PREPARATION As the conference agenda may change in the weeks leading up to the conference, the most up-to-date conference agenda will be posted on the Transport Institute website (http://www.umti.ca). Once the conference has started, the most up-to-date agenda will be located at or very near the Registration Desk. Please consult this for any last minute changes to either your session or any other sessions you are interested in attending. As always, staff at the Registration Desk will be happy to help. DESCRIPTION OF YOUR PRESENTATION As the presentation titles were chosen some time ago, they were intended to convey the general subject matter of the presentation. We would appreciate if you could provide us with your own title for your presentation, and, if possible, a short description of what it contains. If you are preparing a written paper, please provide a short (50 – 75 word) abstract. It would be helpful if we could get your title as soon as possible. These can be emailed to us at [email protected].   PRESENTATION LENGTH We are suggesting that you keep your formal presentations to 20 to 22 minutes in duration. This should also for time for questions from the audience. PRESENTATION SLIDES For logistical purposes, it would be extremely helpful if you are able to supply us with your presentation slides (PowerPoint format only, please) in advance. This will allow us to pre-load the computers in the session rooms with your presentation and check to see if there are any issues that may interfere with your talk. We thus request respectfully that you provide your PowerPoint (.ppt) slides to us in one of two ways:

1. Anytime before 20 February 2015, you may email them to [email protected]. We will acknowledge receipt by return email; or

2. Bring your PowerPoint file to the Registration Desk during one of the morning registration periods during the conference. If necessary, we will have removable USB drives available to assist with the transfer of the file from your computer to ours.

Unfortunately, we will not be able to accommodate files other than PowerPoint, nor will we have the use of a DVD player for videos. If you feel this might be a problem, or wish to discuss specific audio/visual needs, please do contact us on [email protected] immediately. SESSION LOGISTICS 1. Each session will have a Chairperson who will introduce the session itself as well as

each individual speaker using the biographical sketch you have provided. The Chairperson shall be responsible for the overall timing of the session and the facilitation of questions and audience discussion.

2. It would be helpful if you could plan to arrive at your session at least 15 minutes

before the formal start for a short speaker briefing. At the briefing, you will meet the other presenters as well as your Chairperson. The Chairperson will discuss session details, including the planned approach for time keeping.

3. We request that your presentation not be more than 20 minutes in duration. This

will allow time for discussion with the audience and it will help us to adhere to the conference schedule.

4. We will have in each session room a laptop computer running a recent version of

Microsoft PowerPoint. You will have full control over your presentation, and you will be given a remote to use to advance your slides.

5. Given the lighting in the rooms, a PowerPoint presentation would be more visible to

the audience if you use light colours for the slide backgrounds and darker colours for the text.

6. At this point, we cannot guarantee that the audio associated with movie clips within

your presentation will play properly in the session. As such, we would recommend that you plan your presentation without video elements that require sound.

7. We also cannot guarantee a public (free or otherwise) internet connection at the

Ottawa Convention Centre, and thus we advise against including live links to websites in your presentation. If you wish to show a particular web page, it may be best to utilize static screen shots.

8. A few presenters have asked us about who will be attending the conference.

Delegates at the conference will be a mix of individuals from government, the private sector and academia. It is possible that members of media will also be present.

CONFERENCE PROCEEDINGS As you will recall, we indicated when we began corresponding with you that it was our intention to produce a set of proceedings from the conference. Our hope was that the proceedings would form a resource for future research and study of issues in Arctic transportation. That said, given the diversity of our speakers, and the kinds of presentations that we anticipate they will be delivering, it is not clear what the nature of such a set of proceedings will be. At a minimum, what we would like to do is put any written presentations or formal papers, and copies of any PowerPoint presentations, on our website (www.umti.ca) after the conference. This has been our normal procedure after Transport Institute conferences. Accordingly, we will be requesting permission from speakers to post their presentation materials – papers, written talks, and/or PowerPoint slides, as the case may be – on the Transport Institute website. This will allow access to the conference presentations to delegates and to those who were unable to attend the conference. When you register at the desk in Ottawa, we will offer you permission and copyright release form that, if you opt to sign, will allow us to post the material. You are of course under no obligation, and if you do not wish to sign the form, there will be no public release of your presentation.
