Leads Lite User Guide

Log in with user name and password.

Company Profile:

Navigation: Administration -> Company Profile

Set up your Company information. Assigned link cannot be changed.

Add your Company website URL.

Business Type is important to set up. Here you select the type which you want to sell using LeadsLite. Based on that certain screen will change.

Select your Time Zone as well.

Selected Fields:

Navigation: Administration -> Customize Leads Info. This is Set up/ back end page for Leads Management section.

There will be few default fields which are on the Selected Fields. You can add more fields by choosing from the left Box (Available Fields) and clicking the right arrow.

From the Selected fields, you can also remove fields which you do not want by selecting the field and clicking the left arrow.

Choose Search Criteria in the My Recent Leads module:

In My Recent Leads Page, you can search Leads by Sales Rep. Then you search by additional 3 search Criteria (Leads Source, Status, State). Check those criteria which you want to use in the Search.

Leads Search by Alphabet Option: Leads Search by Alphabet has 2 options “Leads Name” or “Company Name”.

You could deal with Individual Leads or Leads which is Company. If you are dealing with individual leads then select “Leads Name” otherwise choose “Company Name”

Leads Sorting Option: This option drives how you want to sort your leads data. Available options are Updated Date, Lead Name, Company Name. We recommend to use Updated Date that way you can see the latest update at the top of the page.

Show Price in Lead interest? If you are keep tracking of the price along with Product / Services, then select Yes.

Show Additional Contacts with Lead? If you are dealing the Company type Leads and there are multiple contacts of the Company then choose Yes.

Email Notification: Email notification can be sent to the Sales Rep on Leads Addition and Leads Update. We recommend to Choose Lead Add email notification.

Default Visible Fields in the My Recent Leads table view. Select only 4-6:

Now from these selected fields you need to choose 4/6 fields which will be showing in the grid view of My Recent Leads. You can choose from than 6. But that will be congested view in My Recent Leads.

Add User Role: You can add as many user role as you need. Typical user roles are Admin, User, Agent, Manager etc.

Navigation: Menu Control -> Set Menu By User Role.Choose the role from the top and then check the Menu/ Sub Menu which you want to give access to the user.This needs to be done for all the user roles which you created in earlier screen.

Employee Sales Rep: Here you can add Sales Rep or Employee. While adding sales rep, choose Role Type of the sales Rep. Based on the Role Type, the user will receive controlled access.

Administration -> Leads Status: Each leads will have a leads status. From lead status, you will be able to estimate business momentum. We will categorize each Lead Status as Suspect/ Prospect/ Qualified/ Customer. Only few % of Leads move from Suspect to Customer. Form the existing status of the Leads we draw Sales Funnel (Dashboard).

Leads Priority determine with which leads you need to focus more. You can create as many Priority as you need and that can be ordered by priority number.

Leads Source: You should keep track of from where you are getting the leads. This will help you to budget your marketing expense. If you know the budget for each source, you can identify cost per lead and can focus on those channels where cost per leads are more.

What to Sell: It is the selling projects/ services / products / items/ units. You are using Leads Lite to sell these items. You can associate a Lead with these as they are interested on a specific items. Later on you can search Leads for a particular item. If you dealing with multiple product line, then you know your prospective buyer’s list for each item. This list can be managed form My Recent Leads. In the screen shot the Leads Interest will have all the Items to Sell. Here user need to check the item(s) where Leads are interested.

Navigation: Manage Leads -> My recent Leads: This is the main screen where user will spend most of the time to deal with Leads. Here you can select multiple leads and Reassign them to another agent. At the right hand side there is a history button which will show you all the history/ updates of the leads. Next to that, you will see the interested items/ projects/ services. If you are Admin, you can view the leads of each sales person by changing the Sales Person name from the drop down list.

You can search a leads from the top drop down. No of drop down can be managed from the Administration ->Customize Leads Info. Partial Search can also be done using Alphabet. Quick search at the top of the page gives you HTML search from the page.

You can customize this view by enabling or disabling the column. Click on the Column. You can see all the available columns. We suggest to keep 5/6 columns on based on your importance of data.

Search Leads using specific criteria: You can search leads by Lead Name, Lead Id, Lead Phone, Lead Email. Please follow the navigation Manage Leads ->Specific Search.

Follow up Leads: You can sent follow up notification / reminder to each sales agent for a specific date range.

Archived Leads: Archived Leads can be made Active from this screen. Here also you can search

Navigation: Manage Leads -> Google Calendar View:

Google Calendar: Google Calendar is integrate with Leads Lite. You need to use google email for this integration.

As instructed, Click on the link. Allow Access. Please note google calendar is accessed through Google API.

If you have not verified the gmail account then you need to verify by clicking the above link. After verification, You can set the meeting in the google calendar. Make sure you check the box to set up Meeting.

Once you set the Appt. Date and time in Leads Lite. It appears in Calendar View. It also appears in your Google

Google Calendar has both Month, Week, Day View.

The same view appears in your Google Calendar. If you modify this in Google or in Leads Lite, both gets updated. Google will automatically remind you. You can even add Guest and send invite to this meeting.

Google Map Integration: Leads Lite is tightly integrated with Leads Lite. You just need to have Zip Code or address with the Leads information. And you can see the Leads Location in G-Map. Typically when a sales person visit a leads, they can see other leads around. You can plan your travel easily with this Google Map.

Bulk Upload and Download: Leads can be imported to Leads Lite using csv file. This is a step by step process.

Leads by Project: Identifying leads by Project/ Product/ Service/ Item is easy. You can search at the top of the screen.

Back up Process: All Leads Lite data is stored cloud server. It is SAAS based (Software as a Service) Leads Management Online application. However for additional security to your data, we offer back up of all data from Leads Lite in just 2 Clicks.

Manage Duplicate Leads: In Leads Lite you cannot add duplicate data manually. But sometime we cannot avoid this duplication of leads by excel upload. In that case system offers you to identify duplicate leads by Phone or Email Id. You need to delete duplicate data, by keeping one of them.

Import Leads from Gmail / Yahoo: By the time you start using Leads Lite there are many leads already in

your gmail and yahoo mailbox. You can extract these contacts and then there is a way to easily filter the data. In few steps you can extract these leads from Gmail / Yahoo into your Leads Lite.

Leads Distribution to Sales Rep: As a company owner/ Manager you should know how leads are distributed across the sales rep. We offer leads distribution report by sales rep and leads status. Using

this report, you can assign/ reassign leads and from the closing leads count, you can estimate the performance of the Sales Person.

Strategic Decision / Analytics lies in data - Leads by Status/ Source: These graphs are available for Admin / Manager and it helps them to take strategic decision how to bring more leads from different source and close them by assigning to right sales person. Example: If you receive more leads from Cars.com than CarGurus.com by spending the same amount of money then you should increase budget in Cars.com and reduce the budget in CarGurus.com. Another thought is if you have more leads which are in New status then you do not have sufficient sales person to follow up with them. Additional Sales person to be recruited to increase sales force.
