Astheorganiser,wearemakingeveryefforttoensureyoursafetyduringyourvisittothetradefairgrounds.Wearethereforeinclosecoordinationwiththeresponsiblehealthauthoritiestogetherwiththeoperator,DeutscheMesseAG.Withimmediateeffectanduntilfurthernotice,thetechnicalguidelineswillbesupplementedwithprotectivemeasuresconcerningbehaviour,distancesandhygiene:

Grounds-wide regulations and measures

1. Behaviour at the grounds

• Whenenteringandexitingtheeventandthroughouttheentireeventperiod,allpersonsatthetradefairgroundsarerequiredtoadheretoaminimumdistanceof1.50mfromoneanother(’minimumdistance‘inthefollowing).

• Wearingmouthandnoseprotectionismandatoryinalllocationsinwhichthisminimumdistancecannotbeadheredtoandinalllocationsinwhichthisisspecifiedbytheorganiser(markedaccordingly).

• PleasealwaysobservethecurrentlyapplicablehygieneregulationsissuedbytheFederalCentreforHealthEducation(greetingwithouthandshake,coughing/sneezingintothecrookofthearm,regularlywashinghands,avoidingtouchingone‘sface).

2. General protective measures at the grounds

• ThetradefairgroundsinHanoverofferanoutstandinginfrastructurethatalreadyguaranteesthehighestofhygienestandards.

• Wheneventsareconducted,thecleaningfrequencyisadditionallyincreased;entranceandexitareas,toilets,etc.arealsodisinfectedseveraltimesperday.

• Disinfectantdispenserscanbefoundintheentranceareas,intoiletfacilities,atservicepointsandintheforumsandconferenceareas.

• Throughoutthetradefairgrounds,transparentpartitionwallsmadeofglassandplasticwillalsobeinstalledatallcountersatwhichcontactbetweenemployeesandserviceproviderstakesplace(e.g.inthepresscentre,atthecloakrooms,atinformationpointsandinserviceoffices).

• Signsandloudspeakerannouncements,etc.willbeusedtopointouttheprotectivemeasuresatthetradefairgrounds.

• Thecateringareaswillbeextendedwithadditionalfacilitiesoutdoors.Takeawayfoodanddrinkswillprimarilybeonofferhere.

• Therewillbefixeddailycontingentsofadmissionticketstolimitthenumberofpersonsatthetradefairgroundstoapermissiblemaximum(pursuanttotheapplicablecoronavirusordinance).

3. Registration, admission and payment

• Aspartofthecurrentmeasures,thepriorregistrationofallpersonsistheprerequisiteforadmissiontoandremainingatthetradefairgrounds.

• Therecordingofallessentialpersonalinformationisintendedtoensurethatanynecessarytrackingofcategory1contactpersonspursuanttothespecificationsoftheRobertKochInstitutecantakeplace.

• VisitorswillexclusivelyreceivetheirticketsinadvanceandonlineviatheEuroTier/EnergyDecentralticketshop.Ticketscannotbepurchasedandpreviouslypurchasedticketscannotberegisteredonsite.Eachticketisvalidforadefinedtradefairday.Nomulti-dayticketswillbeissued.

• Visitorswhowishtovisitthetradefaironseveraldaysmustregisterseparatelyforeachday.

• Exhibitorswillcontinuetoreceivemulti-daytickets.However,itwillbenecessarytospecifythedayspresentordaysofuseinadvance.Unusedadmissionsperdaywillbecreditedtothevisitorticketcontingent.

• Toensureadherencetothedistancingregulations,personalguidancesystemsandfloormarkingswillbeusedintheentranceareas.

• Bagchecksarestillplannedonenteringthegrounds,underconsiderationoftheapplicablemeasures.

• Youmustkeepyouradmissionticketwithyouthroughoutyourentirevisit,uptothepointatwhichyouexitthegrounds.Proofoftherespectivevisits(scanningtheadmissionticket)mustbeprovidedatspecificlocationsonthegroundsaspartofcontacttracking.(Entrancetoandexitfromthegrounds,cateringareasandattheexhibitorstandsinthecaseofconsulting,negotiationorsalesdiscussionslastingatleast15minutes,etc.)

4. First aid

• Themedicalcentreislocatedbehindtheglasstransitionfromnorthentrance1tohall20(pleasefollowthesigns).

5. Traffic routes, communal areas, presentation areas

• Pleaseuseonlytheaccordinglymarkedentranceandexitdoors.

• Thewidthsoftheaislesinthehallswillbeadjustedtocreatesufficientspacetoenableadherencetotheminimumdistancebetweenpersons.

• Pleasekeeptotherightintheaislesinthetradefairhalls.

• Carpettilesandaislecarpetswillbeusedtohelpyouidentifytheroutestobetaken.

• Inforumsandconferencefacilities,amorespaciouslayoutwillbeimplementedtogiveconsiderationtotheregulationsconcerningtheminimumdistancebetweenparticipants.

DuetotheCOVID-19pandemic,youareobligedtoobservethefollowingpointsasaEuroTier/EnergyDecentral2020exhibitor.

Dependingontherespectivesituation,thehealthauthorityisentitledtoissuefurtherorders,adjustordersthathavealreadybeenissuedorrescindthemintheirentirety.

Monitoringtheconditionswithinthetradefairgroundsandinterveningimmediatelyintheeventofviolationsaretheresponsibilityoftheexhibitor.

TheDLGexhibitionmanagementreservestherighttorestrictorprohibittheoperationofindividualtradefairstandsatanytimeintheeventofcontraventions.

6. Stand construction and stand design

Duringthetradefair,adistanceofatleast1.50mmustbeadheredtobetweenpersons.Theexhibitorispersonallyresponsibleforensuringthattherequiredminimumdistanceandtheapplicablehygieneandbehaviouralmeasuresareimplementedandadheredtoonitsstandarea.

Thefollowingregulationsforstandconstructionhaveaccordinglybeenestablished;astheexhibitor,youmusttaketheseintoconsiderationinyourplanningandensurethemduringyourtradefairpresentation:

• Thetradefairstandmustbedesignedinsuchawaythatsufficientairexchangeisensuredthroughoutthetradefair,particularlyinmeetingandothercommunalrooms,andthatcoveredstandconstructionsareguaranteed(passive/activeventilation).

• Internalstandtrafficareasandstairs(platforms,secondstories,etc.)mustbedesignedsothatvisitorsandpersonnelcanadheretotheminimumdistancebymeansofconstructiveorstrictorganisationalmeasures.Thisalsoconcernse.g.distancesbetweenexhibits.

• Plentyofspacemustbeprovidedforspectatorsintherespectivestandareaforproductpresentationsandshow/actionareas.Anadequatelydimensionedspectatorareashouldensurethatthetrafficroutesarekeptclear.

• Productpresentationsdirectlyatthestandboundariesareonlypossibletoalimitedextentandaredependentonthespaceavailableinfrontofthestandarea.Theymustbeexpresslyapprovedbytheorganiser.

• Meetingandcommunalroomsforpersonnelmustbedimensionedsogenerouslyandequippedwithseatingsuchthattheminimumdistancecanbeadheredto.

• Interactionpoints(counters,etc.)mustbepositionedsothatsufficientspaceisavailableonthestandforvisitors.Iftheminimumdistancebetweentwopersonscanunderstandablynotbeadheredtoatinteractionpoints,suitableconstructivemeasuresmustbeimplemented(spitguard).

• Contactareasshouldconsistofsmooth,easilycleanedsurfaces.

• Sufficientdisinfectantmustbeprovidedatthestandfortheexhibitors‘employeesandservicepartners.

• Additionallyofferingvisitorstheoptionofdisinfectingtheirhands,e.g.byprovidingdisinfectantdispensers,isalsorecommended.(Canbebookedonlineintheexhibitorserviceportal)

7. Stand organisation

• Werecommendcontrolledaccesstothestandtoensurethattheminimumdistanceof1.50misalsoadheredtoatyourstandatalltimes.Aisleareasinthehallmaynotbeusedaswaitingareas.

• Tosupportvisitorguidanceinthestandarea,markingscanbeusedtoindicatethewalkingdirection.

• Activeappointmentmanagementandcontrolledvisitorguidance(e.g.bymeansofregulatorypersonnelemployedspecificallyforthispurposeandroutemarkings)canproveexpedientforadheringtotheminimumdistance.

• Conductingshowsoractionsaimedatgeneratingalargeaudience,whichcausevisitorstocongregateinarelativelysmallarea,isimpermissible.

• Productsmaycontinuetobepresentedinthecontextofdemonstrationssubjecttoadherencetotheapplicabledistancingandhygieneregulations.

• Highly-frequentedareasandfrequentlyusedcontactareasmustbedisinfectedseveraltimesperday;thestandmustbeprofessionallycleanedatleastonceperday.

• Werecommendofferingmouthandnoseprotectionandhanddisinfectionforvisitorstothestand.

• Eveningeventsandstandpartiesarebannedatthisyear‘sEuroTier/EnergyDecentral.

• Theprovisionofbrochuresandinformationmaterialaswellastheissueofgive-awaysmustbecheckedasregardsconformitywiththehygienerequirementsandmustbeforegoneincaseofdoubt.

8. Catering and hospitality in stand areas

• ThecurrentversionoftheLowerSaxonyordinanceoninfectionprotectionmeasurestohaltthespreadofthecoronavirus,particularlySection6’Cateringoperations‘,appliestotradefairrestaurants,bistros,cateringandtastingatthestand.

• Werecommendonlyissuingfoodstuffsinpackagedform;sugar,salt,pepperandsauces,etc.mustalsobepackagedinportions.

• Ifyouareplanningacateringareawithunpackagedfoodstuffs,weurgentlyrecommendengagingaprofessionalcaterer.Thecatererisobligedtoadheretoallhygieneregulations.

• Self-serviceandbuffetfacilitiesareprohibitedduetotheapplicablehygieneregulations,asisservingdraughtdrinks.

• Issueofcrockeryandcutlery:pleaseuseeitherpackageddisposablecutlery(preferred)orreusablecutlerycleanedinadishwasher.

• Washbasinsmustbeequippedwithsoapdispensersanddisinfectantdispensers,andmaynotbeusedforwashingcutlery,crockeryorkitchen/standcleaningutensils.Anoticestating:’Notforcrockeryorcutlery!‘mustbeaffixedinaclearlyvisiblepositionaboveallwashbasins.

9. Contact tracking

Toenablespecificcontacttrackinginsuspectedcases(category1pursuanttothespecificationsoftheRobertKochInstitute),thefollowingmeasureswillbeimplemented:

• Throughouttheentireeventperiod,visitorsandexhibitors(aswellastheirserviceproviders)willinitiallyberecordedatallentrancestothegrounds.

• Priorregistrationisobligatory.

• Exhibitorsareobligedtorecordallpersonsonthetradefairstandwithwhomaconsulting,negotiationorsalesdiscussionslastingatleast15minutesisconducted.Werecommendourelectroniccontactdatarecordingsystem.Alternatively,formsfordaily,manualrecordingareavailablefromthehallmanager‘soffice,wherethecompletedformsmustbehandedintothehallmanager(organiser‘srepresentative)attheendofeachdayoftheevent.

• Exhibitorsandtheircommissionedserviceprovidersareadditionallyobligedtoseparatelyrecordtheiremployeescollectivelyeachday(includingduringassemblyanddismantling).

• Inseatedcateringareas,contactdatawillberecordedthroughoutthetradefairperiodbythecateringoperator.

• Inallcases,thecontactdatatoberecordedincludethesurname,firstname,thefulladdress,telephonenumber,thedateandthecontactperiod(beginning/end).

• Theorganiserisobligedtoretainthecontactdataforaperiodofthreeweekscommencingonthefirstfollowingdayoftheevent.

• Ifnecessary,thepublichealthdepartmentwillbeprovidedwiththerecordedcontactdataforevaluationandprocessingbytheorganiser/venueoperatororbyacompanycommissionedtodothis.

• Furtherdetailsconcerningtheprocedureanddataprotectionwillbemadeavailableseparately.

10. Assembly and dismantling

ThegeneralregulationsofthelatestversionoftheLowerSaxonyordinanceoninfectionprotectionmeasurestohaltthespreadofthecoronavirusalsoapplythroughouttheassemblyanddismantlingphaseasasupplementtothetechnicalguidelines.Thisparticularlyincludestheregulationonprofessionalpractice(Section10CoronaSchVO).Accordingtothis,congregationsofseveralpersonsforprofessionalpurposesarepermissible.

Specifically,thefollowingpointsmustbeobserved:

• Ifpossible,aminimumdistanceof1.5metresbetweenthepersonsmustbeadheredtoduringallwork.Ifthisisnotpossibleinexceptionalcases,technicalmeasures(spitguard)ormouthandnoseprotectionmustbeused.

• Formsmall,fixedteamsduringtheactivityaswellasduringtraveltoandfromthevenueinvehiclesandduringbreaks.

• Pleaseinstructyouremployeestoavoidunnecessarycontact.

• Exhibitorsandtheircommissionedserviceprovidersareadditionallyobligedtocollectivelyrecordtheirassemblyanddismantlingemployeesseparatelyeachday.

• AllemployeesmustbeinformedoftheSARS-CoV-2worksafetystandards.Itmustbeensuredthatallemployeeshaveunderstoodtheinstructions.

• Thisparticularlyappliestothedistancingandhygieneregulations,i.e.greetingwithouthandshake,coughingandsneezingintothecrookofthearm,regularlywashinghandsthoroughly.

• Smokingisprohibitedinthetradefairhalls.Ifpossible,breaksshouldalwaysbetakenintheopenair.

• Accommodatingemployeesinsingleroomsisurgentlyrecommended.Collectiveaccommodationmustbeavoided;sufficientdistancemustbeensuredthereunderallcircumstances.Theapplicablehygieneregulationsmustbedisplayedinaneasilyunderstandableandclearlyvisiblemanner.

• Theregulationsforenteringthetradefairgroundshavebeenchanged.Detailswillbeannouncedatalaterpointintime.

• Oneachassemblyanddismantlingday,thepersonalisedassemblyanddismantlingcardwillbecheckedonenteringoraccessingthetradefairgrounds.

• Separatedismantlingregulationsarerequiredforthefirstdayofdismantling(lastdayofthetradefair).Asalways,detailswillbeannouncedduringthetradefair.Pleaseplanmoretimeforthis.
