Garden Ceremony

Imagine your ceremony taking place in the Immerse gardens amongst the vines or roses, the

choice is yours.

Garden Chapel

Our Garden Chapel is on open air chapel which offers shelter with open sides, wrought iron

features, an elevated plaBorm and power - all situated next to our ornamental lake amongst

our extensive rose gardens.

Vineyard Chapel

Our beau1ful vineyard chapel is set amongst the Sauvignon Blanc vines with a backdrop of our

vineyard hills. With a stone floor, natural light through large windows and a view of our vineyard

and temperature controlled. This is the perfect loca1on to say ‘I do’.

Ceremony Inclusions:

All ceremonies held on site at Immerse include:

• 80 white chairs (covered and sashed in the Vineyard Chapel)

• Portable PA system with 2 microphones (1 lapel & 1 handheld)

• Immerse staff assistance for both the Bride & Groom

• Immerse staff to operate the PA system for your ceremony including the music

• Ceremony direc1on and assistance for guests

• Permission for photography on the grounds and vineyard

• A small clothed table & chairs for signing of marriage cer1ficate

The Lake House The Lake house has five deluxe queen suites all with their own private ensuites. These rooms are over

When choosing a wedding venue in the Yarra Valley, it was the very posi�ve feedback on the Immerse website

that caught our a2en�on. And now we are the ones providing that feedback! Our wedding was the truly

superb. We cannot recommend this venue highly enough!

The winery chapel provides a charming and in�mate space for the ceremony. We had 108 guests comfortably

seated on a 37 degree December day, the air-condi�oning was brilliant! Following the ceremony we were

delighted with our photos which captured the beau�ful winery and rural surrounds, and it

felt par�cularly relaxed because it was all on site.

Our recep�on was exactly what we had been looking for; DELICIOUS food and wine (and we are self-confessed

snobs in this department!) and a very personal environment for speeches. Many guests commented that it

was by far the best wedding food they had experienced, and we second that. The floor staff were fantas�c, no

request was too difficult and a smile accompanied their service all night. Our band were very comfortable in

the front area which was a great space for everyone to hit the dance floor!

Our wedding would not have been what it was without the profound exper�se and support that came from

Katrina. From the day we were enquiring about having our wedding at Immerse, she was helpful beyond

measure. The wedding was tailored to suit exactly what we were all about; which is why it felt so personal. On

the day, I was in total awe at Katrina's ability to do ten things at the one �me with a huge smile that didn't

leaver her face. Ma2 I were leC with the knowledge that we didn't have to do anything but enjoy every

moment of the precious day with our family and friends.

A truly wonderful and very memorable experience. Thank-you Immerse!!

assistance with Megan & Blake's Wedding. From Chapel - Wedding Ceremony - to Pre-Dinner to Recep�on to

overnight accommoda�on/breakfast - everything was what I had envisaged! The Recep�on room looked

stunning - thank you sincerely for puHng up ALL those Glass Teardrop Tea light Holders and ivory rosebuds!!

Many guests complimented your Chefs and the food presenta�on plus the selec�on of wines. The table/name

menus were beau�ful - matching our font etc and your a2en�on to detail re dietary requirements are

sincerely appreciated! Our rela�ves and close friends enjoyed your accommoda�on - compliments to the

cleaning staff - behind the scenes! - it was so convenient to relax and wind down in our room - instead of

driving back home!

I sincerely thank you ALL for your professionalism, your a2en�on to detail - even holding my handbag in pho-

tos! - and your pa�ence assis�ng with the Bridal Party and the smaller details prior to and on the Wedding

Day! David & I absolutely enjoyed our daughter's Wedding Day - and we will have fond memories of Immerse

The following terms & condi�ons have been adopted by Café Immerse Pty Ltd (Immerse) to enable us to provide a

professional service & efficient running of your func�on. Prior to confirming your wedding with Immerse, please read

through the following and should you have any ques�ons, please ask one of the Immerse wedding team.

Immerse requires each of the following pages to be dated & ini�alled by the booking client and sent with the ‘booking

form’ to Immerse as part of the confirma�on process.

BookingsBookingsBookingsBookings: Tenta1ve bookings will be held for a period of seven days only. Failing receipt of wri?en confirma1on,

signed terms and condi1ons and deposit, all reserva1ons will be automa1cally released. Immerse reserve the right to

cancel a tenta1ve booking that has not been confirmed and to allocate the venue to another confirmed client. A

deposit of $2000 is due upon confirma1on of your booking.

Immerse may, at its discre1on, accept bookings for func1ons inside, outside, under marquee or otherwise on the

vineyard property, and may impose appropriate restric1ons to any area of the vineyard or buildings that it requires.

signed terms and condi1ons have the minimum numbers stated and will be adhered to for final invoicing

requirements.

Cancella1ons:Cancella1ons:Cancella1ons:Cancella1ons: In the unfortunate event of the cancella1on, 50% of your deposit shall be refunded if Immerse is able

to secure another wedding on the same day, at the same 1me as your original booking. The 50% deposit refund will

be made in the way of a cheque and posted to the address s1pulated on your ‘booking form’. If you cancel 6 months

or less from the date of your func1on the deposit will not be refunded, however if you cancel 90 days prior to your

func1on date you will be liable for the full cost of the func1on. All monies owed up to the 1me of the cancella1on will

be owed and secured by Immerse. Immerse reserves the right to cancel without no1ce any func1on in the event of

an emergency or natural disaster. Immerse reserves the right to reschedule the func1on to agreeable date to both

par1es, refunds or discounts do not apply for any kind of emergency or natural disaster beyond the control of

Immerse.

Termina1on:Termina1on:Termina1on:Termina1on: Immerse reserves the right not to accept a booking or to terminate any func1on where it is sa1sfied that

the con1nua1on of that func1on will jeopardise the safety & security of the property, par1cipants and guests and/or

the Immerse brand. Immerse reserves the right to remove any guest from the premise should we believe they are

behaving in a dangerous, unreasonable or unbecoming manner.

Responsible Service of Alcohol guidelines. Our staff members are instructed not to serve any alcoholic beverages

to guests under the age of 18 years, or to guests in a state of intoxica1on. Our policy is to serve our guests in a

responsible, friendly and professional manner. Immerse management reserves the right to exclude or eject any guest

from the func1on or the premises. Drinks service concludes 30 minutes prior to the conclusion of all events. Immerse

recommends no more than 6 hours of beverage service for your event.

Guest Behaviour: Guest Behaviour: Guest Behaviour: Guest Behaviour: Immerse provides a safe environment for both your guests and our staff. To ensure a successful

event, should a guest behave inappropriately using language or displaying aggression toward another guest or

member of staff, they will be asked to leave the premises. Should they refuse the request, Immerse will contact

Victoria Police who will handle the ma?er accordingly. Should the ma?er not be able to be brought under control in a

1mely manner, Immerse reserves the right to close the func1on down and ask guests to leave the premises.

Accommoda1on will also be closed down in the event of the above and no monies will be refunded.

Where the invoice has been addressed to another person, company or en1ty, personal liability remains the

responsibility of the contract signatory.

Loss of Property:Loss of Property:Loss of Property:Loss of Property: Immerse accepts no responsibility for the loss or damage of personal belongings le; on the

premises before, during or proceeding the func1on. Any items ‘found’ a;er a func1on will be kept for 2 weeks and

then discarded. All items found from the wedding will be kept for a maximum of 2 weeks and the cost of postage is

liable to the guest.

Immerse Property: Immerse Property: Immerse Property: Immerse Property: Immerse reserves the right to make changes to the property and buildings as we see fit and based

on customer feedback. Immerse takes no responsibility for any such changes affec1ng your booking.

Func1on dura1onFunc1on dura1onFunc1on dura1onFunc1on dura1on: All events at Immerse are quoted on a 5.5 hour dura1on and must conclude by 11.00pm. All lunch

func1ons are a 4 hour dura1on and must conclude at or prior to 4.00pm. Immerse will charge the client $2,000.00

per hour for addi1onal service (excluding beverages consumed) for all events that go over the 1me allocated. Our

dinner package is a 5.5 hour package and provides a chapel wedding at 4pm with pre dinner drinks served 30 minutes

prior to the recep1on commencing. The func1on concludes 5.5 hours a;er the commencement of pre dinner drinks.

These 1mes are based on daylight savings 1mes. Should you require the venue prior to 4pm an addi1onal charge of

$2,000.00 applies.

date. This confirmed number is the minimum number of guests that the final invoice will be based on. Any further

increases, although accepted, may necessitate some menu varia1on.

Any number decrease a;er the confirma1on of numbers will s1ll be charged at the full price. All billing will be based

on this figure whether or not full a?endance is received. If final numbers confirmed to Immerse are 10% less than

the numbers advised on the booking form, an addi1onal fee may occur.

The event ‘Order of Service’ will be sent to the client to sign and confirm 4 weeks prior to the func1on. Any changes

a;er this period may result in an addi1onal charge. If the Order of Service is not signed & returned, Immerse will as-

sume that all details are correct.

Accommoda1on: Accommoda1on: Accommoda1on: Accommoda1on: Minimum occupancy rates are applicable for accommoda1on. Accommoda1on is held by Immerse

for the bride and groom to allocate. Should you not be able to meet the required minimum a surcharge of $100 per

room will be added to your final invoice as a vacant room rate. Rooms are for a maximum of 2 adult guests. Accom-

moda1on will be allocated by the client. The Bride & Groom/client will provide a list to Immerse for accommoda1on

five weeks prior.

Cleaning:Cleaning:Cleaning:Cleaning: Whilst normal cleaning is included in the price per person, should addi1onal cleaning be required an

appropriate fee will be charged. This also applies to the accommoda1on suites. In the event of any room being

damaged or damage done to the property, Immerse will charge the event organiser or the guests for any cleaning,

purchasing of new materials etc. in order to return Immerse to the standard that is provided on check in. A standard

extra cleaning fee is charged at $400.00 which covers such items as steam cleaning, and extra laundering as

required . This standard fee charge will be charged to your guest as per your room alloca1on, should the guests not

accept responsibility, the signatories to the terms and condi1ons will be charged.

Professional Service:Professional Service:Professional Service:Professional Service: All Photographers, Video operators and Band members must be supplied with a meal and meals

charged at a discounted rate. Suppliers are not to be provided with alcohol unless event organiser has approved and

accepts any consequences of suppliers drinking alcoholic beverages. These beverages will be on consump1on basis

and added to your account on check out.

Babysi>ng:Babysi>ng:Babysi>ng:Babysi>ng: The use of a babysi?er is allowed although must be arranged by the client. Immerse takes no

responsibility for the babysi?er or the services provided. The use of the conference room can be requested at an

addi1onal $200.

Prices:Prices:Prices:Prices: These prices are current and may be subject to change without no1ce. A detailed quote can be provided to

you on request.

Dance Floor:Dance Floor:Dance Floor:Dance Floor: No dancing is permi?ed on the floor of the dining room, the adjoining area is perfect for dancing.

Loss or DamageLoss or DamageLoss or DamageLoss or Damage: The client is responsible for the replacement or repair costs for any fixtures or fi>ngs damaged by

guests during a func1on. Immerse will not be responsible for the loss or damage of property le; on the premises

prior, during or a;er a func1on.

holiday costs, even if the func1on falls on only part of the public holiday.

Appointment of a Person of Responsibility:Appointment of a Person of Responsibility:Appointment of a Person of Responsibility:Appointment of a Person of Responsibility: Immerse requires a designated person to take responsibility and liaise

with the host of Immerse in the event of unforeseen ma?ers arising during the course of the func1on. Immerse

should be no1fied of this person in the confirma1on stage and this person should make themselves known to the

host. Ideally this would be at the beginning of the func1on. If the host of Immerse is unsa1sfied with the response

of unruly patrons or if the situa1on is beyond control and endangering other patrons or staff, Victoria Police will be

no1fied immediately and handled accordingly. Our Responsible service of Alcohol policy is to be signed by the

person of responsibility prior to the event.

Health & Safety:Health & Safety:Health & Safety:Health & Safety: Immerse adheres to OH&S requirements. Therefore the maximum number of people to be

accommodated may be limited by Immerse and must not be exceeded. No decora1ng of the ra;ers. No access to

the property without Immerse staff or approval.

This considera1on will be applicable to days that have a Fire Danger ra1ng of Severe or above and/or the tempera-

ture is at or above 36oc. The venue operates in a CFA protected area and has been advised that on days of Code

Red, the venue should close. We will contact you should this affect your func1on. If your event is cancelled due to

Code Red circumstances, the venue will by agreement with the client, reschedule the booking to the best date

available. In the event of cancella1on or rescheduling of your func1on date, by the venue due to circumstances

beyond the venues control, the client agrees to hold the venue blameless in the event of loss or damage the client

may incur.

commencement 1me. Please be aware that Immerse may accept another func1on prior to your booked func1on.

This may be a conference, ceremony or restaurant lunch service.

menu or services, Immerse reserves the right to adapt the menu or services in consulta1on with the client. Menus

are seasonal and may change from current menus.

Visa and MasterCard payments a?ract a 1.5% surcharge, Amex and Dinners Club payments will incur a 3.5%
