    Laboratory Exercise # 14

    Microsoft PowerPoint Basics

    Objectives:

     At the end of the exercise, the students are expected to be able to:

      start the PowerPoint application,

      identify the parts of the PowerPoint window,

      create simple presentations using the installed themes,

      add texts to a slide,

      navigate a presentation in different views,

      add slides,

      change slide layouts,

      modify the fonts’ size, typeface, and style according to preferences,

      use themes to design the slides,  modify master slides,

      customize a theme,

      apply animation to a presentation,

      set the order of effects, and

      add transitions to the slides.

    Materials:

      1 PC with pre-installed Microsoft Windows operating system and Microsoft Office PowerPoint 2010

    Procedures:

    Activity 1 Start PowerPoint

    1. To start PowerPoint application, click the Start button, point to All Programs, point to MicrosoftOffice, choose Microsoft Office PowerPoint 2010.

     A blank PowerPoint slide will be displayed. This allows you to create a presentation from scratch.

    2. To close the file, access the File button and choose the Exit command. Alternatively, press theshortcut key  to close the file.

     Alternatively, you can click the Close button located at the upper right corner of the applicationwindow. For this exercise, close the entire application.

    Activity 2 Creating Presentations Using a Template

    1. Open the MS PowerPoint 2010 application.2. Click the File button and select New. This will display all the available templates that you can use

    for a new document.

    3. Click Sample Templates.  All templates are displayed as thumbnails.

    4. Select Introducing PowerPoint 2010 template and click Create button.

    5. Click the Slide Show  view at the lower right corner beside the Zoom level slider.6. Browse through the presentation wherein it discusses the new features of PowerPoint 2010.7. In Slide 1, select the subtitle placeholder  and enter By: [Your Name] at the right side corner of

    the placeholder.

    8. Select the Insert ribbon tab and choose Header & Footer  command to display its dialog box.

    9. Tick on Date and time checkbox. Select Update automatically radio button and choose the dateformat days of the week, month/day/year  from the drop-down list.

    10. Tick on Slide number  checkbox and click Apply to All.

    11. Save this exercise as Activity2 – [Your Name].pptx in your flash drive.

    12. Close the presentation.

    Activity 3 Creating Your Own Presentations and Working with Texts

    1. Click the File  button and select New. In the New Presentation  dialog box, select BlankPresentation icon and then click the Create button or double-click the Blank Presentation icon.

    2. Click on the title placeholder  and key in Features of PowerPoint 2010.

    3. Enter your full name on the subtitle placeholder. Save this exercise as Activity3  –  [YourName].pptx.

    So far, you have created a very simple presentation having one slide.

    4. As mentioned earlier, there are different views in PowerPoint. Note that when working inPowerPoint, the default view is the Normal View, not unless you saved a presentation in a

    different view. Try clicking the Slide Sorter View  button at the lower right corner of the

    screen. Your view should now look like the figure below.

    5. Now, try clicking the Slide Show  button.

    Info:

    Pressing the   key also directs you to slide show view.

    6. Press the  key to end the slide show.7. Save your presentation while still in the slide sorter view.

    Note:

    The next time you open this presentation it will still be in the slide sorter view.

    8. Close the entire application.

    Activity 4 Working with Templates and Master Slides

    1. Open the file Activity3 – [Your Name].pptx.2. Select View tab > Slide Master button. It displays the slide master that uses the default styles in

    Microsoft PowerPoint and the Slide Master tab. The latter enables you to edit the elements in theslide master.

    Note:

    To insert a new slide master, click Insert Slide Master  button on the Slide Master tab.

    3. Explore the different Slide Master styles available.

    Note:

    The Slide Master styles include different layouts and orientation of the slides.

    4. To return to Normal view, click the Close Master View button on the Slide Master  tab or simplyaccess the View tab > Normal button.

    5. Go to the Slide Master  view. In the thumbnails at the left, click the slide master. Click the MasterTitle Style placeholder to modify the font type and size. The handles should become visible.Change the font type to Broadway and retain the default size.

    6. Click the Master Text Styles  placeholder and change its font type to Century Gothic. Selecteach level of body text and change the bullet style to your desired bullet symbol and font attributes.

    7. Change the font type of the date, footer, and number placeholders to Tahoma and size to 12.8. To add headers and footers, click the Insert  tab and choose Header and Footer . The Header

    and Footer  dialog box appears.

    9. From the Slide tab, click Update automatically radio button to automatically update the date and

    time.

    Tip:Click the Fixed radio button and type a date and time if you want a fixed date and time.

    10. Check the Slide Number   checkbox to display the slide number. Key in PowerPoint 2010Features on the Footer text box.

    11. Click the Don’t show on title slide checkbox to make the header and footer information invisibleon the title slide.

    12. Click Apply to All button.

    Tips:

    You can change the position of the header and footer placeholders by dragging the placeholder toa new location. You can also resize the placeholder by dragging any of the sizing handles.

    13. Click on the Close Master View button.14. Save this presentation as Activity4 – [Your Name].pptx.

    Let’s continue modifying the slides.

    15. Go to the first slide, click the Design tab and right-click on Oriel theme and then select Apply toSelected Slides.

     Adjust the graphics and the WordArt as shown in the image below.

    16. You can use different themes in one presentation. Insert a new slide and apply Flow theme.

    Notice that after you applied a theme, the background will be changed. In some themes, even thefont type, font size, and bullets will be modified. Edit your slide to have the same slide as Figure14.16.

    17. This time, you will change the background color of the slide without changing the theme.18. Access the Design tab and click Colors drop-down button and then select Opulent theme color.

    Info:

    You can create a new theme color by clicking the Create New Them e Colors  options to display itsdialog box as shown in Figure 14.17.

    Set the theme colors by changing the colors using the Color Picker   drop-down buttons. Oncedone, set a name for the created theme colors and click the Save button. You may opt to reset thechanges made on the theme colors by clicking the Reset button. Also, the Cancel button can beused to void any changes made to the theme colors.

    19. Save your work and close the presentation.

    Activity 5 Applying Slide Show Effects

    1. Open the file Activity4 – [Your Name].pptx.2. Switch to Slide Sorter  view.3. Go to Transitions tab.4. In the Transition to This Slide tools, choose the Push transition from the transition list.

    5. Use the sound of a Camera. Leave the control of the presentation to mouse click.6. Press Apply to All button. This applies the selected transition to all slides in the presentation.7. Save this exercise as Activity5 – [Your Name].pptx.8. Next step is to animate the elements. Switch to Normal view to be able to select each element on

    the slide.9. Go to Animation  tab. Notice that all options in the Animation tab is disabled when no object is

    selected for animation.10. Select the title placeholder on the first slide. On the advanced animation  group, click Add

    Animation > Entrance > More Effects. From the Add Entrance Effect dialog box, browse theavailable effects.

    11. Choose the Checkerboard effect. Click OK.

    Note:

    The first element in which you have added an effect will be the first element to appear when the presentation starts.

    12. Since this is your first slide and no topic needs to be emphasized, you may control the effects bysetting the Start option to After Previous.

    13. Now select subtitle placeholder. Add the Dissolve in effect for the Entrance.14. You should have two animations on your first slide. Your Animation pane should be similar to

    15. Change the Start option of your second animation to Start After Previous. Click the Play buttonfrom the animation pane to preview the animation.

    16. Save your work.17. Switch to your second slide and click on the title placeholder . Apply the Peek In effect for the

    Entrance.18. On the Animation Pane, click the arrow at the side of the first animation.19. Choose Effect Options. A dialog box will appear.20. Change the Direction to From Left.21. Now highlight the first level of bullet which is “Embed, edit and play a video in your

    presentation”.

    22. Apply the Checkerboard effect for the Entrance.

    23. Now highlight the second level bullet which contains the paragraph. Add Blinds  effect for theEntrance.

    24. Your Animation Pane should look like the pane below.

    25. Modify the Start  options of some of the elements in the second slide. Set the Start of the titleplaceholder to Start After Previous.

    26. For the first bullet, set it to Start After Previous.27. You will notice that there are numbers beside the elements that you animate. These indicate the

    sequence of animation for the slide.

    28. Click the Play button to preview your second slide’s animations. Your Animation Pane  shouldnow look like the image below.

    29. Save the presentation and close the application.
