Introduction We are so glad that you are part of Indian Hill Home School Group (IHHSG). IHHSG was founded in the late 1990’s to fill a gap in the local home schooling community. At the time, cooperative high school level classes were few. Over the years, we have added cooperative elementary and junior high-level classes to our school year and have grown from a handful of families to over 80! We are a group that holds to a Christian worldview and our classes are taught from that worldview. We do believe that our common faith in Jesus Christ unifies us and that lesser doctrinal differences which may exist should not hinder the cooperation of Christian home educators. IHHSG desires to support home schooling families by offering cooperative classes that enhance the education students are receiving at home. It is also a great place for our children to develop friendships and build a community of their own. In order to best facilitate this environment, particularly as we have grown in numbers, the need to be more formal in how we communicate our policies and procedures has also increased. This handbook has been designed for students, parents, and teachers to use as a quick reference. Throughout the manual you will see our three primary goals reflected. These are:

1) To facilitate desired high school level classes taught with a Biblical worldview. 2) To provide a community of support for our member parents. 3) To create opportunities for our member students to display their newly acquired

knowledge and/or skills. Please read carefully. You and your family are responsible for knowing and abiding by the guidelines and policies as outlined in this handbook.

Statement of Faith The following is our Statement of Faith. While we do not require you to adhere to all tenants of this, we do require that you have read and understand that these tenants will determine the worldview through which a class will be taught.

• God We believe in the one true God eternally existing in three persons, Father, Son and Holy Spirit. Co-eternal, co-existent and co-equal in deity and power. Worthy of all honor and glory.

• Jesus Christ We believe Jesus Christ is the only begotten Son of God. Conceived supernaturally by the Holy Spirit and born of the Virgin Mary. He is fully God and fully man. He was always with God and is God. Having led a sinless life, He offered Himself as a willing sacrifice for our sins. In doing so His death satisfied the wrath of God, obtaining for us the forgiveness of sins and eternal life. He was raised bodily on the third day and is now seated at the right hand of the Father. There He makes intersession as our high priest and advocate until His personal, visible return.

• Holy Spirit We believe that the Holy Spirit is fully God. Co-equal with the Father and Son. He is present in the world, sent to make us aware of our sin and our need for God’s grace and forgiveness. At the moment of conversion, the Christian is indwelt by the Spirit in order to be empowered for Christian living and the understanding of spiritual truth. The Holy Spirit gives all believers spiritual gifts the purpose of which are to serve the church and bring glory to God.

• Salvation We believe that salvation is accomplished by the finished work of Jesus Christ on the cross. It is by grace alone through faith alone that we who are spiritually dead and in a sinful state can be made alive and live eternally by the imputed righteousness of Christ. Having done nothing ourselves to obtain righteousness, but in true repentance are relying solely on the completeness of Christ’s substitutionary atonement. We believe that all the redeemed, once saved, are kept by God’s power and are thus secure in Christ forever.

• The Bible We believe the scriptures of the Old and New Testaments to be verbally inspired by God and inerrant and infallible in the original text. They are the complete revelation of God’s will for the salvation of mankind and the final authority for all Christian faith and life.

• We believe that man was created directly by God and in His image.

• We believe that God created the heavens and the earth, including all life, by direct act in six literal 24 hour days about 6,000 years ago (Gen 1:1; John 1:3; Col 1:16-17)

• We believe that marriage is ordained by God, is between one man and one woman as set forth in the Bible, and is intended to be a picture of Jesus Christ and the Church.

• We believe in the spiritual unity of believers through our common faith in Jesus Christ and that lesser doctrinal differences which may exist should not hinder the cooperation of Christian home educators.

Registration IHHSG uses a registration process that encourages the cooperative nature of our group. To assist our

families through the registration process, we have outlined wording, timeline, fees, policies, and

procedures. Definitions Current Family: Any family who is actively involved in the current IHHSG school year is

considered a current family. New Family: A new family is anyone who is interested in IHHSG but is not yet enrolled.

These families are in contact with the New and Current Family Coordinator.

Inactive Family: Occasionally a family needs to take a year off from classes. If the family

pays their registration fee, they remain part of IHHSG. They are entitled to participate in anything that may be offered during the course of the year (i.e., EXPO, socials, etc.) while not participating in any classes. Please note: This privilege is limited to one (1) school year. If the family does not rejoin in an active role after that year, they would no longer be part of IHHSG. If at a later date they wish to rejoin, they would be considered a new family and would follow the procedures outlined for new family registration. Additionally, this status is reserved for families who have actively participated in IHHSG. It is not intended for new families to join to simply hold a spot for a future year.

Co-op Teacher: A Co-op Teacher is anyone who teaches a class and only charges a fee for

materials, not time. Paid Teacher: A Paid Teacher is anyone who teaches a class and charges for their time in

addition to materials. Lead Teacher: Whether a Lead Teacher is a Paid or Co-op Teacher, a Lead Teacher is

expected to research, plan, and prepare material for their classes and teach the class each week (finding a suitable substitute or teaching a make-up class in the case they must miss a week).

Co-Teacher: A co-teacher is someone who assists with course preparation/planning and

teaching a class alongside a lead teacher. If the lead teacher misses a class, the co-teacher is capable and equipped to teach the class and it can continue as scheduled. A class is limited to one co-teacher (2 Tier 1 teachers in total) and must be named when the class proposal is submitted. Co-teachers are eligible for Tier 1 registration.*

Assistant: An Assistant aids the lead teacher. This is different from a co-teacher

position as there is no class preparation and the assistant would not be expected to teach in the lead teacher’s absence. An Assistant Teacher is not eligible for Tier 1 registration but does receive guaranteed placement of their children in the class for which they are the Assistant. Other perks, such as reduced fee, are at the Lead Teachers discretion.

Teen Teacher: Sometimes also referred to as a “Kid Teacher,” a Teen Teacher is a

student from IHHSG who is 14 years or older who teaches a class. Outside Teacher: An Outside Teacher is someone who teaches at IHHSG but does not have

children at IHHSG. Typically, these are also teachers receiving payment for their time to teach the class.

Tier 1 Positions: Tier 1 Positions are made up of specific administrative and leadership

roles within IHHSG. These positions currently include: Executive Director, Registration Committee, New and Current Family Coordinator, Event Committee, Keyholders, Day of Coordinators (M/T/Th), and Housekeeping Coordinator.

Tier 1: For registration purposes, this is comprised of Co-op Teachers, Co-

Teachers, and anyone holding a Tier 1 position. Tier 2: For registration purposes, this is comprised of Paid Teachers and returning

families (both current and inactive). Tier 3: For registration purposes, this is comprised of new families.* Family Registration Fee:

The Family Registration Fee is collected at the time of registering for the upcoming school year.

Class Descriptions: Class Descriptions are submitted by teachers and indicate the classes

the teachers are willing to teach in the upcoming school year. Class Schedule: Once all Class Descriptions are collected, all classes being offered in the

upcoming school year will be listed on the Class Schedule. Please note: As a co-op, our top priority is to provide classes at the High School level. While we also offer classes for the Elementary and Junior High grades, when it comes to scheduling our space, the need for a High School course over a younger course may impact whether or not a proposed class for Elementary or Junior High moves forward.

Class Roster: The Roster is a list of students enrolled in a class. This is updated after each tier completes registration and indicates if a class still has open spots for students.

Waitlist: If a class is full, families may decide to put their student on a waitlist for

that class. This does not guarantee the student will be placed in the class. Class Payment: Fees for classes are at the discretion of the Lead Teacher and all payments

must be submitted directly to that teacher. * Occasionally a new family steps into the role of Co-op Teacher or Co-Teacher their first year at IHHSG. We recommend that new families participate at IHHSG for one full year before teaching a class, however, there are exceptions that occur. In these cases, the new family is not eligible for Tier 1 Registration (2 registration tiers above new families) but is eligible for Tier 2 Registration (1 registration tier above new families). Registration Requirements Generally, families participating at IHHSG fit “the mold” of parents and children. Occasionally, however, there are families who are homeschooling children who are not their own. The two most common situations are families homeschooling children from another family or grandparents/parents homeschooling grandchildren/foster children. We welcome these situations with the following requirements:

Homeschooling children from another family – the other family must enroll at IHHSG and go through the registration process just like any other new family. Those parents would be expected to participate in all of the same ways that would be expected of any other parent. Grandparents/Parents homeschooling grandchildren/foster children – in these situations the family who would be enrolling at IHHSG and homeschooling the child must have guardianship of that child. If there is no guardianship, then it would be considered an arrangement of homeschooling children from another family and those requirements would need to be met.

Registration Timeline Registration at IHHSG begins in January and is finalized by the end of April. Here is an approximate outline of the calendar (updated each year to best match the actual calendar): January: Class descriptions are solicited Annual Mandatory Current Families meeting is held February: Class descriptions are submitted

Class schedule is published Tier 1 Registration is held

March: Class Roster is published Tier 2 Registration is held Annual Mandatory New Families meeting is held

April: Updated Class Roster is published Tier 3 Registration is held Final Roster is published Registration Process

1. Each family completes a registration form and signs a waiver via an online process. The Family Registration Fee is required at this time and will be made electronically (instructions provided at registration).

2. Registration for each tier is opened on a specific date at a specific time. (Tier 2 and Tier 3 registrations are time-stamped, so you will want to pay particular attention to when registration opens.) Families register students one at a time via an online process. The time stamp for the first child will be used for all children.

3. After each tier has registered an updated roster will be posted and will indicate which classes have openings and which are closed to additional students.

Ages and Grades In order to ensure that older students get placed in classes that they need, we follow the Illinois guidelines for determining grades and placement into classes. The cut -off date is September 1st. Placement is as follows:

12th 17 before September 1st

11th 16 before September 1st

10th 15 before September 1st

9th 14 before September 1st

8th 13 before September 1st

7th 12 before September 1st

6th 11 before September 1st

5th 10 before September 1st

4th 9 before September 1st

3rd 8 before September 1st

2nd 7 before September 1st

1st 6 before September 1st

K 5 before September 1st

Pre-K 4/5 4 before September 1st

Students who are younger than the grades in the class description: Often students are at an academic level that is different from their age based grade level. During registration, if a student’s age places him or her at a grade lower than the required grade for a class (as listed in the class description), that student cannot enroll in that class during the registration process, regardless of where that student may fall academically. They may, however, be placed on the wait list with prior teacher approval. Students who are older than the grades in the class description: If a student’s age places him or her at a grade higher than the required grade for a class (as listed in the class description), but is working at a grade level lower than what would be assigned them by the chart above, this student may enroll in that class during the registration process as long as their academic level fits the required grade span. Wait List A wait list is generated when more students register for the class than the class maximum number. A student cannot hold a spot on the waiting list while also holding a confirmed spot for another class that meets at the same time. A choice must be made. While we do our best to accommodate students on wait lists, we do not guarantee placement for any wait listed student. Registration Fee The registration fee is $35 per family. This includes a $10 technology fee which covers the annual cost for each family to access Homeschool-Life, our lifeline for communication as a co-op. Additional users may be added for an additional $10 per user. Families with older students may find this beneficial so that their students can communicate directly with their teachers and access class details. Indian Hill Bible Church (IHBC) does not charge us for the use of the church, but we do give them a financial gift every year. Outside teachers are required to pay the $10 technology fee. While a registration fee is not required, we do ask outside teachers to prayerfully consider making a donation towards our group donation to IHBC. Please note: Returning families will be issued a due date for this fee; new families must pay the fee once invoices are issued. Class Payment Policy All payments to teachers will be made via PayPal. (See www.PayPal.com for details on setting up an account.) For the 2017-2018 school year, invoices will be issued on or around May 1, 2017. 100% of tuition is due June 5th (if not on a wait list) or June 12th (if you clear the wait list).

Payment Arrangements If you need to make arrangements to pay in installments, please discuss this directly with the Lead Teacher no later than May 5, 2017. The payment arrangement schedule will be as follows: 50% of class fee is due June 5th (if not on a wait list) or June 12th (if you clear the wait list) 50% of class fee (balance of the total) is due on July 17th. If the second payment is not received, your student will be dropped from the class roster. Refund Policy Due to the varying nature of class structure and materials, refunds are at the discretion of the teacher and will be made on a case by case basis. Teachers may choose to expand upon this on their individual class descriptions, but are not required to do so. Class Add/Drop Policy All requests to drop or add a class must be submitted in writing to the Registration Coordinator. An electronic Drop/Add form is located in the “files” section on www.homeschool‐life.com/il/ihhsg. The deadline for adding classes is July 17, 2017. Adding a class after July 17, 2017 is at the Lead Teacher’s discretion. The Lead Teacher is responsible for notifying the Registration Coordinator to update the roster and issue an invoice. Payment will be due in full on receipt of invoice. Before dropping a class, please be considerate of the class minimum requirement. If a class falls below the minimum, it will be canceled. Families will be limited to three drop requests during the 2017‐2018 co‐op year. You may drop as many classes as you wish within each request. Drop requests due to medical issues, relocation, or change in employment are not subject to this requirement. If you exceed three drop requests, you will not be able to register the following co‐op year with current members (Tier 2) but will have to wait until Tier 3.

Participation Requirements - Parents We are different from many traditional co-ops in that we do not require parent participation at the class level. Additionally, we allow families to choose as many or as few classes as what best meets their needs. This should not be confused with no participation being required. All families, regardless of number of classes or children, are expected to participate in the following ways: Housekeeping Indian Hill Bible Church allows IHHSG to utilize their building week in and week out. We are not charged for the use of the building, but we are expected to maintain the building so that it is clean and ready for church use. Each year we break down this housekeeping task into smaller tasks. Using the principle of “many hands make light work”, each family is expected to sign up for housekeeping tasks as outlined by the Housekeeping Coordinator. This sign-up is done via Homeschool-Life. Parent Presence This expectation varies depending on the day. Tuesdays the church does not use the building -- they graciously give us full use of the facility. Parents are required to be present during the day. If you are unable to be there, you may make arrangements with another parent to serve as your surrogate. Please make sure that your student(s) are aware of this arrangement. Lunch is eaten together in the fellowship hall, and the microwave is available for use. Tuesdays are a great day for parents to get to know each other. Mondays and Thursdays are different. The church uses the building, so only the lower level is available to us.

• Parents are not allowed to remain in the building. Feel free to return home, hang out in your car, take advantage of this time to run an errand, or simply grab a cup of coffee somewhere. Some students have time between classes which they use as a study hall -- empty classrooms are at a premium on the lower level and the students have priority to use these for studying.

• A “Day of Coordinator” will be in the building this day to serve both as the IHHSG representative and the point person for those in the building.

• Classes meet in the fellowship hall, so the kitchen and microwave are off limits. Please bring a bag lunch those days (and keep it with you).

• These are also quiet days -- no running, talking, etc., -- as this carries through the hall and can distract classes. Also, please recognize that parents who are there to teach a

class may ask the students to relocate, quiet down, etc. Students need to be respectful and cooperative, even if they don't know who the other parent may be.

Parent Meetings

We hold two parent meetings each year. Our Fall Kick-Off Meeting and our Winter Registration Meeting. Both meetings are designed to help foster a sense of community as we continue to strive for all parents to be on the same page with information that is needed for the upcoming year of the upcoming registration cycle. Parents are encouraged to attend as couples and both meeting will include a meal to allow for interaction among our neighbors. If you are unable to attend, it is your responsibility to obtain the information from someone who did attend. Waiver As part of the yearly registration process, we ask each family to read and sign a waiver. This waiver is in effect for the duration of the school year and a new one is required each Fall. Completion of the waiver as written is a requirement of participation in Indian Hills Home School Group. Resolving Conflict We are a co-op, and as such, each family is generally responsible for any issues or conflicts that may arise between children or families participating in the group. IHHSG and it’s representatives are not equipped for or intended to serve as a mediators in situations. We trust our families to achieve satisfactory resolution that will not have negative impact on our children or our co-op. “Happy Birthday, Jesus” Party In early December we host a “Happy Birthday, Jesus” Party. This is typically held on a Tuesday evening and includes a program that highlights many of our classes through class performances as well as showcasing the fall semester musical from our Elementary Musical Theatre class. This program is followed by a cookie and punch reception. This is a great opportunity for inviting grandparents, aunts and uncles, and other family to see your children show-off their accomplishments. In order to make this evening enjoyable, it requires cooperation from all our families. Each family with a child participating that evening is expected to sign-up for a job related to the reception. These include a handful of hostessing roles, but are primarily clean-up jobs at the end of the evening.

EXPO In April we host an EXPO. This is an opportunity for our students to display what they have learned through either a individual project, presentation, or performance, and/or a class project or performance. Volunteer judges will rate and assess your student’s individual project, presentation, or performance based on criteria that you as their parent have pre-determined. (Class projects and performances are not judged.) Students are not judged against each other, but rather are rated according to these criteria so that this opportunity is a good experience for each student individually. Individual entries are subject to a nominal entry fee. EXPO is another great opportunity to invite family to attend. For this event, each family is expected to provide one volunteer judge for every three participating entries. In addition, each family with a participating child (either participating as part of a class or as an individual) is expected to fill another job which primarily consists of housekeeping tasks.

Participation Requirements - Students Homework The majority of our classes are academic in nature and do include homework. Students are expected to complete the homework as assigned and participate in class. If a student shows up to class having not completed the assigned homework, the student may be asked to leave class and sit with a parent. All classes are of equal importance, so please be sure to review the homework requirements in the class description before committing to a class. Attendance Unless your student is sick, we anticipate that attendance in class will be a priority. For example, skipping one class to do homework for another class would be considered inappropriate. Classroom Etiquette In addition to homework and attendance, the following is expected from students:

• Students need to understand the process of raising hands and waiting to be called on before speaking. Students should not interrupt the teachers or other students. All students should address all teachers with respect. The teachers will make students aware of when Mr., Mrs., Miss, Dad, or Mom is acceptable.

• Students are expected to be on time to classes. If students arrive early to a class, they must not disrupt ongoing classes by lingering in the doorway or making noise. The church will be opened at approximately 7:50 am on Monday, Tuesday, and Thursday.

• Students are expected to bring to class printed copies of anything that the teacher may have posted to the forum to be printed prior to class.

• Children should use the restroom between classes. (Parents of preschoolers: please do not expect teachers to be able to escort your children the restroom.)

• Nobody should run or yell in the church anywhere other than the Fellowship Hall.

• There should be no food or drink (other than water bottles) in the sanctuary.

• During classes, the use of cell phones or any other electronic devices is prohibited. Any exceptions must be approved by the teacher (e.g. a laptop for taking notes.)

• On Tuesdays, all children must have either their parent on the church property or a responsible substitute parent. If their parent does leave the church property, students need to be aware of whom they should contact if they need help.

• If a situation occurs where a student needs to be removed from a classroom, the teacher will ask the student to leave and find their parent or substitute parent. This will prevent children from being left unattended in the building and ensure that parents are aware of any problems.

• IHHSG is blessed to have the use of IHBC. It is a House of God, and though it is not home church for many of our families, we ask that you respect it as if it were.

Lunchtime The Fellowship Hall and kitchen facilities will be available for lunch on Tuesdays. Families are expected to clean up after themselves by properly disposing of their own food wrappers and bottles. The upstairs and main floors are off limits for eating during the lunch hour. Several rooms are available on the basement level at that time. Room B is the designated “Quiet Dining Room.” The kitchen will not be available on Mondays and Thursdays because of IHBC church activities, so please plan your lunch accordingly (bagged lunch that is kept with the student is recommended).

Communication Communication makes or breaks the success of IHHSG. As we have grown, we have gone to great lengths to centralize and streamline communication amongst all the families in the co-op. Homeschool-Life Homeschool-Life is the lifeline of our co-op communication. It is a private, password-protected website used by IHHSG to promote communication amongst the co-op. Only members have access to our site and all information pertaining to IHHSG can be found there (www.Homeschool-Life.com/il/ihhsg). Forums At the core of our communication on Homeschool-Life are our forums. Each class has its own forum for communicating assignments, questions, and any other information that pertains to the class. We also have some general forums for broader communication to the entire group. These include: Town Hall: This is for information pertaining to IHHSG only. For example, someone coordinating a field trip that is open to the whole group would post that here. Grapevine: This is for general information that would also be open to people outside of IHHSG. For example, a reading club open to any homeschooler would be posted here. Events: Information pertaining to IHHSG events coordinated by the Event Committee will be posted here. Housekeeping: Anything pertaining to maintaining the cleanliness of the building will be communicated here. This would include requests for substitutes on days that you are will be missing co-op and need a substitute. These four (4) forums are required for all users of Homeschool-Life. You will also be in a forum for each class for which you are registered. All forum postings will be sent to your email so that you can stay current on communication. You can adjust the frequency of these emails from your profile settings on Homeschool-Life. Remind.com On rare occasions a cancellation is made due to building issues or other unplanned circumstances. Since it is impractical to call everyone and email is not always seen immediately, we have joined a text messaging service. This will allow us to send one text to all families so that everyone is notified at the same time. Please go to: https://www.remind.com/join/3h3ed8 to sign up.

Calendar All IHHSG events and important-to-note dates are indicated on the calendar. Many of these include additional details which are viewable once you click on the event entry on the calendar. Some IHHSG events require sign-up, which is done via the calendar as well. Snow Days Because our families come from all over Lake County, we are similarly suited to how the Lake County High Schools Technology Campus (www.techcampus.org) operates. Therefore, when it comes to school closing we follow their lead rather than looking at individual public schools. The night before a predicted storm or other significant weather event we begin monitoring the Tech Campus website. By 6:00 a.m. the day-of classes, if the Tech Campus has cancelled classes we will cancel classes as well. As soon as the announcement is posted on their website it will be posted on Homeschool-Life. Make-up Days for a Snow Day are on the calendar. These days will only be enacted if a Snow Day has been officially called and are not available for use as make-up days for other purposes (i.e. teacher absence). Class Cancellation On occasion, a class is cancelled for reasons other than a Snow Day. In these instances, teachers must make arrangements with the director of IHHSG for an onsite make-up class. Off-site make-up classes are at the discretion of the teacher as long as they do not conflict with any other IHHSG scheduled class or event. It is the teachers responsibility to communicate these changes and request for them to be updated to the calendar.

Miscellaneous Iowa Testing We are able to offer the Iowa Basic Skills Testing when we have parents volunteer to coordinate, administer, and proctor the tests. In order to administer these tests, the parent must have a Bachelor’s Degree. This is a great service to our families, so please consider filling this role. Spirit Days Throughout the year we plan various Spirit Days. These are optional, but can be a lot of fun for the kids. These will be noted on the calendar.
