Arrival by passen-ger/goods vehicle

Please note the directions and parking possibilities at the Industry Service Center (ISC).

Time slots for setting up and taking down your booth

A time slot is needed to deliver booth materials or set up/take down your booth. Without a pre-booked timeslot, we cannot guarantee the delivery. Please book your slot with [email protected]. A deposit will be charged for your time slot. Please provide your driver’s mobile phone number when booking your time slot.

As loading/unloading space at the Messe Basel is limited, all vehicles (other than private cars) must first report to the Messe Basel Checkpoint (located next to the cargo terminal at Basel EuroAirport approximately 10 minutes’ drive from the Messe Basel) in good time for their time slot. Vehicles will be cleared to go to the Messe Basel as soon as your space in the loading area becomes free.

Private cars making deliveries should park at the Parking Messe Basel within walking distance of the Messe Basel.

A plan of the parking facilities at the Messe Basel Checkpoint is available on the ISC.

The Parking Messe Basel is a multi-story car park within walking distance of the Messe.

Shipping materials Delivery address/ small packages

Please display the driver’s information (including the mobile phone number of your on-site contact person) in your vehicle so that it is clearly visible.

Delivery of small packages (via parcel service) should arrive at the Congress Center not before (April 20, 2017). If you would like to send some small packages before-hand, please confirm the time of delivery and send a list of the items that will be deliv-ered to [email protected].

Delivery of booth material by heavy goods vehicles during set up

Exhibitor passes All exhibitors are required to register for the congress and will receive a badge dis-playing the exhibiting company’s name. This badge entitles exhibitors to attend the scientific sessions and participate in the lunches and official coffee breaks during the congress. Exhibitor badges will be supplied according to the package booked. Any additional exhibitor badges will be charged at a preferential price of € 350. Scien-tific sessions are included in additional badges. Please register your booth staff online via our registration tool. You will receive your personal access data by email in February 2017. The deadline for online registration is April 5, 2017. Poken Along with each Exhibitor pass you will receive a Poken. These can be used to gather contact information from participants by touching your Poken to a participant’s Poken. The information is saved once you synchronize your Poken by logging in to your Poken account.

Poken Touchpoints According to your exhibitor package, you will receive one or more Touchpoints in the form of a small square sticker. Touchpoints allow you to load product or service data to your account. participants to gather information about your products and services by touching their Poken to your Touchpoint. At the same time their contact information is loaded to your account. Touchpoints need to be placed prominently in your booth on display walls or A4 plac-ards so they are easily seen by visitors. Manage the information you make available to participants via the exhibitor dash-board using the log-in details provided by email. You can share a variety of infor-mation via your Touchpoint including links, documents, videos, images and newslet-ters. Touchpoint content can be edited via the dashboard until Tuesday May 2. On May 3, Poken staff will visit each booth to synchronize and hand out the Touch-points you have ordered – please ensure that someone is available at the booth to pick up the Touchpoint(s) and allocate them in the booth as required. Poken staff will be available throughout the event at the Poken counter in the registra-tion area.

UTILITIES/SECURITY

Power supply requirements If you need a power supply connection for your booth, please book it at the Congress Center Basel Online Shop via the Industry Service Center (ISC).

Internet WLAN access is available free of charge at the congress venue. Please enter your personal User ID and then enter the password: 2434.

Booth cleaning/ Waste disposal

The exhibition aisles are cleaned in the evening after booth construction/set-up and cleaned thoroughly after the first day of the event. Disposal of waste from booth construction and set-up and after the event must be or-ganized by the exhibitors. If larger amounts of waste material are likely to be generated, please order booth cleaning and garbage disposal via the Congress Center Basel Online Shop from the ISC. There will be garbage bags on sale on-site for smaller quan-tities of waste.

Security surveillance No special arrangements for surveillance have been provided during the Symposium, or set-up and dismantling. The entire premises will be locked in the evening. Please do not leave any items out in the booth. Please note, no big bags are allowed in the exhibition. The Congress organizer/INTERPLAN or the Congress Center Basel will not be held liable for any loss, damage and/or theft. Additional security surveil-lance can be reserved on a paying basis at the Congress Center Basel Online Shop from the ISC.

Please note that rear/separation walls and carpet are mandatory and available via the Congress Center Basel Online Shop. Except for individual booth constructions, only shell scheme booths will be accepted. Exhibitors should erect (white) walls between neighboring booths at their own expense. Promotional activities/ Distribution of flyers

Distribution of flyers, brochures and any promotional activities by booth staff or via dis-plays is only permissible within your exhibition booth. Distribution of information mate-rials outside your booth is not permitted within a radius of 500 meters. Any exceptions require the approval and consent of the organizer. Quizzes, games or similar promotional activities at your booth should be planned in such a manner that the onlookers can find space within the booth area to participate and are not compelled to stand in the aisles. The aisles should always be kept clear so that guests and visitors can move freely. Please also note that noise caused by loud-speakers should not affect the neighboring booths and that a maximum level of 80 decibels should not be exceeded.

The direct sale of products from the booth is prohibited. However, exhibitors are permitted to take orders for products at the booth.

Evening program

Wednesday, May 3, 2017 ITI Reception The reception starts at 6:15PM (until 7:45PM) and will be held in the Industry Exhibition area. During the reception, the booths should be open and accessible to participants. TECHNICAL DETAILS

Construction height/ Booth construction rules

The maximum construction height in the exhibition is 3.50 meters for rear and side walls at the outer edges of the booth. Internal constructions (walls, towers, banners etc.) within the booth (at least 1 meter from the edge) may be up to 5.50 meters high. Items suspended from the rigging systems should be no higher than 5.50 meters. Please send a sketch of your booth 6 weeks before the congress to: [email protected].

Interpretation and enforce-ment of the rules Exceptions

As there may be instances where the interpretation of the guidelines is in dispute, we remind exhibitors that the overall principle for guidelines relating to booth design is to ensure a well-designed and structured exhibition for the delegates that is fair to all ex-hibitors. The organizer therefore reserves the right of final decision in regard to booth design with the above principle in mind.

The organizer retains the right to make exceptions to the regulations should a booth concept be deemed advantageous to the exhibition and the delegates.

Flooring There is gray carpeting in the aisles of the exhibition area.

Elevators The Congress Center Basel elevators have the following dimensions: 5 m x 2.60 m x 3 m/length x width x height with a maximum load of 7 tons.

Raised floors If you plan a raised floor that is higher than 5 cm we recommend planning a ramp and/or slanted edges. Please note that stricter rules may be applied in the venue’s regulations. These can be found on the ISC.

Booth design Technical connections from the hall floor

If you are using your own booth system, please ensure that the side and rear walls are white and clean as they may be visible from neighboring booths.

This also applies to those booths that back onto another booth as the rear walls may be of varying heights. All Peninsula and Island booths must follow an open design in order to ensure that booth neighbors are not put at a disadvantage and to create an overall esthetic effect. Please note that the access points for electricity may be located directly in your own booth area and this may have an impact on the design of the booth construction and layout. For example, this applies to supply ducts/ground valves. Thus, it may be the case that adjacent booths need to be supplied with electricity and hence the cables may be routed via your booth area if there is only one connection in this zone. These circumstances do not entitle you to any discounts.

Booth location INTERPLAN puts considerable effort into checking the construction conditions at the exhibition site accurately and on an ongoing basis. However, should any deviations arise as a result of unforeseen circumstances, we reserve the right to adjust the location of the booth accordingly at a later date or to change it at the venue. INTERPLAN shall not bear any additional costs incurred as a result of such developments. We would like to formally draw your attention to the fact that we provide only the exhibition space. All materials required to set up and equip a booth must be brought by the exhibitor or ordered using the forms at the ISC.

Technical instructions All materials must comply with the B1 standard (DIN 4102 or DIN EN 13501-1). Please keep the relevant certificates handy if any inspections or checks are carried out. For any loss or damage to the building or inventory caused by the exhibitor or persons or companies appointed by him/her, the person or agency causing the loss or damage shall be held solely responsible. It is prohibited to drive nails or screws into the walls, flooring or ceilings. Similarly, escape routes and all other fire safety equip-ment, emergency exits, doors and gates must be kept free of obstacles at all times. Booth boundaries must be complied with at all times. As soon as the order for booth space has been confirmed, it is deemed that the general terms and conditions of INTERPLAN, the Congress-specific terms and conditions and the guidelines on tech-nology and booth installation as well as the guidelines for fire safety at the venue of the event have been acknowledged and accepted. Any directions given by in-house staff, technical service providers and the parking space supervisors must be strictly followed.

Liability/Insurance Any person(s) causing loss or damage to the building or other inventory, who is em-ployed by the exhibitor or has been appointed by him/her or his/her agencies, shall be held solely responsible for the same. Any loss or damage shall be charged at the end to the person(s) responsible for causing the same. We will be happy to help you with any insurance coverage that you may like to opt for in such cases.

On-site only the officially designated delivery accesses and routes may be used.

INTERPLAN does not guarantee that all construction-related limitations have been marked or indicated correctly with respect to their dimensions in the plans of the exhi-bition venue available. INTERPLAN shall not be liable in any manner whatsoever for any discrepancies in the plans. All dimensions must be checked at the venue. Any costs incurred for this purpose shall be borne by the exhibitor. Pillars and other limitations on the booth space are an integral part of the booth space booked and do not justify any claim for a discount.

Note on privacy policy Our company handles all personal data in accordance with Article 4 of the Federal Data Protection Act. Collecting, saving and processing your personal data is required in or-der to register for the Congress. This is done exclusively for the purpose of organizing and hosting the event. Your data shall be disclosed only to those third parties who are directly involved in hosting and coordinating the event if the organizational workflow makes this necessary (Organizer, Congress center and vendors for the trade exhibi-tion). Legislation requires us to obtain your approval and acceptance of the same. Reg-istration for the ITI World Symposium Industry Exhibition is only possible if the above conditions are accepted.

The person signing on page 1 of the reservation form for the booth space declares his/her approval and acceptance that the personal information furnished by him/her in regard to the above Congress may be saved and processed in accordance with the requirements given above to third parties, e.g. the event host and manager.

Subject to change without notice. The instructions specified here are an integral part of the contract agreement and are deemed to have been accepted on signing the Booth Registration. Munich, 13. February 2017
