Want to work faster than a lightning flash? These Microsoft 365 shortcuts might not help you leap tall buildings in a single bound—but they’ll certainly help your organization save time, reduce repetitive tasks, and turn your users into productivity superheroes.

Reducing repetitive tasks is a great way to increase productivity. Just follow these surefire tips:

1/7

Macros run groups of actions automatically. When-ever you regularly repeat a series of commands, consider recording a macro to automate those actions. Macros may include clicks, formatting, delays, images, tables, calculations, and functions.

To run a recorded macro whenever you want, click a button on the Quick Access toolbar or use a keyboard shortcut. As part of your time-saving utility belt, macros can help import and format data, insert company letter-head, add a slide with a title, create an email template, and more.

With AutoFill, you can create a consecutive or repeating list of days, months, or numbers. By contrast, Flash Fill detects patterns in your data and suggests possible entries. Let Excel become your number-one sidekick as you work with patterns and data.

Excel is your data’s best friend, so why not make it your best friend when you use AutoFill or Flash Fill? No need to waste time inserting repetitive names, numbers, or other data.

Need to personalize your emails? Speed up that process with mail merge—which makes it easy to insert personalized information into letters as well as create labels, directories, and more.

To get started, first write your text template. Then, include placeholders like FIRST NAME, or COMPANY NAME. Finally, organize your contacts in a spreadsheet or within Outlook. After you walk through the process, you’ll be able to send bulk messages quickly and eciently.

To set up a rule, you’ll need to specify a condi-tion, e.g., which incoming messages do you want to work with? Next, choose what you want Outlook to do with those types of messages. No need to spend a hero’s time sorting incoming email. Let Outlook do it for you.

Did you know your Outlook inbox can sort itself? That’s right—you can create rules to automatical-ly sort messages as you receive them. Choose your desired outcome once, and then let Outlook take over the routine so you can focus on what matters most.

Rescue yourself from typing the same thing over and over by saving it as a quick part. Let’s say you regularly reach out to new leads, thank people for meetings, or share directions to your

oce building. Quick parts makes it easy to auto-mate that content. To set up a quick part, type out your content, high-light the text, and save it as a quick part. Then, the next time you need your content, simply click to insert it. Just like that, you can recall precise infor-mation without the hassle of re-typing it.

To apply a default text style, first select the text, and then choose a style from the Styles gallery. Apply this text style to titles, headings, lists, quotes, titles, and even the “normal” body of your text. You can also create or customize text styles. It’s simple.

You’re too busy cleaning up your task list to spend time cleaning up formatting in Word. Use a text style to consistently apply a set of formatting choices—for a professional, polished look.

Haven’t yet used linked data types Stocks and Geography to import online data to Excel? By so doing, you can display current stock prices, 52-week average stock prices, geography popu-lations, local geography statistics—and avoid looking up your dynamic data every day.

If you expect these numbers to change tomorrow, no problem. Linked data can get current data in just a few clicks, making you a metrics champion.
