SUBJECT: How to Use the New Phone System

Most of you are already aware that we have recently installed a new phone system into the building, which is being activated this Monday morning. Some of you have been unable to make it to the training sessions and have not been informed of your PIN numbers or how to use the new phone system. This memo explains the steps you must follow to record greetings, use the voicemail, and also contains the PIN numbers for everyone here.

How to record a greeting:

1. Press the record button on the phone whilst holding the receiver to your mouth.2. Speak clearly, your greeting, into the receiver of the phone.

3. When you are finished your greeting, press the record button again.

4. Hang up the phone.

How to use the Voice Mail to create a message:

1. Punch in the PIN number of the person you want to call.

2. Allow their answering machine to pick up.

3. At the sound of the beep, record your message.

4. Hang up the phone.

How to check your messages:

1. Press the button labelled ‘Messages’ on your phone.

2. Hold the receiver to your ear so that you can hear the automated voice.

3. The automated voice will request your PIN number, enter it into the phone.

4. If you have entered your PIN correctly, the automated voice will inform you of how many messages you have, and at what times they were sent. To review your messages, press one on the phone.

5. To delete a message, press 2 while it is playing.

6. When you are finished checking your messages, hang up the phone.
