the News Release Guidelines for Marketers as put forth by

TOCA. These guidelines were developed by the editor and publisher members of TOCA. By following the

guidelines, I can be better assured that coverage of the company and products I represent will be successful.

1. The news releases I distribute will be newsworthy.

Under TOCA’s News Release Guidelines for Editors, editors are committed to selecting and publishing

news releases which contain news “value.” This is the most important element needed for a news release to

be published. Avoid sending releases that lack news value because editors may conclude that future

releases will also lack news.

2. I will distribute news releases to the appropriate publications.

Understanding the publications and the audiences they write for is critical. Sources, such as Bacon’s Media

Directories or the magazine’s sales departments, can provide information about editorial direction. When

possible, tailoring news releases specifically for certain magazines may increase publishing success.

3. My media list will be updated frequently to determine current contact information and editor

preferences.

Incorrect addresses, e-mails or fax numbers may delay the review of your release or cause its loss

altogether. Today, editors prefer to receive news releases in a variety of ways, either by mail, fax or e-mail.

Learn those preferences and follow them for each specific editor to be successful.

4. I will not call editors to confirm that a release has been received. I will also not call editors to ask

when or if a news release will be published.

Contacting editors about news releases is the biggest complaint editors have against PR practitioners. It is

considered acceptable to call editors to pitch story ideas. However, virtually all editors state that they do not

have the time to track news releases. In general, editors respond negatively to calls related to news releases.

5. I will not call editors to ask for clips of my published news release.

If a copy of the published news release is needed, contact the magazine’s sales or circulation department.

Virtually all editors say they do not have time to send clips.

6. I will never use advertising as a leverage for placement.

To use advertising to “strong arm” editors to publish news releases or other editorials is a serious breech of

professional ethics.

TOCA encourages companies to place the following statement on news releases distributed to TOCA editor

members: “We follow the TOCA Guidelines for News Releases.”

TOCA News Release Guidelines for Editors

I will inform my magazine co-workers and Publisher(s) that I follow the News Release Guidelines for

Editors as put forth by TOCA. These guidelines were developed by marketing and public relations

members of TOCA. By following the guidelines, I can be better assured that the news releases we receive

will be relevant to our readers and foster more editorial value.

1. I will select and publish news releases based strictly on their news value to my readers.

The objective selection of releases based on their news worthiness ensures that readers will have full access

to industry news. Selection of releases based on any other factor negatively affects the free and fair flow of

information.

2. I will establish a standard policy for the editorials that I will and will not accept and apply that

policy fairly to all PR practitioners.

Public relations practitioners ask that editors provide a “level playing field” for the work they produce. A

clearly stated policy is the best route to receiving quality information.

3. I will treat public relations and marketing personnel with respect.

4. I will not use placement of editorials as a leverage for advertising.

To use placement to “strong arm” marketers for advertising is a serious breach of professional ethics.

TOCA encourages editors and publishers to direct PR/marketers to the TOCA News Release Guidelines for

Marketers located at the TOCA Web site.

TOCA Professional Communication Standards (August 10, 2009)

The Professional Communication Standards (Standards) outlined in this document apply to members of the Turf

& Ornamental Communicators Association (TOCA). These Standards are designed to serve as a guide for

TOCA members as they carry out their daily jobs in communications – in all media formats – with and to the

greater Green Industry and all of its stakeholders.

As the primary communication professionals within the Green Industry, TOCA members require a level of trust

with their various audiences – clients, customers, readers, etc. – and, as such, take on an obligation to operate

ethically. Each member, as a representative of the communication profession and as a TOCA member, is a

contributor to the reputation of this field. We each set examples for one another, and our various audiences, by a

pursuit for the common good, for excellence, and for ethical responsibility.

By design the Standards are not enforceable, rather should serve as a guide – and a benchmark – for good and

ethical behavior.

These Standards have been organized to include guidelines for our members in the editorial side of the business,

as well as those in marketing communications.

GENERAL STANDARDS:

We actively protect the free flow of accurate and truthful information to serve the public interest and contribute

to informed decision making in a democratic society.

We will preserve the integrity of the communication process.

We will be honest and accurate in all communications.

We will act promptly to correct inaccurate information for which we are responsible.

We will strive to depict only safe industry practices, unless the intent is for educational purposes.

We will use proper judgment when giving or receiving gifts by ensuring those gifts – including travel

and accommodations – are appropriate, nominal, legal and infrequent.

We promote fair competition among all communicators in order to protect an ethical climate and foster a robust

business environment.

We will respect fair competition among professionals, organizations, and media outlets.

We will preserve intellectual property rights in the marketplace.

We will follow ethical hiring practices.

We believe open communication fosters informed decision making in a democratic society.

We will reveal sponsors of research, events and interests represented.

We will disclose any conflict of interest or financial interest in related organizations/businesses.

While recognizing the value and expertise of industry-supplied material, we also believe in a clear

distinction between editorial content and advertising.

We discourage advertising designed to mimic editorial and recommend identification of

editorial content sources

We believe in trust within our industry and therefore require the appropriate protection of confidential and

private information.

We will safeguard the confidences of present, former, and prospective clients, customers, audiences,

information sources, etc.

We will protect privileged, confidential or insider information received from a colleague, peer, client,

customer or information source.

Except as limited by the Articles of Incorporation and the Bylaws, the Board of Directors shall have the

Section 4. Special Meetings. Special meetings of the Board of Directors shall be held at the call of the

President for the transaction of business as may come before the meeting. The President shall call a special

than announcement at the meeting, until a quorum shall be present.

Section 6. Voting. Each voting member of the Board of Directors shall have the power to exercise one (1)

(participating by telecommunications constitutes attendance) of the Board without notifying the President

or Executive Director of his/her intent to be absent prior to the meeting; provided, however, such removal

shall be accomplished only by the affirmative vote of a majority of all directors of the Corporation.

The Secretary shall, if directed by the Board, provide notice of this Section and the Board’s intent to

remove the absent director within ten (10) days after such director has not attended three (3) consecutive

meetings of the Board. Such notice shall be a prerequisite for removal for absence and shall be provided in

the manner set forth in Article X of these Bylaws.

Section 8. Filling Vacancies. Vacancies on the Board caused by death, resignation, disability, removal or

such other cause shall be filled by appointment of a new director by the affirmative majority vote of

quorum of the remaining directors. A director filling a Board vacancy shall serve for the balance of the

unexpired term left by the vacancy.

Section 9. Compensation. Directors, as such, shall not receive stated salaries for their services, but nothing

in these Bylaws shall be construed to preclude any director from serving the Corporation in any other

capacity and receiving compensation therefore. In addition, the directors of this Corporation may be

reimbursed for reasonable out-of pocket expenses incurred by them in rendering services to this

Corporation, as the Board of Directors from time to time determines to be directly in furtherance of the

purpose of, and in the best interest of, the Corporation.

Section 10. Meeting Without Notice. Any director may in writing or orally, either before or after any

transacted thereat shall be legal and valid in all respects, the same a though such meeting had been

committee. Failure of a committee to reach an agreement upon any issue before it, shall require referral of

such issue to the entire Board of Directors.

be consistent with the Articles of Incorporation, Bylaws, and policies of the Corporation. There shall be no
