CHAPTER I

THE PROBLEM AND ITS SETTING

This Chapter introduces and discusses the topic of the

project and provides a brief introduction and specifies the

problem of the study.

Introduction

The rapid growth of technology contributed a lot to the

progress of all classification of industry. Nowadays, the use of

technology has been an effective tool on improving such kind of

enrollment system.Enrollment is the process of entering and

verifying data of student to register on particular school.

Different interrelated processes build up enrollment procedures

called enrollment system.

Enrollment System is a good example of a computer generated

process. The computerized enrollment system will provide the

needed and storing information in a faster, more convenient way

by storing file of the student enrollees in a computer system

that will lessen the work load of faculty staff and provides

accurate information needed of the school. As a result, it will

benefit not only the student but the administration as a whole.

Online Enrollment System plays a vital role in any school for it

is responsible for an effective and efficient approach for both

the students and schools. This will only serve as an immediate

solution to the increasing problems towards enrollment that

provides more easy way in enrolling. The goal of the study is to

provide an improvement regarding with the enrollment system of

Christian Lights Academy of Nueva Ecija that will help to speed

up the process.

This information here can be viewed in just a second without

worrying that a single file is lost. The idea behind a enrollment

system is not a new concept. As student enrollees increase every

year, enrollment procedure become harder to deal. This will

only serve to increase the problem facing enrollment that

provides more easy way in enrolling.

Enrollment system is a good step for the school. Enrollment

system is useful especially when the school retrieves the

important information from the student. In the enrollment system,

the school can trace what are the standings of the students. Lack

of enrollment system in a school it can lead to chaos and

troubles, the students will be confuse on what they should do and

how they will do to be able to enroll. It is extremely useful in

the school in the way of making the processes of enrolling much

easy. The visual basic and dbms will serve as a powerful tool in

keeping analyzing our records. And also this language is very

effective, easy to use and friendly any one can adapt this

system.

Background of the Study

The proponents planned to create an Enrollment System. This study

aims to come up with the enrollment system for elementary which

also includes information pertinent data such as name, address,

miscellaneous fees etc. Enrollment is an exciting day for every

student in elementary, high school, or colleges. It is the most

expected activity after summer vacation. But contrary to the

expectations of the enrollees, enrollment has posed problems and

hassles because it has become tedious and taxing. Sometimes the

students’ leave it to their parents and other members of the

family to enroll them. The unsystematic procedure of school

during enrollment is now dreaded by them. Instead student

enrollees have to stand and wait of finishing it in an hour or

two, sometimes students are made to come back the next day or

even after a week so that they can be officially enrolled. All

these have posed a problem which alarm this group of proponents

and decided to pursue in resolving the enrollment problem by

designing and implementing a system of enrollment which is

computerized. In Christian Lights Academy of Nueva Ecija the

enrollment is being done manually by the registrar and when the

enrollment start the registrar will have a hard time to enroll

the student in their current enrollment system, they found that

using a manual process is hard to handle such as collection of

records like storing, finding, sorting and securing of records

particularly if this stored only in one room and in a limited

space.

It will be a big hassle for the registrar and the student

when or if ever their going to get data or information. In this

new system it will be easy for them to enroll and to get data or

information from the registrar and also enable the registrar to

easily produce information required by the different people in

the school.

Christian Lights Academy of Nueva Ecija is a private school

which is located atSta. Ana Street. Barangay Bago General Tinio,

Nueva Ecija like some school Christian Lights Academy of Nueva

Ecija is using old system, the manual system for enrollment.

Statement of the Problem

Based on the research conducted, the proponents found out

the problem of this study are:

1. Possible loss of data

2. The manual enrolling of the Christian Lights Academy of

Nueva Ecija.

3. The long process of enrolling and inquiry are inconvenient,

tiresome and at the some instances are the time consuming

and costly.

evaluations of the factors associated with the Enrollment

System along the following aspects:

Objective of the Study

The objective of the study is to develop a school

inquiry/enrollment for the student of Christian Lights Academy of

Nueva Ecija.

a. To make the School’s enrollment system faster.

b. To develop a system that will shorten the process of

inquiry and enrollment.

c. To develop a website very accurate for those parents who

are in abroad or provinces.

Scope and Delimitation of the Study

This study will focuses on the students of Christian Lights

Academy of Nueva Ecija. The proponent focused in getting relevant

data including data of the students and computation of necessary

fees. It has ability to save, record, and edit data and

information about students, teacher and school.

Significance of the Study

The computer provides convenience to its user through the

easier and faster way of transaction. Population of students in

almost all educational institution is rapidly increasing so great

demand in teaching force becoming higher. Fortunately today’s

generation of high technology machine and tools can substitute

these workers.

This proposed “Online Christian Lights Academy of Nueva

Ecija Database Management “will provide a high technology way of

retrieving and managing student’s data.

The study will be a great help to the following:

Principal and Faculty Teachers, This study will help them to

process records of students in fastest and accurate way. It will

help to keep and handle essential information of the students for

the convenience of the students and the personnel assign to

enrollment in this education institution.

Students, The students can easily access and retrieval

information regarding with the process of enrollment the effort

and time and help to minimize the effort and time they exert.

Christian Lights Academy of Nueva Ecija, It provides easy and

fast approach in enrollment.

Definition of Terms

These terminologies were gathered by the proponent for

better and clearer understanding about the study:

Computer- Machine capable of the following the instruction to

alter data programmable electronic device that can perform

calculations and processing information.

Database- Is storage of the system to store your tables and

information.

Enrollment- It is a process in which a student is being admitted

to the institution. This includes the listing of information or

data about the students and subject will be enrolled.

Information- Knowledge given or received some fact or

circumference.

Program- An algorithm that a computer can both follow directly

and follows translated version.

Record- It is the collection of related field with information

that usually pertains to only one subject.

controlling access to all or part of the network and the resource

and shares its resources with client.

System- It is a group of interrelated components working together

toward a common goal by accepting input and producing output in

an organized transformation process.

Software- It is a system utility or application program expressed

in complete readable language.

User- The person who uses a computer for word processing,

communication and other application.

User Friendly- A program easy to use even though an individual is

not knowledgeable about the system.

Theoretical Framework

Theoretically, the main purpose of the system is to create

an efficient, fast and reliable Online Christian Lights Academy

of Nueva Ecija Database Management.

A Database Management System (DBMS) consist of collection of

interrelated and set of function to access the data.DBMS provides

an environment that is both convenient and efficient to use in

retrieve and storing information. It is also consist of programs

for storing, retrieving and manipulating large amount of data.

With DBMS software the user can compile hugelist of data and

manipulate, store and retrieve it without having touched single

file cabinet of folder.

has been collected to the research demand: the process states the

different methods to evaluate the gathered data and the output

REVIEW OF RELATED LITERATURE AND STUDIES

The chapter states different literature and studies that were

conducted for the research togain familiarity that are relevant

and similar to the present study.

Local Literature

According to Aquino (2005), importance of computer application is

increasing day by day. In the latest decades of the Millennium

winning organization are those which to integrate business

strategy and computer information technology in plying their

respective trades. The use of computer information technology

results for them to be able to develop products fast and make

decision fast, ability to have fluid organization structures,

able to cope with the demanding work force and external

environment by the rapid development of innovative approaches and

lastly using information system confirms the company’s mission

vision.

School’s use information systems in the way of implementing an

enrollment system.This result for them to attract enrollees and

earn an income. Enrollees are attracted because the use of the

said system makes the transactions faster and easier.

“Lack of enrollment system in school can lead to chaos and

troubles”, as Ace Adrian (2011).Students will be confused on

what they should do to be able to enroll that is why such system

is extremely useful in the way that it gives an ease on working

on enrollment process. Enrollment is very useful in retrieving

vital information of the students. Without it can lead difficulty

both for the administration of school and student in enrollment

process.

Many countries nowadays, especially the developing nations are

challenged by the rapid technological changes. This has radically

changed the living and working styles of the entire society. This

transformation has been driven partly by rapid technological

innovation. While in the 20th century saw the rise of the

industrial revolution with steam-powered, the 21th century was

characterized by the birth of machine powered flight and the

emergence of broadcasting and computer technologies the extend

the reach of human creativity even more and made possible new

ways by which humans could live and work together(Tinio 2002).

The transformation of manual enrollment transaction to automate

and now into web based automation is one example of what has

driven partly by the rapid technological innovation. Any ways

just to make work easier and faster like enrollment transaction

is possible with the emergence of computer technologies.

Technologies innovation had influenced man’s work from data

processing, businesstransaction, research, planning, monitoring

and even in medical operation on human anatomy are now entrusted

to computer technology. Web applications are popular due to

ubiquity of its apllications.The ability to update and maintain

web application without distributing and installing software on

potentially thousands of client computers are key reasons for its

popularity. A significant advantage of building web applications

to support a standard browser feature is the ability to perform

as specified, regardless of the operating system installed on

given client (Bacala&Reanno 2009).

A web based enrollment system has featured that meet

most of academic institutions system needs and requirements. This

includes standardized modules for student’s registration,

enrollment, grade management and other modules that are deemed to

operate a school.

ForeignLiterature

According to Jennifer Rowley (2005) information systems are a

tool to support information management. Information systems are

increasingly being used in organizations with the objective of

providing competitive advantage. The information system used by

organizations can be group into different types such as

transaction processing system, management information system,

decision support system executive information system, expert

system and office information system. Information technology has

heralded the advent of the information society. The information

society may be a virtual society. The concepts of electronic

classroom, the electronic office and electronic library have been

explored. Information system poses a number of issues on society

in general, including: changing employment patterns, archiving

and bibliographic control, security and data protection,

intellectualproperty, market place issues and access.

An enrollment system is basically included in one of the

classification of information system that is stated by author,

thus it serves a tool to support information management with

regards to the students data, enrollment fees information and

other with a connection to the enrollment process. Every school

gain competitive advantage of having this system for they will

have the capacity on handling important information at ease and

with security.

problems of using a waterfall study. This is invented to avoid a

linear and sequential development of study. The overall

typically by a functional area (Stephen McHenry 2010).

Adopting the theory of Stephen Mchenry which is known as the

iterative implementation covers the breakdown of overall

functionality of the system to a what we called feature set and

those features sets represents different process involve in an

enrollment system. It helps locate what feature enrollment system

will have since that this kind of system does many activities and

process.

According to Dunn and Scott (2005) science and technology is the

root of emerging innovations in this world. For many years now, a

person in this field of expertise does not stop to reshape the

landscape of today business world.

As stated by Holmes (2006).”The Internet is neither an

extraordinary communication tool nor revolutionary .It simply

represents the current stage in the development of human

capabilities through written language, which itself derived from

modern technology is at their highest peak. Nowadays Web based

applications are widely used due to their ubiquity.

According to Forman (2007) continuing innovation in technologies

can lead to organizational changes that range from improvement of

day to day operation and for easy access it provides for the end

users. Many schools today have adapted this innovation in

offering of their services.

Local Studies

According to the project study in 2005, by Mr. Lopez, an

enrollment system help and provide efficient and provide reliable

services to the students, enrollment personnel and

administration. Moreover this system improved the process of

enrollment in terms of searching, retrieving and subject

schedules.

An Online Enrollment System was proposed to replace the manual

enrollment system of Cavite Maritime Institute in order to

shall result to a significant increase in the number of

enrollment.

According to the coordinator of Admission Support of Kieran

Greenaway the system known as the Edith Cowan University Web

Enrollment System has replaced the traditional hard copy system

of enrollment. The system offers immediacy and convenience of

course enrollment via the internet. Inspired by the advancement

of modern technology and the problems regarding enrollment

transactions the proponents have come up with an online

enrollment system exclusively for school with many

enrolles.Several factors are considered in designing the proposed

system. First is the tedious task of filling out application

forms and inaccurate of information provided by the students that

cause delay on the enrollment process. Other is that there were

problems on giving and announcing schedules of enrollees and

cause for them to be late at their very first class.

The proponent gathered data necessary in the enrollment system

for the success of the study in providing benefit for the

employees and students so they can have the ability to manage

information directly and conveniently.

CHAPTER III

RESEARCH METHODOLOGY

This Chapter presents the method of research used, participants

of the study, the instrument to gather pertinent data and

statistical tools applied to answer the specific problems of the

study.

Methods Research

The proponents applied a descriptive method of research to

confirm formulated hypothesis to answer questions concerning the

status of the study. The descriptive method will help the

proponents to analyze to have a better understanding and describe

the data and characteristics about what is being studied.

The use of internet, articles and lectures are very helpful for

gathering information needed for this study. This gathered

information became the sources and basis of the problems

including the supporting documents.

The proponents also conducted surveys to students, faculty and

administration by providing questionnaires that will be used to

support and justify the objectives of the study. The proponent

will develop a system that will solve the stated problems in

order to help and facilitate the students, faculty members and

institution in terms of the distribution or exchanging of

information in a more convenient approach.

Nueva Ecija.

Techniques Used in Data Gathering

Upon conducting the study, the proponents used different

resources by referring the Documentary, Interviews and Survey.

Documentary-this is used outside sources, documents to support of

this study. The process of documentary research often involve

some or all reading materials such as books, magazines and

journals that may serves as key points in understanding the

feasibility of the study and the possible effect of this study

to the community.

The most highly and broadly used resource which is the Internet

played a large function for the proponent for collecting

different information by the means of visiting to different

websites that contains related information that supports the

study.

Interview-The proponents conducted interview to gather data with

regards to the manual enrollment used by the school.

Theinterviews were conducted with the teachers and selected

students of the school.

Survey-The proponents used questioners to determine the need of a

enrollment system for the school.

Observation-Through observation the proponents discovered that

the enrollment is manually.

Participants of the Study

In order to determine whether the project “Online

Christian Lights Academy of Nueva Ecija”is feasible, a total of

respondents were asked to participate. To achieve pertinent

information, certain inclusion criteria were imposed. Respondents

qualified for selection must be student, parent or faculty of the

school. The qualification ensures that the participants

understand the nature of the survey being conducted by the

proponents. These respondents were asked on the problem they have

encountered in enrollment system. They were also asked to answer

the question given based the distribution of the respondents.
