John Harrison has engraved “The Mission isRecognition” across the bedrock of IELA. He would have been delighted with therecognition I witnessed as IELA’s representative at UFI Focus Meetings in Munich last month.

In the past I have usuallybeen asked to explainabout IELA whenintroducing myself. Thistime everyone I met -over a hundred industryleaders - knew IELA and,crucially, knew our role inthe business. This is greattestimony to John’spopular maxim andreflects the tremendousroles played by RavinderSethi and Achim Lotzwickin promoting IELA sosuccessfully at UFImeetings, not to mention the greatstrides taken by Declan, Trevor and theexecutive staff in banging the IELA drumgenerally. We really have made greatstrides with UFI and their members - socredit to all concerned. Incidentally, onmeeting representatives of the ThaiGovernment I was greeted with “Oh,IELA – we want you to bring yourcongress to Bangkok!” Nice job,Nuttacom.

The reason I was in Munich was tolisten and learn from UFI ‘s SustainabilityGroup and to present on logistics to theirOperations Committee the following day.After a fascinating day hearing casestudies from UFI members onSustainability I was anxious for IELA tostep forward. So I have committed thatwe will form a Working Group onSustainability at our Congress in Londonto develop relevant tools and standardsfor IELA. This is something which severalmembers are already embracing but thetime is right for IELA to participate fullyand engage the whole membership.More on this in London.

The Focus Meeting included the final ofthe UFI Operations Award - a round ofhigh quality presentations from venues in

Barcelona, Duesseldorf,Frankfurt and Hong Kong.First place was claimed byMesse Duesseldorf for theiroptimisation of time andspace available for loadingand unloading.Congratulations toDuesseldorf and indeed allof the finalists who might allhave won on another day.What struck me most of all,though, was that everyfinalist was a venue whopartner with IELA members.This is a fantastic

achievement for the members concernedand shows how closely our associationand our members are allied with UFI andits members.

Last weekend Kim and I took a lastminute opportunity to visit our Congresshotel and check it out closely. The hotelis fine. Good service. Good breakfasts.Great bar... We had a nice room, and ofcourse for our congress we have an evennicer rate. The best thing, though, is thelocation. It’s fantastic. We didn’t venturemore than a km or two from the hotel andwe had a great time. The madness ofOxford St, the chic of Bond St and thequiet backwaters of the beautiful mews,terraces and squares of old London town.If you haven’t registered yet ... get to it. Itis going to be one heck of a meeting inone heck of a town. Kim liked it so muchshe’s going back on Friday - with LizaGoatcher. Buy shares in Jimmy Choo!(sorry Neil).

A vital aspect of our Congress will bethe vote on the legal transition from aSwiss cooperative to a UK limitedcompany. Successive Boards under twochairmen have scoped this opportunityfully over the past five years and are nowready to propose the final move.

Although the Swiss structure hasserved us well, as IELA grows andbusiness becomes ever more complexthe need for change increases.

Why is this? There are several strong arguments.

Our status as a cooperative conflictswith the reality of IELA as a non profitassociation. It creates an expectation ofprofit (and therefore tax) which meansa lengthy, detailed and expensiveaudit. The UK alternative reflects ournon profit status with a simple, quickand low cost audit saving secretariattime - and member’s money.

Bureaucracy will be much reduced,for example, the internal audit wasconducted on April 1, yet today, morethan six weeks later, the report is stillnot available to the Board or ourTreasurer. Again, under the newvehicle, such processes will beconcluded, at most, in days rather thanweeks with savings in much neededtime for the secretariat. More time formember services.

There is a statutory requirement forSwiss directors, who are personallyliable for any losses or penaltiesincurred by IELA. The new companycarries no nationality requirement forits directors and provides the addedprotections of limited liability for thedirectors, officers and members. Animprovement for us all but above all forour Swiss directors, Hans and Markus.

IELA’s main supplier is thesecretariat, billing in sterling.Restructuring as a UK vehicle removesa significant element of risk from ourcurrency position and improves ourfinancial processes enormously. As anexample, any cheques received by the

secretariat today have to be sent toGeneva, by registered mail, forbanking. I am sure none of us wouldpermit such inefficiencies in our owncompanies.

The current two board structureinevitably results in protracted debateand occasional friction. A case of onedog, two masters. The new structureremoves this burden and allows forstreamlined, focused leadership, underone board, which is elected by themembers.

All other management aspectsremain exactly the same - InternalAuditors, Nominating Panel and, aboveall, the supremacy of the members indecision making and appointment ofdirectors and chairpersons.

There is no added cost impact onmembers.

The transition is a central part of our2010 strategic plan - The BrusselsRoadmap - and has been presented atseveral past congresses.

In the last few years Brazil hasbecome one of the largest andstrongest economies in the worldwith a great internal market witha population of more than 200million people and lessdependent on the ups and downof the globalization. In this fruitfulscenario Waiver Logistics hasmore and more established itsstrength in Brazil as well as in theSouth American region.

Recently in the first months of2009 Waiver Logistics had theopportunity to work as the officiallogistic provider for importantevents like the Rally Dakar andthe World Rally Championship inArgentina and Chile, the VolvoOcean Race in Brazil, the SouthAmerican tours of Elton John,Iron Maiden, Radiohead, Oasisamong others. As we go to print more than 185 people have registered toattend the 24th IELA Congress in London next month, whichat a time of economic uncertainty, really does go to show theesteem in which IELA is held by its members.

Delegates and their Companionshave a fun packed programme(Page 9) to fit into the new fourday schedule which opens withhigh octane Welcome Receptionon Thursday. Then as theCompanions head off the nextday to see what London is allabout, Delegates will be inspiredand delighted with the words ofwisdom from two top keynotespeakers (see panel) before whatIELA President Hans Brauchlidescribes as “one of the mostimportant General Assemblymeetings since the creation ofIELA back in 1985.”

It’s down the famous *shakethen and time to rest, relax andenjoy the hospitality of the sixUK member hosts, no time forthose that don’t like heights orthose that don’t enjoy ‘bobbingabout on the river’!

The traditional IELA Day Out,where the real networking goeson, takes place on a Saturday forthe first time and everyone isadvised to wear ‘comfortableclothes’. In 1999, when the world wasgoing dotcom crazy, Chrisfounded Brand Events with onemission in mind; to create ‘greatdays out’ for his family and friends.

Lunch at the Globe isfollowed by more class work, but not just anylessons, a Cocktail Master Class at Vinopolis, afascinating venue built on ancient Romanfoundations beneath the arches of a Victorianrailway viaduct.

SESSION 1“IELA – Community ofProfessionals or Exclusive Club”• There is no question of diluting the

QUALITY required for Full IELAMembership, but issues remain aroundquantity. Is limiting the number of IELAmembers desirable or even legal. If acompany reaches the IELA standard, thenwhy should their location prohibitmembership?

• What other types of membership wouldbenefit IELA? Associate, Partner and Mediamembers in the form of industry suppliersgreatly value close contact with fullmembers of other similar associations andalso contribute financially. In thisfragmenting economic environment withmore freelance consultants, would an IELAIndependent, i.e. personal membershipcategory ensure inclusively?

SESSION 2“The Mission is Recognition”• Does IELA make enough of the Customs

and Standards surveys? Would opening upvoting on the Standards Survey to clients,exhibitors, organisers and even non-member forwarders deliver intrinsicbenefits as well as creating an annual PRfocus? Would publishing League Tables notonly drive up standards, but generatemedia coverage?

• Industry statistics such as quarterly globalevent sector tonnages would be of real useand interest. Would members commit?What other information would the medialike that IELA generate?

SESSION 3“Sustainability – Not Worththe Paper It’s Written On?”• Earlier in the year UFI stated that ‘the

exhibition industry’s overall contribution toglobal warming remained very limited’, canwe say the same of logistics? Organiserstalk about visitor and exhibitor air miles butdo they turn a blind eye to freight issues?

• Corporate Social Responsibility (CSR) wasall the rage before the credit crunch hit.Sylvia Phua CEO of MP International Ptesaid it was now less of a consideration atthe IELA Regional Congress in SingaporeLtd. What do members who have investeddo and say now? Will it climb back up thetender winning list?

SESSION 4“Business Plans To Meet the Challenges of anEconomic Crisis”• What effect does the economic crisis have

on the exhibition logistics business? Arethere differences in industries and regions?What are the viewpoints of DomesticAgents and Export Agents? Which businesstools are implemented to deal with a weakeconomy? Do elements like pricing, qualityof service, extra value added benefitsundergo reconsideration?

• Does the IELA network provide a certainnet of security? What expectations aretowards IELA to deliver support? Do IELAmembers see opportunities in a slowmarket? Are there strategies to emergefrom the crisis in an improved marketposition? Can we develop a catalogue ofrecommendations?

IELA MEMBERSHIPAt a landmark Board of Management meeting in 2006, following extensive debate and discussion on important

strategic objectives, the visionary Brussels Roadmap plan was created. One key objective agreed at the meeting wasan aim to increase membership to 150 companies by 2010, without compromising on ‘quality’, one of the unique

identifiers that ensure IELA member companies stand out from the crowd.

In 2008 we welcomed back two old friends while embracing 12 new companies which has brought the number of companies in the IELA family to 113 in44 countries. There are just 22 months before the end of 2010 and if we are to achieve our 150 member goal, then we need to identify and qualify 37

new members – a huge task!

To assist the pro-active approach of the IELA Executive Management, you the IELA members are asked to recommend specialist event logistics providersthat you know deliver a quality service. Email Anna or Declan with contact details of any companies that you would be prepared to Sponsor for IELAmembership, particularly if they are in ‘White Spot’ countries, where IELA has no current representation. …and on that point, we hope to have some

First Quarter ’09: assessingthe landscape of IELA’sOrganizer Working Groupefforts for this Newsletter. Icontinue to be impressed andpleased with the dedication ofour IELA members worldwide.But checking it out, there’s acoalition of effort that hasemerged. It seems to me, oneof the better exemplarymodels of activity for theOrganizer Working Group: amodel that our members canand should emulate.

It’s on offer in India. It is a representative blend of

our established, continuing effortand a fresh, spontaneous, “firsttake” effort from one of ournewest members. I believe ourfriends in India have “got itgoing” at it’s best! Mycompliments to Ravinder ( Ibelieve, within IELA, he is wellknown----but for our valuedcolleagues throughout ourgreater Industry---Ravinder Sethiof R.E. Rogers India Pvt. Ltd )and our new colleagues fromPSBEDI, New Delhi India, inparticular Vicki Bedi.

Corresponding with Vicki atPSBEDI, a new IELA membersince July of ‘08, about the manymotives of the IELA WorkingGroup, among other issues, Icommented: “Obviously, wewould expect our IELA memberswho enjoy current relationshipsand memberships in variousIndustry Associations to promoteIELA as best they can. I believe,for the most part, that is beingdone by our members. Weexpect to continue to increaseour physical presence andmemberships in as many IndustryBodies as is feasible, practicaland cost-effective”.

Here’s the positive polarity ofthe effort from India. Ravinderepitomizes our presence withinUFI as elected to UFI’s ExecutiveCommittee as Vice president,acting in concert with Declan,Trevor Foley and Phil Powell toexpectedly contribute to UFI’scommittee on SustainableDevelopment. (Think about it:how did IELA achieve thisinfluence within UFI?) IELA is

coalesced with UFI! It seems tome that this is the idealrelationship IELA should createand sustain with pertinent,relevant Industry Bodies.

But as we know, these kinds ofrelationships do not happenovernight!

So, I give you the other side ofour effort. Vicki at PSBEDI, a newIELA member since July of ’08, inaddition to offering his servicesto the Organizer Working Group,has articulated a “first response”to his notion of what theOrganizer Group is all about.Reading it a number of times, Ican’t add or delete anything. It’sa comprehensive, frank,reasoned, assessment of strategyand tactics for our Group. I offerit. It’s what we’re about.“Hi John,

Though Declan is beingextremely kind with his words,we indeed would like to activelyparticipate and make positivecontributions to IELA as wetotally agree with the IELAassumption of'Recognition=Brand=Business=Value in our IELA membership'.Accordingly, while we may seemto be doing it for IELA, actuallywe are doing it for increasing the'value in our IELA membership'.

Some of the actions taken byus since our obtainingmembership are as follows :-

1. In our interaction with Declanwe learnt that unfortunately theIELA Newsletter was not beingsent to the exhibition organizers,industry associations, governmentorganisations responsible for thetrade fairs development and

other related bodies in India. As afirst, we have sent a list of approx160 addresses to IELA Secretariatso that they could send the futurepublications to these importantmembers of the exhibitionfraternity. Simultaneously, we arearranging to handover a copy ofthe publication to other new'players' with whom we interacton a regular basis. We willendeavour to push the IELAinformation as deep into theexhibition fraternity as possibleand arrange to send furtheraddresses to the IELA Secretariat.

2. On another front, as webelieved that we had joined an'august' body, after ourobtaining membership of IELAwe arranged to bring out pressreleases in respect thereto whichwere then followed byindependent news reports onIELA by some trade magazines.These have then been sent tothe IELA Secretariat for theirinformation.

3. Simultaneously, we haveensured that all our stationeryincluding visiting cards carry theIELA logo.

As for the suggestions, youcould consider the following :-

a. With India already havinggiven to IELA an erstwhileChairman, you could considerhaving a Regional Meeting inIndia to further bring in IELAawareness. I am sure our othersenior colleagues from Indiawill join us in extending thehospitality.

b. We could identify for theIELA Secretariat the contactpersons at various organisations,venue owners etc with whomthey could coordinate for linkingof the web sites.

c. The IELA Secretariat couldstart sending the IELA E-news tothe people whose list has beensent by us to them. I will checkfrom my team as to whether theemail id's have also been sentalong with the addresses. If not, Iwill arrange to get them sent.

With your experience if there isanything further that we could doto assist in achieving the desiredgoal, kindly do let me know.

I would like to start bysaying ‘WELCOME’ to our newWorking Group member MrKuldeep Razdan ofPSBediGroup / India. You mayremember that we had RolandTse of BALtrans Shanghaibefore, who joined us inJanuary. Now we have a newblood and we are expectingmore participation from all ofyou who are interested andexperienced in customs issues.

The Customs Working Grouphas gone through a tough periodsince second half of February,updating the customs forms andachieved a good result with thehelp of all committee membersby spending their time andenergy. I would like to thankthem all for their efforts. You canimagine that it is not a verysympathetic situation to chasemembers over and over in orderto receive a reply. I also thank toall members who have sent theirforms at once upon request.

We now have up-date customsforms for 42 countries. Still 17countries are remaining and wehope they will be completedsoon. Don’t worry, we will keepon chasing the silent members ☺

We are now intending to forma set-up for on-line customs

forms, where members can easilyhave access to their customsforms on IELA web site with apassword. The system willbasically work like standardssurveys and details will beworked on together with theIELA Management. This willmake the updating processeasier and smoother foreverybody, we believe.

Another Project we arediscussing within the workinggroup is to put the customs

classifications (HS Codes) on IELAweb site for the use of allmembers, if possible, in co-operation with WCO (WorldCustoms Organization). Mr InamRahmani is working on it and willsoon let us know about theoutcome of his contact with WCO.

Are you ready for the IELACongress in London? Are youready to share your ideas andsuggestions with us? We will bewaiting for you at our CustomsWorkshop where we will discussour major problems in thecustoms and how to overcomethose problems. We are veryinterested in hearing yourindividual experiences in yourcountries so that we can learnhow things go on in differentparts of the World.

Considering that customs isthe heart of our business andmajor problems occur due to thedelays and problems in customs,as well as wrong/missingdocumentation, we would like tofulfil our mission to guide theIELA members about how todeal with customs in thesmoothest way. And we need tohear about your expectations tokeep the right path to be helpfulto all of you.

Membership Defined! Thisis the goal that we need todiscuss as a group during ourLondon meeting. This is animportant step and animportant focus going forwardand needs not to be a quickthought, but a well conceivedidea that everyone will havethe same focus.

What am I talking about? I amtalking about the Brussels RoadMap and our quest to have 150members by 2010. We all votedfor this, and we all agreed to thisconcept. Most importantlygetting there can take manyroads, and it is which road thatbecomes the issue for ourdiscussion. Here are some itemsto think about and to beprepared to discuss.

How many is too many? -For instance, currently in theUK, we have 7 membercompanies. There are probablyanother 2-4 UK companies thatare not part of IELA that in factmay qualify. Do we have enoughmembers already from IELA? Dowe accept and go after torecruit all UK based exhibitionforwarders? Once we have themall, it is certainly positivefinancially for IELA, but is itnecessary for the quality and thefocus of IELA? What are thepositive and negatives?

Reduced Fees? – We havehad a trial period last quarter of2008 where we attempted a trialperiod to reduce fees as a wayto incentivize people to joinIELA. This was a focus to getcompanies to act and join. Thereal results were a strong debateamong many that this was a“sale” of IELA. We evendiscussed a pro rata feeschedule, so that if someonejoined IELA in Oct of 2009, theywould only have to pay 25% of

the fee. Is this positive for IELA?There are many quality playerson the fringe of joining IELA.Isn’t it better to have them aspart of IELA?

Smaller companies – Howabout companies that are ofhigh quality and only have 2-3staff? Should we or can weinvite them to join IELA on a feeschedule that is different thatthe full fee?

Independent Contractors –What about individuals in ourbusiness that are operating as acontractor. They may do onlyexhibitions, but do not have thecorporate structure or revenueto warrant the full fees? Do wehave special pricing to getthese well versed people intoour association?

Brussels Road Map, whichroad? - So, we all voted or themajority voted for 150 membersby 2010. Now we have todecide on the best road to take.It seems that the journey andthe road choice is as importantas the goal or destination itself.Having more members createsan even more powerfulassociation. One that representsthe highest majority ofcompanies in our business. Itgives us not only strategicadvantage, but financialadvantage as well. Yet, anotherimportant side to this coin is thatthe plan to get to 150 detractsfrom the essence or ‘esprit decorp’ of IELA, that it was neverfor the masses, but only for few.

Be ready to discuss the planand many things withinMembership during London. Wewill be having a breakout sessionon this and we need to haveyour input it is you, the memberthat we serve.

Lifting the game!Yes – we are indeed…The IELA eNews Update in

February 2009 already talkedabout it – the Standards WorkingGroup has done quite a bit ofwork in the background to raiseour standards and furtherimprove the quality of IELA andits members.

A big achievement was theestablishment of two major IELAQuality Control Protocols:• The Quality Control Protocol

for onsite agents• The Quality Control Protocol

for export agentsYou can all make use of these

new tools by simply clicking onhttp://www.iela.org/iela/download.asp to download the forms (ineither xls or pdf version).

As already mentioned in theeNews, these forms are to beseen as a great new tool.

We don’t see this as “must useforms”, yet as forms that mayhelp members to work to highquality standards, whichsubsequently aids our reputationin the market out there.

Surely, many companies areISO accredited, have forms,procedures, processes, qualitysystems and the like in place,but even for such companies itmay be refreshing to get some“new ideas”.

And for the members that donot have a set quality system in

place, we believe these forms canbe of great help.

On another matter - whilst weare on the internet and on theIELA page for “downloads” –something else which is on our“To-do-list”…..

On the download page, youwill find a few “older version”standard instruction documents.These include the combinedcommercial invoice/packing list,the standard pre-advice form, aswell as the standard returninstruction form.

The forms are a bit out of date,and one of the goals we have setourselves as a group is to workon those documents during theLondon Congress. Discuss,amend and overhaul what wehave. Not only that, but we willalso look at other forms anddocuments that may be useful forour members (no worries – wewon’t go into documentoverloads……!).

In the end, the more help wecan provide to our members toachieve high standards and toimprove quality, the better it isfor the individual member as wellas for IELA as an organisation.

Without doubt, it’s a toughmarket out there, especially rightnow – hence a high qualitystandard when it comes toexhibition and event logistics issomething that can differentiateIELA members from other serviceproviders.

Lifting our game, raising ourstandards – means much morethan improving documents andprocesses. Being an IELAmember will stand for havinghigh quality standards, and thatin turn will produce moreexposure in the market, improveour reputation, and simply createmore business.

So – let’s do it!
