The themeof the Conference is Integration of IT Technologiesin Future Power Grids and will address currenttopical issues arising from the operation andcontrol of smart grids, such as grid integration ofrenewable energy resources, voltage andfrequency stability, demand response andmanagement, storage devices, smart sensornetwork, communication systems and informationtransfer, signal processing and control.

IEEE Power and Energy Society ISGT Asia 2016will be held November 28 – December 1 at theMelbourne Convention and Exhibition Centre,Melbourne, preceded by tutorial sessions on 28November. The conference will facilitatenetworking on a personal, collegial and institutionallevel. ISGT Asia 2016 will feature outstandingPlenary and Keynote speakers, contributed andinvited papers, special invited sessions, technicalvisits and exhibition of smart grid relatedtechnologies. Exciting social programs forparticipants and accompanying persons havebeen designed to suit all requirements.

TERMS AND CONDITIONS OF CONTRACT The Contract 1. The term “Organiser” refers to ICMS Australasia

Pty Ltd and includes associations, corporate andgovernment bodies who have engaged ICMSAustralasia Pty Ltd as their representative.

2. The term “Exhibitor” includes any person, firm,company or corporation and its employees andagents identified in the Application Form orother written request for exhibition space.

3. A “contract” is formed between the Organiserand Exhibitor when the Organiser accepts thesigned Application Form and receives aminimum of 50% of the total owing as adeposit. The Organiser will then issue aconfirmation letter to the Exhibitor.

4. The Organiser may cancel the contract at theirdiscretion if the agreed deposit is not receivedwithin 28 days of lodging the Application Form.Additionally the Organiser reserves the right tocancel the contract by returning the depositwithin 28 days of receipt.

The Application 5. An official Exhibition Application Form must be

received to reserve space.6. The Organiser reserves the right to refuse

application or prohibit any Exhibitor fromparticipation without assigning a reason for suchrefusal or prohibition.

Obligations and Rights of the Organiser 7. The decision of the Organiser is final and

decisive on any question not covered in thiscontract.

8. The Organiser agrees to hold the exhibitionhowever, reserves the right to postpone theexhibition from the set dates and to hold theexhibition on other dates as near to the originaldates as possible, utilising the right only whencircumstances necessitate such action andwithout any liability to the Organiser.

9. The Organiser agrees to promote the exhibitionto maximise participation.

10. The Organiser agrees to allocate the Exhibitoran exhibition space as close as possible to theirdesired location.

11. The Organiser reserve the right in unforseencircumstances to amend or alter the exact siteof the location of the stand and the Exhibitorundertakes to agree to any alteration to the siteor the space re-allocated by the Organiser.

12. The Organiser reserves the right to change theexhibition floor layout if necessary.

13. The Organiser is responsible for the control ofthe exhibition area only.

14. The Organiser may shorten or lengthen theduration of the exhibition and alter the hoursduring which the exhibition is open.

15. The Organiser agrees to provide the Exhibitorwith an Exhibition Manual prior to the exhibitionfor the purpose of communicating requiredactions on the part of the Exhibitor.

16. The Organiser has the right to take action basedon verbal or written directions including thosecontained in the Exhibition Manual. This is toensure that all laws in connection with theexhibition are complied with, to prevent damageto person or property and to maximise thecommercial success of the exhibition.

17. The Organiser may refuse without limitation topermit activity within the exhibition or mayrequire cessation of particular activities at theirdiscretion.

18. The Organiser reserves the right to specifyheights of walls and coverings for display areas.

19. The Organiser reserves the right to disapprovethe content and presentation of the Exhibitorcatalogues, acknowledgements, handbills andprinted matter with respect to the exhibition.

20. The Organiser may determine the hours duringwhich the Exhibitor will have access to theexhibition venue for the purpose of setting upand dismantling.

21. The Organiser reserves the right to refuse anyperson including exhibitor staff, representatives,visitors, contractors and/or agents entry to theexhibition if they do not hold a purchased orcomplimentary entry card.

22. The Organiser will specify conditions relating tothe movement of goods and displays, prior,during and after the exhibition.

23. The Organiser will specify any regulations withregard to sound levels including microphones,sound amplification, machine demonstrationsand videos. The exhibitor agrees to abide bythese.

24. The Organiser will arrange security onsiteduring the period of the exhibition but willaccept no liability for loss or damage.

25. The Organiser will arrange for daily cleaning ofaisles outside the exhibition open hours.

Obligations and Rights of the Exhibitor 26. The Exhibitor must ensure that all accounts are

finalised and paid prior to the allocatedexhibition move-in period.

27. The Exhibitor must use allocated space only forthe display and promotion of goods and/orservices within the scope of the exhibition.

28. The Exhibitor must make every effort tomaximise promotion and commercial benefits ofparticipating in the exhibition.

29. The Exhibitor must comply with all directions /requests issued by the Organiser including thoseoutlined in the Exhibition Manual.

30. The Exhibitor must comply with all applicablelaws, including laws in relation to occupationalhealth & safety. The Exhibitor will therefore actwith care to avoid damage to persons orproperty in the exhibition.

31. The Exhibitor must ensure the cleanliness andtidiness of their allocated space. Upon theconclusion of the exhibition the Exhibitor willpromptly remove all exhibits, tools and othermaterials. If the Exhibitor fails or refuses to doso, the Organiser will make arrangements forthis to done by an external party at a cost to bepaid by the Exhibitor.

32. The Exhibitor will not display an exhibit in sucha manner as to obstruct or affect neighbouringexhibitors. This includes blocking or projectinglight, impeding or projecting into aisles orneighbouring exhibition spaces.

33. The Exhibitor will submit plans and visuals ofcustom designed exhibits to the Organiser forapproval prior to the commencement of theexhibition. Exhibitors failing to do so may bedenied access to the exhibition to build or maybe requested to cease building. A validInsurance Certificate of Currency forindependent exhibition contractors will also besubmitted prior to the Organiser granting thiscompany access to the exhibition area.

34. The Exhibitor is responsible for all items withintheir allocated exhibition space.

35. The Exhibitor agrees to adhere to all fireregulations and will refrain from usingflammable or dangerous materials within theexhibition. Written approval must be soughtfrom the Organiser if flammable or dangerousmaterials are required for the success of theexhibit.

36. The Exhibitor will not use nails, screws or otherfixtures on any part of the premises includingwalls and floor unless authorised by theOrganiser. In any case all permanent damagewill result in the Exhibitor being invoiced for allrepairs.

37. The Exhibitor acknowledges that the Organiserhas a preferred freight forwarder and agrees tocomply with all instructions relating to deliverytimes. If an alternate freight forwarder isengaged, the Exhibitor acknowledges that theOrganiser will not be able to provide assistancein tracking lost deliveries. The Exhibitor agreesthat the Organiser will not be liable for anygoods rejected by the venue, lost or damagedprior to the delivery date specified or on return.

38. The Exhibitor agrees to abide by requests madeby the Organiser to stop any activity that maycause annoyance to others in the exhibition.

39. The Exhibitor agrees to conduct all businesstransactions within their allocated exhibitionspace unless otherwise approved by theOrganiser.

Storage of goods 40. Unless otherwise communicated storage will not

be provided onsite at the exhibition. Under nocircumstance are goods permitted to be storedin public access areas.

Stand Services and Construction 41. Official contractors will be appointed by the

Organiser to undertake stand construction andfreight forwarding plus supply furniture,electrics, telecoms and IT equipment. This is forinsurance and security reasons. All non-officialcontractors wishing to enter the exhibition arerequired to produce current Certificates ofCurrency for Insurance, Public Liability andOH&S. Access will be denied without suchdocumentation.

Insurance and Liability 42. All Exhibitors must have Public Liability

Insurance for the period of the exhibition andmust be able to produce this documentationimmediately at the request of the Organiser.

43. Exhibitors must insure, indemnify and hold theOrganiser harmless in respect of all damages,injuries, costs, claims, demands, expenses andinterest for which the Organiser may becomeliable.

44. Whilst the Organiser will endeavour to protectexhibition property whilst on display at theexhibition, it must be clearly understood thatthe venue, the Organising Committee and theOrganiser cannot accept liability for any loss ordamage to property sustained or occasionedfrom any cause whatsoever.

45. The Organiser shall not be liable for any loss,which exhibitor may incur as a result of theintervention of any Authority, which preventsthe use of the premises or any part thereof inany manner whatsoever.

46. The Organiser will not be liable and makes noguarantee of the number of visitors to theexhibition. Equally the Organiser will not beaccountable for the level of commercial activitygenerated.

Payment & Cancellation 47. The Exhibitor has seven (7) days in which to

make their final payment when it falls due. Afterthis time the space will be available for sale toanother company. All deposits paid willautomatically be forfeited and NO refund will bemade. NO exhibitor shall occupy allocatedexhibition space until all monies owing to theOrganiser by the Exhibitor are paid in full.

48. In the event that the Exhibitor fails to occupytheir allocated exhibition space by theadvertised opening time, the Organiser isauthorised to occupy this space in any mannerdeemed to be in the best interest of theExhibition. The Exhibitor contracted to thisspace will remain liable to all Terms andConditions of Contract and will not be eligiblefor a refund.

49. If the Exhibitor wishes to cancel theirparticipation a request must be submitted to theOrganiser in writing. Exhibitor cancellations andrefunds will be administered as follows:a. If notice of cancellation is received 12

months or more before the first day of theexhibition, the Exhibitor will be entitled toa 75% refund on funds due at the time ofcancellation.

b. If notice of cancellation is receivedbetween 6 and12 months before the firstday of the exhibition, the Exhibitor will beentitled to a 50% refund on funds due atthe time of cancellation.

c. If notice of cancellation is received lessthan 6 months before the first day of theexhibition, the Exhibitor will not beentitled to a refund.

d. If notice of cancellation is received andfull payment for funds owing has not beenreceived, the Exhibitor may be invoicedfor the difference to satisfy the abovecancellation and refund policy.

50. Booth availability may be limited or restricted,and allocations and available quantities will beadvised upon processing your application.
