How do I get help with the gradebook Your eSchool Campus Trainer_____________________________________________ Online Support: http://www.humbleisd.net/gradebook How to launch the gradebook from a district computer 1. Locate the eSchool TAC icon on your desktop and double-click. 2. Enter your User Name (Same as Novell and Groupwise). Enter your password. How to launch the gradebook from home 1. Open an Internet Explorer session and navigate to the URL: https://esapp.humble.k12.tx.us/tac (Make sure you put the ‘s’ in https) 2. Enter your User ID and Password.

How to put a gradebook shortcut on your desktop at home 1. Open the gradebook using the instructions above. 2. Click and hold the icon in the address bar, then drag it to your desktop. This will create a shortcut on your machine. 3. Right-click on the newly created shortcut, select Rename, then enter Teacher Access Center.

The Title Bar The title bar contains 3 buttons on the top right side. These buttons are available on every page in the Teacher Access Center. Click the Help button to get online support. These support documents are very good and contain useful information about the gradebook. However, keep in mind that they were written by the eSchool people and do not have information that is pertinent to Humble ISD. Click the Print button to print the page that you are currently displaying. Click the Home button to return to the Home page The Navigation Bar Click on each item in the Navigation Bar to display the page. Each item listed in the Navigation Bar will be fully explained in this reference guide. You may hide the Navigation Bar in order to give you more working space. Just click the Max button at the top left side of the navigation bar. To display the Navigation Bar again, just click the Restore button.

My Classes Each row contains information and hyperlinks for each class that you teach. If you teach classes at multiple buildings, all classes from all buildings will be displayed in this area. My Messages Information relating to adds and drops to classes is displayed in this section. To delete items, place a check in the right-most box, then click the Delete button. My Reports This section will hold reports generated by the gradebook program. To delete reports from the list, place a check in the right-most box, then click the Delete button. To select all reports for deletion, click the All button in the column header. To deselect all, select the None button.

News Check this section every time you log in to get the latest message relating to the gradebook. Items listed under News will include instructions, deadlines, announcements, etc.

How to View a Class List

1. From the Teacher Access Center home page, find the appropriate row for the class, then click the ‘List’ hyperlink in that row.

2. Click the hyperlinked student name to view summary information for the student, such as demographic, schedule or attendance information.

3. To print a report of the list, click the Report button at the top of the screen.

4. Click the My Classes button at the top of the screen (or the Home button) to return to the Home Page view.

How to Take Attendance

TEA requires that all teachers take attendance every day.

1. Locate the appropriate class in your list of classes. If all classes are not displayed, select the drop-down arrow for ‘Courses’ and select ‘All Courses’.

2. If all students are present, click the ‘All P’ hyperlink for the class.

A green check will appear indicating that attendance has been taken for this class. 3. If one or more students are absent, click the ‘Att’ hyperlink in the appropriate row.

4. Verify that you are in the appropriate class, then place a check in the box for all absent students

in the ‘A’ column. Place a check in the box for all tardy students in the ‘T’ column. Do not use the P column.

5. When all attendance information has been entered, click the Save button at the top.

Note: Do not use the Pic hyperlink to enter attendance.

IMPORTANT HISD ATTENDANCE POLICY

The State of Texas requires that all teachers take attendance each day in order to receive ADA funding. It is the policy of Humble ISD to strictly adhere to this requirement, and the following procedure will be followed in order to ensure complete and accurate attendance information. The Attendance Specialist will generate a ‘Missing Submissions’ report each day and will notify the building principal with the names of all teachers who have not submitted attendance. The Principal may use this information in a teacher’s evaluation.

How to Set Categories and Weights

If you teach several classes whose categories and weights are the same, set up one class, then copy to other classes.

1. From the Home page, click the Def link for the appropriate class.

2. Click the Categories tab.

3. Do not put a check in the EXAM-Semester Exam box until the end of the semester. This is for the Semester Exam and should not be used until the end of the semester.

4. Put a check in the F-Formative box if you use that category in your grading method. If you do

not know your grading method, ask your Department Chairperson.

5. Enter the weight percentage for the Formative category. Check the Weights Reference Chart below for details on weights to use.

6. (Optional) Enter the number of lowest assignments that you want to drop. Be sure and check with your Department Chairperson before using this feature.

7. In the ‘Exclude Missing’ box, select ‘Exclude missing scores from the average’

8. Click the Save button.

9. Put a check in the S-Summative box if you use that category in your grading method.

10. Enter the Weight, Drop Lowest, and Exclude Missing as described in #5 - #7 above, then click the Save button.

Weights Reference Chart

25% - enter .25 30% - enter .3 40% - enter .4 50% - enter .5 60% - enter .6 70% - enter .7

75% - enter .75

11. If you use just one category, put a check in the ‘All Work’ category. Leave the other boxes blank. Set the Weight to 1, Drop Lowest (optional), and Exclude Missing to ‘Exclude missing scores from the average. Then, click the Save button.

Entering Assignments How to enter an assignment 1. From the Teacher Access Center home page, click the ‘Def’ hyperlink in the appropriate row. The Assessment tab is used to define assignments within a specific category. Selections with a red asterisk are required.

2. Enter the Date Assigned in the format MM/DD/YYYY (or select from the calendar icon).

3. Enter the Date Due in the format MM/DD/YYYY (or select from the calendar icon). This is a required field.

4. From the Category drop-down list, select the appropriate category. This is a required field.

5. Do not use the Extra Credit feature.

6. Name the assignment – be as descriptive as you can. Use the More link to add more information to the description. For example, if the name of the assignment is Vocabulary Quiz on Chapter 3, you can use the More button to list the vocabulary words. This is a required field.

7. Enter the Total Points. If you use an averaging grading method, set the total points to 100. This is a required field.

8. Enter 1 for the weight assignment. This is a required field.

9. Check the ‘Publish Item’ box when you are ready for the assignment to be displayed in the Home Access Center (for parents to see). Check the Publish Scores box when you are ready for the assignment scores to be displayed in Home Access Center.

10. Click the Save hyperlink. Clicking the Save link also enables the Files icon. The Files icon allows you to attach a document to an assessment if you want to provide an electronic copy of the assignment. This document would be accessible through the Home Access Center.

How to edit an assignment definition After an assignment has been saved, changes can be made to the assignment definition. 1. Click the Edit link at the far right.

2. Make the necessary changes to each field, then click the Save link. How to delete an assignment Clicking the Delete link will delete an assignment that has already been saved. Assessments that have scores entered cannot be deleted unless the scores are deleted first.

Adding Attachments You may add attachments to your gradebook in two different ways as follows. How to add an attachment to an assignment (Worksheet, etc) Teachers may upload an attachment to any assignment by clicking on the yellow folder that is in the row of the assignment.

Click the Browse button, select the file that is to be uploaded, then click the Upload link. How to add an attachment to a class (Syllabus, Class Rules, etc) 1. From the Home Page, select the class you want by clicking the Def link.

2. Select the Attachments tab.

3. Click the Browse button, select the file you want to upload, then click the Upload link.

Entering Grades

How to enter grades for an assignment Before you can enter scores (grades), you must first define the assignment.

1. From the Teacher Access Center home page, click the Score link for the appropriate class.

2. Click the F tab to view all assignments that have been linked to the ‘Formative’ category. Click the S tab to view all assignments that have been linked to the ‘Summative’ category. Click the All tab to see all assignments.

3. Click in the appropriate assignment column and enter each grade in the corresponding student row. Use the TAB key to navigate between fields. Grades are automatically saved when entered.

4. Leave the Grading Scale box empty.

IMPORTANT NOTES

As student scores are entered, the student’s cumulative average automatically updates. The student’s average is not calculated if the assessment being entered has not yet reached the specified due date. The Notes icon will allow you to enter notes about individual students. Grades are automatically saved upon entry.

Explanation of the legend

Yellow: If you enter a score that is not between 0 and 100 or E, S, N, or U, the background will change to a yellow color to indicate an ‘Incorrect’ grade. Pink: If you set up the category to drop the lowest grade, the lowest grade for each student will have a pink background. Blue: If you enter a grade that is over 100, the background will change to blue. Red: If you enter a ‘Late Assignment’ or ‘Retaken Assignment’ comment, the grade will be in red. Green: If you overwrite a calculated grade, the background will change to green.

5. Use the option buttons near the top of the score entry page for the following:

My Classes – will return you to the Teacher Access Center home page. Assessments – will return you to the list of assignments. Printable – will show a printer-friendly version of the score entry page. Student Detail – will show a PDF document of the student data that has been entered in the gradebook. Missing scores – will show a PDF document of grades missing from the gradebook. Student aliases – will allow the teacher to specify aliases in place of a student’s name to provide anonymity when posting grades. Default Grade – allows you to mass-enter a grade for an assignment.

How to Mass Enter a Grade This feature will allow you to quickly enter a default score for all students for any assignment.

1. From the Home Page, click the Score link on the appropriate row.

2. Click the assignment column. (Hover the mouse over the column header to view assignment description.

3. Click the Default Grade button at the top.

4. Enter the Default grade, then click the Assign button.

How to Copy Assignments from one Class to Another Use this feature with caution!

1. From the Home Page, click the Def link for the class where the assignment is defined.

2. Click the Copy button at the top or bottom of the page.

3. Under Copy Options, set Copy Direction to ‘To Courses’, Copy Type to Categories and Assessments and Marking Periods set appropriately. If you have attachments with the assignment, put a check in the ‘Copy Assessment Attachments’ box.

4. In the ‘To Course’ area, put a check by the course or courses where you want the assignment copied.

5. In the Categories and Assessments area, put a check in the box by the assignments that you

want to copy. (You may need to scroll down to see these assignments.) 6. Click the Copy button at the top or bottom of the window. 7. Click the My Classes button and verify that the assignments were copied. Please use caution when copying assignments. It is very easy to make a mess of your gradebook very quickly when this feature is used incorrectly.

Progress Reports Checklist (IPR) Your principal will give you progress report grade input deadline for each marking period. Before the deadline, do the following things to ensure that your grades report correctly.

1. Make sure all assignments and grades are entered. a. From the Teacher Access Center Home Page, click the Score link.

b. Click the PROG tab at the top right. The assignments that display are the assignments that will be included in the progress report average. If there is an assignment that needs to be included that is not listed under the PROG tab, go back to the assignment definition and change the due date to be within the range of dates between the first day of the six weeks until the IPR Run date. - c. Make sure that all progress report averages are between 0 and 100. There should be no progress report summary averages over 100.

2. From the Teacher Access Center Home Page, click the IPR link.

3. Make sure the correct IPR run date is showing at the top.

4. Click the ‘Load From Gradebook’ button. The marking period average will populate the PROG column.

5. Make any changes if necessary. To make a change, just type over the calculated average. 6. Enter the Conduct grade. Either type the grade in the CON column, or use the drop-down list to select E S N or U.

7. Review the progress report grades and the conduct grades, then click Save.

8. On the Home Page, a green check will appear next to the IPR link to indicate that you’ve submitted your grades.
