ConduCting a Poster ContestOVERVIEWConducting a Knights of Columbus Keep Christ inChristmas Poster Contest is a fun and easy way to put yourfaith into action and get youth in your community involvedin their faith. It is fun to conduct because of the opportunityto witness the creativity and optimism of the youth in yourcommunity. It is easy because you can tap into existingstructures like schools and do a lot of preliminary work. Itcan also provide excellent local, and potentially international,publicity for your council.

ORGANIZATIONThe first step is to organize your contest. The councils, inconsultation with the grand knight, should select a team thatwill administer the contest. This team will be involved in allphases of the contest: organization, publicity, judging, prizes,etc. The council should be “ready to go” right before theChristmas season by ordering kits no later than October 31.A suggested time frame would be for the students to completework on their posters by December 1, with judging at the locallevel in place by December 31. District judging should becompleted by January 15 with regional and jurisdictionaljudging completed by January 31. Entries for the internationallevel of competition must be received at the Supreme Counciloffice by February 28. International winners will beannounced in March.

PUBLICITYOnce the team is in place, the next step is to contact Catholicschools, CCD classes and CYOs in your community topublicize your contest. Solicit the support of the teachers andadministrators; ask them to encourage their students toparticipate. Teachers, school administrators, priests, sistersand Knights of Columbus officials may serve as judges. Tryto include youth in the process of judging as well. Each entryshould be the work of an individual student. Schools can usethe contest as a project for art or religion classes.

If there are multiple schools participating, consider conductingpreliminary judging. In this way, the people in the communitythat you ask to serve as judges, which should include youth,will not be overburdened with the volume of posters, and thejudging process will proceed more quickly.

PROMOTE THE EVENTDisplay promotional materials prominently. The postersincluded in the Poster Contest Kit should be displayed

prominently in the community. Provide contact informationfor a council member who is responsible for fielding inquiriesabout this contest. Supplement these posters with newspaperads, radio and TV spots and other publicity. Additionalposters are available free of charge through Supplies Online,the supply ordering portal available on Officers Online.

Build public interest in the contest. Get the word out aboutthe contest in local newspapers, on the radio and by placingpromotional posters in prominent places around town. Besure to outline the criteria for judging and how to participate.

CRITERIA FOR JUDGINGOutline the criteria for your judges to use in rating the entries.The goal of this program is to increase the awareness of youngpeople’s faith, while encouraging them to speak to otheryouth “in their own language” about the true meaning ofChristmas. Meet with your judges in advance of the judgingprocess so that all are “on the same page” regarding what tolook for in a winning entry.

RECOGNITIONRecognize everyone participating by presenting the includedparticipation certificates to all who submit entries and councilchampion certificates to your council’s winners. Encourageeach school to develop some type of recognition for thewinning artists in that particular school.

SUGGESTED TIMETABLETalk to your jurisdictional youth director to coordinate thedealines in your jurisdiction.

Local — Councils should order their kits in Septemberor October to be ready to present the contest byNovember. Posters should be completed by December 1,and the council judging should take place by December31. Additional judging deadlines are as follows:

District — January 15Regional — January 31

Jurisdictional — February 15

International – State councils must submit their winningentries to the Supreme Council no later than February 28.International winners will be announced approximatelyMarch 15.

TOPICS/CATEGORIESeach poster must reflect the Keep Christ in Christmastheme with a visual image. There is no limit to the numberof posters each contestant may submit.

ELIGIBILITYThe Knights of Columbus Keep Christ in ChristmasPoster Contest is open to all youth between the ages of 5and 14. age eligibly is determined by the age of thecontestant as of november 1.

AGEGROUPSContest entrants compete in one of three age groups —ages 5 through 7, ages 8 through 10 and 11 through 14.some schools may have different age brackets for theirelementary and middle schools. in these cases, it may beappropriate to group students by grade rather than age.sponsoring councils should use their own judgment in deciding how to group participants. each local, district, regional or jurisdictional competition may haveup to 3 winning entries — a first and second place winnerin each age group.

CONTEST LEVELSThe Keep Christ in Christmas Poster Contest can consistof up to five levels of competition: council, district,regional, jurisdictional and international. below is adescription of each to help you understand theprogression of the program.

Council — This is the first level of the competition.Council officials should order the CPC-Kit, advertisethrough local media and contact schools to recruitcontestants. The winning posters from the council-levelcompetition are forwarded to either the district deputyor state council personnel, depending on thecircumstances in your area.

district — The district level of the contest occurs onlyif more than one council in the district participates in theKeep Christ in Christmas Poster Contest. Check withyour district deputy to see if this is the case in your area.The winning posters for this level of the contest areforwarded to state program personnel for either theregional or jurisdictional competition. Check with yourstate poster contest chairman for the forwarding addressand deadline for entries.

regional/Jurisdictional — The regional level ofcompetition usually only takes place in largerjurisdictions. in either case, schedule, judges and prizesare determined by the state council. winning postersfrom the jurisdiction level must be forwarded to thesupreme Council office by February 15 for considerationat the international level.

AUTHORITYThe Knights of Columbus Keep Christ in ChristmasPoster Contest will be under the authority of the statedeputy. local competitions are under the authority of thegrand knight or program director. any questions aboutthis program should be directed to the appropriate localor jurisdiction officials.

RULESPoster must reflect the theme of Keep Christ inChristmas.

each poster should be the original work (includingconcept, layout, slogan and any visual images) of a singleperson.

Poster should be approximately 11x17 inches. However,the supreme Council will not disqualify based on postersize. if pastels, chalk or charcoal are used, the poster mustbe laminated or covered with clear plastic.

each poster must be submitted with a Knights ofColumbus Keep Christ in Christmas Poster Contestentry form (#5025) — make sure your council number isincluded. The name and age of the entrant should beprinted on the reverse side of the poster in case the posterand entry form get separated.

all entries become property of the Knights of Columbussupreme Council office. Posters cannot be returned inmost cases.

JUDGINGJudging teams should be composed of students, Knights,teachers, administrators, council chaplain, pastor, etc. a 100-point scoring system will be used to determine thewinners.

slogan — 30 Points: How clearly is the theme presented?Visuals — 30 Points: How well do the visuals convey the message?overall impact — 40 points: How effective was the poster in capturing your attentionand causing you to reflect on the topic at hand?

AWARDSThe following are suggestions for prizes to be awarded at the various levels of the Knights of Columbus Keep Christ in Christmas Poster Contest. local councils, districts and state councils can design their own awards for the contest —scholarships, gift certificates, saving bonds, plaques or trophies would all be acceptable.Council — $25-50 for the first place entry in each agegroup (5-7, 8-10, 11-14)

district — $25-50 for the first place entry in each agegroup

Jurisdiction — $50-100 for the first place entry in eachage group

international — $250 is awarded to the first place entryfor each age group. two runner-up prizes of $100 eachare also awarded for each group. all international winnersreceive a framed certificate signed by the supreme knightand the winning 11-14 category design will be used in thepromotional poster for the contest next year.

PUBLICITYA local council’s successful participation in the Knights ofColumbus Keep Christ in Christmas Poster Contest willdepend on the support it receives from local private andparochial schools and the community. Before promotingthe program in a school, permission and support must beobtained from the board of education, headmaster orprincipal. Also, you will need to advertise your contestthough local media sources. Shown here is the suggestedwording for a press release announcing the Knights ofColumbus Keep Christ in Christmas Poster Contest anda letter promoting the event. This announcement andletter should be followed by a phone call to answerquestions and provide additional information.
