SUBMISSION INFORMATION In this document you will find important information about your award submission and what to expect moving forward. Please read this document carefully prior to starting your submission and submitting your final documents. The submission is classified as the ‘work part’ of your application and is to be completed according to the instructions on the templates provided in your submission pack.

THE AWARDS The 2019 AHRI awards consist of 27 awards in total — 17 organisational awards and 10 individual awards. The information provided in this document is broken down into organisational and individual award instructions, documents provided and submission information.

Upon completing your award application you will receive a submission pack email with a link to download your submission pack. Individual submission packs (excluding Ram Charan awards) will contain the following: Submission Template This document is to be used to complete your submission and includes:

• Submission overview All applicants in individual awards will be required to include the following in their submission:

o 50-word statement about the organisation the applicant is employed with o 75-word statement about the applicant

• Submission statements: o statements on each of the award criterion 8 x (approx.) 300 words per statement

with a maximum 2500 words across all statement Referee Template This template is for contact details and the referee statements:

• Minimum of two referee statements from internal stakeholders addressing the criteria.

• Referees are asked to provide a minimum of 500 words – maximum of 1000 words on how the applicant meets the criteria.

Evidence Template All applicants are strongly recommended to include evidence as part of their submission. A template is provided for you to list an overview of your supporting evidence.

Your evidence:

• can include up to five (5) A4 single sided pages of evidence supporting the submission statements and contain (but not limited to):

▪ Detailed diagrams ▪ Flowcharts/tables ▪ Articles/newspaper clippings ▪ Snippets of brochures ▪ Photos ▪ Screen dumps ▪ Short stories/testimonials ▪ Feedback/endorsements ▪ Hyperlinks to webpages – each link counts as one (1) of your A4 pages ▪ Other − anything that supports your submission and helps tell the story

The purpose of the evidence document is to support what is stated within the submission document. IMPORTANT:

• It is not required that you submit evidence, however it is strongly recommended that where possible you do..

Submission Template The submission template is to be used to outline and detail your submission/initiative. There are 2 sections of the submission template – the Submission Overview and the Submission Statements. Submission Overview includes:

• Organisational challenge overview (50-word statement) – what was the challenge your organisation was facing?

• Initiative overview (50-word statement) – what initiative did you put in place to solve this organisational challenge?

• Outcome overview (50-word statement) – how did the initiative solve the challenge and how did you measure it?

• Executive summary (50-word statement) – overview of the organisation and the initative

IMPORTANT: Should your organisation be selected as a finalist, the information provided in the Submission Overviews may be used in AHRI marketing materials and on the AHRI Awards website. Sensitive organisational information should NOT be included in this section. Submission statements include:

• Challenge statement (750 words maximum) The statement should clearly outline what challenge the organisation was facing or the motivation behind the implemented initiative/program.

• Initiative statement (1000 words maximum) A statement on the initiative/program/strategy that was introduced to address the challenge.

• Outcomes statement (750 words maximum) A statement on the outcomes achieved – how did the initiative solve the challenge and how did you measure it?

These statements must clearly address all criteria (refer to the criteria for your award). IMPORTANT: the information provided in the Submission Statements will be viewed by our panel of judges and the AHRI Awards team only and will not be made available to the public. Referees Template Please provide any referee details and their connection with your organisation or initiative in Referee Template. Referees will only be contacted if required, and upon request from the shortlisting panel judges. Criteria is made up of both generic and specific elements — generally eight criteria per award (refer to the criteria for your award for more details). You should aim to address each criterion in your submission statements, documenting where each has been addressed using this checklist. This assists the judges with reviewing your submission and also acts as a checklist for you to ensure all criteria have been addressed.

UPLOADING SUBMISSIONS Once you are satisfied that you have completed all the relevant documents for your submission you need to upload your documents along with an organisation logo or headshot to the AHRI Awards Portal for judging.

Submissions are due 21 June 2019 All submissions must be uploaded by midnight Friday 21 June 2019. Ensure that

• your documents are saved in PDF or word format,

• that track changes have been turned off

• that you have the latest version of your document.

• NEW In 2019, you need to also upload: o Organisational Awards applicants: an organisation logo o Individual Award applicants: a headshot

WHAT HAPPENS NEXT?

SHORTLISTING PANELS Once the submissions close, completed submissions along with supporting statements and evidence will be supplied to shortlisting panel judges for the first phase of the judging process. Shortlisting panels comprise of representatives from AHRI member committees, leading industry practitioners, academics and award partners. These panels individually assess applications before meeting to discuss each application and determine finalists. Finalists will be announced in early October via AHRI communications and the AHRI website. All applicants will be contacted prior to or on the day of the announcement to advise them of their submission outcome.

FINALISTS If you are shortlisted as a finalist, you will receive an email notification plus a request to provide logos, images and other requirements as specified. The information provided in the Submission Overview section may be used for marketing purposes and will feature on the awards website and our HRM magazine should you be successfully named as a finalist in your chosen award. Please ensure that this content is appropriate for public viewing.

AWARDS EVENT Winners will be announced at the AHRI Awards Event which will be held in Sydney in 27 November. Finalists will receive one complimentary ticket per submission to attend the event and will be given first option for additional ticket purchases before registration is open to the public. AHRI Awards Event registration will open in late September.

JUDGES Our judging panels comprise industry experts seeking to recognise organisations and individuals that demonstrate excellence in the field of HR. The judging process is fair and rigorous, and to help you with your submission the judges have provided the following tips:

GENERAL AWARDS TIPS

• Remember – many applications are received across all of the awards. Please ensure you are clear and concise in your submission so the panels can easily identify your key points. Use dot points and sub-headings where relevant.

• Ensure that you address ALL criteria for the award – not just those you feel are most applicable to you or that you are able to demonstrate more easily. Failure to address the criteria will (in most cases) result in not being selected as a finalist as each submission is rated and assessed against the criteria.

ORGANISATIONAL AWARDS TIPS

• Your submission should clearly define the challenge, the initiative and the outcomes – focus, where possible, on a single initiative or consolidated strategy rather than drawing from a variety of different initiatives. However should the initiative be part of a greater program or initiative, please outline this so that the judges can have clarity about the initiative across the org.

• Examples provided should flow through the application and clearly address the challenge and contribute to the outcomes.

• The submission should include clear time frames for the initiative – include details on when the initiative was developed and implemented and how many cycles or reporting periods it has been in place.

• Ensure you include impact and outcomes across these time periods to show improvements generated by the initiative.

• Statistics and data – inserting small graphs or snippets of data into the submission is encouraged and they will not be included in the word count of your submission. It is a great way to show the judges the impact of your initiative. Measurable data is encouraged wherever possible.

• Consider what makes your initiative really different – what is unique about the challenge and the way you have addressed it. You need to stand out from the crowd so ensure you showcase the best elements when writing your submission.

• Concentrate on the individual – judging panels are assessing the individual and their own achievements.

• Ensure that you draw attention to the impact that this person has made on the organisation, initiatives that they have driven, and resulting positive outcomes as a result of the individual’s input and commitment.

• Provide examples – the judging panel need written examples of how each of the criteria has been demonstrated. e.g. for the leadership criteria, simply stating that you are a leader of the organisation is not sufficient. How has this individual demonstrated that they are a leader of the organisation? Please provide an example.
