Introducing inTouch for Independent Agents inTouch by Market Leader is an integrated system of lead generation, contact management, and marketing tools for growing your business.

The inTouch Process A consumer makes an online inquiry from your listing detail page on a company* or partner** website. inTouch captures the information, calls you on your cell phone, reads you the information as a voice message, and asks for lead acceptance. You will also receive leads from your personal profiles and personal website that inTouch will auto-accept for you. Upon lead acceptance, a con-tact record is automatically created allowing you to mar-ket to the lead to achieve a successful sale and closing.

inTouch Highlights Lead Generation Listing leads are generated from over 725 websites including: *Company websites: ColdwellBankerHomes.com, Coldwellbanker.com, ColdwellbankerPreviews.com **Partner websites: Realtor.com, Zillow.com, Trulia.com, Yahoo! Homes, and more… Your free inTouch personal website featuring all IDX listings from your local MLS.

Leads are also captured from your Personal Profiles. Leads can be accepted and managed using inTouch mobile.

inTouch/Market Leader Business Rules (Claim Time) inTouch has built-in tools designed to assist you with the effective management and follow up with your company generated listing leads.

Receiving and Accepting Listing Leads 1. A consumer makes an online inquiry from your listing detail page.

2. inTouch captures the consumer’s request for infor-mation and their contact details and calls you im-mediately on your cell phone, or other designated phone, from 970-660-5323.

3. When you answer the call, you will be asked: “If this is not voicemail press “1”. Press 1 to hear brief lead details.

4. You will then hear: “To accept this lead prb

5. ess 1, to skip this lead press 9”. Press 1 again to accept the lead. The remaining contact details and requested information will then be read to you, sent to your email, texted to you (*requires activation), and entered into a newly created contact record in your online account.

6. If you miss a listing lead call, you will receive a voicemail, email, and a text message* that you have 15 minutes to claim the lead by calling 970-660-5323, replying to the email, replying “yes” to the text mes-sage, using inTouch Mobile, or going to your online account.

7. Unclaimed and rejected listing leads are serviced in accordance with the company inTouch rules.

Tip: Create an inTouch phone contact record with the phone number 970-660-5323 for caller ID to alert you to incoming inTouch calls.

*To activate text messaging, text “yes” to 66914 or activate it in your inTouch account.

Receiving and Accepting Personal Profile and inTouch Web Site Lead Calls 1. A consumer contacts you from your company or partner website profiles or from your inTouch personal

website.

2. inTouch captures the consumer’s requested information and their contact details and calls you imme-diately on your cell phone, or other designated phone, from 970-660-5323.

3. When you answer the call, you will be asked: “If this is not voicemail press “1”. Press 1 to hear brief lead details.

4. You will then hear: “This lead is sent directly to you and does not require acceptance.” In other words, there is no claim time. The remainder of the lead information is then read to you, emailed to you, texted to you (requires activation), and entered into a newly created contact record in your online account.

Making Follow Up Updates Once you accept a lead, you are encouraged to make future contacts and update the lead record within the following recommended intervals: Within 24 hours after acceptance. Within 7 days after acceptance. Every 30 days thereafter.

If you miss a recommended update interval, inTouch will remind you by email.

How will I know if I have leads that could use updating? To further assist you in meeting these recommended update intervals, inTouch places the following re-

minders in the Category column of your dashboard or the Category field of a contact record: Green – OK Yellow - Action Needed (within 24 hours of the next recommended update) Red - Action Needed (a recommended update interval has passed)

To view and manage your contacts by lead status, search or sort by Category.

Are updates recommended for manually entered or imported contacts? Updates for manually entered and imported contacts are not required and you will not receive contact reminders. However, ongoing and timely follow up with these contacts is highly recommended.

How can I make a recommended update? Completing one of the following actions will update a contact record. Changing a contact’s Status Sending an Email Sending a Listing Adding a Comment to the contact’s record Setting up a Listing Alert Adding the contact to a Marketing Campaign

inTouch “Quick-Start” Guide

Enable MLS/IDX feed (Account AdministrationMy Account) Identify your inTouch URL and email address. (Settings/Profile Details) By default, your website’s listings and Featured Properties, and your inTouch

marketing center materials will only display REALOGY brand listings. To re-place these listings with your MLS/IDX feed, obtain MLS approval at ( MLS Administration). Entering the Listing Office ID will display office listings for Featured Properties, in your emails, and in your inTouch marketing materials. Note: This will override the use of your personal listings for these features.

Add your Agent MLS ID to your account at (Settings Agent MLS ID) to display your personal, active MLS listings as Featured Properties, in your emails, and in your market-ing materials.

Update Your Account and Profile Details (Account AdministrationMy Account) Edit the profile details displayed on your website, emails and Marketing Center materials. (Set-

tings/Profile Details) Edit information included in your Marketing Center materials. (Settings/Marketing) Add social media icons to your website About page, emails, and marketing materials/campaigns.

(Settings/Social Media Options) Add your personal photo for use on your website and marketing materials. (Settings/Images) Edit your office contact information and Time Zone ( Office Info) Choose where and how you want to receive email alerts and lead notifications. ( Activity Alerts)

Customize Your Website (Account AdministrationWebsite Admin) Change your website home page picture/ banner. (Site Images/Current Banner) Customize the content of your website pages and SEO attributes. (Pages) Add additional information to appear in the footer of your website pages. (Footer) Create “Communities Served” pages to showcase on your site. (Communities Served) Choose which fields (filters) to display on the Search page of your website. (Search Fields) Choose whether website visitors can search all or select areas of the MLS. (Search Areas) Choose how many property search detail pages visitors can view on your website (1-99) before being

asked to register (set up an account). The default number is “1”. (Visitor Registration)

Set Up Your Email (Account Administration Email Settings) Create a professional email signature using the html text and image editor. ( Email Signature) Review/create reusable "Quick Text" for use in your emails. ( Email Quick Text) Review/edit the following pre-written, automated or manually sent emails: Automated Welcome Emails

sent to visitors who register on your website. Manually sent Welcome Emails to newly created contact records. Manually sent Initial Contact Wizard Emails. Introductory text included in emails sent with Seller’s Market Reports. ( Templates)

Your Website Features (Account Admin Website) Your inTouch personal website URL and email address can be found at (Account Administration My Account Settings/Profile Details).

Displaying MLS/IDX Listings on Your Website By default, only REALOGY brand listings are

displayed on your website in searches, as Featured Properties, and in your inTouch marketing materials. To replace these listings with your MLS/IDX feed, obtain MLS approv-al at (Account Administration My Ac-count MLS Administration). Note: Enter-ing your office ID under Listing Office IDs, will replace your personal listings with office list-ings as Featured Properties on your website, in your emails, and in your marketing materi-als.

Enter you Agent MLS ID at (Account Ad-ministration My Account Settings Agent MLS ID) in order to display your personal, active listings as Featured Properties on your website, in your emails, and in your marketing materials

Appearance Theme – Choose from customizable website themes. Pro

users have additional themes to choose from. Site Images – Change your main page photo (banner). Pages - Customize the content and SEO attributes of each website page (tab). Blog Posts (Pro)- Pro users can add blog posts to their website. Footer –Display Additional Info and links in the footer of every page.

Content Communities Served – Create individual community pages with photos, descriptive content, mapping,

property search, featured listings, and “Today’s Market Trends” for that community. Partners – Feature one or more transaction support partners on your website. Partner information will

display differently on each theme. Recommendations (Pro) Pro users have a Recommendations button on their About page. Recom-

mendations appear at the bottom of the Home Page and About pages. Website Analytics (Pro) – Pro users can gain additional insight into how visitors find and use their

website by entering their Google Analytics Tracking ID in the box provided and clicking Save.

Listing Search Search Fields - Choose property listing types and features filters to display on your Search page. Search Areas - Choose to let website visitors search all or select areas of your MLS coverage. Visitor Registration – Unregistered website visitors can view a limited number of listing detail pages

before being required to register. Registered visitors can access unlimited listings, save homes, save searches and get email alerts for new homes on the market matching their criteria. You control the number of detail page views allowed (1-99) before registration is required. The default views is “1”.

Search Widget (Pro) Pro users can imbed Search Widgets into other websites/blogs to drive traffic to their website.

Navigating Your inTouch Account Dashboards Personal Dashboard – Your daily “to do” page

of items needing your attention including New Contacts, Unread Emails, and Reminders. Send emails and listings to contacts, add contacts to listing alerts and marketing campaigns, view a contact’s activity on your website, and more.

Managing Your Contact Database Add contacts to your account and give them access to unlimited listings on your website. Track their activi-ty on your website and set them up for Listing Alerts.

All Contacts Search (ContactsAll Contacts) At the top of each page in your system is a Contact Search Bar to quickly and easily search for contacts by name, email, or phone number. The default view for Contacts is All Contacts. The basic Search fields enable you to quickly find contacts by name, phone number, email and status. By choosing “More Search Options”, you can also search by contact type, groups, cam-paigns, comments, history, and more.

Recently Active (Contacts Recently Active) This feature simply pre-selects and searches for Recently Active contacts

Add a Contact (Contacts Add a Contact) The minimum required information to add a contact is first and last name, Email address OR complete physical address OR a phone number. Manually Add Contacts by entering a contact’s Primary Details, adding pertinent Comments. entering

an Address, entering Secondary Details, adding the contact to a Listing Alert campaign and sending a Welcome Email, and adding the contact to a group. Once you have saved the contact record, you can then add the contact to Listing Alerts where they will receive a series of 3 customizable emails encouraging them to sign up for Listing Alerts, manage the contact Emails, review and add Reminders, and add the contact to Marketing Campaigns.

Add Contacts from Emails – From your Dashboard or Email Inbox click the “Add Contact” icon in the Actions column to automatically create a contact record.

Manage Groups (Contacts Manage Groups) Groups allow you to organize your contacts in easily identifiable groups with similar traits or goals. You

can create new groups, edit existing group names, and conduct a quick search of all contacts in the group by clicking the # Contacts link.

Contacts can also be added to groups “on the fly” from your Personal Dashboard page and from within a contact record.

Import/Export (Contacts Import/Export) You can import contact records from four file types: Basic Contact List (a sample file with required col-

umns and column names is available), Outlook 2007, Top Producer 8i, My Real Estate Tools/My Red Tools. You can Export contacts from your inTouch account in .CSV format.

Mobile Lead and Contact Management inTouch is optimized to provide full lead capture and contact management capabilities on mobile devices. Using your device’s browser, log into the NRT Gateway then your inTouch account. Save time with future logins by saving a shortcut on your smart device.

inTouch Pro users can access their account using the Market Leader app for Apple or An-droid devices.

Creating Marketing Campaigns Go to (Marketing Marketing Center) Marketing campaigns help you maintain strong relationships with your contacts by providing relevant, time-ly information to them until they are ready to buy or sell.

Monthly Newsletter Campaign Go to (Marketing Marketing Center Monthly Newsletter or My Campaigns). There is only one newsletter campaign. Every month, Market Leader adds a newly created, editable, real estate relevant newsletter to the Monthly Newsletter template. Once the new newsletter is finalized, and before your email is scheduled to go out, you will receive a system reminder for you to personalize that month's email. Your delivery date is scheduled specifically for your system and is not editable. The Newsletter Campaign tem-plate cannot be paused or deleted. To end a campaign, just remove your contact from the campaign.

Create Date or Interval Campaigns Go to (Marketing Marketing Center Cam-paign Templates). 1. Select a campaign Delivery Schedule. Date Campaign Interval Campaign Birthday Anniversary

Managing Your Dashboards There are four Dashboards that work together to provide you quick access to important items needing your attention and data that influences your activity planning. Personal Dashboard – Your page of daily

“to do” items needing attention including New Contacts, Unread Emails, and Re-minders. From here you can also send emails and listings to contacts, add contacts to listing alerts and marketing campaigns, view a contact’s activity on your website, and more.

Managing Your Email and Reminders

Inbox (Email Inbox) – Manage all email and lead communications in one spot. Add names in emails

to your contacts with just one click. Archive (Email Archive) – View all archived emails. If you archive an email that is related to a con-

tact, it would also appear in the email section of the contact detail page. Sent Items (Email Sent Items) - View all messages you have sent to your contacts.

Scheduled Email (Email Scheduled Email) - Pro users can schedule emails with up to 45 days delayed delivery.

Compose Email (Email Compose Email) – Create an email (use Email Quick Text to save time), attach a file, include Showcase Properties and social media links.

Reminders (Reminders) – A reminder is a text note with a due date. The Reminders view enables you to view, edit, mark complete, and delete reminders in a list. Either you or the system can create a reminder. Reminders can have contact’s assigned to them.

Managing Your Email Settings Your maximum mailbox size is 1 GB and the maximum attachment size you can send or receive is 10 MB.

Email Settings (Account AdministrationEmail Settings)

( Email Signature) Create a professional email signature using the html text and image editor. ( Email Quick Text) Create reusable "Quick Text" for your emails. ( Templates) Registered on Website: Manage the content of the Welcome Email sent to a new registrant on your

website. Manually Entered: Manage the content of the Welcome Email you will send when you manually add

a contact to your system. ( Initial Contact Wizard) - The Initial Contact Wizard (ICW) is a guide for contacting new leads.

When you receive a new contact, the Summary view of a contact record displays an Initial Contact Wizard notification. Accessing the Wizard will provide you with step by step instructions for making an initial contact phone call, often with scripts, and a pre-written email designed to drive the contact back to your website. This is where you manage the default Wizard email. You can also customize this message each time you manually send an ICW email.

( Seller's Market Report Content ) Configure the default introduction text to a Seller's Market Report that you can send to Contacts.

Market My Listings (Listings Market My Listings) You can manage and review listing promotion activities for active listings associated with your ac-count. This view includes the following tabs. Listings - Shows a list of every property

in the MLS database associated with an MLS ID, including a summary of the list-ing and actions to view associated emails or to send a listing email.

Email to Contacts - Shows when pro-motional emails were sent to contacts for a particular listing. You can see the num-ber of contacts who received the email, how many visited the site, and how many requested information on the listing.

Post on Craigslist - Shows all listings and whether or not you posted a listing on Craigslist. The system provides data on Craigslist postings and a tool to create a new post.

Showcase Properties – Showcase Properties are listings and custom properties you want to highlight in your marketing strategies. Tip: Quickly add Showcase Properties from the Listings tab.

Search all Listings (Listings Search all Listings) Use Search Options to find properties by area, property type, beds/baths, type, schools or listing ID num-ber. You can save the search criteria for future use, or as a Listing Alert for a contact. When saved as a Listing Alert, the contact you save it for will begin receiving either a daily, weekly, or bi-weekly email with listings that match the search criteria. Click View Details for a listing and scroll down for more information about the property including which of your contacts, if any, have looked at this property.

Save the search criteria you entered, or save the property as a listing alert for a contact.
