1 – Overview of Sorouh Information Technology Services

1.1 – Information Technology Mission

Sorouh’s Information Technology mission is to, “Provide secure, innovative, and reliable world-class technology solutions and services on time and within budget to achieve the business goals of Sorouh by developing strong domain knowledge of business and adopting IT best practices.”

1.2 – Functional Description

Planning, design, and implementation of computer-based systems and

applications Telecommunications systems and networks, comprising the integration

of planning, development, and implementation of all systems and network services

Delivery of applications and other information services products which meet the users' requirements and the standards of the organization in terms of quality and cost

Security of the Organization’s computer data and information assets and resources

Provide proactive and responsive support to users on all IT related issues

Identification of opportunities in the development and support of new and existing technologies;

Assurance of compliance with management controls for business governance

1.3 – IT Services

Information Technology Services are divided into four broad categories. IT provides implementation and support services in these areas and they are listed below.

2 – Overview of Sorouh IS Workplace Productivity Tools

2.1 - Sorouh Network/Server Login Procedure

To access the Sorouh corporate network and server resources, a user is required to enter his/her Username and Password combination on the Login prompt, please refer to the figure below. After your initial login, the system will require you to change your password.

Your login Username and initial password will be provided to you by HR or IT Department. It is recommended to change your password regularly and it is advisable to use complex password (combination of lowercase and uppercase letters, and numbers). Your windows login account will be locked-out after three unsuccessful login attempts. In case of locked-out or if you forget your password, please call IT Department to reset your account or password. The following Diagram shows the schematic network of Sorouh showing the different offices and the communication links. All IT equipment in the offices is configured to be part of a single seamless Sorouh Domain with shared resources and applications.

2.2 – Electronic Mail (E-mail) Microsoft Exchange is Sorouh’s corporate e-mail system. You are provided with a business e-mail address, <username>@sorouh.com.

There are two ways of accessing your e-email:

1. Using MS Outlook – use this option when you are connected to the local network. You can open MS Outlook by clicking the icon on your desktop.

2. Outlook Web Access – use this option to access your corporate e-

mail from home or from anywhere in the world. To use this option you need a computer with Internet connection. On the URL, type https://webmail.sorouh.com and enter your username/password combination on the window shown on the figure below.

2.3 – Voice Messaging System Our Telephone System is based on IP Telephony technology from Cisco. Telephone and Data networks are integrated in our environment and it allows us to communicate with different offices seamlessly. Telephone System is equipped with Voice Messaging feature. It is designed to perform telephone call answering and message handling. When someone leaves you a voice mail a notification will also be sent to your email with an audio file attachment which can be played through the default media player.

You can access your voice mail in either of the following methods:-

1. Using Telephone Handset:- • If you see red light on your handset, you have new voicemail

message • To listen to the message, press on the Message Button in the

Telephone and enter the default password which is 2435# and you can listen to your voice messages.

• You can change your password and record your personal greeting messages by pressing on number 4 button and follow the setup instructions.

2. Using Microsoft Outlook:- • To listen to your voice message, click/play the audio attachment of

the notification email.

• If you listen or delete the voice mail messages through outlook, it

will synchronize with the phone and vice-versa.

2.4 – Central Storage and Folder Access

When you login to the network the system will automatically map a server drive called S:\ drive. This drive is the central repository of all business related files and information. Appropriate group security access permissions are applied on the folders. Shown below is the brief description of the folders in S:\ drive.

Divisions Separate secure folder for each division and sub-folders for each department.

Support Includes support documents such as Practices and Procedures, Standard Forms, IT Manuals, FAQs etc.

Users Each user will have a secure folder to store personal documents

2.5 - Standard Software We use a number of standard Software Applications in our business. They include operating systems, office productivity tools, CADD and Engineering software, presentation graphics software, backup, and information security software. The following Table includes the major categories of Software used in the Company.

2.6 – Printers/Plotters, Photocopiers and Multi-function Device Monochrome and color laserjet printers are assigned in each division. Users can also access multi-function devices (MFD) with copy, print, scan, and email options. A large format plotter is also available in Reem Island site office. A plan showing the location of printers and copiers is available in the Appendix. Please contact IT Section for access to the printers and MFD devices.

2.7 – Hummingbird Document Management (DM)

Document Control operates an Electronic Document Control System (EDC) called Hummingbird DM. Hummingbird Document Management (DM) is utilized for scanning, retrieval and storage of documentation. Hummingbird DM System has the following features:

Instant access to scanned documents (single and multi-page) Access documents based on multiple key field searches Produce high quality printouts E-mail the document for instantaneous document distribution Permanent electronic archival storage

2.7.1 – Logging into Hummingbird

1) Open Microsoft Internet Explorer. 2) Enter http://sorouhhb/cyberdocs within the “Address” bar (below Image)

3) Click “Go” or press the “Enter” key. 4) The following display will appear.

5) Enter your User Name and Password (Same as your Network Login Name

and Password), this will be provided by IT department as per user requirement.

6) Click the “Log On” button.

2.8– Microsoft Dynamics GP (Great Plains)

Microsoft Dynamics GP (formerly Microsoft Great Plains) is a comprehensive business-management solution built on the highly scalable and affordable platform of Microsoft technologies. It offers a cost-effective solution for managing and integrating finances, e-commerce, supply chain, manufacturing, project accounting, field service, customer relationships, and human resources.

Microsoft Dynamics GP works with and like other Microsoft products that are well known throughout businesses worldwide. To manage the data Great Plains is using Microsoft SQL Server 2000 as database server.

Microsoft Dynamics GP has modules that are tightly integrated with General Ledger. An authorized user can easily go to the details of one transaction from general ledger. The user can generate any type of reports from the Great Plains system. The following are the available modules:

• Financial Module o Contains features for Direct financial transaction except

payment to vendors, payment to contractors, salary, and cash receipts

o Can do journal entries direct payments and print computerized checks, reconciliation of bank statements and posting general ledger.

• Sales Module

o Used for capturing the advance from the clients and produce “receipts” to the client and generate different type of reports.

• Purchase Module o Used for issuing Purchase Order, capturing Vendor Invoices,

payments to the vendors and issuing computerized cheques and appropriate reports.

• Payroll Module o Used to perform monthly employee salary and deductions. This

module is integrated with our intranet system to send monthly salary slip to the employees.

• Human Resources

o Used to capture employee personal details and their salary breakdowns. This module is also integrated with intranet system.

• Projects Module

o Used to capture the details of contract invoices, retentions and payments to the contractors and generate appropriate reports.

• Fixed Asset Module o Used to track and calculate the depreciation of Fixed Assets.

2.9 – Project Control System

2.9.1 - Primavera Expedition Professional

Expedition Professional is contract-control software designed to help manage projects more easily. Expedition is a browser-based product that enables project users to interactively review, update, and comment on documents on which they need to take action. It gives everyone from executives, program and project managers, to field

superintendents and collaborators, information they need when they need it. Primavera Expedition's new Project Center feature provides team members with analytical indicators necessary to understand the health of project portfolios and compare project performance. All Sorouh Project Managers and selected employees will have access to Expedition Professional. These users are provided with a separate login username/password for Expedition. Primavera Expedition Professional Workspace When you open Primavera, the Workspace appears; this is where all Primavera tasks begin.

The Workspace is divided into two main areas: the Project View on the left and the Control Center (Workspace) on the right. Project View The Project View shows your project hierarchy, which

includes the top-level folder, followed by the folder for each project, the folders in each project, and the modules (logs and documents) inside these folders. The Project View functions the same way as Microsoft Windows Explorer. When a folder is collapsed, click its icon to display the names of the items in that folder. To collapse the folder, click the folder icon again.

Control Center The Control Center contains information about either a selected project, a group of projects, or all projects. When no projects are open, the Control Center shows information relevant to all projects within the selected folder. When you select a project, the Control Center shows information specific to that project (some items allow you to choose whether to display information on all projects or just the selected project by clicking Edit from items offering this option).

2.9.2 - Primavera Project Management V5.0 (Planner/Scheduler) The Project Management module is comprehensive, multiproject planning and control software. It enables the organization to store and manage its projects in a central location. The module supports work breakdown structures (WBS), organizational breakdown structures (OBS), user-defined fields and codes, critical-path-method (CPM) scheduling, and resource leveling. The Project Management software can be accessed on Sorouh’s LAN/WAN. Users who require access to Primavera Project Management will be provided with a login username and password. 2.10 – Remote Connectivity

2.10.1 - Virtual Private Networking (VPN)

Virtual private networking (VPN) has been implemented in Sorouh’s Enterprise Network. VPN is a private communications network used to communicate securely over a non-private network. VPN is a powerful tool which allows you to securely connect to Sorouh’s network from virtually anyplace that has an internet connection.

With VPN, you can use Outlook, map network drives, access document control system, financial software, and use any other corporate application as if sitting in the office. You can even print to the office printers from remote locations. The speed of access through VPN is dependent on the type of Internet Connection. If you use ADSL (Al Shamil) connection, you would experience very good connectivity.

VPN Software will be installed and configured for users who require this tool. Please note that, in order to protect the security of our enterprise network, the VPN software will not be installed on home computers.
