Common Functions:

• PDF/XPS/JPEG/TIFF

• High Compression PDF/XPS New Functions:

• Linearized PDF

• Adobe Rights Management

The Basic SEND function enables a user to send a scanned document by email or fax. After sending, the user can save the scanned document to their personal mailbox or available advanced box space. Basic send has been improved by offering more features and functions offered in the standard basic send model. Some of the common and newer functions are listed here.

Basic Send Functions

Page 52: Image Runner ADVANCE Systems Student Guide

52

imageRUNNER Advance Systems

Basic send supports linearized pdfs. If the web server housing the PDF supports range request mode a linearized pdf will display in non-download mode. This means that pages 2 megabytes or less will not download at all. The imageRUNNER advance will only download the PDF when asked to print or store.

Linearized PDF

Page 53: Image Runner ADVANCE Systems Student Guide

53

The universal send advanced feature set includes outline PDF, searchable PDF/XPS, reader extensions, and office open XML. Trace and smooth mode enables users to convert text of a scanned image to scalable outline data using vector graphics. To see a visual representation of trace and smooth, click on the appropriate link. With the SEND Advanced Kit-D1 it is possible to search all pdf and xps documents. This is done by splitting the original pdf document into image data and text data. OCR processing is performed on the text data which enables text searching using the native Adobe Reader search function. Reader extensions creates a PDF that can be edited by Acrobat Reader. Using reader extensions can help your customers share and review documents faster. No investment in Adobe Acrobat is required. Comments can be easily added. Here is a

The other two optional send expansion kits include, universal send security feature set, and the universal send digital user signature kit. The optional SEND Security Kit-C1 allows the user to encrypt the PDF by creating a password to open the document and another to edit the document. Device signature uses the device signature certificate and key pair inside the machine to add a digital signature to a PDF. This enables the recipient to verify which device scanned the document. Visible digital signature enables the user to visualize the device signature and user signature right on the pdf. These signatures are visible. The user can set the location where the signatures will appear. The signatures blend in with the background of the document on the first page and will print out when the document is printed.

In this topic, we will provide you with an overview of Canon’s imageRUNNER ADVANCE Security and how it is used. Here are some of the security features we are going to cover along with TPM (Trusted Platform Module).

Security - Intro

Page 105: Image Runner ADVANCE Systems Student Guide

105

Countermeasure changes against outer to inner

• 44% of information leaks is from inside (according to the U.S. Computer Security Institute research report in 2008)

• In 2008, 59% of employees retired or dismissed from companies has taken out confidential information from their workplace. (according to the U.S. Symantec Corp, Ponemon Institute research report) Information security measures

• PC, network, media: measures in progress

• Document (paper) security: slow in taking measures

imageRUNNER Advance Systems

It is no surprise with the headlines of security breaches in information that customers are becoming more concerned about security. Here you can see that there is a greater chance of having information compromised from inside the company than outside. Canon has provided tools to help secure documents, data, and files with the imageRUNNER ADVANCE. Customers have been quick to try to make their networks more secure but now are turning their attention to document security.

Current Security Situation

Page 106: Image Runner ADVANCE Systems Student Guide

106

imageRUNNER Advance Systems

Here is how we rank security risks from low to high. Our goal is to try to prohibit security problems.

Security Measures

Page 107: Image Runner ADVANCE Systems Student Guide

107

imageRUNNER Advance Systems

Here is a comparison between the Next iR and the older iR. You can see that we do very well up through tracking but did not implement a robust prohibition method on the older iRs. With the imageRUNNER ADVANCE we have added a highly robust set of security features that help prohibit certain security risks.

Security What’s New with NiR

Page 108: Image Runner ADVANCE Systems Student Guide

108

imageRUNNER Advance Systems

Feature

• Device functions (e.g. copy, send, box) can be restricted per user.

• Print functions of copy and print (color, 1 or 2-sided, page layout) can be restricted per user. Advantage

• Authentication by function is realized. Benefit

• Prevents information leak to outside and enhances security.

• Reduces costs by forcing monochrome, 2-sided, and 2 in1 printing (TCO).

We’ll start with the AMS (Access Management System). Device functions like copy, send and box can be restricted per user. Print functions of copy and print such as color, 1 or 2-sided, and page layout can be restricted per user. This prevents information leaking outside and enhances security. It also reduces costs by forcing monochrome, 2-sided, and 2 in 1 printing.

AMS-Access Management System

Page 109: Image Runner ADVANCE Systems Student Guide

109

imageRUNNER Advance Systems

Let’s look at the traditional authentication method. Once the user information registration and device settings are completed, the login screen appears on the touch panel. Enter the user name and password and press down the “Login” button to carry out the user authentication; then only the functions the user can use become operable.

AMS-Traditional Authentication Method

Page 110: Image Runner ADVANCE Systems Student Guide

110

imageRUNNER Advance Systems

Now we’ll look at the new method of authentication. Once the user information registration and device settings are completed, the main menu appears on the touch panel. Not the login screen as before. Regardless of usage restrictions, all functions are displayed. Only when you select a function does the login screen appear.

AMS-New Authentication Method

Page 111: Image Runner ADVANCE Systems Student Guide

111

imageRUNNER Advance Systems

Feature

• The product embeds information including user information and print log information to paper documents to enable tracking of printer as well as prohibition of job execution (copy/send/fax/box). Advantage

• Only Canon model is capable of analyzing embedded information on the MFP main unit.

• Most Competitor models require a PC application.

• Job execution can be permitted by password authentication/user authentication (only Canon). Benefit

PCAM or Document scan lock embeds information including user information and print log information onto copies or prints, which enable tracking of the printer as well as to prohibit job execution such as copy, send, fax, and box. This function records the data as a 2D bar code in the paper. The bar code can be read by any imageRUNNER ADVANCE equipped with the Document Scan Lock Kit-A1. So if someone where to print or copy any document without authorization the printed document could be used to determine who it was that leaked the document thereby deterring this method of security leaks.

PCAM (Paper Content Access Management)

112

imageRUNNER Advance Systems

SAM or Secure Audit Manager can be used to log attribute information and document contents of all jobs (copy, fax, send, box and print) on the Next iR and can be saved to a data server. Various searches are available with the saved log data, including the attribute search, full-text search, and similar image search.

IPSec is a function to provide secure IP communication to all packets at the IP level. The IPSec function can be applied to all IP packets regardless of IPv6 and IPv4. Since the IPSec function is applied to each IP packet, applications do not need to support the function. Communication between the nodes to which IPSec settings are applied automatically becomes secure communication while applications are not aware.

IPSec

Page 114: Image Runner ADVANCE Systems Student Guide

114

• The device supports IPSec.

• The IPSec security board is installed.

• The IPSec function is enabled in the Local UI or remote UI. (It is disabled upon shipment from the factory.

• When the PS unit is used, IP Sec board cannot be used simultaneously. (When the communication between Next iR machine and PS unit is encrypted, PS unit cannot receive signals.

A device needs to satisfy all the following conditions to use the IPSec function.

IPSec has two modes of operation: One is the transport mode, and the other is the tunnel mode. In the transport mode, a 1-to-1 relationship is established between terminals, and only the data section excluding the IP header is authenticated and encrypted. The imageRUNNER Advance series only supports the Transport Operation mode of IPSec.

Modes of Operation

In computing, Trusted Platform Module (TPM) is both the name of a published specification detailing a secure cryptoprocessor that can store cryptographic keys that protect information, as well as the general name of implementations of that specification, often called the "TPM chip" which is located on the Main Controller PCB 1. The TPM chip generates and stores the encryption key and has the encryption calculation function for the public key.

TPM (Trusted Platform Module)

Page 120: Image Runner ADVANCE Systems Student Guide

120

imageRUNNER Advance Systems

The TPM PCB protects the security information (password, certificate and encryption key) stored on the hard drive and in SRAM. To encrypt or decode the security information, the TPM key generated and stored in the chip is used. Therefore, even if the following should occur, the security information in the main body can be protected securely. If the hard drive or Main Controller PCB is stolen. If the System is breached through the network. The data will still be secure because of TPM.

TPM - Features

Page 121: Image Runner ADVANCE Systems Student Guide

121

imageRUNNER Advance Systems

To enable this function, setting is required in Settings / Registration mode. Management Settings > Data Management > TPM Settings → ON (the default is OFF)

Enabling TPM

Page 122: Image Runner ADVANCE Systems Student Guide

122

imageRUNNER Advance Systems

Security information such as password, certificate and the encryption key to be used for various applications is linked with the common key, which is encrypted and stored in the hard drive and SRAM. Without the common key, decoding is disabled. When the TPM setting is set to “ON”, the common key itself is encrypted. The common key is linked with the TPM key. Without the TPM key, decoding is disabled. This makes it very difficult to steal the hard drive and be able to read the data. The TPM PCB can be used on this machine only, once switched “ON” , so it cannot be used on any other machines or an E746 error occurs.

TPM Operation

Page 123: Image Runner ADVANCE Systems Student Guide

TPM Error

Page 124: Image Runner ADVANCE Systems Student Guide

124

imageRUNNER Advance Systems

If one of the hard drive, main controller, or TPM board should fail it is possible to replace the part and restore TPM.

TPM Parts Failure

Page 125: Image Runner ADVANCE Systems Student Guide

125

imageRUNNER Advance Systems

Caution: Be sure to instruct the following points to the user. Be sure to backup the TPM key immediately after turning it ON. Keep the password at the time of backup. Be sure not to lose the USB memory that has saved the backup file of TPM key. In the case of replacing the TPM PCB due to failure, it is necessary to restore the TPM key after replacement. Unless restoration is implemented, security information password, certificate and the encryption key cannot be used. If restore work could not be performed due to the loss of the USB memory, It is necessary to first execute [Initialize All Data / Settings] to enable the TPM feature again. This is due to security issue to keep the setup/register data unchanged.

TPM Procedure

Page 126: Image Runner ADVANCE Systems Student Guide

126

imageRUNNER Advance Systems

Only USB memory is supported using FAT32 file system for saving the backup file of the TPM key. The Data size of this file is several MB. Be sure to connect only one USB memory device, otherwise, a message indicating a backup failure will be shown if performing backup while 2 or more USB memory devices are connected. This back up procedure can only be executed once.

TPM Back Up

Page 127: Image Runner ADVANCE Systems Student Guide

127

imageRUNNER Advance Systems

The procedure to repair and restore TPM is, replace the defective part restore the TPM key from the back up. Now TPM will be enabled and function again.

TPM Restore

Page 128: Image Runner ADVANCE Systems Student Guide

128

imageRUNNER Advance Systems

When TPM is enabled, it marries the Main controller, Hard Drive and the TPM board together. However, there are certain combinations of factors that will permit swapping out the TPM board on another machine. Here are the combinations. We will cover these more in the in-house training.

TPM Combinations

Page 129: Image Runner ADVANCE Systems Student Guide

129

imageRUNNER Advance Systems

Remember that the Security on the imageRUNNER ADVANCE happen in many different forms. Document security with all the pdf security features like Encrypted PDF, User Signature PDF, Device Signature PDF, PDF/A-1b and Adobe Rights Management. These are all used to secure document. Then there is the digital security for data with encryption, IPSec, and TPM. Finally there is the physical security of the data with removable hard drives and TPM. You can see that the imageRUNNER ADVANCE series incorporates security at a level that can satisfy any customer’s needs.

148

imageRUNNER Advance Systems

In this topic, we will provide you with an over view of Canon’s UGW (Universal Gateway) and how it is used. The UGW is the server that allows certain remote applications like eMaintenance, imageWARE Remote and imageRUNNER ADVANCE Tracker to communicate device specific information to Canon and Sales Companies.

UGW - Intro

Page 149: Image Runner ADVANCE Systems Student Guide

149

imageRUNNER Advance Systems

Let’s start with eMaintenence. The goal of eMaintenence is to improve customer service while reducing service costs. eMaintenence uses the underlying technology of (embedded Remote Diagnostic System - eRDS) to capture device information and transmit such information to a Canon server via the Internet, where it is accessible by the service provider via a web interface the Universal Gateway, or UGW. Once activated, eRDS will submit both meter readings and service information to the UGW. However, depending on the business model selected by the Dealer/Service Provider, the UGW will allow for access of meter reading only or both meter reading and service information.

UGW -eMaintenence

Page 150: Image Runner ADVANCE Systems Student Guide

150

imageRUNNER Advance Systems

The UGW can allow remote access to service mode information. This can alert the service technician to any problem before the service call. This will allow the technician to be better prepared for the call and bring any additional parts or tools thus preventing a call back to get parts or tools.

UGW – Service Mode Information

Page 151: Image Runner ADVANCE Systems Student Guide

151

imageRUNNER Advance Systems

Here is a list of the data that can be displayed. As of this moment, you may only view the service mode data but not change it. Therefore, the Adjust mode can only be viewed to see the current settings.

UGW – Service Mode Display

Page 152: Image Runner ADVANCE Systems Student Guide

152

imageRUNNER Advance Systems

The service browser can be used by the Service engineers to the view the service FAQ knowledgebase or to input the work descriptions in the database on the server by connecting to the UGW server using iR web browser function. When You use a service browser, the license of Web Access Software is not necessary.

UGW – Service Browser

Page 153: Image Runner ADVANCE Systems Student Guide

153

imageRUNNER Advance Systems

As it stands today a when service technician completes a call they fill out a call report which is then manually entered into some form of tracking database. This information is used for service reports and inventory control.

UGW – Service Browser Reporting Today

Page 154: Image Runner ADVANCE Systems Student Guide

154

imageRUNNER Advance Systems

The plan for the service browser is to provide a means to input service call information directly into the service browser, which can then be transmitted to the sales companies’ database system to be used for service reporting and auto inventory control.

UGW – Service Browser Reporting Future

Page 155: Image Runner ADVANCE Systems Student Guide

155

imageRUNNER Advance Systems

Without UGW many times the technician would arrive on a call and not have the necessary parts or special tools to correct an issue without having to return to the office to pickup a part or special tool.

UGW – Call Back Prevention 1

Page 156: Image Runner ADVANCE Systems Student Guide

156

imageRUNNER Advance Systems

With UGW the technician can look at the FAQ and service history along with any service mode alerts or errors. This will help them be better prepared to arrive on the call with the necessary parts or special tools to correct an issue.

CDS brings users the following 4 advantages:

• Improve Customer Service to field services

• Save field service costs

• Expand sales channels

• Reduce costs incurred from application sales and logistics

The CDS was developed with the purpose of expanding service business and consolidating the content (firmware & application) business infrastructure. CDS brings users the following 4 advantages. Improve CS to field services Save field service costs Expand sales channels Reduce costs incurred from application sales and logistics

CDS - Intro

Page 161: Image Runner ADVANCE Systems Student Guide

161

imageRUNNER Advance Systems

CDS enables content such as firmware and applications to be distributed via the Internet.

CDS – Features

Page 162: Image Runner ADVANCE Systems Student Guide

162

imageRUNNER Advance Systems

Firmware Distribution: With connection to the CDS, users can obtain firmware for the imageRUNNER ADVANCE-series devices distributed via the Internet. Particularly on devices linked to e-Maintenance with UGW, firmware can be updated remotely, which will slash costs incurred in field services.

Firmware Distribution

Page 163: Image Runner ADVANCE Systems Student Guide

163

imageRUNNER Advance Systems

Application Distribution: With the License Management System (LMS), applications can be directly distributed from the CDS to imageRUNNER ADVANCE-series devices. This feature is available for both built-in applications (system options) and external applications (MEAP applications).

Application Distribution

Page 164: Image Runner ADVANCE Systems Student Guide

164

imageRUNNER Advance Systems

For CDS-ebabled devices, service technicians can provide firmware distribution services in the following 4 methods.

Firmware Distribution Methods

Page 165: Image Runner ADVANCE Systems Student Guide

165

imageRUNNER Advance Systems

UGW-linked Download and Update (Full-Remote Update) If the device is linked to the UGW and the distribution schedule and update setting are registered on the UGW in advance, full remote firmware update is available on an imageRUNNER ADVANCE-series device. Upon download from the CDS, the firmware is updated on the device.

Full-Remote Update

Page 166: Image Runner ADVANCE Systems Student Guide

166

imageRUNNER Advance Systems

UGW-linked Download (Remote Distribution / Update) If the device is linked to the UGW and the distribution schedule is registered on the UGW in advance, firmware can be distributed to an imageRUNNER ADVANCE-series device before a service technician actually visits the customer site. This allows the service technician to update the firmware manually immediately after completing device inspection.

Remote Distribution / Update

Page 167: Image Runner ADVANCE Systems Student Guide

167

imageRUNNER Advance Systems

Manual Download and Update (On-site Update via Service Mode) If an imageRUNNER ADVANCE-series device has a connection with the external network, a service technician can gain access to the CDS via Service mode to download and update the firmware. This allows the service technicians to update the firmware as needed at the customer‘s site without needing a computer/laptop.

On-site Update via Service Mode

Page 168: Image Runner ADVANCE Systems Student Guide

168

imageRUNNER Advance Systems

If an imageRUNNER ADVANCE-series device does not have a connection with the external network or older models series are in use, the three methods described on the previous pages are not available for firmware distribution. Future firmware versions, however, will be distributed via CDS instead of conventional master CD distribution. These firmware versions can be downloaded from CDS using Web browsers on PCs and then updated using the SST as before.

Update via SST

Page 169: Image Runner ADVANCE Systems Student Guide

169

imageRUNNER Advance Systems

Here you can see the practical benefits of how using the CDS for distribution can increase productivity and reduce service costs. To install a MEAP application by conventional means it meant that a technician was required as well as a customer visit. That took a total of 5 steps now if the CDS is used the technician is not required to make a customer visit and the steps are reduced to 2.

MEAP Distribution Flow

Page 170: Image Runner ADVANCE Systems Student Guide

170

imageRUNNER Advance Systems

Just as with the MEAP, application install. Now using the CDS imageRUNNER options can be installed via remote. Again reducing the steps and not requiring the Technician’s time.

iR Option Update

Page 171: Image Runner ADVANCE Systems Student Guide

171

imageRUNNER Advance Systems

We have talked about the CDS and the UGW and how those are on the sales company’s side of the distribution equation. Now we will look at the machine side of the equation with the updater. Updater is a MEAP application, which functions to provide network communication to the Content Delivery System. Because of the Updater application the CDS can then be used to remotely install firmware, MEAP applications or system options.

Updater Application

Page 172: Image Runner ADVANCE Systems Student Guide

172

imageRUNNER Advance Systems

The following should be prepared before using Updater.

Device Preparation-Overview

Page 173: Image Runner ADVANCE Systems Student Guide

173

imageRUNNER Advance Systems

The default setting of Sales Company's HQ should be changed before obtaining firmware distributed from the CDS. Unless the setting is changed properly, the desired firmware may not be able to be selected. Go to the following screen to change the setting of Sales Company's HQ. In addition, you must also enable the UGW link. Here you can see the service modes where these settings can be made.

Device Preparation-Service Mode

Page 174: Image Runner ADVANCE Systems Student Guide

174

imageRUNNER Advance Systems

To allow users to install firmware using Updater, the setting of firmware installation should be set to ON for users in advance. You set this in level 1 service mode at the COPIER >OPTION >FNC-SW >CDS-FIRM. One is enabled and zero is not enabled. The same holds true for allowing the customer to install applications or not. You must enable the function in the service mode before the button will be displayed.

Enabling Update by User

Page 175: Image Runner ADVANCE Systems Student Guide

175

imageRUNNER Advance Systems

NOTE: When a user changes the date/time setting on the device, the firmware distribution may not be performed as scheduled. When the firmware is updated, queued print jobs and others are cancelled.

Here are a couple of point to be aware of: When a user changes the date/time setting on the device, the firmware distribution may not be performed as scheduled. When the firmware is updated, queued print jobs and others are cancelled.
