    Join the Cast of the Stafford Middle School Production ofThe PTO Executive Board

    Are You Ready for a Starring Role?

    No production would be complete without its behind the scenes crew, support and financial backing, but without theproducer, director, screenwriter and casting director, the film wouldn't even get off the ground! Our PTO Executive Boardis much like a film production in that way. We work together to diligently ensure that the SMS staff and every student getthe support they need. Through financial help, input and advice, marketing and communications and school spiritevents/spirit wear, we work to make every students experience at Stafford Middle School the best it can be!

    It's Nominee Time! What part would you like to play?

    Are you a born leader, a solution seeker? Are you great with fundraising ideas?

    Are you a numbers whiz with a love of budgets?

    Are you a communications and marketing guru?

    Do you like to write and document progress? Are you a real 'people person' who seems to know everyone?

    Are you a good recruiter?

    Do you have a passion for The Arts? Are you great at entertaining and planning parties?

    Whatever your talent, we have a role for you!

    Although the start of the new production (the 2013-2014 school year) may seem like many months away, it's the currentboard's obligation to help form an Executive Board for the next year. And the process starts NOW!This year's Boardmembers are moving up to a new production (Brooke Point High School), so we'll be starting with a fresh cast for nextyear.

    Isn't it time for you to have a big role in your child's school experience? It's not a full time gig. Depending on what part you play, the time required of your talents can vary from occasional specialappearances, to once a week on the set, to sporadic big scenes.

Eligible nominees will be placed on a slate for presentation to the current board by mid-March with a finalslate prepared for May elections.

    Duties of Office (per SMSPTO bylaws):

    President: The President shall preside at all meetings of the PTO and of the Executive Committee; shall perform suchother duties as may be prescribed in these By-laws or assigned to him/her by the PTO or by the Executive Committee;shall coordinate the work of the officers and committees of the PTO in order that the objectives may be accomplished.He/she will be on the signature card with the Treasurer and the Vice President. The President will be a voting member ofthe Executive Board only in the event of a tie.

    Vice President: The Vice President shall act as an aide to the President and shall perform the duties of the President inthe absence or the inability of the President to act. He/she will be on the signature card with the Treasurer and thePresident. The Vice President is a voting member of the Executive Board.

    Secretary: The Secretary shall record the minutes of all meetings of the PTO and of the Executive Committee; and shallperform such other duties as may be delegated. The Secretary is a voting member of the Executive Board.

    **Treasurer : A) The Treasurer shall have custody of all funds of the PTO; shall keep a full and accurate account ofreceipts and expenditures; shall make disbursements as authorized by the President, Executive Committee, or the PTO.B) The Treasurer shall present a financial statement at every General Membership Meeting of the PTO, each monthlyExecutive Board meeting and at other times when requested by the Executive Committee and shall make a full report atthe meeting at which new officers assume their duties. C) The Treasurer shall keep permanent books of account andrecords as shall be sufficient to establish the items of gross income, receipts, and disbursements of the PTO, including,specifically the number of its members and the dues collected from its members, if any. D) The Treasurers accounts shallbe examined annually by an auditor or an Auditing Committee of not less than three (3) members who, satisfied that theTreasurers annual report is correct, shall sign a statement of that fact at the end of the report. The Auditing Committeeshall be selected by the Executive Committee at least two weeks before the meeting at which new officers assume theirduties. E) The Treasurer shall maintain a checking account. The checks must be signed by two of the following: President,Vice-President, or Treasurer. F). The Treasurers term of office shall end when all accounts are submitted for audit andhave then been turned over to the new Treasurer following completion of the audit. G) The Treasurer is a voting memberof the Executive Board.

    **Parliamentarian: The Parliamentarian shall answer all questions concerning parliamentary procedure, have a current

    copy of the bylaws available at all times and ensure that the agenda is followed.

    Vice President of Ways & Means: The VP of Ways and Means will be responsible to research all available fundraisersand report them to the Executive Board. The VP of Ways & Means will coordinate volunteers for fundraisers. Once thefundraiser is approved by the Executive Board, he/she conducts and overseas the fundraising events, collects the moniesfor the fundraiser and accounts for the monies to the Treasurer. The Vice President of Ways and Means is a votingmember of the Executive Board.

    Spiritwear Coordinator: The Spiritwear Coordinator will be responsible for ordering and selling all spiritwear for thePTO. The Spiritwear Coordinator will decide the design for the current year. The Spiritwear Coordinator will beresponsible to securely store the spiritwear items. The amount to be spent each year will be subject to a vote by theExecutive Board. The Spiritwear Coordinator is a voting member of the Executive Board.

    Hospitality Coordinator: The Hospitality Coordinator will be responsible for handling all appreciation events determinedfor the calendar year by the Executive Board. The Hospitality Coordinator will determine whether to secure donations forevents from the membership and school. The amounts for each event will be determined by the Executive Board. TheHospitality Coordinator is a voting member of the Executive Board.

    **Sitting Members have committed to serving in their current positions for the 2013-14 school year, however, thesepositions still remain open to nominations and are eligible for election via the nominations process.
