NY Governor Cuomo has issued the following statement: State and local beaches can

reopen May 22 in advance of Memorial Day, with reduced capacity and restrictions on

large gatherings to avoid a resurgence of the coronavirus. Swimming pools, playgrounds, arcades, rides, concession stands and picnic areas will remain shuttered, while contact

activities such as volleyball and football are prohibited. Social distancing rules will remain

enforced, and staff will be required to wear masks.

2. Distribute the new Written Notice of Beneficiary Rights to all regular clients as they fill out the Universal Entitlement Form. For one-time only clients, it is acceptable to explain these rights and show the

displayed Notice. (NEW) 3. Attend an annual Civil Rights training. Trainings are added to all regularly scheduled workshops.

4. Food Pantries ONLY – must have clients sign the Universal Entitlement form.

This form is for your use only. Do not send it back to LI Cares. 5. Retain delivery records/universal entitlement forms for a minimum of 4 years.

All Food Support Grant Applications have been sent via U.S. mail to agencies on May 18, 2020 and are due back by Friday, June 12, 2020 to be eligible. Online Operation Support and/or Capital Equipment Grant Application links were

sent out on May 29th, 2020 to those agencies who requested them and are due back and to be submitted through the online electronic application form portal by Wednesday, June 24th, 2020.

Any applications submitted past these due dates will be denied.

How to Continue to Serve Nutritious Food Safely During the Corona Virus Outbreak… While protecting yourself and others

DISTRIBUTION METHODS:

Could your agency give more food out and require less visits? For example, move to an- every other week distribution by giving two weeks’ worth of food out and asking them not to return for two weeks.

Consider “Drive Thru” distributions instead of asking clients to enter your building.

Consider delivering food to homes when possible. Consider suspending any “Client Choice” methods of distribution, and move to pre-packaged boxes/bags only.

Consider allowing only one member of the household to enter your facility. Consider ensuring that your food boxes/bags will care for a minimum of 14 days of nutrition.

CLEANING AND HYGIENE:

Require all employees and volunteers to wash hands for 20 seconds with warm water upon arrival and on one-hour intervals. Encourage social distancing by maintaining 3 to 6 feet between all individuals, by not shaking hands, by not hugging, by not fist bumping or elbow shakes. Encourage coughing or sneezing into the inside of elbows and or face -masks. Encourage individuals to avoid touching their face. Implement hourly wipe downs of all door handles, light switches, work space surfaces, computers, keyboards, computer mouse, phones (land lines and cell phones), and other high traffic areas. Implement a deep clean of all surfaces at least upon opening your facility and closing your facility daily. Implement a rule of any sick employees or volunteers staying home (or being sent home immediately) when fever or symptoms arise, and for at least 24 hours after fever and symptoms have ended. Follow County Health Department and CDC covid19 recommendations. Consider creating or use the sample attachment of a Cleaning Roster with signatures of who cleaned at what time/day. Consider reducing the risk of spread by limiting the number of volunteers (trained in your disaster practices) who are in your facility, and discontinue any group volunteer opportunities. Consider reducing client touches to pens or signature pads, and when use by a client is necessary, implement cleaning after every use or send the pens home with them. Consider requesting donations of whatever you feel your agency needs most. Most of you have been doing this on our Long Island Cares online Covid19 agency update form. This helps us know what foods to order in our foodbank to help you serve and meet your clients requests and needs.

POTENTIAL IMPACT ON YOUR AGENCY:

If your agency receives retail donations from a local Walmart or grocer, consider the possibility that you may receive less donations due to the stores being out of stock themselves. Consider the idea that if individuals who normally have money to purchase food are not able to purchase because of empty store shelves, we may have new clients at our agencies. Prepare for less volunteers by boxing food now and storing on your shelves ready for distribution. Include a sign that describes best practices and current operating service hours and how you are doing it. Please hang this on your door where clients can see it. Consider what your agency will do if a person in your agency or your community tests positive, or if there is evidence of community spread. Encourage staff and volunteer who open the mail, receive donations of any kind, and/or handle money to wear single-use gloves. Consider what your plan will be in the event that individuals choose not to volunteer with your organization for a certain time- period. Consider when and if your agency should increase the amount of your food/donation inventory. USDA DISTRIBUTION SITES:

At this time, all rules and regulations related to this program are the same. FOR AGENCIES WITH THRIFT STORES:

Consider a 14-day quarantine on all donated products. Encourage staff or volunteers who receive donated product, receive or handle money, and/or open the mail to wear single-use gloves. Consider the option of when you will stop receiving donations, for how long, and what criteria should be met before you begin receiving donations again. Consider the option of when it is right for you to close your store, for how long, and what criteria should be met before you re-open. Encourage personal hygiene and cleaning as described above. EQUITY, DIVERSITY & INCLUSION:

Consider the words we choose when describing the virus, as to not alienate anyone because of their age, ethnicity, social or economic class. PLEASE REMEMBER:

We are working to ensure that we have the “best-practice” information to share with you as often as possible. We will be sharing information on at least a weekly basis and as it becomes available to us. In the meantime, please refer to the CDC and to your local Public Health Departments. Furthermore, continue to use April and May 2020 online covid19 agency update forms so we know how you are serving or not serving clients during the duration of this outbreak.
