1 Instructions for Uploading Exhibits 2020 Virtual 4-H Shows Steps to complete your project entries: 1. Complete your projects and finish creating your exhibit items. Refer to the Virtual Show Books to confirm exhibit requirements for your projects. The new Show Books are available on our website. 2. Write your 4-H Project Report for each General Project you will exhibit. The Project Report is required for all General Projects except Public Speaking and Cloverbuds; the Project Report is NOT required for live animal exhibits. The Project Report template is available on our website as a PDF or Word document. 3. If required, take photos and/or make a slide show of your exhibits. The specific photos required for each project area are listed in the Virtual Show Books. In each photo, include a small card with the exhibitor’s Name, County, Project Class, and 4-H Age. (Be sure the Project Class includes the specific level being exhibited this year – i.e. “Cooking 101: coffeecake”, not just “Cooking 101”, or “STEAM Clothing 1: Sewn Clothing Exhibit”, not just “STEAM Clothing”.) Your card can be handwritten, or you can use the PDF template available on our website. Remove any glass or plastic coverings to avoid glare. Choose a location with good lighting; use natural lighting if possible. 4. If required, record exhibit videos. Follow the video length requirements and other guidelines for your specific projects. Refer to the Unit 16 Horse Show Guidelines, General Projects Virtual Show Book, and your county’s Virtual Livestock Show Book for details. We recommend submitting videos in 1080p resolution. Instructions for Uploading Exhibits 2020 Virtual 4-H Shows

Steps to complete your project entries:

1. Complete your projects and finish creating your exhibit items. Refer to the Virtual Show Books to confirm exhibit requirements for your projects. The new Show Books are available on our website.

2. Write your 4-H Project Report for each General Project you will exhibit. The Project Report is required for all General Projects except Public Speaking and Cloverbuds; the Project Report is NOT required for live animal exhibits. The Project Report template is available on our website as a PDF or Word document.

5. Submit your exhibit information and documents into FairEntry. • See exhibit entry instructions on page 3 of this document. • Some projects list more than one option and require you to select one of the options. Some projects

(for example Cooking, Sewing, Horticulture, Visual Arts, and Photography) offer multiple options, and you can exhibit in each of the classes.

• Although you may see a “quantity” option on fairentry.com, exhibitors are only allowed ONE exhibit per class (or sub-class where applicable). The only exceptions are specific livestock classes.

6. Video files cannot be directly uploaded into FairEntry, so you will need to upload your video(s) into the correct online Box file.

• When uploading your video, you MUST enter a “Video Description” so staff can identify your entry and connect your video file with your project exhibit in FairEntry.

• For General Projects and Horse videos, the description should include: • Exhibitor’s Name • Exhibit Class Name or Entry Number

• For Livestock videos, the description should include: • Exhibitor’s Name • Species of Animal • Market or Breeding Class • Exhibit Class Name or Entry Number • Declared/Estimated Weight (for market classes) • Animal Date of Birth (for breeding classes)

• Instructions for uploading videos via Android, iOS, or computer are included at the end of this document.

How to Upload Exhibits in FairEntry

1. Go to the website for your county/project; you should see a screen similar to this: • If you are exhibiting in the Horse Show, go to https://fairentry.com/Fair/SignIn/14367 • For all other project entries:

• If Sangamon is your 4-H county, go to https://sangamon4-hfair.fairentry.com • If Menard is your 4-H county, go to https://menard4-hfair.fairentry.com

2. Click on “Sign in with 4HOnline.”

3. If prompted, choose to register as an “Individual.”

4. You should see a list of family members eligible to exhibit. If you do not see all of your family members who have a profile in 4HOnline, contact County 4-H staff. Do NOT choose to “Create an Exhibitor From Scratch.”

5. Click on the individual; you will see the information about this individual.

6. If you have previously created entries, you will see an option like this – choose “Begin work on a new invoice.”

7. Answer any questions that appear; then click “Continue.”

8. Review the information about the Exhibitor; make changes if the name or address is incorrect.

9. Click on “Continue to Entries.”

10. You will see a list of entries this individual has currently signed up to exhibit; click “Add an Entry” to add

additional entries.

11. Select the appropriate Department.

12. Select the desired Division.

13. After selecting the Department and Division, confirm that and click “Choose.”

14. Select the desired class or classes. Some classes may have additional options to select. Click “Continue” after you have selected all options.

15. Select the club for this exhibit. Either click “Select this Club” next to the Suggested Club or choose another club from the list.

16. Select each photo or document option that is Required and upload the photo or document.

17. After completing the entry, you will have the option to add more entries for this individual (click “Add another Entry”) or select another individual in the family (click “Register another Exhibitor”). If all entries for all members of the family are complete, click “Continue to Payment.”

18. When you select “Continue to Payment,” you will see a screen similar to this. Clicking on “Detail” will give a full list of the exhibits included on this invoice.

19. You should receive a Payment summary screen showing a Zero Balance. Click on “Continue.”

20. Click on “Submit” to submit your entries.

Be sure to complete ALL entries for ALL members of your family BEFORE clicking “Continue to Payment”. Otherwise, you will be unable to complete your entries without staff assistance.

21. This will create your entries for County 4-H staff to approve. You will not be able to add any more entries until staff have approved the invoice. After you have completed the enrollment, you will receive an email from FairEntry showing the entries you added.

Video Upload Instructions - Android The instructions below were based on a Samsung Galaxy Note 5. Your phone may differ slightly, but the basic steps will be the same.

1. Go to the upload link for your county; you will be taken to a webpage that looks like this:

3. Tap on “Documents.” You will be taken to your camera roll where you can select the video you want to upload. Once you have made a selection, the video name will populate in the upload files section.

4. Type a file description

5. When your description is finished, tap “Submit” and you will see the screen below.

For General Projects and Horse videos, the file description should include:

Exhibitor’s Name Exhibit Class Name or Entry Number

6. After your video has completed the upload process, you will see the screen below. Once you see this screen, you can close and then repeat these steps if you need to upload another video.

Video Upload Instructions – iOS

1. Go to the upload link for your county and you will see a screen that looks like this:

3. Select “Photo Library” and you will then choose “Camera Roll.” Once you have selected the video you would like to upload, tap “Done.”

4. Once your video has been selected, type a file description

5. Tap on the “Submit” button below the file description box and you will see a progress bar.

For General Projects and Horse videos, the file description should include:

6. Once your video and description have finished uploading, you will see this screen, and you can tap “Done.”

7. Once you see this screen, you can close and then repeat these steps if you need to upload another video.

Video Upload Instructions – Computer

1. Go to the upload link for your county. Once you click on that link you will see the screen below and then click

on “Select Files.”

2. Once you click “Select Files” you will be taken to the last folder that you accessed on your computer. Find the video you want to open. Once you have the video selected, click on “Open” in the lower right-hand corner of that window.

If you are exhibiting in the Horse Show, upload your video(s) to https://go.illinois.edu/Unit164-HHorseShow
