UWChastransformedfromanapartheid
creationin1960,limitedtoundergraduate degreesforcolouredpeople,toaninstitutionofglobalreputewithsevenfaculties,numerousspecialistworld-classinstitutes and centres and a post graduate focus.
However,despitegraduatinganaverageof4000studentsayear–ofwhichtherehasbeenanaverageof74PhDsoverthepasttwoyears–anattitudethatUWCis “inferior” to other higher education institutesintheregion,offeringlesserqualifications,employinglesseracademicstaff,offeringlimitedfacilitiesandturningoutgraduateslackingindesirableattributes that are required by employers.
ItisthetaskofIAtodrivecommunicationsand campaigns to change that mindset amongstaff,students,alumni,funders,employers and specially among learners intheregionsothattheyseeUWCasauniversityoffirstchoice.
UWCshouldbeseenasthetriumphoveradversitythatitis.UWC’sneeds–infrastructurefunding,bursaryfunding–shouldbeseenasinvestmentpotentialasopposedto“poorneediness”.ItisIA’stasktoplaceUWCinitsbroaderAfricanandglobalcontextandtoshapeanewunderstandingthatUWCisnolongerthatdisadvantagedcollegeneedingcharity–butpartnerstoseeksolutionstothefuture.

Institutional Advancementin its UWC Context
IAisaservicedepartmentprovidingstrategic,tacticalandoperationalinputacrosstheUniversitywithregardtodonorrelations,alumnirelations,medialiaison,communications,marketing,branding,onlinepracticesandeventing.
IAUnitsworkcloselywithotherservicedepartmentsthatarealsotaskedwithadvancingUWCthroughrecruitmentandstudentexperience.
AllactivitiesarealignedtothecoreobjectivesoftheIOPwiththeendresultbeingtogeneratefunding,growloyaltyandpride,recruitmentofexcellentstaffand students in order to attract partners andfunderssothatUWCmayenhanceitscredibilityandcontinuetogrowinasustainable manner.

Great emphasis is placed on creating clear lines of reporting – and to defining measuresagainstthegoalsandobjectivesoftheIOP.
EachUnitwithinIAholdsweeklymeetingstoplantheweekahead,toreviewtheweekpastandtocheckthatallactionsarecorrectlytargetedtoachievethedesiredoutcome.
Systemshavebeencreatedandrevisedovertheyeartobestdocumentplansof action and costing against specific outcomes.
EachUnitmanagerreportstootherunitsthroughfellowmanagersattheweeklymanagementmeetingwiththePV-C.
Keymatters,theeventslistingandproposalsaretakentoseniormanagementfor information and consideration by the PV-Cbi-monthly.
Amonthlystaffmeetingisheldtoaddressgeneral human resource and other staffing issues and concerns.
Unitmanagersattendregularfacultyandother department meetings to both inform andtogatherinformationthatisrelevanttotheIAmandate.
AsixmonthDepartmentReportandanAnnualReportarecompiledtoshowcasetheworkingsandachievementswithineachUnit.

OverviewAfterahiatusofapproximatelyfouryearsinwhichnoformalfundraisingtookplace,thenewlyestablishedDonorRelationsOfficewasestablishedtowardstheendof 2012 as part of the Department of InstitutionalAdvancement(IA).
ThenewlyestablishedDonorRelationsOfficeoperatesinalignmentwiththeUniversity’sIOPobjectivenumber6:
‘ToshapetheinternalandexternalstandingandprofileofUWCasavibrantInstitutionthroughtheuseofdiversecommunicationandmarketingstrategiestosupportourgoals’
TheDonorRelationsOfficeaimstobuildsustainablepartnershipsforUWCtoincrease donor support. This is guided bythenewlyapprovedFundraisingandProposalsPolicyandmanagedthroughrealisticfundraisingandstewardshipinitiatives.Thispolicyfurtheraimstostreamline and centralise fundraising activitiesatUWCwhilealsoassistingtheprocessofprioritisingprojects,stewardship,monitoringandevaluationandreportingobligations to donors
KEY PROJECTS AND OUTCOMES•KresgeSpecialInitiativeChallenge
GrantAsoneoftheoriginalsuccessfulparticipantsintheKresgeFoundationSouthAfricanSpecialInitiativein2005-2010 to facilitate the building of capacity aroundadvancementatselectedSouthAfricanhighereducationinstitutions,
UWCwasrecentlyselectedbytheKresgeFoundationtoparticipateinthesecondHigherEducationSpecialInitiativeinSouthAfrica.
ThecoregroupofuniversitiesselectedtoparticipateinthesecondKresgeChallengeGrantinitiativeof2012-2016,wereinvitedtoeachsubmitfivemilestonesperannumforthisperiod.TheKresgeFoundationwillawardabonusgrantof$50000foreachsuccessfulyeartowardstheadvancementinitiativesoftheinstitution,iftheannualmilestonesaremetoverthefiveyearperiod.TheDepartmentofInstitutionalAdvancementworkscloselyonthisinitiativewithInyathelo,theKresgeFoundation’sSouthAfricanpartner,theSouthAfricanInstituteforAdvancementinSouthAfrica.
Infrastructure ProjectsThekeymilestonessetforthefiveyearprogrammeforeseetheDonorRelationsOfficeplayingakeypartinthefundraisingeffortsfornewcapitalprojectsattheUniversity.Thekeymilestonesare:
•ThenewChemicalSciencesBuilding;•RefurbishmenttheJSMaraisHospital;• StadiumUpgrade;Thekeyprioritysetfor2012withinthefiveyearinfrastructureframeworkplanfortheUniversitywasthelaunchoftheNewChemicalSciencesbuildingcampaign.Aproposalhasbeendevelopedaspartofthepriorityframeworkandtimelinesforthefundraisinganddevelopmentprogrammearound this are near completion.

ThereportbacksessiontotheKresgeFoundationwilltakeplaceinFebruary2013atwhichpointitwillbeestablishedwhethertheUniversityqualifiesforthefirstChallenge Grant.
PARTNERSHIPSAnewpartnershiphasbeenestablishedwithMERsetafortheExtendedCurriculumProgrammeandWinterSchool,initiatedbytheFacultyofScience,towhichtheMERsetahascommittedR1556940.Fundinghasbeensecuredforthefirstyearonapilotprojectbasis.Inaddition,theIndustrialDevelopmentCorporationhasawardedtheFacultyofScienceagrantofR500000towardsitsExtendedCurriculumProgramme,alsoonapilotprojectbasis.
Extendedfundingwillbeconsideredfollowingthesuccessoftherolloutofthepilotphasesoftheseprojects.
AdormantrelationshipwithSanlamwasrevitalisedlatein2012andculminatedwiththeirawardgrantofaR290000towardsateachercapacitybuildingprojectinitiatedbytheFacultyofEducation.Thisprojectseeksto‘ImprovetheoverallparticipationratesinMathematicsGrades10-12toincreasetheoverallqualityoflearnerthroughputintheNationalSeniorCertificateGrade12Mathsexaminations’.
Inaddition,theCentreforPerformingArtsreceivedadonationtowardsinfrastructureupgrade from the Chancellor of the University,ArchbishopThaboMakgobathroughtheArchbishopTCMakgobaDevelopmentTrust.

JohannesburgGolfDay2012markedits8thAnnualGolfDayinJohannesburg.ThefirstGolfDayinJohannesburgwasheldin2000attheKillarneyGolfCoursewith60players.ThesubsequentGolfDayinJohannesburgtook

placein2007attheKillarneyGolfCourse.In2012,thenumberofparticipantsincreasedto112playersattheRandparkGolf Club. Ten companies generously sponsoredthewateringholes.
UWCstaff,formerstaffmembers,theGautengAlumniChapter,corporateandindividualdonorsassistedtomaketheeventasuccess.
GolfDayCapeTownUWChostedasuccessful36thAnnualGolfDayattheKingDavidGolfClubinMontanaonTuesdayNovember132012.ThefirstGolfdaywasheldin1976with24playersteeing-off,while.2012saw144players(36teams)participating.
UWCextendedaspecialwordofthankstothePlatinumSponsor,OldMutualCorporate,aswellastoGoldSponsorABSACapital,andallothersponsorswhogenerouslycontributedtowardsthewateringholesandprizes.Intotal,eightcompaniessponsoredthewateringholes.
ArchbishopTCMakgobaDevelopmentTrustTheUniversityoftheWesternCape’s(UWC)Chancellor,TheMostReverendDr.ThaboCecilMakgoba,donatedR15000tothe Centre on 12 December 2012.
“IwasgreatlymovedbythemagnificentperformanceattheRector’sConcert,”saidtheChancellor,whoattendedUWC’sAnnualRectorsCarolsbyCandlelightConcertinNovember.“RectorBrianO’Connellinformedmethatthecentreneeds an air-conditioning system - and throughtheArchbishopDevelopmentFund,wewereabletomakethisdonationpossible.”ThemoneywillalsocontributetobursariesforCentrePerformingArtsstudents.

THE UWC FOUNDATION: BOARD OF TRUSTEES
The2012AnnualGeneralMeetingoftheBoardwasheldonMonday,May282012andtheGeneralMeetingonMonday, 13August2012.
In2011theBoardresolvedthatthenumberoftrusteesservingontheBoardshould be increased.
AttheBoard’smeetinginMay2012,theActingChair,JudgeEssaMoosa,welcomedFredRobertson,DeputyExecutiveChairmanofBrimstoneInvestmentCorporation,totheUWCFoundation.TheBoardapprovedtheappointmentofRobertsonasaTrusteeand further nominated him as Chairperson oftheBoardfromMay282012.AttheGeneralmeetinginAugust2012,OJJTabane,thelateProfJGerwel,LMaasdorpandJaapDurandwerenominatedasnewTrusteestoserveontheBoard.
The Board annually considers requests from theExecutiveManagementCommitteeforfundingparticularprojectswhichcannotbefundedfromtheUniversity’sgeneralbudget.TheExecutiveManagementCommitteealsoincludedtheInfrastructureandEfficiencyFundingProposal2012–2014whichwassubmittedtotheMinistryofHigherEducationandTraining.
TheBoardfurtherapprovedtherequestforfundingR3654mforexistingpostsandmedia support for 2013.
TheInvestmentReport’sPresentationbyRMBPrivateBankwasnotedandthatthecurrentvalueoftheportfoliohadincreasedtoR78masaresultofthebondmarketperformingwellandthereductionininterest rates.

SomeofthesekeymilestonesincludedlaunchinganewformalAlumniAssociationStructurewithanewAlumnibrandidentity,recruiting alumni as paid members to theassociation,servicingalumnithroughregularcommunicationanddeliveringkeyalumnipublications,throughinvitingalumnibacktotheUniversitytoengageinleadershipdialoguesaspartoftheAlumni‘Leadfromwhereyouare’programmeandtoimprovethequalityoftheAlumnidatabaseforeffectivecommunication.
Thisreportshowcasesthesignificantachievementsmadeandalludestoexpandingonitin2013.
LAUNCH OF UWC ALUMNIASSOCIATION ThenewlystructuredAlumniAssociationwaslaunchedinJanuary2012.
TheAlumniAssociationisaformalstructure that builds affinity and pride in the institution through encouraging alumni participation and interaction.
TheAssociationcreatedynamicplatformsforcommunicationandengagement;createopportunitiesforannualgivingandprovidesaformalframeworktoestablishlocalandinternationalAlumniChapters.
During2012,theAlumniAssociationembarkedonalumnimarketingandrecruitment campaigns to encourage alumnitojointheAlumniAssociation.
Morethan700proudUWCAlumnijoined,contributed their membership dues and got theirfreeAlumniT-shirt.Therecruitmentcampaignswerelargelyfocussedinternallythesewillbeexpandedonin2013.

ALUMNI RECRUITMENT PROCESS SincetheAlumniAssociationwasformallyintroducedatthebeginningoflastyear,theAlumniRelationsOfficehadtodevelopbusiness processes that supported the recruitmentofAlumnimembers.TheAlumniRelationsOfficeimplementedanewlydesignedprocessaimedattrackingeachindividualsign-upandthankinghim/heraccordingly.IncollaborationwiththeFinanceOfficer,theDataAdministrator,AlumniAssistant,AlumniCoordinatorandAlumniManager,thenewrecruitmentprocessallowsustoloadamember’sdetails onto the system and immediately sendhim/herathankyousmsandathankyouletterwithareceiptandtaxcertificate.
GRADUATION PROCESS
TheAlumniunitcapturedtheGraduationprocess by highlighting the different steps ofgraduationinthemainhall.AtStep4intheAlumnigraduationprocess(afterhavingbeencappedandreceivingtheircertificate)thegraduatewillreachtheAlumnitablewherehe/shewillreceiveanAlumniBagwithsmallgraduationgiftsasthe final graduation send-off. This branded Alumnibagincludesacongratulationsletter,Alumnibadge,calendar,pen,AlumninewsletterandAlumnisticker.InfuturetheAlumniRelationsOfficewillmailacongratulationslettertoallnewgraduatesalongwiththeirgraduationpack.TheletterwillalsoinvitenewgraduatestojointheAlumniAssociationandsign-uponthedayof graduation.

AkeymilestonefortheAlumniAssociationwasthelaunchedofthe‘Leadfromwhereyouare’programme.The‘Leadfromwhereyouare’programmeincludesaseriesofleadershipconversationshostedbytheAlumniRelationsOffice,aimedatcreatinga platform for discussing topical leadership challenges of the day.

ThefirstleadershipdialoguewasinpartnershipwiththeFacultyofEconomicandManagementSciences,heldonThursdayJuly192012andfocussedon‘DealingwitheverydayleadershipchallengesinBusiness’.TheguestspeakerwasTaswellPapier,DirectorofEdwardNathanSonnenbergs.Theeventwasattendedbymorethan90UWCAlumnithatserveindifferentleadershiprolesincompaniessuchasBowmanGilfilan,OldMutual,Nedbank,EdwardNathanSonnenbergs,ProvincialGovernmentWesternCape,TokisoDisputeSettlement,CCMA,UrbanIssuesConsultingandCommunityChestSouthAfrica.
ThesecondleadershipdialoguewasinpartnershipwiththeDentistryFaculty,heldonSaturday,September292012and focussed on Leadership Challenges inHealthSciences.ThediscussionwasledbyaprominentleaderProfJairamReddy,aformerDeanoftheFacultyofDentistryatUWC,theEx-RectoroftheUniversityofDurbanWestville,currentlyappointedasaconsultantfortheestablishmentofanewdentalfacultyatUniversityofKwa-ZuluNatalandservedasaDirectortotheUnitedNationsUniversityInternational
LeadershipInstitute,Amman,Jordanfrom1994-2008.Dentiststhatattendedtheeventwerealsoeligibletoobtainfor4CPDpointsaspartoftheCPDprogramme.BotheventswereheldattendedbyUWCAlumniandinsightfuldiscussionwithrespecttochallengesinthedifferentprofessionswereraised.
Inkeepingwiththethemeofthe‘Leadfromwhereyouare’theFacultyofEconomicandManagementSciencealsopartneredwiththeAlumniRelationsOfficeontheirDeansMeritAwardsCeremony.TheAlumniOfficeinvitedEMSgraduatesto be part of a panel of alumni aimed at encouraging and responding to questions thatthetopEMSstudentshadastheypreparedfortheworkingworld.AttheeventtheAlumniCoordinatorcalledongraduates to continue the relationship withtheUniversitythroughitsmentorshipprogrammes,postgraduatestudiesandjoiningtheAlumniAssociation.
Thenext‘Leadfromwhereyouare’eventwillbeheldinpartnershipwiththeSchoolofPharmacyinApril2013.
A NEW IDENTITY FOR ALUMNIIn2012,theAlumniRelationsOfficelaunchedanewbrandidentityforUWCAlumni.ThenewlogowasdesignedtomirrorthearchitectureoftheUniversity’sdramaticportaltotheMainSquare.ItisthroughthiscolumnedarchwaythatstudentsenterforOrientationintheirfirstyear;andtheonetheyexitintotheworldafterGraduation.FrominsidetheSquareoneseesapyramidmoundtoppedwithacypresstree.Thisfeaturehasbeentransformedintoaflameofknowledge.AmottowascreatedforAlumnithatembodiesUWCGraduateattributes:Pride,Engagement,Legacy.

ALUMNI MARKETING, PUBLICATIONS AND COMMUNICATION
In2012,theAlumniRelationsOfficelaunchedanewbrandidentityforUWCAlumni.AnewlogomirroringthearchitectureoftheUniversity’sfrontportalwherestudentsenterandexitthroughthepillarsoftheUniversity.Thelogosymboliseseverystudent’seducationaljourneyfromthe beginning to graduating and entering theworldasaUWCalumnus.AbrandwasalsodevelopedfortheAlumni‘Leadfromwhereyouarecampaign’whichwasusedonallalumnipublications,marketingmaterial etc.
ThelatestAlumniand‘Leadfromwhereyouare’logoswereusedinvariousmarketinginitiativestopromotetheAlumniAssociation.Thesemarketinginitiativesrangefromalumnimembershipbrochures,alumnirecruitmentemailers,alumniemail-signatures,websitebanners,andsocialmediabanners,brandedinvitationsandalumnipostersandanewlydesignedAlumni‘Leadfromwhereyouare’clothingrange.Theclothingrangeincludesvarioust-shirts,vestsandhoodies.
TheAlumniRelationsOfficewasinregularcontactwithalumnithroughitsalumnidatabaseviaemailandFacebook.
Communicationincludedinvitationstoevents,callingalumnitojointhealumniassociation,sharingtheAlumninewsletter,updatingalumniaboutimportantuniversitynews.TheAlumniRelationsOfficehasexperiencedmuchmoreinteractionwithitsalumnibecauseofitsincreasedengagement. There has been a boost in thenumberofalumnithatarevisitingtheAlumniRelationsOfficewhetherforassistanceorqueries,tosign-uporsimplytohaveachataboutoldtimes.
Publications
•NewsletterInMay2012,theAlumniRelationsOfficeintroducedtheveryfirstissueoftheThreeSixt-eAlumniQuarterlyAlumniNewsletter.Atotalofthreeoutofthreequarterlyissueswereproducedanddistributedine-formattotheAlumniDatabaseandinprintversiontoalumniateventsandoncampus.TheAlumniRelationsOfficepartneredwiththeEMSandDentistryFacultyforthesecondandthirdissueofthenewsletterrespectively.Thepartnershipwasaimed at strengthening the relationships withdifferentfacultieswhilstshowcasingthefaculty’sachievementsanditsalumni’ssuccess.
•MagazineTheAlumniRelationsOfficeprovidedinputandinformationforthe360PerspectivesMagazinethatfeaturesacombinationofalumniprofilesandtheUniversity’sprogress.The360magazinewillbedistributedine-formattotheAlumniDatabaseinJanuary2013.

ALUMNI CHAPTER ACTIVITIES AND EVENTS

During2012,theAlumniRelationssupportedClub99’sannualLangarmDance.Club99isanUWCAlumniinterestgroup that raises funds for student registrations and bursaries. The Club 99 LangArmdancewasheldon14July2012intheMainHallandwaswellattendedbyalumni.
TheAlumniRelationsOfficealsopartneredwiththeKingsofUWCinterestgrouptohosttheKingofUWCSoccerTournament.The soccer tournament creates a platform for alumni and current students to come together and challenge each other in a soccer match. This is not only an opportunity for a fun filled day but also toencouragenetworkingopportunitiesamongst alumni and students. Through theentryfeesforeachteamtheKingsofUWCraisedatotalofR2500.00thatwasdonatedtotheUWCAlumniAssociation.
FurtherexcitingeventsincludedtheUWCGolfDaysheldinCapeTownandJohannesburglastyear.TheAlumniRelationsteamassistedinmarketingtheeventsamongstitsalumniandprovidingalumni an opportunity at the golf days to
jointhealumniassociation.Animportantspin-offofthiseventwasagenerouspledgeofR1millionmadebyanalumnusandchairmanoftheUWCGautengAlumniChaptertotheMathsandScienceprogramme.
ALUMNI SPONSORSHIP TheAlumniRelationsOfficepartneredwithPPSonthe‘Leadfromwhereyouare’campaignandreceivedaR60000.00sponsorshiptohostthree‘Leadfromwhereyouare’dialogueevents.Twoeventswereheldin2012andthethirdonewillbeheldinApril2013inpartnershipwiththeSchoolofPharmacy.FurthersponsorshipsinsupportoftheKingsofUWCSoccertournament,includesreceivingR2500.00worthofPumaGear,16T-shirts,PumaSoccerballsfromYESCooldrinksand3xonehouruseofthe5V5Footballfacilityfrom the football facility.
ALUMNI DATABASE AkeypriorityfortheAlumniRelationsOfficeistoconstantlyimprovethequalityoftheAlumnidatabase.Thequalityofthealumnidatabaseiscriticalfortheeffectivecommunicationandengagementwithalumni.In2012,theAlumniRelationsOfficecontractedandexternalcompanycalledIntimateDatatoenhanceitsrecords.Atotalof128537recordswereprocessed.Afurtherenhancementofthedatabaseincluded importing of staff and student recordstothetotalof20356recordsandupdatingof4500graduationcardsonthealumnidatabase.Academicqualificationsdatingbackto2010wasalsoimportedontothealumnidatabase.Recordsarecontinuouslyupdatedasnewinformationis obtained.

TheOperationsandEventsUnitmovedfromthecentralIAofficeintheRector’sbuildingtotheSenateBuildingprovidespaceforthegrowingstaffcompliment;and to create and office space for the mid-yeararrivalofthenewDonorRelationsManager.

TherealignmentofrolesintheIADepartmentalsosawthevastportfoliooftheCommunicationsandMarketingManagersplitintotwofunctions:MediaandMedia,andBrandingandMarketing.
Training included staff attendance at the ChiefMarketingOfficers’Conference,theInyatheloup-skillingworkshops,andtheannualMACEconference.ABrandWorkshopandaCommunicationsWorkshopwerealsofacilitatedinternallyandallIAstaffattended.
EVENTINGThecorebusinessoftheEventingteamistocoordinateandadviseonallacademicandculturaleventsatUWCthatincludePublicLecturesandInternationalconferences,Meet&Greets,donorfunctionsandUniversityshowcaseeventssuch as graduation and orientation . The
unit is also dedicated to supporting the executiveandseniormanagementofUWCwithregardtoconceptual,logisticalandroll-out of functions.
In2012theUnitwasinvolvedwithcloseto300eventsbothonandoffcampus.
FUNCTIONS:ThefunctionswithinEventingaremanyandvariedandrequirecollaborationwithanumberofinternalservicedepartments,dignitaries,localauthorities,Stateofficialsanddepartments,serviceproviders,organisations and the public.
Tomanage,monitorandevaluateevents,theUnitputanumberofprotocolsandprocesses in place during 2012. Those that werealreadyinplace,werefine-tunedtoensuremaximumefficiencyondelivery.
Theinitiativesrolledoutin2012include:

OVERVIEWTheCommunicationandMediaRelationsUnit(C&M)worksbroadlyacrosstheUniversitytoraisetheoverallvisibility,media profile and to coordinate media-relationsactivitiesforUWC.C&Mexecutesfour main functions comprising of
• InternalandExternalCommunications•MediaRelations•PublicationsandRiskassessmentandManagement(publicity).
The team in 2012 comprised 4 intern writers/publicistsoncontract,1Alumniwriteroncontract,1ProductionEditoroncontractandaCommunication&MediaCoordinator.The2012teamgrewfromasmallteamoftwowritersand1MediaLiaisonin2011whocarriedtheunrealistictaskofservicingtheentireinstitutionunder the former unit Communications & Marketing.
C&MistheUniversity’sprincipalrepresen-tativetolocal,regional,national,andinter-nationalmediaorganisations.Inaddition,C&MprovidesFacultyandothermembersoftheUWCcommunitywithmedia-rela-tionssupport,includingassistwithcreatingandplacingop-eds,pressreleases,lettersto the editor and media training.
C&McontinuestoleveragethechannelsofUniversityCommunicationstoexecutecommunication strategies in support ofvariousclientportfoliosandmostimportantly,theUniversityIOPgoalswithaspecific focus on goal 6.
Througheffectiveuseofmessaging,mediarelationships,researchandevents,C&MwillcontinuetopromoteUWCthroughoutCapeTown,SouthAfricaandtheworld.
ROLES InternalcommunicationC&MplaysafundamentalroleinbuildingacommunicationcultureatUWC.E-mailsaresentouttohighlightachievements,upcomingeventsandanycrisis/riskcommunication.AspartofcommunicatingwiththecampusC&Mhaveusedthewebplatformeffectivelyforupcomingevents.IA’sMarketingUnithasextendedthisbyincludingpostersandflyersaspart of a strategy to build morale and interest internallyandwithourvariousstakeholders.ExhibitionboardshavebeenplacedinthefoyeroftheRectoratetoupdatestaffandstudentsonUWCevents,imagesandstoriesinthemedia.
Itis,however,clearthatC&MisatthebeginningstagesofbuildinganInternalCommunicationStrategywhichwillexploretechnologicaldevelopmentsandplatformsthatcanbeusedbytheUWCcampustostartconversationsandbuildacultureof a bottom-up communication system approachandnotrelyonatop-downapproach.
PublicationsOnlineCampusThe OnCampus is a monthly publication featuringnews,highlights,eventsandresearch.Thepublicationissentouttoover19000studentsandstaffviae-mail;,tomorethan15000alumniviae-mail;and2000 copies are printed and distributed totheExecutive,DeansandotherkeystakeholderssuchastheChancellorandthe Chair of Council. The print run has droppedovertheyearsduetoofcostsavingstrategieswhichhasalsomadeitimpossibleforC&MtodistributethepublicationtolibrarieswithintheWesternCapeRegionaswasdonepreviously.Fiveeditions/issueswereproducedin2012withsome months combined.

360PerspectivesMagazineThe 360Perspectiveswasbornfromthemergerof360DegreesAlumniMagazineandthePerspectivesMagazine.Thedecisiontomergethetwopublicationscame about because of the office not havingtheresourcesandfinancialcapabilitytoproduceanddistrabutetwoglossymagazines.Howeverthedistributionof the 360Degrees still remains a costly exercise,requiringpostagetomorethan30000Alumni.For2013an84pagepublicationfeaturingalumni,researchandgreatUWCachievementsanddevelopmentswaspublished.
GlobalEducationNewsThe GlobalEducationNewsisan8pagepublicationthathighlightsresearch,innovationandpossiblepartnershipsinhighereducationaroundtheworld.TheGlobalEducationNewspublication is e-mailed to all academic and support staffoncampus.Itsmainroleistoupdatestaffoninternationaldevelopments,invigorateinternationalisationandpartnerships across campus. 2012 brought a number of challenges in sending out the publicationviamail.TheICSDepartmentwasnotsupportiveinmakingtheonlinecommunication platforms easily accessible forC&M.In2012IAdid,however,approachthenewICSDirectorforassistance in creating platforms that can be usedincommunicatingIOPmessagesandInstitutionalinformation.
AlumniNewsletterThe Three-Six-teeAlumniNewsletterwaslaunchedin2012and3editionswereproducedandsenttomorethan
15000Alumniviamail;2000copieswereprinted and distributed on campus and alsosenttokeystakeholders.TheAlumninewsletterfeaturesvariousAlumnifromacross the globe and each edition places aspecialfocusonthe7faculties.TheAlumninewsletterisaimedatupdatingAlumniwithcurrentdevelopmentsattheinstitution and is also aimed at profiling Alumniwiththeintentionoffosteringinstitutionalpride.AlumniRelationsOfficeisC&M’sclientforthenewsletter.
MediaRelationsOneoftheoffice’sprimarygoalsistoplacestoriesandmentionsaboutUWCanditsstakeholdersinthemedia,includingmediaplatformssuchasnewspapers,magazines,wireservices,web,andbroadcastTVandradio.Theseplacements—alsoknownas“hits”—haveclimbedsteadilysincetheMediaLiaisonservicewasestablishedin2008.
UsingtheNewsclipmediamonitoringservice,theofficedocumented1637hitsbetweenJanuary1,2012andDecember31,2012.
C&MstaffachievesthesenumbersbyshowcasingcurrentonresearchandscholarlyactivitiesatUWC;identifyingestablishedandemergingfacultyexpertsand opportunities to promote the Universityasaleaderinhighereducation;AnotherwayinwhichC&Mattainsthesehigh ratings through building relationships withindividualmediacontacts,knowingtheireditorialneeds,andmakingthemawareofUWCstoriesandexpertsthatmeet those needs.

Mediaplanninghasimprovedsincetheintroductionoftheeventsmastersheetin2011,butthereisstillalongwaytogoinencouragingthecampustosupplyuswiththe information needed to create press releases,toputtogethercommunicationplansforthevariousevents,researchannouncementsandgeneraldevelopmentsoncampus.TheUniversityhasbeguntobemorestrategicinthewayitrespondstocommunicatingwiththemediaandthepublicatlarge.TheUniversitycommunityhoweverstilllackstheunderstandingofhowimportantitistocommunicatequickly,smartlyandefficientlyinordertoavoidnocommunication,negativepublicityandperceptions.C&Mhelpedfieldmediacalls,arrangedinterviewsandbeganleveragingexistingmediacontacts(andmakingnewones)togetthewordoutandpositionUWCasatopcontenderinresearch,technologyand raising topical issues that impact the countryandtheworld.
TV&Radiointerviewshavegrownfrombeing an occasional occurrence to a regular partoftheC&Mstrategy,relationshipswithtelevisionandradiohaveincreasedandbounds.C&MhasdevelopedrelationshipswhichsawUWChostingmorethan6liveradiobroadcastsfromconferencesandeventsoncampusduringtheyearonGoodhopeFM,RadioZibonele,BushRadio,SAFM,Radio2000RadioSonderGrenseandUmhloboWenene.EachlivebroadcastcostmorethanR150000onanationalradiostation,butthroughourpartnershipswehavemanagedtoreceivetheseforfree.
UWCacademicshavebeenfeaturedonradioandtelevisiontogivetheiropinionand
expertiseonvarioussubjectmatters.UWCeventsfeaturedonradioandTVhasdoubledin 2012 as apposed to 2011.
ThevalueofUWCinnewsprint,television,radioandonlinenewsthroughtheC&MteamisR51million.UWCreachhasincreased tremendously and most is seen monthlyinapositivelight.TheIAteamhasadvancedlogistically,strategicallyandiscapableofmobilisingmedialiterallywithinmerehoursoftheevent.ThevisitbyUSSecretaryofStateHillaryRodhamClintonandthememorialserviceofthelateProfessorJakesGerwel,arebut2examples.
CorporatewebsiteandsocialmediaTheUWCwebsiteisusedasatooltofeatureUWCnews,announcementsandevents.C&MalsoupdatesthesocialmediaplatformsofcurrenteventsandreporteventsminutebyminuteonplatformssuchasTwitterandFacebook.C&Malsousesthewebsitesofradio and community boards to feature upcomingevents.SocialMediaisgrowingatarapidpace.Theplatform,however,also produces a threat and opportunity for institutions of higher learning as these open platformsallowpeopletcommunicatefreely,falselyorpositivelyaboutUWC.
Monitoring,EvaluationandReportingC&MhasdevelopednewsystemssuchasCommunicationsPlansforeachevent,announcement,researchetc.CommunicationandMediahavedevelopedfeedbackslipsforourclients,inordertomeasureandimproveservice.

AGENCY-ASSITED CAMPAIGN:IArevisitedtheoptionofbringingBrandAgencyBoomtownonboardtoassistwithdevisingaunifyingcampaignforUWC.

Internally,activities,publicationsandcreativeandconsultativeenergieswillbefocusedonlegitimisingtheUWCBrandelements;creatingUWC-approvedguidelinesandprotocols;andbringingallcommunications,marketingandbrandingroleplayers on campus together through andInstitutonalAdvancmentBrandForum.
IABrandingandMarketingwillspecificallyinvestbrandingandmarketingactionsinSportandNursingtosupportkeydonorprojects.
OVERVIEWOnthe23rdJune2011WesleyDiphoko(OnlineCo-ordinator)submittedthefirst UWCOnlineReportthat highlighted challenges and solutions to challenges experiencedwiththeuniversitywebsite. TheContentManagementSystem(CMS)andthelackofContentManagementTeamwerehighlightedaskeychallenges. InthereportitwasrecommendedthatSharepointbeimplementastheinstitutionalContentManagementsystemandaunitbeestablishedtooverseecontentmanagementofthewebsite.
In2012someoftheserecommendationswereimplementedintheformofSharepointimplementationastheContentManagementSystem. SignificantamountoftimewasspentwiththeprojectteamtoprovidesupportwiththeimplementationoftheSharepointContentManagementSystem.
Inanattempttoprovidenecessarycontentmanagementanonlineteamwasestablished. The team members consisted of 2 interns providedbyEOHand1contractcandidate.
TheOnlineTeamhasbeeninstrumentalintheprocessofestablishingtheSharepointContentManagementSystem.
Throughtheonlineteamssupportnowtheuniversityhas1260followersonTwitter. NowthroughthesupportoftheonlineteamtheuniversityhasanewSharepointContentManagementSystemthat is ready to be launched to the public.
Thechallengethatremainsisthelackofcontentmanagementsupporttooverseemanagementofcontentonthenewwebsite.
