All quoted rates are discounted for the standard rooms during the period of the conference. They are payable in EUR and they include VAT (at the current rate of 6%) and breakfast. The above mentioned city tax would also be included in the fee displayed in the registration platform. In order to guarantee your booking, a one-night deposit is applied which needs to be paid by bank transfer or credit card by 31st October the latest. After this date, all un-guaranteed rooms will be cancelled. You will be responsible for payment of the remaining night fees and all extra charges upon check out.

If you have any special requests (e.g. smoking room, twin beds), please process your booking online first and then inform the ICA Conference Secretariat in writing at ICA2013@mci-group.com Kindly note that we cannot guarantee that all special requests can be accommodated by the respective hotels. All reservation modifications and extensions have to be submitted in writing to the ICA Conference Secretariat (c/o MCI Brussels) at ICA2013@mci-group.com. All changes are subject to the availability and at the discretion of the hotel. The ICA Conference Secretariat (c/o MCI Brussels) reserves the right to accept or refuse a change, based on the hotel’s availability.

Cancellation Policy

In the event that changes are not made in strict compliance with the below cancellation policy, you will be directly and fully responsible for all fees and/or charges imposed. For any modifications on arrival or departure dates from the original reservation, the ICA Congress Secretariat (c/o MCI Brussels) reserves the right to apply the following cancellation policy: • Cancellations received until 31 October 2013: no penalty will apply • Cancellations received as of 1 November 2013 and no-shows: the one-night

deposit will not be refunded
