    SCHOOL/OFFICE SECRETARY I

    DISTINGUISHING FEATURES OF THE CLASS: This work is partially

    routine in nature. It involves responsibility for maintaining the flow of work by

    performance of standardized tasks in carrying out day-to-day administrativesupport activities required to accomplish the work of a department or school.

    The categories of administrative support include communication, coordination,and records maintenance. These categories encompass clerical tasks such as

    typing, keyboarding, record processing, filing, receptionist tasks, mail sorting,

    and use of office machines. The work is performed under the supervision of

    an assigned higher level supervisory employee or administrator. The work isperiodically reviewed. The School/Office Secretary I performs related work as

    required.

    TYPICAL WORK ACTIVITIES:

    Operates typewriter or computer terminal to produce standardmemos, letters, reports and/or documents, sets up appropriate controls

    on equipment for margins, line spacing, paragraphs, headers and

    footers, and other controls as necessary for document amendment or

    production;Accesses previously programmed documents for reproduction or amendment;

    Inputs data for official documents and records; proofreads completed documents

    to correct spelling, punctuation, and grammar;Performs receptionist functions by providing information to students and the

    general public in person or by the telephone;

    Performs standard clerical tasks such as filing, copying, and typing; operatesstandard office machines; types or word processes forms, i.e.,

    vouchers, invoices, requisitions, etc.; sorts correspondence;

    Accepts public complaints; provides information or directs to proper source;Orders standard storeroom supplies; inventories supplies, and fills orders;

    maintains inventory of equipment and supplies;

    Registers new students, maintains students records; keeps daily attendance

    figures of students;Prepares monthly school calendar and public relations information from schools

    to homes;Prepares payroll time sheets;Assists in the preparation of school budget and assists in maintaining records

    of fund balances;

    FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES, AND PERSONALCHARACTERISTICS:

    Working knowledge of operation and minor maintenance of typewriters andcomputer terminal equipment; good knowledge of proper grammatical usage and

    punctuation; good knowledge of business vocabulary; ability to type 35 words per minute;

    ability to understand and follow oral and written instructions; ability to communicate well withadults and students; ability to perform basic mathematical functions; clerical aptitude;

    physical condition commensurate with the demands of the position.

    MINIMUM QUALIFICATIONS:

    Graduation from high school or possession of a high school equivalency

    diploma and two (2) years of clerical experience.
