What is the List Management Application?

The List Management application is a tool for US Foods associates and customers to manage local order guides and personal shopping list.

Just like the current edit list feature on US Foods online, it allows users to create an unlimited number of custom lists such as:

location specific aka Shelf to Sheet

event specific such as Holiday or Catering List

day specific such as Tuesday or Thursday order

users specific such as Julie or Ian’s list

As soon as the shopping list is created, it is immediately visible online and on the mobile app.

Accessing the List Management Application

Log Into US Foods Online

From the Home Page in US Foods Online click on the Drop-Down arrow to the right of the displayed shopping list or order guide.

Click on “MANAGE LIST” option from the Drop-Down Menu or from the “VIEW ALL LISTS” screen.

NOTE: There is also a “MANAGE LIST” Button on the Order Entry Screen.

List Management Home Page

Navigation

1. Navigate “BACK TO US FOODS ONLINE” by

clicking on the option in the upper right of

the Home page.

2. All “CREATE A LIST” functions are fixed to

Left Side of Home Page.

3. “MY SHOPPING LISTS” and “MANAGED BY

US FOODS” Lists are displayed.

4. “LAST MODIFIED BY” will show last made

changes to the List, the Number of

“PRODUCTS” on the list will be displayed

and the Number of “DISCONTINUED” on

the list will be shown.

5. Options to “SHARE”, “DOWNLOAD” or

“PRINT” a list are accessed by clicking the 3-

Dot Ellipsis.

Home Page: Shopping List Options

Create a List Options

All “Create a List” options are fixed to the left side

of the Home Page.

1. NEW – Create a new list from scratch.

2. COPY – Create a Copy of an existing list.

3. IMPORT – Create a list from a CSV file.

List Actions – Home Page Options

Click on the 3-Dot Ellipsis icon to the Right,

in the list row to expand the Options Menu.

SHARE, DOWNLOAD and PRINT

SHARE a List

From the List Actions dropdown select “SHARE”.

The SHARE via email pop-up will appear.

Complete fields* and click SHARE.

*Check the box “SEND ME A COPY” to be CC’d on email. This is the only way to receive a copy of the email.

*Use Pricing Options drop down to include or exclude product pricing.

DOWNLOAD a List

From the List Actions dropdown select “DOWNLOAD”.

The Download List pop-up will appear.

Complete fields and click DOWNLOAD

The file will be downloaded, displaying at the bottom of your browser. Double Click to open.

PRINT a List

From the List Actions dropdown select “PRINT”.

The Print pop-up will appear

Complete fields and click PRINT.

Product Search Screen

Search for Products by: Description

You can access the Product Catalog directly from the Home Page in List Management.

Click “SEARCH FOR PRODUCTS”

From the “SEARCH FOR PRODUCTS” Screen type in the description of what you are searching for.

Hit the “Enter” key or click “SEARCH”

Search Results

The search results will be displayed with the number of products found.

Filters are displayed horizontally.

Search Filters

Filters assist in narrowing your search results by specific attributes.

Each filter will show the number of products with that specific attribute.

Clicking a Filter will bring up those items and hide the others.

Clicking on “Clear All Filters” will return your original results.

Search for Products by: Category

Products can also be searched by category.

Type in the type of product you are looking for (e.g. Cups, Beef, Lettuce, etc…) or specific Brand.

A drop-down box will display available Categories and Brands based on what you typed.

Click “View All”, “Search” or hit your “Enter” key to display the Products.

From the Displayed Products you can use the Filters to further refine your results.

Search for Products by: Product Number

Products may also be searched by entering product numbers directly into the search field

(Limit 1,000 products numbers per search)

In the search box, type or copy and paste in a product number(s)

If you are using multiple numbers, do not include a space between (only a comma between numbers is required)

Product numbers may be copied from multiple sources (e.g. Excel, CSV, Word, etc…)

If a product number is invalid or not stocked in your Market the line will show as “Product Not Found”

If a product is Discontinued, the line will show “Discontinued Product”

• NOTE: here you will not see suggested replacement items for Discontinued Products. Once added to a list, a sub will populate if loaded into the system and can easily be replaced from there.

Product Catalog View Options

Expanded View

• The Expanded View displays the product information and the image.

Collapsed View

• The Collapsed View removes the product image.

• This enables more products to be displayed without scrolling down the page

Product Details

Viewing Product Details

Product details page will open in List Management the same way as it does in US Foods Online.

• Click on the description or product image.

• The product details page will open.

• Within the page you will see the product information available.

• Notice the description, Nutritional Facts, Preparation & Cooking, Shipping information Supplemental Facts, Allergens and Nutritional Claims.

• Any product row with a product description will lead the user to the product details page. You can access this page from the List page, search page, or the Shopping List or Order Guide.

Creating Shopping Lists

Create a New List from Scratch

Creating a New List:

1. Select “NEW”

2. Type in a “New List Name”

• Recommend giving it a unique name to easily identify

3. Click “CREATE”

The Name of your shopping list will be displayed in the upper left.

From this screen you can now Add Products.

You can also create Groups.

NOTE: Groups are a great way to organize products on a list into a “Shelf to Sheet” sequence.

This type of sequence makes ordering much more efficient.

Adding Product Groups

Click on the “ADD GROUP+” button.

Type in a Group Name.

Click the Green Check Mark to save.

Repeat until you have your Groups added.

*You can always go back and add more as need.

NOTE: The Unassigned Group will always be displayed and available for any products not assigned to a group.

Adding Products to the List / Groups

To add Products to your List, click on one of the Catalog options from your List Page.

o SEARCH FOR PRODUCTS o ADD PRODUCTS

Then search for the product(s) you want to add.

Using the Product Search functions locate the item(s) you want to add to your Shopping List.

Select the Product(s) by placing a “Checkmark” in the box to the Left.

Once you select a Product (s) you will see a Green “Action Bar” appear at the bottom of the screen.

Use this Action Bar to strategically add the Check Marked Item(s) to this list or other lists you may wish.

Let’s Explore the options on this Action Bar.

1. List – Choose the list you want to add the product to. It will be defaulted to the current list you are working with.

2. Group – Choose the Group within that List you want it to add it to. (If you have no groups it will default to “Unassigned”)

3. Position – Choose the Position (top or bottom) in that Group you want to product located.

4. ADD TO LIST - Add the selected Product(s) to the Group & List.

Once you Click ADD TO LIST you will see a “Success” message displayed.

From here you have the option to continue Searching and Adding products or you click “Go to List” to return to your Shopping List.

Creating a Copy of a List

In List Management, the “COPY” option allows you to make a copy of any list available within the customer you are working on.

• Under “CREATE A LIST”

1. Select “COPY”.

2. List: use the drop down to select an existing list.

3. New List Name: type in a new “unique” name for this copy.

4. Click CREATE.

You will see a “Success” Message displayed indicating you now have your new Copy created.

Importing a List

• A list can also be created by Importing a properly formatted CSV file.

• The IMPORT tab has a “Download Template”.

• The Template includes information about each field that can be imported.

• To access the template click on the “Download Template” link and open the file.

Here’s a look at each of the fields on the Template.

Let’s first look at each Row

Row #1 is the field name.

Row #2 indicates if the field is Optional or Required.

Row #3 notes parameters about the data.

Row #4 (descending) is sample data.

Now let’s look at Each Column

Column A: Group Name – This field is optional. The maximum number of characters allowed are 30. If no field name is included, it will default to unassigned.

Column B: Product Number – This field is the only required field. Only valid US product numbers are allowed.

Column C: Product Description – This field is optional. The product description linked to the product number will automatically populate during upload.

Column D: Product Note – This field is optional. The maximum number of characters is 50. Use this field for par order values or notes such as how to use the product – (example: “Catering Only”). The product note will display during order entry and on the mobile app.

Before populating the field, highlight and delete all information from Row 2 across to Column D down.

Starting on Line 2, enter the required info.

Note: You don’t need to sort all the products in the same groups together. The system will automatically group them together during the upload process.

Remember: If you don’t enter a group name, the product will be added to the unassigned group.

Save the file as a CSV file with a name you can identify on your computer.

Once completed, return to the List Management Home Page to import the list.

1. Click on IMPORT. 2. Click on CHOOSE FILE. 3. Locate and Select the File from where you

have it Saved. 4. Click Open.

1. Your File will now show as the Chosen File 2. File Type: Select CSV. 3. New List Name: Give your New List a

unique name. 4. Click CREATE.

You will see a “Success” Message displayed indicating you now have your New List Imported.

• A message will be displayed indicating any lines of data that could not be imported.

• To access details on the errors, click on the “Learn More” link.

• You will see the details displayed.

• Click on Download if you would like a CSV file version of this data.

• After viewing the issues, click on Return to List.

Managing Lists

List Actions: List View Options

• From the List Management Home Page click on the list you wish to update.

• Within your list (upper right) you will see a 3 Dot Ellipsis.

• Once clicked, a drop-down menu will appear.

These Options include:

• EDIT LIST NAME

• The ability to Rename a list (Shopping Lists Only)

• DELETE LIST

• The ability to Delete a list (Shopping Lists Only)

• NOTE: If for any reason you Delete a Shopping List and need to recover it, call the Service Desk @ 1-888-648-2580. You have up to 30 Days to recover a Deleted Shopping List.

• SHARE, DOWNLOAD & PRINT

• These options are the same as those listed on the Home Page.

Moving Products on a List Using the “Action Bar”

You have multiple options for moving Products within your List or Groups or between lists.

Let’s first explore how to move products using the Action Bar.

• You must “Select” a Product (or multiple Products if you wish) to activate the “Action Bar” on the bottom of the Screen

The bottom right side of the Action Bar will display 3 Action Options.

1. Move = Move the selected Product(s) from the current group to another group or between lists.

2. Copy = Copy the Selected Product(s) from the current group to another group or between lists.

3. Delete = Delete the Selected Product(s) from the current list or group or other lists.

NOTE: Clicking on any of these options will bring up a multi-function menu for you to select your choices.

4. Once you have made your selections click “SUBMIT” to complete the action.

Moving Products on a List Using “Drag & Drop”

Products may also be moved on a list using a “Drag & Drop” functionality built into the List Management Application.

• Once you have Selected a Product or Multiple Products, move your cursor toward the left area until you see this chevron.

• This indicates you are in the correct area to Drag & Drop the Item(s).

• “Click and Hold” the chevron and begin to slide your mouse toward the groups listed on the left.

• You will see a dialog box indicating the number of Products you are moving and which Group they are currently targeted to.

• Release your mouse when you have the correct Group targeted and the Products will be moved.

Moving Groups on a List Using “Drag & Drop”

You may also move an entire Group by using the Drag & Drop function.

• Place your cursor on the “3-line” indicator on the far left of the Group Name.

• Click and Hold your mouse and move it (up or down) to the location you want and release.

Moving Products on a List Using “Line Number”

You may also move product within a Group or List by simply typing in a new Line Number.

• Type in the Line Number where you want the item to be located then hit your “Tab” key.

• The product will move to that Line Number in the Group or List.

Managing “Discontinued Products”

The Home Page in List Management will alert you to any Shopping List that contains “Discontinued” Products.

In the Column on the far Right you see a “Red” Number indicating how many Discontinued Products that List contains.

o NOTE: A “Black” “Zero” indicates no Discontinued products on the List.

To Manage these Discontinued Products, Click on the List Name.

Identifying these items is quick and simple.

There is a Filter Option to Display “Discontinued Products”.

Checkmark the “Discontinued products” box.

This will now display only Discontinued products in each Group (or List)

The numbers in each Group indicate how many Discontinued products exist.

This enables quick actions to address items that are no longer available.

Once you click on the Group you will see Discontinued Products displayed in two distinct views.

1. When a Replacement Product is identifiedby the system you will see that product displayed to the right of the Discontinued Product with three Options.

Compare:

• Allows you to view full product details in a side by side comparison.

Search for Subs:

• Allows you to Search for a Replacement product

Accept Replacement:

• Allows you Accept the Replacement Product Displayed.

2. If no Replacement Product is identified by the system you will see only a “Search for Subs” option displayed.

Compare:

Clicking on the “Compare” option will open the “Product Comparison” screen.

• It will show both products and the details side by side.

• You can also click “View More” to see additional details like Nutritionals, Ingredients, Allergens, etc…

• You can Replace the Discontinued product from this screen or click on the Breadcrumb to return to your List

Accept Replacement:

• Clicking on the “Accept Replacement” option will remove the Discontinued Product and assign the Replacement product with the same line number in that Group or List.

Search for Subs:

When you click on the “Search for Subs option several actions are automatically initiated for you.

1. The first three words of the description are preloaded.

2. The Search is initiated. 3. The Action Bar is pre-displayed

You have the option to clear this and initiate a new search.

Relevant Filters are loaded.

Total Search results are Displayed

Scroll through results to determine the best replacement.

DISC Product Info displayed in bottom action bar.

Select the desired Replacement item and click “REPLACE”

Product Notes

Product Notes can be added in List Management.

These Product Notes will be visible on your List in US Foods Online.

Click on the “Add Product Notes” to activate this feature.

This will open the “Edit” box.

Type in the Notes you want visible in Order Entry or on the List in List Management.

Tab out of the box to “Save” or click on another item.

NOTE: there is a 50 Character Limit.

To view the Product Notes in US Foods Online (Order Entry) Screen

Hover over the Notes under the Product Number and a window will popup with your full notes displayed.

Product Notes are also Visible in the Mobile App

Real-Time List Management: Adding Products to a List in US Foods Online

Real Time List Management includes the ability to add products to your shopping list (in the List Management Application) while placing an Order in US Foods Online.

When you Search for products in US Foods Online, Click the “Add to” drop arrow.

From the Pop-Up menu select the “Group” you would like to add it to.

Real-Time List Management: Removing Products from a List in US Foods Online

Real Time List Management also includes the ability to Delete products to your shopping list (in the List Management Application) while placing an Order in US Foods Online.

Click the Black Directional Arrow to the left of the Product Image in US Foods Online (Order Entry)

Click on “Delete Product” and a confirmation Window will pop up.

Click “Yes” to confirm.

Product Status Indicators

Definitions: Icons

Product Status Indicators are important to understand.

These indicators are provided to help you make informed decisions when selecting products from the catalog.

They are also displayed on your Shopping Lists.

These Status Indicators (if applicable) will be visible in the right side of product grid under the Price / Pack Size.

Hovering over these icons and they will reveal what they indicate.
