Problem Statement

Dependability on a singe person for specific modules.

Time constrains in taking Knowledge Transfer sessions for new entries to project.

Time taken for test execution is more as there is more doubts are arising during execution.

There is no document is available to refer for some basic project related activities.

The following is the graph which gives the information about the skill level of resources in various modules of ISOP.

The graph in the previous slide infers that resources are 8.8% unskilled and 31.4 semi skilled in some modules in ISOP.

Even experienced resources also faces issues during execution when they are not much exposed to that module.

Since our application consists of many modules and flows it is difficult for resources to know all the modules in detail.

Problem Statement

Solution

Page 8: Ideas for Knowledge Transfer

Solutions

Each resource in an application should know something about every module in an application irrespective of their expertness.

There should be a common repository, where we can refer basic project related activities and know about the various modules in an application.

There should be continuous learning process available for resources about application.

Inklings for Knowledge Transfer in ISOP

In order to implement the above said solutions we have come up with some initiatives. The following are they,

Mail of the Day.

Record and Playback.

A Word Repository.

Nam ISOP Discussion Forum.

In the following slides you will get some glimpse about this ideas.

Mail of the Day

Page 12: Ideas for Knowledge Transfer

Mail of the Day

By this initiative mails will be send to the team members in alterative days about various modules.

Team members will get in touch with various modules in an application.

Mails can be sent from the module leads or any resource in a team who is expert in a particular module.

Page 13: Ideas for Knowledge Transfer

In order to make the mails an effective one that can be sent with the following titles.

Tip of the Day.

How stuff works?

How to ________?

If resources save the mails, after some point of time those mails will be helpful for clarifying their doubts.

Let us see some examples for the each mail title.

Mail of the Day

Tip of the Day

Quality center Tips.

Excel Tips.

Tips related to application like (If you don’t give the value in the Description field when creating the field instruction, the E-Check list flag will not set to 1 even if u assign artwork, Field instruction and UPC in an Reservation).

Queries often used.

Page 15: Ideas for Knowledge Transfer

How Stuff Works ?

Under this title some complicated scenarios and their expected result will be sent.

For Example: What happens when regen can add a store between two reservations?(One in sold status and one in RS1 status – Precedence rule).

On what basis Order complete flag, Artwork complete flag and E-checklist flag will get updated.

What happens when a latebuy orderline is added to a sold reservation during revision.

Page 16: Ideas for Knowledge Transfer

How to _______ ?

How to Run Regen ?

How to Add a Non-Network and Network Non-Active stores into the reservation by regen ?

How to Run the Batch process for G3 related modules ?

How to create a Recommendation ?

How to create a reservation with Sold+ status and sold_ind 0 for the last version ?

Record and Playback

In this method we should record the flows in a module using the video recording tool.

The Recorded files should be archived in a common server.

During recording a Notepad can be used to tell some important points, so there is no need for a person to explain the flows.

It will be very much helpful when taking a KT session.

Page 19: Ideas for Knowledge Transfer

Time Taken to give a KT to new resource will gets reduced.

By seeing the video itself an Experienced resource will know about the module he is unfamiliar with, so there is no need for a separate KT sessions.

By recording the Execution related activities, anyone can do the task by referring to the video.

Record and Playback

A Word Repository

In this method we are developing a single word document where you can refer to all the project related activities with steps and screenshots.

It will reduce the dependability on a single resource to do some specific project related activities.

It will reduce the Test execution time considerably as every resource will know about the basic activities.

Page 22: Ideas for Knowledge Transfer

The following are some activities to be included in the word document.

Build and Deployment.

Starting and Stopping the server.

Taking the Logs.

Moving the credit check DRL.

Availability and SLE Caching urls for all environments.

Steps to restart the Cisco services for VPN connection problems

A Word Repository

Page 23: Ideas for Knowledge Transfer

Steps to run purge.

Steps to run E-check list.

Steps to include the Email id in Global.config file.

Steps to Run the Snapshot with Queries.

DB Properties of all the environments with screenshots.

We already started working on developing this document and will be completed very soon.

NAM ISOP Discussion Forum

Page 25: Ideas for Knowledge Transfer

It is an Idea of developing a Forum like Website for project related queries.

In Cognizant we are already having a blog site C2.0, like that we can develop a blog site dedicated for all project related queries.

If it is not possible to develop a blog site at cognizant level, we can develop a site for NAM alone.

NAM ISOP Discussion Forum

Page 26: Ideas for Knowledge Transfer

On request from any other projects for this site it can be modified to suite their needs and can be used for their projects also.

It reduces the dependability on a single resource for a project related queries as anyone can blog the answer.

If possible, the queries raised by cognizant resource can be answered by client or from onsite peers.

NAM ISOP Discussion Forum

Page 27: Ideas for Knowledge Transfer

It will leads to clear understanding of business scenarios.

It is used to facilitate an open communication.

Summary

Page 29: Ideas for Knowledge Transfer

All the four ideas will serve as a knowledge transfer repository for ISOP.

It helps the new entries into the project to learn the application easier and faster.

After certain point of time every resource will know something about every module in an application.

Summary

Page 30: Ideas for Knowledge Transfer

The repetitiveness of doubts in a project gets reduced as all the difficulties faced during execution are recorded in the above said ideas.

Team members will get in constant touch with the various modules in an application.

All the four ideas will serve as a good communication tool between team members.

We can involve all the team members in developing this ideas.
