To be able to use the Web Booking system, you need a user account. After enter the
initial web page of the site, the first dialog that meets you is the login dialog (#1). If you
already have a user account, you can fill in your Username (E-mail address) and
Password, and click the Log In button or press Enter on your keyboard.
From this dialog you can also apply for a user account by clicking in New user (#2). If
someone in your organization already has an account and is an administrator, he/she can
create a user account for you directly. You don’t have to apply to get a user account
then.
If you lost your password, you can recover it by clicking in Recover password (#3).
Clicking in New User, will open a new dialog where you can enter your personal and
your company details.

New User
In the case you don’t have an account; you must fill the necessary information:
• First Name
• Last Name
• Password
• Confirm Password
• User Phone
• Company Name
• Organisation Number
• Invoice Address
• Company Phone • Site

You must choose a site where you want the application to be sent, and click in the Send
Application button (#1). An E-mail will be sent to the given site/reception. Your
information will be stored waiting for the approval. After that, you will receive an E-mail
with your login information.
If you don’t want to apply for a new user, or after sending the application, you can click
on the Go to Login Page button (#2) to return to the previous dialog.

Recover Password
After clicking in Recover Password, you have to enter your E-mail address and by
clicking in the Retrieve password button (#1), you will have your password sent to
you.

Reservations List
After login in, the list of your company’s open reservations will be shown. By default the
last 15 open reservations are displayed. To see older ones, click on the navigation panel
(#1). In this panel you can move page by page, or go to the first or last page, and you
can decide how many records you would like to see in the list by clicking in the dropdown
box. As you can see the total amount of pages, you also can put the number of the page
you want to access and press Enter on your keyboard to go into it. In the panel (#2)
you can see the current number of open reservations and you can see the total amount
of them. The list is scrollable to the right to reveal more information regarding the open
reservations.
It’s important to mention that in this list you can filter your open reservation by certain
columns. See the next image to understand the filter panel.
On this bar, you can write into the textboxes or select an option from the dropdown
boxes to filter your reservations. In the case you want to reset the information of the list
and clear the information in the boxes, you must click the X button marked in the red
square.
Also is important to mention that you can sort the information of the list (ascending or
descending), by clicking on the columns’ title.

Manage the Reservations
To make a new reservation request, click in the Internal button (#1), – if you want to
register an internal reservation - or External button (#2) – if you want to register an
external one -. Depending on your user configuration, you might have access to both or
only one of these buttons.
If there are some previous reservations, whether you clicked on Internal or External, a
dialog will be opened and you will be asked about create or not a new reservation.
If you click Internal, you will open the next dialog:

In this case, you will have to fill some information regarding the internal booking
(Reservation Info, Contact info, Cost Info). If you click External, you will open the next
dialog:

In this case, you will have to fill some information regarding the internal booking
(Reservation Info, Contact info).
In both cases, after filling the required information, you can click in the Save
Reservation button (if you have started to work on a reservation request but you do not
finished it yet) and you can finish it later, or you can click in the Send Reservation
button if you are ready to send it to the selected site. It’s important to notice that you
must have at least one person in the Booking Table prior to send it. (See next image)
In the Booking Table you can Add, Copy and Delete a Person by clicking in the
corresponding button. If you add a person - by clicking on the Add Person button-, you
will have a new row in the table with some fields to be filled. (The Last and First name,
Employee #, and the Date From and Date To are mandatories). You can copy or delete
one or more persons by clicking first in the checkbox of the person (or persons) to be
copied, and then click on the Copy Person or Delete Person button. If you want to
select all the persons in the table, you can click in the checkbox (marked in a red square)
to check or uncheck all the rows of the table.
Even if you Save or Send the reservation, some validations will be performed to be sure
that you filled up the form correctly. If you have some errors, the system will open a
dialog like the next below, to show you the errors you must fixed to continue. Besides, in
the form, the fields with errors will be marked in a blue square.
Getting back to the reservations list, if you want to edit an open reservation request, you
must select the reservation to be edited and then click in the Edit button (#3). This will
open the internal or external form dialog with the information preloaded in the fields.

After modifying the reservation you can Save or Send the reservation as it was
explained before.
If you want to delete an open reservation, you must select the reservation to be deleted
and then click in the Delete button (#4). This will open a confirmation dialog, where you
have to accept or cancel the delete action. If you click the OK button, the reservation will
be deleted and the list will be reloaded.
If you want to refresh the list, you can click in the Reload button (#5), and all the
information about the open reservations will be reloaded in the list.
