Welcome to today’s session on ONLINE ADHOC CLAIMS – Campus Life

By the end of the session you will have the ability to enter in your Adhoc timesheet.

Session OutlineIn this session we will cover: Log into the Staff Portal and Enter into Timesheet for payment of following:

I. overtime/Additional Hours

II. Motor Vehicle Allowance

III. Penalty/Shift Loadings

IV. Laundry Allowance

V. Broken Shift Allowance

VI. RDO Earn and Take

VII. Higher Duties Allowance

Where to find your Timesheet to enter Adhoc Claims? Log into the Staff Portal and click on My Staff Page (Fluid Interface) either via

Employment or Key Services

My Staff Page: Fluid Home Pages (for use on Mobile Phones, Tablets, and PCs) 6 x Menu Options (Drop Down Selection) Replaces Individual Links in Staff Portal Function / Activity Based “Tiles” to select from each Menu Option Click on ‘My Timesheet’ tile

Open Timesheet Enter in Full day hours worked as time is calculated by rules attached to the work

schedule. NOTE: Meal Allowance is not required to be selected as will be determined by rules.

Enter in Units and no hours for the following:

Enter hours into Timesheet and Save for Later or Submit Can select Previous Period or Next Period or change the date in the calendar period

(hit refresh to move to new calendar period)

Employees can update the timesheet in any status of the process. NOTE: If amending a fully approved timesheet, this will automatically recover any payments made for that time.

Click on the on the line on the timesheet, the TRC and hours disappear.

Click on Submit and the whole entry will change from Approved to New.

Timesheet approval from Supervisor: Using the “Fluid Home Page” select Worklist or you can still use the link within the Staff

Portal or email notifications.

Supervisor has the option to Approve, Deny for Push Back. Supervisor has access to override the GL costing on the timesheet. Supervisor can amend the timesheet and submit.

Supervisor has access to amend/delete timesheets even if fully approved. NOTE: This will automatically recover any payments already paid.

If claims are pushed back or denied from the supervisor, the employee will be required to delete the row, save and re-enter time and submit.

TRANSITION:

Electronic timesheet is only available from the Go-Live date Monday 11 th January 2016.

Any claims prior to Go-Live will still require paper based timesheets.

Paper claims will be required for times prior to the Go-Live date and will only be accepted up until the end of January 2016.

Ensure all claims are submitted within a reasonable time as claims should be paid and not held up for more than 6 months.
