Airlines have the option to participate in Worldspan availability based on seven different levels. An airline’s level of participation determines the availability displayed as well as the response to sell entries. Airline Source, Direct Sell, Direct Access and Direct Response comprise the AccessPlus program in Worldspan. They are listed here with segment indicators. More about segment indicators in a moment. A complete description of each of the seven levels is found in INFO PART. To determine participation and the participation level of an airline, use HELP AIRLIST. If an airline is not listed in HELP AIRLIST, they do not participate in Worldspan. Southwest Airlines is an example of a non-participating carrier.

Minimal participant airlines display their schedules in availability in Worldspan without a status. Flights must be booked directly with the airline. Air Sunshine (YI) is a minimal participant. Their availability display shows dashes after each class of service. Any attempt to sell from this display would result in a response advising you to call the airline.

For partial participant airlines, flights are requested using NN (need/need), after end transaction the code changes to PN (pending need). The airline responds with KK (confirmation) UC (unable to sell, waitlist closed) US (space not available, passenger is waitlisted) action codes.

Air Botswana (BP) is a partial participant. The dashes beside each class of service indicate the flight is on a request basis only. In this case, a sell entry would result in a segment showing NN status until the airline responded with KK or UC, or US.

Airlines that are full participants in Worldspan have an availability agreement and a message routing, so that teletype messages generate to the airline. Full participants can choose to participate in AccessPlus, which offers higher communication levels. Scot Airways (CB) is a full participant. Sell entries from this display are processed via SS (sell segment) action codes. Notice they show a specific quantity of seats available in place of the dashes.

AccessPlus is a higher level of participation and communication between Worldspan and a vendor. This section discusses airline participants in the AccessPlus programs. AccessPlus is also offered to car and hotel associates. More information is available in the Expert Car and Hotel lessons. Each AccessPlus program is designed to take advantage of existing technology and improve communication between systems. Each level involves communication links with the airlines to either retrieve data from the airline, perform sell transactions, or both. The four products that comprise the AccessPlus program are listed here. We’ll start with Direct Response.

Direct Response is an agreement between Worldspan and a participating airline to exchange record locators via teletype. The exchange ensures the PNR has been received by the airline, but does not guarantee the booking. When an air segment is sold on an airline participating in Direct Response only, a pending indicator (P) is displayed at the end of the segment. Upon receipt of the response from the airline, an acknowledgment indicator (A) replaces the P. Let’s ignore and redisplay this PNR.

Aegean Air has acknowledged receipt of this PNR in their system by appending the segment indicator A to each of their flight segments. Aegean Air is a Direct Response participant. Worldspan receives the Direct Response and stores it as a suppressed item in the PNR. Let’s move down and look at the suppressed items line.

Direct Access is the AccessPlus functionality that provides the capability to retrieve and display information in Worldspan from an airline’s database. Requests are directed to the airline by preceding an entry with:

Direct Access actually translates the airline response and re-formats the airline availability displays, but it does not alter the data sent from the airline. All airlines support Direct Access availability and may support some or all of the following additional functions: schedules, GRS, FLIFO, Flight Service Information, Fares, Fare Rules & Routings, Seat Map Displays and PNR Retrieval. Specific entries may receive the response AP*ENTRY NOT SUPPORTED, or, AP*FUNCTION NOT SUPPORTED when the airline chooses not to support the entry or function. HELP pages have been created for Direct Access airlines listing supported entries, under HELP XX0 (XX = airline code).

Notice the continuation entries only require the change symbol (@) in front of the entry. After the initial access using @XX@, continuation entries are simply preceded with one change symbol. Another shortcut for availability displays is to access the Worldspan core availability display, and then change to a Direct Access display.

In this Worldspan availability display, Qantas is identified as a Direct Access participant by the asterisk. The Direct Access indicator * appears in front of the flight segment in availability and is appended to the end of the segment after it is sold. Availability can be changed to a Direct Access display using the availability line number or the airline code for Qantas.

Direct Access messaging provides a direct link to the airline, so segments are guaranteed by the airline when they show the * segment indicator. If the link is momentarily down, any sell entry defaults to Worldspan core availability, and the resulting flight segment is not guaranteed. Direct Access does not provide Worldspan with a participant’s record locator. Direct Access participants can also choose to participate in Direct Response, which would return the record locator. HELP AIRLIST provides program information for each airline..

Qantas also participates in Direct Response. This is a Direct Response from Qantas with their record locator. The next level of airline participation is Direct Sell. When an airline participates in Direct Sell, they are also participating in Direct Access. Direct Sell is the AccessPlus program that provides a link that allows the airline to decrement their inventory before you end transaction.

Direct Sell requires no special entries. Airlines who participate in Direct Sell respond interactively (before end transaction) to sell requests via a Direct Sell link. The Direct Sell indicator “$” appears in front of the flight segment in Worldspan availability. The indicator is appended to the end of the segment after it is sold from either Worldspan or Direct Access availability. Segments sold through the Direct Sell link are guaranteed when you receive the segment indicator, “$”.

2. Sell an America West flight segment

Both the Direct Access and Direct Sell links provide segment guarantees when the appropriate indicators (* and $) are returned. If the Direct Sell link is not available, it may still be possible to guarantee the segment by selling it from a Direct Access display. Remember that the Direct Access link and the Direct Sell links are independent of each other. Direct Access retrieves data and allows sell entries, while Direct Sell is a link to perform the sell transaction. You can use the Direct Access shortcut entry to request a DA display for America West, for instance. Direct Sell also provides a Positive Acknowledgment after end transaction, which includes the airline’s record locator returned in remark form.

Airline Source is the AccessPlus functionality that allows Worldspan to request classes of service and seat counts for the flights in the Worldspan core availability display. An Airline Source participant is also a Direct Sell and Direct Access participant. The Airline Source indicator “#” appears in front of the flight segment in Worldspan availability displays, but not in the airline’s Direct Access displays.

Airline Source segments are also sold over the Direct Sell link because Direct Sell applies to all segments sold when the Direct Sell link is up. The Direct Sell segment indicator “$”, and the Direct Sell Positive Acknowledgment are returned when selling Airline Source participants because the airlines are also Direct Sell participants. This is a Worldspan availability display, with seat counts and class of service provided directly from Airline Source carriers (#).

What does AccessPlus offer your agency, and how should it be used? Depending on agency business, there are times you may want biased availability for a specific airline. Direct Access availability may be the best for this situation because the airline selects the flights to be displayed using their chosen connect points. Flight segments sold in Direct Access, that receive the “*” segment indicator, are guaranteed. Worldspan availability displays can be used for an unbiased display of participating carriers. If the flight segment shows the Airline Source or Direct Sell indicator (# or $), the flight can be sold directly from Worldspan availability as a guaranteed segment. If the flight segment indicates a Direct Access participant (*), you can ask for the Direct Access availability display by using the shortcut entry (A@XX, XX=airline code) and sell the flight as a guaranteed segment. For all Airline Source and Direct Sell participants, Direct Access can be used as a back up should the Direct Sell link be momentarily unavailable. It is mandatory for the sold segment to carry the AccessPlus segment indicators (* or $) to be guaranteed. Next we’re going to cover some important tips and hints for AccessPlus.

If the Direct Response has not been returned after 20 hours, Worldspan automatically sends a Request Record Locator message to the airline. A message is placed on the agency supervisory message queue to verify acknowledgments with the PNR record locator and carrier code. For acknowledgments not received within 40 hours, Worldspan adds a phone field to the PNR with the WWW identifier that no airline Direct Response has been received. In both cases, you need to contact the appropriate airline for assistance.

Positive Acknowledgments are always returned after end transaction on segments sold via Direct Sell. A minimum of 4 hours should be allowed prior to reporting missing Positive Acknowledgments to the Worldspan Customer Assistance Center. This table above provides the guideline and exceptions. Exception should also be made for PNRs with travel dates or times that do not allow you to wait 24 hours.

Important Tip: One common source of missing Positive Acknowledgments or Direct Responses is incorrectly divided PNRs. Do not divide a passenger from a PNR unless they are changing their itinerary. If they are canceling, you should reduce the PNR, not divide it. Any change to a divided passenger’s itinerary must be made before filing the new PNR. This ensures logical messaging to the airline. Otherwise, the airline may not interpret a divide as a new record if the itinerary is still the same as the itinerary in the parent PNR. Some airlines do not allow a Direct Sell after Divide or Reduce. There is no way to know which airlines do not allow it. When an airline does not allow Direct Sell after sell or reduce, the segment sells against Worldspan availability. Worldspan does not advise a re-sell when the $ is not present when selling during a reduce or in a divide transaction, either on the parent or the child PNR. In summary, do not divide a PNR to cancel a passenger from a multi-passenger record. Do not file a divided PNR (F) before you have made the necessary changes to the record. See INFO DIVIDE and INFO REDUCE.

Direct Access sessions have a three-minute time limit that begins after the last Direct Access entry. Inactivity within the session for three minutes causes the session to time out. Similarly, three-minute time limits exist for viewing availability in Direct Access during which a sell transaction can be made. Sell transactions made from a Direct Access display that has been inactive for three minutes responds with an error message You receive this response: * RQ NEW AVLTY Each Direct Sell participating airline has an “inactivity timer”, which starts after the first sell on their airline. Although the timers can be from 30-60 minutes, it is 30 minutes for most airlines. This means segments sold via the Direct Sell link must go through end transaction before the inactivity timers elapses. Otherwise, the segments revert to Worldspan availability and are not guaranteed. 5 minutes prior to the expiration of the time limit, Worldspan sends the unsolicited message (UMSG) shown here. *WARNING* ET AREA A IN 5 MINS TO SAVE NEW DIRECT SELL SEGS 12:29 To display a UMSG, type <ALT> +F5 or type U and enter. The time given in the message is local CRT time (1550 in this example). Missing segment indicators for participating AccessPlus airlines (* or $) are usually due to a link outage at the time of sell. It is important to note system responses to an AccessPlus sell to ensure the flight is guaranteed. When a link is down, the sell defaults to Worldspan availability, and the segment is not guaranteed. When a segment is missing the AccessPlus indicator (* or $), cancel and rebook the segment before end transaction. If the indicator is still not present, cancel and rebook after a short period unless the new sell was done after a reduce number in party or divide and before end transaction.. Lengthy periods of any AccessPlus link outage should be reported to the Worldspan Customer Assistance Center.

Missing Flight in Direct Access

An airline may have a flight in their system that is not shown in Direct Access. It is important to remember that the airline sends all the data in their Direct Access responses and the airline may not choose to show the same flights in their Direct Access availability and schedule responses that they show to their own agents. Another possibility is that the scroll entry needed for the Direct Access availability display is MD rather than @AD. The Direct Access availability displays returned by some airlines contains more

lines than will fit on the Worldspan screen. The > symbol is the Worldspan move down indicator for those airlines. Use MD to scroll down before requesting additional flights. If @AD is used, a whole new request, not additional lines for a current display, is sent to the airline and a whole new display is returned. Let’s look at some examples.

Because this is a “new” display, the line numbers begin with 11. To keep from getting a headache over this, just remember to move down (MD) when you see the Worldspan move down indicator “)>”. One last tip about Direct Access continuation entries: Direct Access airline entries may be similar to Worldspan entries, but may not perform identically because the airline may respond differently The Direct Access responses for availability tomorrow and availability yesterday, @AT and @AY, are normally tomorrow and yesterday based on the previous request. However, in Worldspan availability, AT and AY are tomorrow and yesterday based on the date in the original request. Let’s recap the major points in this lesson.
