INTRODUCTION Thank you for considering Stellenbosch University as your study destination. This guide provides you with everything you need to know about applying to the University and takes you through the steps from applying to admission and arrival at the University. We attend to each application that we receive as quickly as possible. However, please be patient about the outcome of your application because the process often involves a number of parties and may therefore take some time before a final decision is made. In order to help us, please ensure that your application is complete with all its supporting documentation. Incomplete applications cause delays. The Postgraduate & International Office (PGIO) would like to be your partner in your endeavour to study at Stellenbosch University. PART 1: FROM APPLICATION TO ADMISSION
LANGUAGE POLICY OF STELLENBOSCH UNIVERSITY
Stellenbosch University is committed to the use and sustained development of Afrikaans as an academic language in a multilingual context. Language is used at the University in a manner that is directed towards engagement with knowledge in a diverse society. The University acknowledges the special status of Afrikaans as an academic language and accepts the responsibility to promote it. At the same time, it takes account of the status of English as an international language of communication and of isiXhosa as an emerging academic language. The official Language Policy and Plan of Stellenbosch University was approved by the Council of the University in 2002. The Language Policy and Plan has evolved over time and undergoes adjustments annually. The following remarks must be read in conjunction with, and are subject to, the full Language Policy and Plan. The full version is available at http://www.sun.ac.za/taal. International students should take note of the following:
1) Following the example of the Faculty of Engineering which has offered the first year of study by way of parallel medium instruction (separate streams for Afrikaans and English) for a number of years, the three faculties of Economic and Management Sciences, Science and Agrisciences implemented parallel medium instruction (separate streams for Afrikaans and English) in the first year as of 2010.
2) Afrikaans is the default language of learning and teaching at undergraduate level, while English is used to a greater extent at the postgraduate level.
3) There are specific but limited circumstances where English is used as language of under-graduate learning and instruction. Students from other countries who do not have a good working knowledge of Afrikaans will find it difficult to follow the lectures.
4) Three general guidelines apply with regard to the language of learning and teaching in class: a. Modules in which a language is taught are conducted mainly in the language in question
(e.g. isiXhosa is taught mainly in isiXhosa, Mandarin in Mandarin) and tasks, tests and examinations are set and answered accordingly.

b. Questions papers in all other modules are set in Afrikaans and English and students may answer in Afrikaans or English.
c. Except in cases where the aim of the module is language acquisition or the study of the language, students may ask questions and expect answers in Afrikaans or English.
5) Academic departments may choose various language options in learning and teaching situations: a. A specification: Lectures mainly in Afrikaans. b. T specification (bilingual classes): At least 50% of lectures are presented in Afrikaans. c. E specification: Lectures primarily in English. d. A&E specification: Separate ‘streams’ in Afrikaans and English.
6) Students are advised to take note of the specific language specification of a course. Class notes and discussions are not necessarily in English.
7) Several academic departments choose to offer a selection of courses with an E specification for international students. These courses are either part of the normal course offerings or part of IPSU-International Programmes Stellenbosch University.
8) The Language Centre at the University is responsible for providing or co-ordinating relevant language support programmes. Information is available from the Language Centre: www.sun.ac.za/taalsentrum.
9) It is the responsibility of each student to ensure that he/she has adequate language skills in Afrikaans or English to follow any particular academic course.
What does it mean?
a. For undergraduate degree programmes: Only specific programmes are presented in English. Prospective undergraduate students should have a working knowledge of Afrikaans.
b. Where faculties implement parallel medium instruction (separate streams for Afrikaans and English), students in the English stream are expected to follow and pass an Afrikaans Language Acquisition course in the first year of study while students in the Afrikaans stream are expected to follow and pass an English Language Acquisition course in the first year of study, provided that their performance in the University Access Tests demonstrated that they required support in one or the other language.
c. Where faculties implement parallel medium instruction (separate streams for Afrikaans and English), the expectation remains that instruction in the subsequent years of study could be according to A specification: Lectures mainly in Afrikaans; T specification (bilingual classes): At least 50% of lectures are presented in Afrikaans; or E specification: Lectures primarily in English.
d. For postgraduate degree programmes: Most programmes are offered in English. See the next paragraph for English proficiency requirements.
e. For study abroad: A wide variety of courses are available in English. Information is available from the PGIO.
f. For research students: Language is not a significant factor since your programme is determined between you and your academic host.
The PGIO encourages international students to acquaint themselves with Afrikaans although you may not necessarily need it for academic purposes. It will bring you into contact with the local people, on a level that will liven up your social interaction. The Language Centre offers an intensive beginners’ course before the start of each semester or a support beginners’ course throughout each semester.

The minimum English Proficiency Requirements are: • IELTS score – 6.5 or
TOEFL score - 550 (paper based); 213 (computer-based) or iTOEFL minimum of 79, preferably with a TWE score of 4.5.
• Students unable to submit IELTS or TOEFL are required to take an English proficiency test at the University prior to registration as a student.
• Students with English as their mother tongue are exempted from providing TOEFL or IELTS scores.
• The PGIO and/or Academic Departments reserve the right to refer students for language testing should there be any doubt about their English language proficiency.
• Non-degree seeking, short term students are not required to submit IELTS or TOEFL scores. The PGIO will assist international students who are not adequately proficient in English to obtain access to intensive English courses to provide a thorough preparation for postgraduate study programmes. Prospective postgraduate students who need these courses should note the following: • The costs of such courses are for your own account. • Attending such courses will require that you should budget for a longer stay at Stellenbosch
University.
Study abroad students may enrol for intensive English or English for Academic Purposes courses. The costs of such courses are for your own account.
ENGLISH AND AFRIKAANS COURSES
ENGLISH COURSES Stellenbosch University’s Unit for Afrikaans and English offers a range of English courses for international students. The Unit for Afrikaans and English is one of six units in the Stellenbosch University Language Centre. In their extensive English for International Students programme, they offer both Intensive English courses (Basic to Advanced) and a range of English for Academic Purposes courses for postgraduate students.

The Intensive English programme assists students in acquiring and polishing their language skills necessary for confident social and academic communication and caters for students at various proficiency levels. These courses may include cultural activities and excursions. The English for Academic Purposes (EAP) programme consists of the following courses: EAP (Basic: Reading and Writing), EAP (Professional Communication); These course focus on the language skills necessary to communicate confidently in English using business vocabulary, interpersonal and professional communication skills and English language structures necessary to express complex ideas. These supplementary courses are aimed at international and South African students who do not speak English as a first language, but who are required to do a substantial amount of writing, reading and speaking in English for their academic courses.

AFRIKAANS COURSES Stellenbosch University’s Language Centre (Unit for Afrikaans and English) offers the following Afrikaans courses for international students: • Basic Afrikaans Level 1 (for International Students) – First and Second Semester (Aminimum of 10 students are needed for course to commence) This course targets new international students with no prior knowledge of Afrikaans. The aims of the course are to develop the ability to speak social Afrikaans confidently and fluently; listen and understand the gist of social conversations; read and understand the gist of short stories, notices, advertisements and newspaper reports. The course equips students with basic grammar, vocabulary and knowledge of idiomatic structures. • Basic Afrikaans Level 2 (for International Students) – (First and Second Semester, numbers permitting. A minimum of 10 students is needed for this course.) This course is intended for students who wish to continue with Afrikaans after successfully completing Basic Afrikaans Level 1. The course introduces the students to formal, i.e. academic interaction and elementary writing skills. Sophisticated reading skills are developed. • Afrikaanse Taal en Kultuur vir Nederlanders en Belge (Afrikaans language and cutlure for Dutch and Belgians. A minimum of 10 students are needed for the course to commence). Students are introduced to Afrikaans literature, theater and the country’s food culture by means of contextual examples: literary texts, poems, film and stage representations, cabaret as well as attending a food festival in Franschhoek, the Woordfees in Stellenbosch and visits to the theater. The emphasis of this course is not purely on the acquisition of the language – although accurate and relevant language usage forms part of the outcomes of the course – but also on the discovery of Afrikaans literature, culture and traditional dishes. • Intensive Afrikaans for Beginners during Semester Breaks – Pretproe (January); Kaggelklets (June/July) – Minimum of 10 students needed for course to commence. These courses offer you a linguistic and cultural taste of Afrikaans as a language in a wider cultural context here in the heart of the Western Cape. The programmes comprise lively interpersonal activities in the classroom, as well as an instructive extramural cultural component. For the out-of-classroom programme students will be introduced to the campus, Stellenbosch and its surroundings. This cultural orientation may include activities such as a visit to a wine farm and cellar and exposure to South African art and entertainment.

ACADEMIC PROGRAMMES As an international student, you may apply to enrol for full degree studies, to engage in research only or you may choose to complete one or two semesters at Stellenbosch for credit.
FULL-TIME DEGREE-SEEKING STUDENTS
UNDERGRADUATE PROGRAMMES South African academic life follows the European tradition, with a mixture of lectures and seminars with individual laboratory time and library work. The academic year is divided into two semesters of two terms each. Students specialise early and study one or two disciplines for three or fours years as part of the Bachelors degree. In most subjects, assessment is based on continuous evaluation with assignments, orals, presentations, one mid-semester test and a concluding examination. The medium of instruction for most Bachelors programmes is the T-option (which means bilingual). Only BComm and BEd courses are presented predominantly in Afrikaans. Please refer to the section: LANGUAGE POLICY OF STELLENBOSCH UNIVERSITY in this document. Matriculation exemption, a minimum average percentage plus individual programme criteria are the entrance requirements for Bachelors (undergraduate) degree studies. If you have only completed O-levels or IGCSE examinations you will not be eligible for matriculation exemption. For exemption requirements according to the country where the qualification was completed, please see www.hesa-enrol.ac.za/mb/forpres.htm Applications of candidates who present foreign qualifications are evaluated by the PGIO and recommended for consideration to the respective Faculties. Applicants should supply a complete application pack according to the requirements of their programme of interest. At a minimum this should include an undergraduate application form and certified copies of high school results. Please note that if you are still finishing your high school studies at the time of application, you should supply details of your current subjects, the level that you are taking them at and provide predicted grades. We require this information in order to ascertain whether you may qualify for Matriculation Exemption. Academic year: International students should arrive in January. Undergraduates write access
tests and all students should participate in orientation. Classes normally commence in early February and run until October with examinations in June and November. Late arrivals cannot be accommodated.

30 September for non-selection programmes POSTGRADUATE PROGRAMMES Degree programmes at the postgraduate Honours, Masters and PhD level are generally accessible to all international students. Honours level is the degree that can be followed after some Bachelor degrees, and is often likened to the first year of Masters level study in other countries. Candidates compete for places on the available postgraduate programmes across 9 Faculties. An appropriate qualification/s from a recognised institution/s with good grades is/are required. Normal selection procedures apply. Honours programmes are generally a combination of taught modules (with seminars and laboratory time) and a research thesis component. Masters programmes are either a combination of taught modules (with seminars and laboratory time) and a substantial research thesis component or research-only based programmes. Doctoral programmes have a minimum registration period of two years before the degree may be conferred. Students typically enrol for around three years and are expected to work independently under the guidance of a supervisor. Doctoral candidates in all Faculties must submit a substantial dissertation and will generally be required to complete an oral examination.

Applications of candidates who present foreign qualifications are evaluated by the PGIO and recommended for consideration to the respective Faculties. Applicants should supply a complete application pack according to the requirements of their programme of interest. At a minimum this would include a postgraduate application form, certified copies of qualifications, full academic transcripts and a résumé (where applicable). Letters of recommendation are welcome, but are not compulsory. For doctoral candidates a draft research proposal (or an extensive statement of intent) is required. Academic Year: Postgraduate programmes normally commence in February each year and
one year programmes could be completed within an academic year. Where a postgraduate programme consists of taught coursework it is important for candidates who have been admitted to arrive in time for the commencement of the programme. Classes normally commence in late January or early February. Late arrivals cannot be accommodated.

NON-DEGREE SEEKING STUDENTS Our STUDY ABROAD offering has proven very popular amongst international students seeking academic excellence, social and cultural immersion and community service involvement. Each semester (semester 1: February - June or semester 2: July - December) starts with an intensive Afrikaans language programme for those who wish to learn to communicate in one of the predominant local languages spoken in Stellenbosch. This is followed by a three-day orientation programme for all new international students before lectures begin which introduces students to life in Stellenbosch and the campus in general. The academic programme is diverse and demanding. Each semester has 13-14 weeks of classes. A typical undergraduate course would consist of 3 lectures and 3 practicals. Each lecture or practical lasts for 50 minutes. A typical workload for an under- and postgraduate student is 3 to 5 courses per semester, amounting to approximately 12 – 15 USA / 24 – 30 ECTS credits. Students may take a maximum of 15 USA or 30 ECTS credits per semester (60 SA credits). There are various possibilities for STUDY ABROAD STUDENTS:

The student should give an accurate indication of their field of interest when applying. Students should visit the university’s website and search for the relevant faculty and department. Browsing these sites in search of specific modules and module codes speeds up the processing of applications considerably.
The student normally remains registered at his/her home university while studying at Stellenbosch University.
The student has to consider the medium of tuition in his/her particular courses. The student must meet the academic requirements of the modules or courses applied for.

Credit transfer Grades are awarded according to a percentage system. Students obtain academic credits for the courses that they pass. It is each student’s responsibility to finalise credit transfer arrangements with their home university, prior to departure (where applicable). Please note that students who make travel arrangements that clash with their lectures, tests and examinations, will not receive a final mark for their courses nor an academic transcript to take back to their home university. Exchange students who have not cleared their student accounts will also not receive their academic transcripts. LEARNING, SUSTAINABILITY AND COMMUNITY ENGAGEMENT: LSCE Learning, Sustainability and Community Engagement: LSCE This is a semester programme which incorporates theory and practice. Within a range of learning spaces participants will develop an understanding of; community engagement within higher education institutions in South Africa, sustainability and the challenges it presents within the development context, globalization and its implications for community engagement and community development and bio-ecological systems theory and its application. The will acquire; the skills to develop knowledge partnerships with community development agencies, a holistic understanding of the dynamics and objectives of community engagement and community development, basic qualitative research transactional writing skills, the ability to craft development interventions, the ability to think analytically, critically and practically about their work and the application of theory. They will also engage in a continuous dialectical process of action, reflection and refinement. Applicants must include an auto-biographical essay and letter of motivation as part of their application. Upon successful completion of the programme 15 USA / 30 ECTS credits will be awarded.
[email protected] AFFILIATED STUDENTS International students applying to do research only (“stage” or practical training) must normally secure a place with a host department independently. The PGIO can only assist in limited cases. Students should apply at least three months before they wish to start. They enrol as affiliated students for six weeks or longer. Conditions:
The student normally remains registered at his/her home university.
Applicants should preferably be on a postgraduate level.
It is the student’s responsibility to arrange the academic side of the visit directly with the academic host.
All affiliated students must have a valid study permit or a visitor's visa (for visits shorter than 3 months) endorsed for research or training at Stellenbosch University. A normal tourist visa is not sufficient to be registered and gain access to university facilities. For visits exceeding 3 months, affiliated students must apply for a permit endorsed for research at Stellenbosch University.

SENDING YOUR APPLICATION
Separate application forms are used for the different types of study programmes (undergraduate, postgraduate, Study Abroad, etc.) Please use the correct form.
Complete the application form and attach all relevant documentation. Apart from the academic requirements for admission to postgraduate degree programmes, international students should provide official documentary evidence of their competence in English. (See section on ENGLISH
PROFICIENCY REQUIREMENTS.)
Please forward the application package to the PGIO to reach us before the closing dates mentioned in this document. Applications can be sent electronically (The dates differ from those for local students.)
On receipt of the application package, it is processed and forwarded to the relevant academic department for approval. Various committees need to approve doctoral applications. It is therefore important that complete applications reach the PGIO before the closing date.
After departmental approval, the PGIO in collaboration with the Registrar's Office will issue an official Letter of Admission, which can be used to apply for a study permit at the nearest South African representative. (See section on STUDY PERMITS.)
The second part of this document deals with very important information regarding departure planning, arrival, orientation and accommodation in Stellenbosch. Please take note of the content.

IMPORTANT FINANCIAL CONSIDERATIONS AND REGULATIONS
APPLICATION FEES
International students are not required to pay an application fee.
UNIVERSITY ACADEMIC FEES Fees in this section refer only to tuition fees and exclude accommodation and/or other personal items. Degree seeking students Academic fees for international students consist of three components:

Non-SA-citizens with permanent residence in South Africa should consult with the PGIO.In general, if a permanent residence application is successful by the last date for registration (in March and as determined by the University Calendar, Part 1) for the current academic year, then the permanent resident will be allowed to register on this status. However, if the permanent residence status becomes effective after this date, it will only be taken into consideration at the next registration period of the following academic year.
Service fees All International degree seeking students are required to pay an amount of approximately R 5,360 for academic related services and consumable items per annum (eg. Student Card, Internet, Photocopying Quota, Printing Credits, Washing Quota, Material Costs, Laboratory Fees, etc.).
Fees that have not been utilized in a given academic year will be carried over to the following year.
Students will be held liable for any outstanding fees on their student accounts. No students will be permitted to register should they have outstanding fees on their student
accounts.

UNIVERSITY ACADEMIC FEES ACCOUNT On your Letter of Admission is a breakdown of the University Academic Fees, which are payable according to the exposition in the previous sections. This is an official document from the PGIO to international students and is subject to alterations by the Finance Office. Please note the following:
The fees for degree-seeking students are an estimate and will be determined by the academic programme, number of courses and the final prices in the University Calendar.
International students are expected to pay their academic fees in full prior to registration. A delay in payment will cause a delay in registration. This is a requirement for all international students at first registration as well as all subsequent registrations.
Interest at the prime bank rate will be charged on all outstanding amounts calculated from the date of registration.
Sponsored students should request their sponsors to forward payment to the University prior to registration.
PAYMENT PROCEDURES
Cheques and postal orders are required to be crossed and marked “Non Transferable”, and made out to "Stellenbosch University".
Credit card payments can be arranged through the PGIO.
Payment may also be transferred electronically (please effect the transaction two weeks prior to your arrival).

CANCELLATION POLICY
Any international student who has paid her/his fees before arrival and then decides not to travel to Stellenbosch for study purposes will be fully refunded. Bank costs will be for the account of the student.
Any international student, who has paid her/his fees and decides not to register after his/her arrival, will be refunded after written proof has been received that the student has returned to her/his country of origin. Such a student waives the International Registration Fee and bank costs will be for the account of the student.
Cancellation after registration: Notice of cancellation required in writing Any international student intending to discontinue his/her academic programme (degree-
seeking as well as non-degree-seeking) shall notify the PGIO, in writing, of his/her decision to cancel his/her registration as a student.
The notification must be delivered to the PGIO in person or sent by registered mail. In the absence of such written notice, no rebate on fees shall be considered.
An international student who cancels his/her registration as a student waives the International Registration Fee.
Effective date of cancellation Where such written notice does not state a date of cancellation, the date of its receipt by the
PGIO shall count as the date of cancellation for all purposes, including the purpose of calculating the fees due and payable.

If the date of cancellation is later than the last date for the registration of subject/module changes, the student shall be liable for the relevant tuition fees for the full semester.

STUDENTS WITH SCHOLARSHIPS Students with scholarships are required to undertake the following steps: • The PGIO manages scholarships on behalf of sponsors according to the sponsor's requirements.
Submit the full details of the scholarship and the complete contact details of the sponsor to the PGIO.
• Cordially request your sponsor to forward the payment to the office before registration. A delay in this will cause a delay in the registration process.
FINANCIAL ASSISTANCE
Regrettably, the PGIO does not offer scholarships. All international students must arrive in Stellenbosch with adequate funding (either their own funds or sponsorships) to pay for their complete study programme. No international student should have the expectation of a full or partial scholarship from Stellenbosch University. Subject to the regulations of the Postgraduate Student Funding section of the PGIO, the following categories of international students may qualify for assistance if they meet the minimum requirements of a specific bursary: • International students from SADC countries: 5% of the amount of the budget allocated for
Postgraduate Merit Bursaries and 5% of the amount granted by The Harry Crossley Foundation. Currently this amount is depleted by continuation obligations of allocations in previous years.
• International students recruited by an academic department/institute may be offered a scholarship by the specific host, but it is the student’s responsibility to secure funding in their country to cover any additional expenses that may not be covered by their scholarship before they come to SA.

PART 2: FROM ADMISSION TO ARRIVAL
You’re on your way! Congratulations on your offer to study at Stellenbosch University. Now you can begin making all the arrangements that we outline in this part of the document. It is in your own interest to start this process as soon as possible as this will considerably decrease the chance of encountering logistical problems upon your arrival in Stellenbosch. Good luck!
APPLICATION FOR A STUDY PERMIT OR ENDORSED VISITOR’S VISA In adherence to South African Government rules and regulations, your final registration is subject to producing a valid study permit that can be applied for at the nearest South African representative, normally in your home country. For this purpose you will use the official letter of admission issued by the PGIO. This letter of admission must be presented to a South African diplomatic mission abroad, which has the authority to process applications for study permits. The South African Department of Home Affairs and South African diplomatic offices abroad are responsible for the regulations and procedures. Do not arrive at Stellenbosch University without the study permit/visa. For visits shorter than three months a visitor’s visa endorsed for research/ training at Stellenbosch University is sufficient (later in this section). STUDY PERMIT REQUIREMENTS: Passport (Valid for no less than 30 days after the expiry of intended visit) Police Clearance Certificate (to be submitted within 6 months of date of issue). Proof of
application should be lodged in respect of all countries where person resided for one year or longer. Form BI-811 (MEDICAL CERTIFICATE) Form BI-806 (RADIOLOGICAL REPORT) Repatriation Guarantee / Security Deposit for all permits longer than 3 months
Deportation deposit (REPATRIATION): “Is a cash deposit not exceeding the cost of a single ticket for the applicant to his or her country of origin”
Please keep the receipt issued for the guarantee. If you need to renew your permit, you need to prove that you have paid the deposit AND the deposit is only refunded on the original receipt, once you have finished your studies and you have left South Africa.
Furnish proof that sufficient funds are available for the proposed stay in South Africa to cover tuition fees, maintenance and incidental costs. (Sponsor, Bank statement, and other)
Proof of South African recognised Health Cover (Medical Aid) LETTER confirming provisional acceptance stating DURATION / PERIOD of course Please note the following with regard to Immigration matters: Formal admission to the University does not guarantee the issuing of a study permit. Students without valid study permits cannot be registered at the University. A holder of a study permit must ensure that he/she has a South African recognised medical
insurance for the whole duration of his/her studies. A holder of a study permit may conduct part-time work as long as the period does not exceed 20
hours per week and may also work full-time during academic vacations. A holder of a study permit may also be granted permission to conduct work in the form of practical
training in a field related to his/her studies, on submission of the following documentation: A letter from the university confirming that practical training is required or advantageous to
complete the intended study and A letter from the prospective employer offering practical training.
The expiry date of your study permit is very important. It is your own responsibility to apply for a renewal at least 60 days before your study permit expires. The PGIO provides advice in this regard.
You are responsible for maintaining the validity of your passport and study permit throughout your stay in South Africa.
All documents required when you apply for a study permit or visitor’s visa, must be originals or certified copies. (A certified copy is a photocopy of the original document with an original certified stamp that states that an authorised person / Commissioner of Oaths has seen the original document.)

VISITOR’S VISA REQUIREMENTS All students who are nationals of visa exempted countries such as the United States, United Kingdom, Germany, The Netherlands, etc. planning to do research or study at Stellenbosch for a period longer than three months must apply for a study permit. Students who are nationals from countries subject to visas will have to apply for the relevant permit, irrespective of the duration of the visit, prior to coming to SA. See Study Permit Requirements above.
HEALTH AND INSURANCE HEALTH COVER In adherence to Government Regulations, no student will be registered without proof of adequate health cover. While you study in South Africa, please make use of a Health Plan that covers day-to-day care, hospitalisation and any emergency services. Students may obtain insurance from any company of their choice, provided that the company issues a letter stating that you are covered in South Africa for the duration of your studies and that your cover is accepted by the South African representative in your country for permit application purposes. Stellenbosch University is not affiliated to any company, but the PGIO can provide information.
[email protected] HEALTH SERVICES It is highly recommended that before travelling to any other part of South Africa or to a country outside of South Africa, you visit a local pharmacy for advice and information concerning malaria and other tropical diseases. These services are rendered for your own account. PERSONAL INSURANCE Stellenbosch University will not be held liable for any damage or loss of personal property or injuries to international students which arise directly or indirectly from participation during their period of study at Stellenbosch University. Students must accept responsibility for their own personal insurance. VACCINATION On entry into South Africa, there are generally no vaccination requirements. The Cape region is not a malaria or other tropical disease infested area. Since other areas of the country are known for tropical diseases, you are strongly advised to obtain advice and information before travelling.
FAMILIES ACCOMPANYING STUDENTS
The services of the PGIO are primarily for registered postgraduate and international students. We wish to draw your attention to difficulties you may experience in having your family accompany you to Stellenbosch. Students who intend bringing their families with them must pay special attention to the cost of living in Stellenbosch, e.g. accommodation, schooling, medical insurance and study permit renewals, and other practical difficulties that may arise. Accompanying persons may have their permits upgraded from within the country if they should wish to study. Please note that these matters are your own responsibility. The PGIO hosts a spouse group which organises outings, creative activities and other social events. The group normally meets weekly at the PGIO.

ACCOMMODATION: GENERAL PROCEDURES AND CONDITIONS 2013 - ADMINISTERED BY THE PGIO
University accommodation for students in Stellenbosch is very limited. During your studies you
have a number of options regarding accommodation; you may stay in a university residence (dormitory/halls of residence), in rooms or apartments administrated by the PGIO (normally self-catering) or in private accommodation. The PGIO tries to mediate on behalf of students and will assist you in obtaining acceptable accommodation as far as possible. The PGIO can however not get involved in the arrangements with landlords or be held responsible for any private accommodation problems.
Admission to an academic programme does not imply that the student has a room in university accommodation. All students have to apply separately for accommodation.
Students wishing to stay in a university residence (normally undergraduate students) should complete the relevant section of the university application form.
Students wishing to apply for accommodation administrated by the PGIO should use the Accommodation Application Form on our webpage, www.sun.ac.za/international
Rooms administrated by the PGIO are in Concordia, Academia or Metanoia Residence. (More detailed information follows in a table below.)
University rooms have network points for direct access to the university network. All university accommodation is on campus and on the green route where Campus Protection
Services provide support. Rooms (all single) are fully furnished, but students need to bring their own bedding [Excluding
Concordia] Note that there is no central heating in any of the rooms. The rooms in Academia are in self-catering apartments with kitchen facilities. Students need,
however, to bring/buy their own kitchen equipment. Concordia lessee will be provided with bed linen and kitchen utensils at a cost of R130 per
month. This is NOT optional and will be charged against your student account. Metanoia Residence offers single rooms and a cafeteria with a meal plan option. Enquiries concerning accommodation may be sent to [email protected]
APPLICATION AND PLACEMENT PROCESS The PGIO will allocate rooms according to requests received from students. When requests cannot
be met, students' names will be wait-listed. Students will be kept informed throughout the process and are kindly requested to respond quickly to follow-up e-mail notices.
Once the PGIO has allocated a room, a fixed period contract together with a request of the first non-refundable instalment will be sent to the student. The contract must be signed and emailed to [email protected] and the payment made within 10 working days of the student receiving the above contract. The reservation will only be confirmed once the first instalment has been received.
Students will be reminded once to send their signed contract and first instalment. Thereafter the room will be allocated to another student.
Room changing policy:
Should a student wish to change rooms, a written request accompanied by a R800 administration fee, should be submitted to the Accommodation Office. Room changes are subject to the availability of rooms.
Cancellation policy:
Should a student cancel her/his room after the reservation has been confirmed, but before his/her arrival, 66% of the first instalment will be refunded.
Should a student cancel her/his room after arrival, but before registration, the student forfeits the full first instalment. If he/she can provide a replacement, 66% of the first instalment will be refunded.
After registration, no cancellation is possible and students are liable to pay the full second instalment.

PAYMENT SCHEDULE Rooms can only be rented for a full semester or full year. Rent will accordingly be calculated
irrespective of the students’ dates of arrival or departure. Affiliated students, students on quarter abroad programmes and postdoctoral fellows have different
contractual obligations. These programmes have been worked out with the respective home institutions or host departments.
A payment schedule will be provided to each student with the lease of agreement (accommodation
rental contract). Rent is paid in two equal instalments:
o First instalment: After being informed that a room has been allocated, students need to pay the first instalment to confirm the reservation. Otherwise the room will be allocated to someone else.
o Second instalment: To be paid two months after registration. Bank details for rental payments:

VACATING ROOMS Please inform the PGIO when you will be vacating your apartment in writing, at least 2 days in
advance [email protected]. The apartment will be checked before you depart and you will be held responsible for any and all damages.
Take note that you are required to vacate PGIO accommodation by 12:00 noon of the last day of your contract.
ALTERNATIVE ACCOMMODATION - NOT ADMINISTERED BY THE PGIO
Should a student choose to stay in privately owned accommodation, it is his/her own responsibility
to make the necessary arrangements. Accommodation in town may be more affordable, but students should make sure what is included in the contract (e.g. cleaning services, utilities, internet, etc.) and what facilities are provided.
Most students find accommodation through the advertisement section of the local newspaper
"Eikestadnuus", that is on sale every Friday. Check the campus notice boards. Many students also find a place to stay by word of mouth.
If a student plans to live in Cape Town, finding accommodation is also the student's responsibility.
Please bear in mind that public transport between Cape Town and Stellenbosch is limited and not always recommended. Students planning to live in Cape Town should preferable own or have access to a car. It takes about 50 minutes to commute between Stellenbosch and Cape Town.
Students who will be studying at the US Business School on the Bellville Park campus are strongly
advised not to apply for accommodation in Stellenbosch, because the campuses are about 30 km apart. They should rather contact the Business School directly.

ARRIVAL Arrival time Due to the fact that all apartments have to be cleaned after the end of the previous semester, we cannot receive and accommodate you before the following dates: 18 January (for the first semester 2013) and 12 July (for the second semester 2013). This should give you sufficient time to settle in, acclimatise and find permanent accommodation (if not pre-arranged through the PGIO). Should you arrive before the above mentioned dates, you will have to find alternative accommodation for your own expense. Transfer from point of arrival to Stellenbosch The PGIO provides a transfer service between Cape Town International Airport and Stellenbosch or from Cape Town train station should you arrive by mainline bus or train. The transfer service is available to all new international students, but only for the first arrival and only from 18 January (for the first semester 2013) and 12 July (for the second semester 2013). There is no direct public transport between Cape Town International Airport and Stellenbosch, and taxis are very expensive. If requested, the PGIO will meet you at Cape Town International Airport or at Cape Town train station. If you wish to make use of this service, please forward your flight/travel details well in advance, by fax (see attached Arrival Sheet) or complete the Arrival Sheet online. Should you arrive before or after the above mentioned dates, please contact Georgina ([email protected]) for shuttle service information and temporary accommodation. Accommodation upon arrival Students making use of University Accommodation If you arrive on a weekday during office hours you can move into your room after paying a short visit to the PGIO. However, should you arrive in Stellenbosch after 15:15 or on a weekend; you should make use of temporary accommodation. Please indicate your need for temporary accommodation on the Arrival Sheet and the PGIO will make the necessary bookings for your own account. You will still be met at the point of arrival and then be taken to the temporary accommodation. Students staying in university residences or university apartments will be taken to their accommodation after being met at the point of arrival, only if
the non-refundable reservation deposit has been forwarded to the University's bank account;
the deposit slip has been emailed to the PGIO; and
the accommodation contract has been signed. Students making use of Private Accommodation Students who wish to look for their own private accommodation once they are in Stellenbosch can also complete the section of the Arrival Sheet for temporary accommodation which will be for your own account. You will be met at the point of arrival and be taken to the PGIO or temporary accommodation depending on the time of arrival.

ORIENTATION At the start of each semester the PGIO organises special orientation days for all new international students at the University (see page 24 for dates). ISOS – INTERNATIONAL STUDENTS ORGANISATION STELLENBOSCH The International Students Organisation Stellenbosch (ISOS) is a non-political organisation that aims to bring together all international students and to share cultural insights. Throughout the semester, ISOS organises excursions and various social activities aimed at learning more about South Africa, its people and its culture. ISOS serves as the human resource base for a community service project in the nearby locality of Kayamandi, known as the ISOS-Kayamandi Project. The PGIO provides an office space to ISOS and two student assistants to coordinate the activities of ISOS, and the ISOS-Kayamandi Project. Applications for the ISOS executive committee and volunteer positions for the service project are accepted at the beginning of each semester to ensure input and participation from the wider international and local student community.

GENERAL INFORMATION CLIMATE Winter in Stellenbosch is chilly and rainy. Students should bring warm, as well as wet-weather clothes. It is important to bear in mind that apartments, houses and university residences normally have no central heating! Average temperatures:

MONEY MATTERS The currency in South Africa is the Rand (ZAR), which is equal to 100 cents. There is no restriction on the amount of foreign currency you may bring into the country, but it must be declared at Customs & Excise when you arrive. You may need some cash upon arrival, but it is wise to bring most of your money in traveller's cheques. Most major banks offer foreign exchange services and Stellenbosch also has a Thomas Cook and an American Express branch. Almost all hotels, shops and restaurants accept major credit cards, such as Visa, Mastercard, American Express and Diners Club, and you can withdraw cash with a credit card at most automatic bank machines (known as ATMs). It is a relatively simple process to open an account at the major banks and transfer money into that account. Students are generally issued a bankcard valid for cash withdrawals. COMPUTER NETWORK Several computer centres on campus provide all students with access to computing facilities. All the necessary software as well as the Internet (at an additional fee and costs per MB), is available through the campus network. Although the computer centres are accessible 24 hours a day, 7 days a week, there is a great demand, and students are encouraged to bring their own laptops. Network connections are available in the university residences. Access to the network is only available after registration. The standard support language at the university’s Information Technology department is English. If you plan to stay in Academia, Concordia or Metanoia residence and bring your own computer, please take note that Information Technology will only be able to help set up your network connection if you have a multi-lingual version of Windows on your computer. GETTING AROUND IN STELLENBOSCH Stellenbosch is a relatively small town and it is possible to get around on foot or by bicycle. New and second-hand bicycles can be purchased from local dealers. For longer distances, most people travel by car rather than by public transport. There is no bus service between Stellenbosch and Cape Town, but there is a train service, operating from 06:00 until about 21:00. Taxis between Cape Town and Stellenbosch are relatively expensive, and minibus-taxis should be avoided. During orientation students will be introduced to possible shuttle services to and from Cape Town. DRIVING IN SOUTH AFRICA You have to be at least 18 years of age and hold a valid driver’s license to drive a car. Most drivers licenses issued in other countries may be used in South Africa, provided they bear the driver's photograph and are in English. It is still recommended though, to obtain an international driver's license. Please check the period of validity of your international driver’s license with your insurance company. Once it has expired, students must apply for a local driver’s license at the local traffic department.
