LOGIN INSTRUCTIONS TO WD LEARNING, CCA MANDATORY LEARNING AND MOODLE QUICK REFERENCE GUIDE

This QRG helps external learners with the process for accessing any of Shell Learning Applications (Workday Learning, CCA Mandatory Learning or Moodle).

◼ The first part of the QRG is for external users who use two-factor authentication to access Shell infrastructure.

◼ The second part of the QRG is for external users with GID who use single sign-on to access Shell infrastructure.

◼ The third part of the QRG is for external users who use CerDAAS account to access Shell infrastructure.

PART 1: LOGIN INSTRUCTIONS FOR NON GID, TWO-FACTOR AUTHENTICATION USER This section helps external learners who use two-factor authentication to access Shell infrastructure with the process for accessing any of Shell Learning Applications (Workday Learning, CCA Mandatory Learning or Moodle). The first part of this section is for first-time users, describing two-factor authentication installation, and the second part explains the normal login.

PART 1A: LOGIN INSTRUCTIONS FOR NON GID, TWO-FACTOR AUTHENTICATION USER The first part of this section is for first-time users, describing two-factor authentication installation, and the second part explains the normal login. Do you want normal login? Click here. Are you a first-time user? Follow these 21 steps.

1. Click on the link of the Shell Application you want to access (Press Ctrl + Click to follow link).

◼ CCA Mandatory Learning: Click the link in the Workday Learning/Mandatory Learning invitation email.

◼ In case clicking on any of the URLs does not work, copy and paste the URL in your browser. You might also consider changing your browser.

◼ If you know of any (company) restrictions on your browser, use a different browser.

2. In the Select Authentication System drop-down list, select PingID MFA. Next, click Submit.

Do not click on any of the other Authentication System.

3. On the Sign On screen, click First time users, click here.

If you have already installed PingID MFA for another Shell application, continue with normal login by clicking here.

4. Fill in the fields to request initial password. Enter your work email address and click Send Request. There is no need to add a username; the email address is enough.

External and third-party users use the email address which is registered with Shell (often this is your corporate email address).

5. An email will be sent to you from [email protected] with instructions to create a password.

◼ The URL in the Password Creation email is valid for 30 minutes from the time the request has been submitted.

◼ Depending on company security settings (firewall), it might take some time to receive the password reset email. If you want to speed up, an alternative is to take the above steps on your mobile with the company email.

◼ If you do not receive an email, contact HR Systems Support ([email protected]).

6. Go to your inbox and open the email. Next, click the

link in the email.

7. Check password criteria and create a new password.

Your password must be at least eight characters long, include an upper-case letter, lower-case letter, a number and a special character.

8. If successful, you will see the Password Setup complete screen on the browser and receive an email confirmation from [email protected] in your inbox.

9. Perform the action mentioned in Step 1 (Click the

required Shell application link) and Step 2 (Select PingID MFA).

10. Sign in with the email address and password.

(This step is on your mobile phone).

11. To complete the registration process and access to Workday Learning using PingID, your mobile phone must be paired. To do this, the PingID application must be downloaded to your mobile phone. Install the PingID application on your mobile phone from the App store or Google Play store.

◼ If your country does not provide access to App store or Google Play store, download the PingID application directly from: https://www.pingidentity.com/en/resources/downloads/pingid.html

◼ Ensure that there is enough storage on your phone (Android: 25MB; iOS: 12MB).

◼ If you have already installed the PingID application, you can skip this step.

(This step is on your PC or laptop).

12. On the PingID registration page on your browser, click I already installed the PingID app.

13. The pairing key and QR code will be displayed on your

web browser.


14. Open the PingID application on your mobile device, and then point the device at the QR code on the browser to scan. If you are unable to scan the QR code with your mobile phone, tap Enter Pairing Key Manually option and enter the pairing key as shown on the Finish Pairing PingID page on your browser.

You will get this QR code and pairing key only at the time of registration. Once your device has been paired, you will not get this again.


15. To complete your PingID profile, enter a nickname and tap Done.


16. A facial or fingerprint recognition swipe or One-Time Passcode (OTP) authentication request is generated immediately. If you are using the OTP option, proceed to Step 17.

If the mobile push notification swipe does not work, go to the mobile PingID application settings and disable swipe and enter the OTP on the following screen manually.

17. Take the OTP from your mobile phone and enter OTP in

browser and click on Sign On.

If you have authenticated with facial or fingerprint recognition swipe, you can skip this step and continue directly with the next step.

18. A green checkmark screen appears, and your browser

will be redirected to Workday Learning, CCA Mandatory Learning or Moodle.

◼ If you receive a notification that the link is expired, you will have to repeat the login process. Repeat Step 1, Step 2 and Step 10.

◼ If after repeating the login process, you still have a notification that the link is expired, clear web browser cache and cookies. Under your web browser settings, you will find how to clear cache and cookies.

19. For Workday Learning: ◼ Click Skip.

◼ A successful login will display the following

Workday Learning screen.

20. For CCA Mandatory Learning: ◼ A successful login will display the following

Mandatory Learning screen.

21. For Moodle:

◼ A successful login will display the following Moodle screen (which will show a Moodle course you are registered for).

PART 1B. TWO-FACTOR AUTHENTICATION USER, NORMAL LOGIN TO WORKDAY LEARNING, CCA MANDATORY LEARNING AND MOODLE (NOT A FIRST-TIME USER) This section helps external learners who use two-factor authentication to access Shell infrastructure with the process for accessing any of Shell Learning Applications (Workday Learning, CCA Mandatory Learning or Moodle).

This part explains the normal login.

4. A facial or fingerprint recognition swipe or One-Time Passcode (OTP) authentication request is generated immediately. If you are using the OTP option, proceed to Step 5.

Follow these five steps:

CCA Mandatory Learning: Click on the link in the Workday Learning/Mandatory Learning invitation email.

2. For single sign-on users, you might receive any of the following windows when you try to access Workday Learning, CCA Mandatory Learning or Moodle: ◼ In the Select a Certificate window, please click on

OK.

◼ In the Select Authentication System, click the drop-

down menu, choose Smartcard, and then click Submit.

PART 3. LOGIN INSTRUCTIONS FOR CERDAAS USERS This section helps external learners who use a CerDAAS account to access Shell infrastructure for accessing any of the Shell Learning Applications (Workday Learning, CCA Mandatory Learning or Moodle).

WHERE DO I GO FOR HELP? For external users with a CerDAAS account: If you get stuck, please contact your local IT CerDAAS helpdesk first ([email protected]).

Follow these eight steps.

Learning. 2. In the Select Authentication System drop-down menu,

choose Other IDPs, then click Submit.


3. In the Select Authentication System, click the drop-down menu and choose BSP IDP, and then click Submit.

4. Redirect to the Ping Identity screen and click on Continue.

5. Enter the security code from VIP credential (on desktop

or mobile) and click on Submit.

6. For Workday Learning:

◼ Click on Skip. ◼ A successful login will display the following
