Welcome

Welcome to Mansfield University Fraternity and Sorority Life. This manual is a guide to Fraternity and Sorority Life at Mansfield University. It is meant to be a constantly evolving document with links to websites, campus resources and chapter paperwork. Please contact us at [email protected] if you encounter a broken link or incorrect information. If you find an area we haven’t addressed please reach out so we can remedy the situation. Statement of Diversity and Inclusion In a recent 5 year review (Spring 2020) of the Office of Fraternity and Sorority life, one of the areas that was found to not meet standards was diversity and inclusion. We will work tirelessly to correct this and make sure all students feel welcome and included in the area of Fraternity and Sorority Life. We strive to make our campus stronger through a renewed commitment to promoting diversity and creating positive change in the Fraternity and Sorority Life Community. Over the years, Mansfield University has seen chapters colonize, close, grow and change over the years, but has always supported a thriving Fraternity and Sorority culture. Sigma Alpha Epsilon

Sigma Alpha Epsilon (SAE) a national fraternity, was founded on March 9, 1856 at the University of Alabama. Sigma Alpha Epsilon, Pennsylvania Beta Phi Chapter at Mansfield University was installed in 2006. Throughout the year they hold many philanthropy events for Children’s Miracle Network. National Website: www.sae.org Alpha Kappa Lambda (Inactive as of 5/2020)

Alpha Kappa Lambda (AKL) a national fraternity was founded on April 22, 1914 at the University of California at Berkeley in Berkeley, California. Alpha Kappa Lambda, Gamma Nu Chapter at Mansfield University was installed in 2010. On April 23, 2010 Alpha Kappa Lambda Pennsylvania Zeta Colony became the Gamma Nu Chapter of Alpha Kappa Lambda Fraternity. On the national

level, AKL supports These Hands Don’t Hurt, Cystic Fibrosis, and Adopt-A-School. Some of the events they hold for their philanthropy include a bike-a-thon. Nationals Website: http://www.akl.org

Phi Sigma Kappa

Phi Sigma Kappa (PSK) is a fraternity devoted to three cardinal principles: the Promotion of Brotherhood, the Stimulation of Scholarship, and the Development of Character. It was founded on March 15, 1873 at Massachusetts Agricultural College (now the University of Massachusetts at Amherst). Phi Sigma Kappa merged with Phi Sigma Epsilon in 1985. Mansfield University was one of only a handful of institutions to have had a chapter of both. The Mansfield University chapter was founded on April 17, 2011. Phi Beta Sigma Fraternity was founded at Howard University in Washington, D.C., January 9, 1914, by three young African-American male students. The Founders, Honorable A. Langston Taylor, Honorable Leonard F. Morse, and Honorable Charles I. Brown, wanted to organize a Greek letter fraternity that would truly exemplify the ideals of brotherhood, scholarship, and service. Mansfield’s Phi Beta Sigma Chapter is affiliated with the Phi Beta Sigma Chapter at Bloomsburg University. National Website: https://phibetasigma1914.org/

Delta Zeta

Delta Zeta (DZ) a national sorority was founded in 1902 at Miami University in Oxford, Ohio. They hold many events throughout the year for their philanthropy partner, The Starkey Hearing Foundation.

Zeta Tau Alpha

Zeta Tau Alpha (ZTA) a national fraternity was founded nationally on October 15,1898 at Virginia State Female Normal School (now Longwood University) in Farmville, Virginia. They do many philanthropy events on campus to include Big Man On Campus (BMOC) to Support Think Pink for Breast Cancer education and awareness. National Website: www.zetataualpha.org

Alpha Sigma Tau

Alpha Sigma Tau (AST), a national sorority, was founded in 1899. Their national Philanthropy is Women’s Wellness, locally the chapter holds philanthropy events for The Wounded Warrior Project. National website: www.alphasigmatau.org

Alpha Sigma Alpha

Alpha Sigma Alpha (ASA) a national sorority was founded on November 15, 1901 at the State Female Normal School in Farmville, Virginia. For their philanthropy they help out with Special Olympics at various times throughout the year. National Website: www.alphasigmaalpha.org Councils

The Office of Fraternity and Sorority Life recognizes the importance of the governing bodies of our chapters. Chapters will remain in good standing with their respective conferences. This includes paying dues on time and completing required paperwork. North American Interfraternity Conference (IFC)

An IFC exists where there are two or more NIC member (or non-member) fraternities on a campus. The Council’s purpose is to advance fraternity on campus and provide interfraternal leadership to the entire community. The NIC provides direct support, resources and services to IFC officers, representatives, advisors and alumni to further the health and success of local fraternity communities.

National Panhellenic Conference

National Panhellenic Conference is the world’s largest umbrella organization specifically charged with advancing the sorority experience. Through its advocacy, NPC seeks to enlist nearly 5 million sorority women in its efforts to showcase the transformational power of the sorority experience. Through its programs and initiatives, NPC encourages the sharing of information, resources and best practices to ensure the sorority experience continues to meet the needs of today’s collegiate women. Campus Recognition Each year organizations need to turn in the Active Recognition Form to be recognized as an official organization on campus. The form updates the officers in the Student Activities Office database, and ensures the organizations receive any pertinent emails and communications. In addition any organization with a CCSI account will also need to turn in the CCSI Signature Sheet each year in order to access their account.

FS Central Officers of both NPC and IFC will, upon election as an officer, create accounts in FS Central. The FSL Advisor will add the officers into the respective organizations within one week of their election to the councils. Council members will be responsible for uploading the following information to FS Central on an ongoing basis.

Miscellaneous Other Hazing Mansfield University has a strong Anti-Hazing policy. All incidents of suspected hazing must be reported to the Office of Student Conduct (507) 662-4936 or the Office of the Dean of Students (570) 662-4932. All members are required to read and sign off on Mansfield University’s anti-hazing policy each year. These signatures will be maintained on file in the Office of Fraternity & Student Life for 4 years. Anti-Hazing Policy Membership Membership records must be updated and maintained by chapters and reported to The Office of Fraternity and Sorority Life. Membership records are important for campus reporting and academic reports. In order to keep membership records up to date with The Office of Fraternity and Sorority Life submit the Membership Roster at the beginning of each semester after the new member recruitment period. Forms must be submitted no later than two (2) weeks after the end of the recruitment period to the Office of Fraternity and Sorority Life at [email protected]. In addition to the Membership Roster, officer and advisor information must be updated on a regular basis. Update chapter officers on the Chapter Officer Roster Update Form and update chapter advisors Chapter Advisor Roster Update Form using the appropriate forms. Forms must

be submitted no later than two (2) weeks after the start of the semester to the Office of Fraternity and Sorority Life at [email protected] or immediately after membership, advisor or officer changes. When members have a status change, update that information on the Membership Roster Change in Status Form. If a student should not show up on the official roster and not be included in the grade report, the membership roster change in status form will remove them from the roster. The Office of Fraternity and Sorority Life will check in periodically and make sure rosters are up to date. Chapter Presidents should anticipate emails near the end of each semester for a final check on the roster to make sure academic and campus reporting will be accurate. For Panhellenic Council Organizations a MRABA or COB MRABA must be at the appropriate time. In addition the Grade Release and Anti-Hazing form must be turned in at this time. For Interfraternity Council members must submit a Bid Acceptance/Grade Release and Anti-Hazing Form upon accepting a bid from an organization. These must be submitted to the Office of Fraternity and Sorority Life within 24 hours of bid acceptance. A College Panhellenic should review the MRABA with PNMs throughout the recruitment process so PNMs are familiar with the MRABA content before the time of signing. MRABA forms can be signed on paper, signed on paper then inputted electronically into a software system or directly submitted electronically. It is critical when a PNM indicates she has completed her selections that she is informed that once the MRABA is submitted, changes cannot be made to her selections listed or the order of her preference (NPC Manual of Information page 127). The College Panhellenic also should provide the MRABA, the continuous open bidding (COB) MRABA and the MRABA for newly establishing chapters to PNMs. The MRABA must be used at the conclusion of fully structured and partially structured recruitment. A COB MRABA is used for continuous recruitment and continuous open bidding. An MRABA for newly establishing chapters should be used only during times of extension on a campus (NPC Manual of Information page 127). Recruitment Recruitment plans are to be shared with the Office of Fraternity and Sorority Life prior to any recruitment. Potential new members may fill out an optional online interest form and send to [email protected]. This will allow the Office of Fraternity and Sorority Life to send information regarding recruitment to the individual that sent in the interest form. Advisors

Campus chapters typically have an advisor or an advisor team that is affiliated with the national organization. In addition to these advisors, we ask that each group has a faculty or staff advisor. We have hope that all of our chapters will become invested with the larger campus community. Of particular importance is developing relationships with faculty and staff. Toward this end, all Fraternity and Sorority organizations are required to have an involved faculty/staff advisor. The faculty/staff advisor must be employed by Mansfield University, but does not need to be an alumnus or alumna of any fraternity/sorority. The faculty/staff advisor will be responsible for assisting the organization in educational programming, room reservations, and scholastic advice as well as maintaining a healthy relationship between the fraternity/sorority and the University. If your chapter is struggling to find advisors or needs help with advisor changes please contact The Office of Fraternity and Sorority Life at [email protected]. Whenever there is a change in the advisory team for a chapter this should be reported to The Office of Fraternity and Sorority Life on the Chapter Advisor Roster Update Form. The Office of Fraternity & Sorority Life values the involvement of advisors and will send periodic updates and information to the advisor teams. Another Resource for advisors includes the Mansfield University Advisor Manual (produced and distributed by the Student Government Association). Campus Leadership and Involvement A Fraternity or Sorority is strengthened by its participation in campus activities. Being involved in campus activities that are not strictly Greek-letter events is imperative to your image on campus. By being involved, you can build a more positive image of the Fraternity and Sorority community and contribute to the campus community. Each chapter is asked to participate in the following activities each year to accomplish this goal. We ask that 80% of the chapter attend two all-campus events annually, preferably one each semester. Any event requiring participation of chapters to meet council obligations are excluded. Examples of all-campus events include; Welcome Week or Homecoming activities, Basketball Games, the Big Event, etc. Organization meetings or events primarily sponsored by chapters or councils do not fulfill this standard. Chapters must report their events to the Office of Fraternity and Sorority Life at the end of each academic year. In addition, 70% of the chapter membership must participate in one organization outside of their Greek-letter organization. Examples include, but are not limited to registered student organizations, orientation leaders, University Ambassadors, Peer Mentors, or Resident Advisors. Chapters should also report leadership positions.

Campus Involvement must be reported at the end of each academic year. The Campus Involvement form is available on the Chapter Resources section of the Fraternity & Sorority Life Website. The Campus involvement form is due at the end of the academic year prior to students leaving campus. The President of each chapter is responsible for ensuring the report is submitted. The Campus Involvement form will be part of the chapter scorecard (more information on this later). Establishment/Re-establishment Establishment Colonization/revitalizations/interest groups need to have four (4) or more enrolled Mansfield students or have the full support of a governing council partnered with a national organization before they are eligible to register for establishment. Comply with rules set forth by the Office of Fraternity and Sorority Life pertaining to membership, i.e., Member intake policies. Be recognized by a governing council and maintain good standing with such council. Any establishment of a new chapter colony at Mansfield University will be determined by the Office of Fraternity & Sorority Life, The Dean of Students and the Vice President for Student Affairs. Re-establishment The Office of Fraternity and Sorority Life may grant established Fraternities or Sororities with less than four (4) enrolled Mansfield students support as they rebuild their membership. This will not be allowable for Fraternities or Sororities whose chapter GPA falls below a 2.0, or whose members are on academic warning/suspension. Any group who fails to comply with the rules for membership and establishment may lose its recognition by the Office of Fraternity and Sorority Life. In order to regain recognition, the Office of Fraternity and Sorority Life may impose other requirements that must be met by the chapters in addition to the establishment and membership requirements. Leadership One of the primary goals of the fraternity and sorority community is to further the development of leadership skills and abilities within their members. One means to that end is the fostering of leadership potential within members throughout all stages of their academic experience. Highly educated and responsible leaders will set an example through their efforts. Leadership Development within your organization

Officer Transitions- plan a retreat/meeting time for newly elected officers to be properly transitioned by outgoing officers. Chapter Advisor, Graduate Chapter, or National/Regional Consultant should be present.

At least one person from your chapter should attend a leadership program and/or business meeting sponsored by your National/Regional organization. The executive board of each chapter should prepare goals that move the chapter towards excellence as defined by their organization standards and that satisfy all areas of the Standards Program. Leadership development via Fraternity and Sorority Life and other campus resources Chapter President attends the Office of Fraternity and Sorority Life’s Leaders Retreat.

Encourage membership to take advantage of the Leadership Development workshops coordinated by the Office of Fraternity and Sorority Life and other campus departments. Nominate qualifying members for Order of Omega

Encourage membership to take advantage of other leadership training opportunities offered by the campus or fraternal community such as UIFI, Leader Shape, AFLV, NGLC, etc. On-Campus Housing Each organization will have the option to fill a lounge (E-unit) on a designated floor in Spruce Hall. To have the lounge chapters must have at a minimum six (6) members living on the floor, four (4) in the lounge and two (2) in the C-unit next door. Each chapter will be given a code for the door to distribute to all their members. Off campus members will be given Greek access to the doors to be able to get into the chapter room. When utilizing residence hall space or making reservations for multi purpose rooms go through your Residence Director. The Resident Director of Spruce Hall is Dave Slampak, [email protected]. To make sure you are in compliance with all residence hall rules review the Residence Life Residence Hall Handbook each semester. Risk Management All fraternities and sororities shall comply with the risk management policies as set forth by their Inter/national organization. In addition, as registered student organizations, chapters are subject to the Mansfield University Code of Student Conduct.

The office of Fraternity and Sorority Life will coordinate a minimum of one mandatory seminar on risk management each semester. Sessions will be designed to educate attendees on the duties of the chapter to manage social events, the intake of new members, the obligation of residents of on-campus facilities, sexual misconduct, alcohol and drug awareness and the consequences that chapters face when found responsible for violating the Code of Student Conduct. When workshops are conducted by the Office of Fraternity and Sorority Life the expectation is that 100% participation will occur. Any student unable to attend must provide an email excuse to [email protected] with their chapter, and the reason for their absence (work, class during the workshop, emergency, illness are all acceptable excuses). Attendance will be taken at the mandatory FSL Office workshops. Academics Scholarship Fraternity and sorority organizations are committed to the academic success and progress of individual members. The university expects that its students will pursue academic achievement as their highest priority.. Each fraternity and sorority shall have: A scholarship chairman Established an academic advisor (The chapter faculty/staff advisor, may serve as an academic advisor.) Develop a scholarship program that challenges members and potential members to achieve academically, provides scholastic support, and recognizes both improvement and excellence in academic performance. Academic Reporting The Office of Fraternity and Sorority Life will run an academic grade report at the conclusion of each semester. Grades will be run for each individual organization and compiled in a larger overall Fraternity & Sorority Life grade report. The individual chapter grade reports are confidential information and will only be shared with approved representatives from each chapter. This might include advisors, academic chairperson and presidents. Each chapter member signs a document stating that they approve of their grades being reported in this manner. Grades are compiled by the Office of Fraternity & Sorority life on a specific day each semester determined by the registrar’s office. Once the grade report is completed it cannot be rerun. Individual member grades can be collected after that time, but a complete chapter report is only run once per semester. If a student has incomplete grades at that time it will reflect on the chapter report.

The Grade Release is available on the Office of Fraternity & Sorority Life web site under Chapter Resources > Documents and Forms Grade Release Service Fraternities and Sororities are committed to developing citizenship through service and outreach. Given the educational value that such service generates, all chapters are asked to demonstrate that commitment. In addition to coordinating service projects and philanthropic events, chapters are asked to encourage their membership to become volunteers. Mansfield University and the surrounding community offer many opportunities to give.

Each chapter is expected to engage in a minimum of one community service opportunity each semester which you give your time to a worthwhile cause each semester. If co-sponsored with another chapter, this event may satisfy part of the council involvement standard. In addition each semester, the chapter must cumulatively acquire an average of five (5) service hours per member. Service hours are to be reported to The Office of Fraternity and Sorority Life on the Community Service Hours form available on the Chapter Resources section of the Fraternity and Sorority Life web page. Room Reservations Chapter members should go through their staff/faculty advisor and/or The Office of Fraternity and Sorority Life to make reservations for campus space. Mansfield University utilizes an online Event Management System. Reservations must be made through this portal: http://ems.mansfield.edu/VirtualEMS/ (staff/faculty only). While Fraternity and Sorority students utilize campus spaces it’s important that we show the respect and care for the space. Use these points to guide your events:

● Reserve space only for the amount of time you actually need it ● Leave each space exactly the same as you found it (or better) ● No glitter is to be used inside any campus space ● After an event or meeting make sure all of your supplies and items are out of the room ● If doing arts and crafts that involve any type of mess ensure you have adequate

protection for tables/chairs/rugs. (use drop cloths, tablecloths etc.) ● Clean up all trash from space after using

When advertising for events there are many different ways to get the word out for your event. Utilize the marketing plan in the appendix for ideas about how, when and where to advertise your events. All event posters should have the event name, event location, date, time and organization listed. Another important thing to list is a contact person for the event in case students have a question about the event. Be sure to follow all campus rules when posting. Mansfield has policies for outdoor posting that must be followed. Member of the Week/Organization of the Week The Office of Fraternity and Sorority Life is committed to highlight Fraternity and Sorority life in a positive and meaningful way. One way this is done is through recognition on social media. The Office of Fraternity and Sorority Life will often recognize members and chapters for outstanding work on campus, in the community and in the workplace by recognizing them on the Office of Fraternity and Sorority Life’s Social Media pages. These pages also feed into the Office of Fraternity and Sorority Life’s web page. Make sure you are following the social media pages of Mansfield University, Mansfield University Greek Life and fellow Mansfield University Fraternity and Sorority Life Chapter pages. Chapters can also send in information to [email protected] to be considered for member or organization of the week. See Appendix 2 for a list of social media pages for Mansfield University chapters. Disciplinary Action

If any organization is in poor standing with Mansfield University, the Office of Fraternity and Sorority for any reason (grades, trouble with the law, etc.) reserves the right to stop them from participating in events hosted for all of the Fraternity and Sorority Life, reserving rooms, and any other action deemed necessary. When applicable chapters will be referred to the Office of Student Conduct or campus police. Reasons for Suspension

● Chapter GPA below a 2.0 average ● Less than four (4) members on roster ● Suspension from National Chapter ● Illegal activity ● Legal trouble ● Student Code of Conduct violation

● Hazing incident sanction Chapter Standards and Scorecards Each chapter will be held accountable for the information in the Fraternity and Sorority Life manual. The forms included in this manual are used to compile the standards and scorecard information. The scorecards will be available as public information on the FSL web site. This information will help prospective new members gain insight into our chapters. Appendix 3 shows an example of a chapter scorecard. Chapter Awards The Office of Fraternity and Sorority Life will recognize chapters for accomplishments based on standards, events throughout the year, social media, attendance and scorecards. The Sorority and Fraternity Life Awards are designed to recognize outstanding Greek individuals, chapters, councils, and advisors. The awards celebrate the achievements of our Greek community with award categories in service, scholastic achievement, community building, and leadership. Recognition can include:

● Chapter of the Year ● Outstanding Public Relations ● Scholastic Excellence ● Outstanding Service and Philanthropy ● Commitment to Cultural Consciousness

● Outstanding Advisor The FSL Awards program will be awarded for the 2020-2021 Academic year. All awards will be given at the discretion of the FSL office. Not all awards may be given and not all chapters may receive an award. Awards will include recognition on the FSL website, FSL social media and a certificate.

Active Member: fully initiated member of a fraternity or sorority.

Alumni/Alumnae: a fraternity or sorority member who has graduated or is no longer in college.

Bid: formal invitation to join a fraternity or sorority

Chapter: local group of a national fraternal organization.

Interfraternity Council (IFC): a representative governing body of Greek social fraternities.

Legacy: a potential member whose grandparents, parents, brother/sister was a member of a particular fraternity/sorority.

Panhellenic Association: the central governing body of the Greek social sororities.

Philanthropy: a charitable project sponsored by an organization. Most chapters have a local and national philanthropy.

New member: a new member of a fraternity or sorority who has not been initiated.

Order of Omega: the national Greek leadership honorary organization.

Ritual: a traditional beliefs of a fraternity or sorority.

Recruitment: the process in which mutual choice and selection occurs to determine fraternity or sorority membership.

Potential member: a person interested in becoming a member of a fraternity or sorority. Sister: A term used by sorority members to refer to one another. Neophyte: A new member of a cultural Greek organization. Initiation: The formal ceremony that marks the beginning of active membership. Each chapter has a different set of requirements in order to be initiated. Initiated Member: Any member who has completed the new member process and has gone through the initiation ceremony. Brother: A term used by fraternity members to refer to one another. Big: An active member of a fraternity or sorority who serves as a mentor to a new member, guiding him or her through the new member program and initiation.

Little: An active member of a fraternity or sorority who learns from their mentor and will eventually be a mentor themselves

Badge: The pin of an initiated member.

Bid Day: The day immediately following Panhellenic primary recruitment where chapters extend their invitation for membership to potential new members.

New Member Education: A period of learning about fraternity and sorority life prior to initiation. The length of this period varies for all chapters.

Recruitment Chair: The person from each chapter who is in charge of each chapter's recruitment functions.

Sorority: A Greek-lettered organization designated for women; also called a women’s fraternity.

Fraternity: The name that applies to all Greek-letter organizations characterized by a ritual, pin, and strong ties to friendship and moral principles. Informally, women's fraternities are called sororities.

Inactive Member: Some groups distinguish between Active and Inactive members. Inactive members are usually members taking a semester off, or are in some other category that depends on the specific organization

Colony: A term used to describe the collegiate group of a fraternity or sorority in a new organization on the campus.

Pledge Class: Group of members of an IFC or PC organization who were initiated at the same time in the same organization.

Greek Week: A week of activities involving all Mansfield fraternities and sororities to promote Greek unity.

Charter: documentation that an individual chapter I recognized and operates according to the national organization

Promote early and often—and allow at least two to three weeks for maximum publicity.
