MEANING :-You could argue that a meeting is a useful way of
making a decision with which everyone approves.
For e.g. A CEO of a
company wants to take an
important decision to growth
the sales of his company,so he called all senior sales
executive of the company in
a room and start communicating
with them. Everyone puts theirown opinion in that communication
and a CEO comes to take a final
decision.

EFFECTIVEMEETINGS :-
If you are going to be organizing and/orrunning a meeting, you should apply the followingprinciples :
Decide the objectives before holding the meeting.
What exactly do you want to achieve at theconclusion?
Prepare an agenda. This makes the meeting easier tocontrol and gives everyone involved the chance to
participate, because they will see in advance what isto be discussed and can prepare themselvesaccordingly.
Do not include AOB (any other business) on your
agenda. This is a huge time-waster.

CONT..
Decide on a finish time as well as a start time and putit on agenda.
The contents of the agenda should list under each
item :-what is to be discussed ?
why is to be discussed ?
what it is expected to achieve ?
when the results are expected ?

YOUR CONTRIBUTION :-
Your presence at a meeting does not mean thatyou are expected to have an opinion on every subjecton the agenda, or that you should contribute to everydiscussion. If you feel strongly about something, voiceyour opinion.
However, it would be completely wrong for youto walk away from a meeting feeling I wish I had said
so-and-so. Always state your opinion at theappropriate time. Do contribute, play your part, addvalue, talk common sense. If you stick to theseguidelines, everyone will listen when you speak.

MINUTES :-If you want your meeting minuted, see that
this is done by someone who can provide a concisesummary of the points discussed, as well as whatconclusions were reached. Ensure that only relevantinformation appears in the minutes.
Circulate the minutes of the previous meetingin plenty of time before the next one, so that everyonehas a chance to read them in advance. This will cutdown discussion at the meeting itself.
