ensure that the student is aware of all programme requirements, degree regulations, and general regulations of the department, the Kulliyyah, the University, and external granting agencies.
advise the student on the establishment of a realistic timetable for the completion of the various requirements of the programme of study;
maintain contact with the student through mutually agreed upon regular meetings and be reasonably available for consultation as needed;
thoroughly examine written material submitted by the student and make timely and constructive written comments for improvement, and inform the student of the approximate time for the written material to be returned;
determine whether or not a draft of a dissertation or thesis is ready for submission to CPS for evaluation. If a draft is not to be submitted, reasons should be provided to the Deputy Dean’s office (Research and Postgraduate) and the student in writing;
make satisfactory arrangements for supervision of the student during an extended absence from the campus.

New students will be required to submit the nomination of supervisor as well as brief description of thesis latest by 10th week of their first regular semester in IIUM
Latest by the second semester, they will be assigned a supervisor
Depending on the levels and modes of study; students are required to submit the proposal by the deadline
If they fail to do so; for MA students their mode of study will be converted to non-thesis where applicable; for PhD students their progress report will be marked as unsatisfactory and/ or their case will be discussed at KPGC.
Those who are on unsatisfactory status will be required to attend proposal/thesis writing workshop and to meet their supervisor and Kulliyyah Postgraduate coordinator at least once every fortnight.

Part-time: R & CW before the end of the fifth regular semester.

MA Full time students: The students must register research proposal latest by the second regular semester of his/her studies and it must be approved within the same semester to avoid being converted to non-thesis option)
A part-time MA student must register the research proposal latest by third regular semester of his/her studies (must be approved within the same semester)
MA by research only- must register proposal in the first semester

STEP 1
• Submit ‘KIRKHS Postgraduate Thesis/Dissertation’ form to the Department by Week 10 of the 1st regular semester.
STEP 2
• Receive a confirmation letter on your approved supervisor from the Postgraduate and Research Office, KIRKHS by the end of the 1st regular semester.
• Start working on your research proposal.
STEP 3
• *Submit ‘Research Work’ form CPS-REG/1/2009(2) for registration of Research Proposal to CPS, latest by Week 2 of a new semester (**FT students: by the 2nd semester, PT students: by the 3rd semester).
• Check confirmation slip to confirm that Research Proposal is officially registered.
STEP 4
• Continue working on your proposal.• Contact and consult your supervisor regularly.
STEP 5
• Submit completed proposal to the Department.• Receive feedback from the Department in 3 weeks (1 month for RKFQ Department).
STEP 6
• If your proposal is approved, submit ‘KIRKHS Thesis Proposal’ form with 11 copies of proposals to the Postgraduate and Research Office, KIRKHS.
• Proceed to STEP 9.

STEP 7
• If your proposal is not approved, make corrections and resubmit to the Department.• Proceed to STEP 8.
STEP 8
• If the revised proposal is approved, submit ‘KIRKHS Thesis Proposal’ form with 11 copies of proposals to the Postgraduate and Research Office, KIRKHS.
• Proceed to STEP 9.
STEP 9
•Defend your proposal at the Kulliyyah Sub-Committee Meeting. The Postgraduate and Research Office will contact you to inform the date, time and venue of the meeting.
STEP 10
•Receive a letter from the Postgraduate and Research Office on the status of your proposal within 5 working days after the meeting.
STEP 11
• Make required corrections and obtain verification from the assigned panel member (Minor revision: 2 weeks to complete, Major revision: 1 month to complete).
• Resubmit the revised proposal to the Postgraduate and Research Office.
STEP 12
• Kulliyyah Sub-Committee meeting endorses the proposal. • Receive an approval letter from the Postgraduate and Research Office within 5 working days after the meeting.

COMPLETION OF PHASE I: RESEARCH PROPOSAL

STEP 1
• *Submit ‘Research Work’ form CPS-REG/1/2009(2) for registration of Research to CPS latest by Week 2 of a new semester (FT students: by the 3rd semester, PT students: by the 4th semester).
• Check confirmation slip to confirm that Dissertation is officially registered.
STEP 2
• Start conducting research – data collection, analysis and thesis writing.• Make contact and consult your supervisor regularly.
STEP 3
• When final chapter is being written, submit ‘Notification of Intention to Submit Research Work’ form CPS-REG/11/2005 to the Department.
• Submit the form at least one month before submission of thesis.
STEP 4a
•**Once thesis is completed, submit ‘Certification of Completion of Masters by Coursework and Research’ form CPS-REG/13/2005(1) and a copy of temporary-bound thesis to Head of Department.
•Receive feedback from the Department within 7 working days.
STEP 4b
• Submit a copy of the final abstract for vetting by English and Arabic Lab Coordinators; and RK/HS PG Coordinator.
• Abstract should be vetted within 5 working days.
STEP 5
• Submit the vetted abstract to the Postgraduate and Research Office for the Deputy Dean’s recommendation and Dean’s approval.
• The recommendation and approval should take 6 working days.
PHASE II: RESEARCH Student reference

STEP 6
• Once the Department certifies that your thesis has met the standard, submit 2 copies of temporary-bound thesis to Head of Department.
STEP 7
• Within 6 weeks, the Department notifies you whether your thesis is accepted with/without corrections.
• If accepted with corrections, make the corrections based on consultation with your supervisor or the 2nd reader (Department decides who to consult).
STEP 8
• Once corrections are done, submit thesis to CERDAS/English/Arabic Writing Lab for professional proofreading (CERDAS rate – RM5 per page; Writing Lab rate –RM3 per page).
• CERDAS to return proofread thesis within 2 weeks, English/Arabic Writing Lab to return proofread thesis within 4 weeks.
STEP 9
• Make the required corrections and obtain verification from CERDAS/Writing Lab that corrections have been made.
• Certification should be received within 3 working days.
STEP 10
• Submit proofread thesis to Head of Department to obtain verification that proper corrections have been made.
• Verification should be received within 3 working days.
PHASE II: RESEARCH Student reference
Note:1.FT – Full time, PT – Part time2.*Once a student registers for research, he/she must register for it every semester until he/she submits ‘Certification of Completion’ CPS-REG/13/2005(1) form. COMPLETION OF PHASE II: RESEARCH

STEP 1
• Submit ‘Review of Thesis Binding’ form PG 1-2009/2010 along with corrected version of thesis (in temporary-bound) to Head of Department.
STEP 2
• Collect the temporary-bound thesis and approved ‘Review of Thesis Binding’ form from the Postgraduate and Research Office after 10 working days or through e-mail notification, whichever comes first.
STEP 3
• Submit the ‘Review of Thesis Binding’ form and the temporary-bound thesis to CPS.• Obtain certification from CPS that you have submitted the form and thesis.
STEP 4
• Once thesis format and binding is approved by CPS, make 3 copies of hard-bound theses.
STEP 5
• Obtain supervisor’s and 2nd reader’s signatures.• Submit the 3 copies of hard-bound theses to the Postgraduate and Research Office for the Dean’s and Head of Department’s signatures.
STEP 6
• Collect the theses from the Postgraduate and Research Office after 3 working days or through e-mail notification, whichever comes first.
• Submit the theses and a soft-copy in CD form to CPS.
