GENERAL INFORMATION BANQUET MENUS

The final details of your event are to be submitted to the CONFERENCE SERVICE MANAGER assigned to your function at least four (4) weeks prior to your function so that our entire staff may prepare to accommodate your needs. To

ensure the safety of all our guests and comply with local health regulations, neither patrons nor their guests shall be allowed to bring food and/or beverages into the hotel.

GUARANTEES In order to best serve your guests, a final confirmation of attendance or “guarantee” is required by 3:00pm, two (3)

full business days prior to the event. This count may not be reduced within this time period and can be increased only with the approval of the Hotel Chef. We will prepare to serve 5% more than the final guarantee to a maximum of 15.

If no guarantee is received, the hotel will charge for the expected number of guests indicated on the event order.

FUNCTION SPACE

Much of the success of your event depends on the atmosphere of your surroundings. At Delta Hotels By Marriott Saint John, we understand the importance of this, and we will work with you to achieve the overall experience you desire.

The attendance you anticipate, as well as the set-up you require, are the primary factors in your function room assignment. Revisions in these requirements may necessitate changes to a more suitable room. Likewise, our schedule

of room rental fees is based upon your group’s program. Changes to group counts, times, dates, meal functions or

set-up may necessitate revision of rental fees.

AUDIO VISUAL Your audio visual equipment requirements can be reserved through PSAV the official supplier of Delta Hotels By

SECURITY

Delta Hotels By Marriott Saint John does not assume responsibility for the damage or loss of any merchandise brought into the Hotel. Therefore, should you wish to consider arranging for security personnel, this can be accommodated

through Conference Services.

GENERAL INFORMATION PAYMENT POLICY

Unless credit has been established with Delta Hotels By Marriott Saint John, the following payment schedule will apply: - In order to consider a social booking to be definite, a 1,000.00 deposit is to be paid up front and is non-

refundable- Full payment and guest count is required two (3) business days prior to the event

CANCELLATION Should you find it necessary to cancel your confirmed function, cancellation charges, as outlined on your contract will

be assessed.

LIABILITIES Please be assured that the entire Delta Hotels By Marriott Saint John Team will do everything to see that your function

runs smoothly. Occasionally, situations do occur beyond our control, such as accidents, government regulations and

food and beverage unavailability, which prevent or interfere with our performance. We will keep you informed should these situations occur and we will arrange an alternate solution.

DAMAGES

It is the responsibility of the patron to assume full responsibility for any damages to the Hotel property caused by the

patron, their guests or the agents of the patron (i.e. Bands, display companies, etc.)

SOCAN/RE:SOUND Please note a performing rights licence is required when renting a facility for a private function such as a wedding

reception, anniversary, convention, assembly or fashion show, etc. if music will be performed during the event. This Licence fee is remitted to the Society of Composers, Authors and Music Publishers of Canada (SOCAN). SOCAN is a

non-profit organization, which under the Copyright Act of Canada (R.S., C. 55, S. 1) is authorized to collect fees for

the public performance of music in Canada. SOCAN distributes the money collected to the Copyright owners in the form of a royalty. Therefore, law requires you, to pay for a performing rights licence under Tariff 8. These fees are

approved by the Copyright Board and are published annually in the Canadian Gazette.

GENERAL INFORMATION SOCAN/RE:SOUND cont’d

All live or taped entertainment/music is subject to SOCAN (Society of Composers, Authors and Music Publishers of Canada) fees are per the chart below. This charge will be added to your bill. A fee is also required for use of recorded

music, with or without dancing for their events. This does not replace SOCAN fees, but is in addition. Re:Sound licensing fees go to support recording artists and record companies.

Prices do not include applicable taxes. H.S.T. is applicable.

Re:Sound collects and distributes royalties for artists and record companies worldwide as payment for the use of their music in Canada. Until recently, businesses like yours were only required to obtain a public performance licence from

the Society of Composers, Authors and Music Publishers of Canada (SOCAN) for the benefit of composers and authors. Re:Sound and SOCAN are distinct organisations that represent different groups and rights. As such, licences are

required from both organisations. Please note that your establishment may also be subject to an AVLA licence fee for

reproduction rights (i.e. copying)
